EXECUTIVE SUMMARY/PROBLEM BACKGROUND


This system has never been adopted by any university. Therefore, there are several problems to
be faced by the students as a problem is to find a lecturers room . Previously, students had to
find a lecturers room in itself and it will take longer time and waste of energy. In addition,
students also will find it difficult to make any appointments with lecturers because students do
not know any free time lecturers. It also makes it difficult for students to meet with the lecturer
and ask about some assignment.

PROJECT PURPOSE/JUSTIFICATION
The UTeM XLRNT project has been created to enable students to identify a lecturer s room.
this can be beneficial to students such as time savings because this system will displaying a map
of the route.

The next objective is to make it easier for students to arrange an appointment with the lecturer.
This is because the system will display the teaching schedule to help students make an
appointment with the lecturer at free time.

The system also displays the profile of the lecturers to facilitate the students get some
background information about the lecturer, such as full name, phone number and email address
and easily to contact with the lecturer.

PROJECT DESCRIPTION
This project will develop a system named as UTeM XLRNT. This system is a gps based
geographical navigation application program for smartphones and tablets with gps support and
display screen which provides turn-by-turn information. With the use of this system, students
will be easy to identify the room of the lecturer by submitted subject code and downloading the
location dependent information over mobile networks and will displaying a map of the route.
Besides, the system will also display the teaching schedule to help students make an appointment
with the lecturer at free time.

PROJECT DELIVERABLES
The following deliverables must be met upon the successful completion of the UTeM XLRNT
project. Any changes to these deliverables must be approved by the project sponsor.

ROLES AND RESPONSIBILITIES


The roles and responsibilities for the Software New Project are essential to project success. All
team members must clearly understand their roles and responsibilities in order to successfully
perform their portion of the project. For the Software New Project the following project team
roles and responsibilities have been established:
Project Manager (PM), (1 position): He is responsible for the overall success of the Software
New Project and also responsible for approving that work activities meet established
acceptability criteria and fall within acceptable variances. He must authorize and approve all
project expenditures. He will be responsible for reporting project status in accordance with the
communications management plan and will evaluate the performance of all project team
members and communicate their performance to functional managers. Moreover, he is also
responsible for acquiring human resources for the project through coordination with functional
managers. He must possess the following skills: leadership/management, budgeting, scheduling,
and effective communication.
System Analyst (SA) (2 positions): They will work with their organizations particular IT
system but also with a client's legacy environment so need to be able to adapt to different
programming languages. First of all they will liaise extensively with external or internal clients
and analyzing clients' existing systems and business models. Next step, they will mapping and
documenting interfaces between legacy and new systems. They also are translating client
requirements into highly specified project briefs. So they will easily developing solutions and
related products, producing project feasibility and costing report. After that, presenting
proposals to clients. They were working closely with programmer, training lead and a variety of
end users to ensure technical compatibility and user satisfaction.

Programmer (P) (1 position):

He responsible for gathering coding requirements for the

Software New Project. He is responsible for all upgrade design, coding, and testing of the
upgraded software. Furthermore, he will assist the implementation lead in the distribution and
monitoring of the software upgrades throughout the network infrastructure and will be
responsible for timely status reporting to the project manager as required by the communications
management plan. He may not authorize any project expenditures nor allocate any resources

without project manager approval. His performance will be managed by the project manager and
communicated to the Design Technology Group Manager (programmers Functional Manager).
programmer s must be proficient in programming Ruby, C#, and Java programming languages.

Training Lead (TL) (1 position): He is responsible for training all network users on the
features provided by the upgrades to the existing software and will coordinate training
times/locations with each departments training advocate. Besides that, he will provide training
status to the project manager in accordance with the project communications management plan.

PROJECT APPROVAL REQUIREMENTS


Success for the UTeM XLRNT project will be achieved when the students can fully test this
system to find the location of a lecturer and be able to know the right time to make an
appointment. Moreover, this measure of success must include a list of proposals to improve the
performance and add some function for the future. Success will be determined by the Project
Sponsor, Dr. Ummi Rabaah, who will also authorize completion of the project.

PROJECT MANAGER
Mohd Fakhrul Azreen Bin Mohd Nizam is named Project Manager for the duration of the UTeM
XLRNT Project. Mr. Fakhruls responsibility is to manage all project tasks, scheduling, and
communication regarding the UTeM XLRNT project. His team, consisting of one IT specialists
and one security specialist will be matrix support from the IT department. Mr. Fakhrul will
coordinate all resource requirements through the IT department manager, Mr. Nasri.

Mr.

Fakhrul is authorized to approve all budget expenditures up to, and including, the allocated
budget amounts. Any additional funding must be requested through the Project Sponsor, Dr.
Ummi Rabaah. Mr. Fakhrul will provide weekly updates to the Project Sponsor.
