CHAPTER I
INSTALLATION

Installing WooWTime Software Application


Double click on file setup WooWTimeBasicSetup.exe, to run the driver for installing
WooWTime Software Application. Click OK, then the display will pop up the window to
begin the installation. Click Next to continue the process for installation.

Fill in Company Name, then click Next to continue the process for installation.

Choose desired destination folder to install WooWTime Software Application, then click
Next

Choose desired shortcut name, then click Next to continue the process for installation.

Click Next to begin the process of installation.

Click Finish to end the process of installation.

CHAPTER II
WOOWTIME SOFTWARE APPLICATION

1.

Dashboard

Inside the Dashboard menu of WooWTime, there are 9 options of main menu :
Welcome Admin, Change Password, Home, Device Management, Master, Roster, Process,
Reports, System
Change Password : Able to change the password for administrator and user login.

In Old Password form, please fill in previous password, then fill in new password in
New Password form, fill in once again by put new password in Confirm New
Password
Home : To view the statistic / graphic for all the employee in desired period.

2.

Device Management
2.1.

Area Setting
This menu serves to create area of terminals, by means this feature will provide
desired group of terminals in selected area. This area needs to be set up because

when couple of terminals installed in one area, it will automatically have


syncronization of user information and finger templates.

By standard feature, it will be 1 ( one ) default area which is Staging Area, where the
terminal connected to main server, it will automatically adjust to Staging Area, but
in this area every terminal would not have synchronization for user information and
finger templates.

a. Click

, if you want to add more area, then it will provide a form as

shown below.

Fill in Area ID, Area Name, then click Update.


b. If you want to erase specific area, please Tick in the selected area, click
, then the area that you choose will be erased. This area can be
erase if in condition there is no user or terminal inside the selected area.
2.2.

Device Setting
This menu serves to show information of the terminal which connected to
WooWTime Software Application.

From this Device Setting menu, we will be able to view the information from
each terminal which connected to the server, include information for serial
number, terminal ID, device name, status, area, user, finger, and transaction.
Offline status will indentify that the terminal currently disconnected from the
server, otherwise Online status will indentify that the terminal currently connected
to the server.
2.3.

Sent Command List


This menu serves to show list of previous command information which have been
done by the server to desired terminal. This list of command information will
show if in condition the software successfully connect to the terminal.

2.4.

Failed Sent Command List


This menu serves to show list of previous failed command information which have
been done by the server to desired terminal. This list of command information will
show if in condition the software failed connect to the terminal.

2.5.

Transaction Monitor
This menu serves to showing / monitoring for every attendance transaction retrieved
by the server. This transaction will be automatically updated by realtime mothode.

2.6.

Photo Log Monitor


This menu serves to showing / monitoring for every attendance transaction retrieved
by the server, include with the result from camera captures.

3.

Master
3.1.

Company Setting
This menu serves to input the data from selected company. This information will be
provide in all the reports.

3.2.

General Setting
This menu serves to do overtime setting also function key setting.

Calculate

overtime before shift means this overtime will be countable before check in time, for
Calculate overtime after shift means this overtime will be countable after check out
time.

3.3.

Organization
Organization by this feature means department, which every user will be assign to
each organization.

if you need to add new organization. If you need to delete

desired organization which already created, please tick the desired organization
then click
3.4.

Manage Employee
When a terminal connected to the server, the terminal will automatically send all
user information and finger templates data to server.

From all selected user, then we can edit one by one to define Nickname,
Organization, etc.
Otherwise we will be able to have additional options manually by clicking

then it will provide a form to fill employee information as shown below :

Please fill User ID, Badge Number, Name, Previledge, Organization, Place of Birth,
Birth Date, Hired Date also Area ID, once it finished please click Update button.
3.5.

Shift
This menu serves to create working hour pattern or shift for each employee.
Click

to create new shift, then it will provide a form to fill new shift

setting as shown below :

: Name of working hour pattern

: Range of the beginning for Check In time

: Time of the beginning for working hour

: Range of the ending for Check In time

d. Break Out

: Time of the break out time

: Range of the ending for Break Out time

e. Check Out

Start

: Range of the beginning for Check Out time

: Time of the ending for working hour

f. Tolerance

Late

: Tolerance for late during Check In time

Early

: Tolerance for early home during Check Out

: Tolerance for overtime, even for overtime before check in

: Options to activate late early tolerance

h. Shift Color

: Color to define each shift pattern

Attendance Status
This menu serves to provide notification when a user have permission to come late
or early home by any condition.
Click

, to have additional attendance status.

Fill in desired code also name of the attendance status, then click Update

If in condition above configuration has been made, then it will provide a list of
attendance status that previously created.

3.7.

Absence Status
This menu serves to provide notification of absence status when an employee unable
to have attendance transanction in selected day.

, to have additional absence status.untuk penambahan

status absence. Fill in desired code also name of the absence status, then click
Update

3.8.

Company Calender
This menu serves to fill in Holiday Calendar for whole 1 ( one ) desired month.

Choose and click desired date which you need to put the holiday notification, then it
will provide a form as shown below. Please fill in the Title and range of date for
desired holiday, if the employee take whole 1 ( one ) day leave, then choose All
Day options in right side of this form, then click Save.

4.

Roster
4.1.

Assign Work Schedule


Assign Work Schedule serves to assign shift setting into each employee in one
department.

Choose Organization, then it will provide a list of department which will show a list
of employee for selected department .

After you assign either each of the employee or by department, click


icon, then it will provide a form to assign pattern of setting for working time.

4.2.

Roster
Roster serves to view all the working schedule of each employee, by this roster you
will be able to assign shift for each employee ( personally or multiple choices ),
adding attendance status, also absence status.
Choose desired organization, period of date which you want to view, then please
click Generate

Setelah klik Generate maka akan muncul seluruh tampilan jadwal kerja dari
karaywan sesuai dengan periode yang tuju.

After you click Generate, it will show all the information of working schedule
from the employee based on desired period of date.

4.3.

Assign Shift
To assign the shift, choose desired employee ( personally or multiple choices ) then
click Assign Shift on the toolbar, then it will provide a form to set the shift.

Fill desired shift based on selected date. In condition there is a day when it is a
holiday, then the status of the day need to be uncheck. Then click Submit continue
by click Save button.
4.4.

Status
Status serves to assign specific status for selected employee who do not attend or do
permit when it is still in working hours.

Choose desired date on selected employee, click Status button, then it will provide
3 options, which are Attendance Status, Absence Status, and Clear Status

If you choose Attendance Status, it will provide a form to assign


Attendance Status, select one of Attendance Status options, then define the
period of date.

Edit Time serves if you need to edit desired time based on some
consideration, example check in / check out time is adjustable with normal
working hour

If you choose Absence Status, it will provide a form to assign Absence


Status, select one of Attendance Status options, then define the period of
date.

To erase above status, please choose Clear Status, then it will provide a
form to assign Clear Attendance or Absence Status, then define desired date
which you need to erase.

4.5.

Copy dan Paste


Menu in this toolbar serves to copy desired shift from selected employee to another
employee if in condition they have same working shift.
Choose selected employee which already have working shift, then click

next choose another employee whom will have exact same working shift, then click
Paste button, later it will provide Paste and Paste All options.

4.6.

Paste

: To equate working shift for one of selected employee

Paste All

: To equate working shift for all employee

Export Template and Import


This menu serves to export Roster template into MS. Excel format. After having
some editing, then this template able to be import from Import option.

5. Process
Before viewing the report, you need to do the process in the first time.

Choose Organization, select desired date to do the process, then it will provide Process by
Employee and Process All options. Process by Employee means to do the process based
on selected employee, Process All means to do the process based on all employee.

6. Reports
6.1.

Automatic Email Report


Serves to send summary report by email to desired email address which previously
has been set up.
Click

, then it will provide a form to fill the schedule for sending the

email.

Report Type : Delivery / Send Time Options ( Daily, Weekly, Biweekly dan
Monthly )
Day / Date

: Options of Day when email will be send

Time

: Options of Time when email will be send

After having above set up, please click Update.


If you need to erase the schedule of email delivery time, choose and click desired
schedule, then click

button.

summary report.
6.2.

Transaction Log Report


This menu serves to view all real attendance transaction from the reader.

Choose desired period of date which you need to view, choose Organization, then
click View Report.

6.3.

Attendance Report
This menu serves to view the calculation of attendance report based on selected
period.

Choose desired period of date which you need to view, choose Organization, then
click View Report.

6.4.

Recapitulation Report
This menu serves to show the employee recapitulation report based on selected
period.

Choose desired period of date which you need to view, choose Organization, then
click View Report.

Status Report

Choose desired period of date which you need to view, choose Organization, then
click View Report.

6.6.

Roster Report

Choose desired period of date which you need to view, choose Organization, then
click View Report.

Employee Report
This menu serves to show all the data of employee report.

Choose desired period of date which you need to view, choose Organization, then
click View Report.

6.8.

In Out Report
This menu serves to show In Out report from each employee in MS. Excel format.

Choose desired period of date which you need to view, choose Organization, then
click View Report.

6.9.

Transfer Log
This menu serves to export transaction log into text file format or integrate into
another database.

7. System
7.1.

User Level
This User Level serves to give level of access when a user reaching into
WooWTime software application.
Click

to add level of authority, then it will provide a form as shown

below :

Fill in Level Name then click Update


To erase created level that has been made, please tick desired level then click
button.
7.2.

User Account
To have access into WooWTime software application, then you need register the
user.
Click

, then it provide a form to fill user account

Isikan User, Password, E-mail dan juga Level yag sudah dibuat, setelah itu klik
Update.

7.3.

Register
When you install WooWTime software application in the first time, you need to
send Activation Code, which later will serves you to activate this software.
Click

, then it will provide a form as shown below :

Fill in Company Name, Name also Email, then click Send Activation
Request.
Once you have send this Activation Code, later from HIT admin will send back
Activation Code that has been generated.
Copy and paste this Activation Code in Server ID column.

After that, please click

button, then WooWTime software application is

ready to use.
7.4.

Logout
This menu serves to leave from the WooWTime software application.

CHAPTER III
UNINSTALL SOFTWARE WOOWTIME

Uninstall WooWTime Software Application


Right click on WooWTime service in Tray Icons, then choose Service running, Click to
Stop options from WooWTime software application.

Go to Start program, then choose Program >> WooWTime >> Uninstall WooWTime.

Click Next to continue uninstall the software

Click Finish to accomplish uninstall the software

Go to drive C:\WooWTime, then delete by manually WooWTime folder to erase the data
completely, then the process of uninstall is finish.
