An information system (IS) collects, processes, stores, analyzes, and distributes


information for a specific purpose or objective. Basic functions of an IS are shown in

Figure 1: Structure of an information system


Input. Data and information about business transactions are captured or collected by pointof-sale (POS) scanners and Web sites and received by other input devices.
Processing. Data is transformed, converted, and analyzed for storage or transfer to an output
device.

Output. Data, information, reports, and so on are distributed to digital screens or hardcopy
(paper), sent as audio, or transferred to other ISs via communication networks.
Feedback. A feedback mechanism monitors and controls operations.
Information systems can be classified into two categories based on the type of support they
provide: managerial and operational support

Companies have many of the database and software applications that they had invested
in over the past several decades. These older information systems (IS), called legacy systems,
have been built with various outdated technologies.As business strategies and technologies
changed over the years, the legacy systems were modified repeatedly and patched to the point
where they just cannot be modified anymore. Typically, legacy systems are inflexible and
expensive to maintain for two reasons:
1. They cannot be updated or cannot be updated without significant effort.
2. They cannot interface (connect to) and exchange data with newer information technologies
(IT) or cannot be interfaced without significant effort.
Regardless of their limitations and age, a companys legacy systems may be mission-critical.
That means that if one of these systems crashes or stops working, one or more business
operations may grind to a halt. Think about the chaos youd be caught in if you were at an
airport when your airlines reservation system crashed.
Passengers could not make connections and their luggage could not be checked in.You can
imagineor might have experiencedother aggravating consequences.

New IT may also be mission-critical. Our dependency on newer IT infrastructures was


made obvious on August 6, 2009, when a hack attack took down the microblogging site
Twitter. In some companies and in some countries,Twitter has turned into a critical
infrastructure. Over 45 million Twitter users worldwide were left speechlessso to speak
by the attack, including companies that relied on Twitter for marketing and consumer outreach.
Given the situation that organizations of all types find themselves in with their legacy
systems, when they need to upgrade mission-critical ISs or implement global systems, they
turn to enterprise information system software. Enterprise information systems, or simply
enterprise systems, are integrated ISs that support core business processes and functions.
Business processes and functions include marketing, accounting, finance, information security,
human resources (HR), compliance, production, purchasing, and logistics. Integration is
achieved by linking databases and data warehouses so they can share data from:
Internal functions: Functions that take place within the company, which are referred to
collectively as the internal supply chain
External partners: Business or supply chain partners, such as customers or suppliers, which
are referred to as the external supply chain. As you read in greater detail in this chapter, key
enterprise systems are:
ERP: Enterprise resource planning
SCM: Supply chain management
CPFR: Collaborative planning, forecasting, and replenishment
CRM: Customer relationship management
KM: Knowledge management
The key benefit of enterprise systems is data integration. Integration enables the
sharing or exchange of data. For example, ERP is integrated with SCM to improve supply
chain performance, and KM is integrated with CRM to identify profitable and unprofitable
customers.

Improvements in business processes are highly dependent on data accuracy,

I. INTRODUCTION:
1.1. Overview of e-commerce market:
- Online retailing (E-retailing) is a form of electronic commerce (E-commerce) that allows
users to directly purchase products or services from suppliers, organizations and enterprises on
the Internet (through the Web browser). The advantage in the market have helped online
retailers become increasingly popular and growing.
- Specifically, in early 2014, according to the Ministry of Industry and Trade, there was more
than 92 million people of which 39% of the population access the Internet and 57% of them
make a purchase online. And the number of Internet users is expected to increase from 28
million in 2011 to 43 million in 2016 (according to Euro monitor), along with the rapid
development of high-speed Internet connection to help consumers easily access form of online
shopping, and bring to market a prominent advantage. In addition, changes in lifestyle such as
time-saving & cost-saving has increased demand for convenience and made online shopping
channels increasingly attracted much interest of consumers. By Vecitas estimates, the ecommerce market is currently worth $700 million and will grow to $1.3 billion by 2015.

ORGANIZATION:
2.1. Microsoft Dynamics AX
With the ambition to expand the scale of more than 500 stores within the next five
years, Pharmacity ensure supply chain and its work processes can still perform well. Thus, the
investment in technology will be a cornerstone in the strategy development and building better
value for customers. To better capture the unique needs of the retail pharmacy business, the
Managing Board has decided that the company needed a end-to-end solution.
Microsoft Dynamics AX 2012 is a solution. After customizing Microsoft Dynamics
AX for Retail, Votiva made synchronous in 22 stores of Pharmacity (all stores at the time of
launch) and at least 85 devices and POS.
Dynamics AX for Retail consists of a comprehensive end-to-end ERP, with financial
management, supply chain management, warehouse management, retail and customer

relationship management (CRM) modules. The solution also supports Pharmacitys extra care
card, stores information, purchase history and offer discounts, promotions. With these
improvements, Pharmacity is better equipped to gather data, manage its supply chain and
provide better services to customers.

Contribution:

These solution not only enable the company to interact with customers better,
providing the right goods and supply to the right stores, but also enable finance and
accounting managers to provide the right information in making critical decisions.

Pharmacity can monitor the supply in stores and deliveries adjusted according to
where they are needed most. Accounting team easy access to information, since the
data is centralized and recorded properly. The monthly report is made more accurate
and does not take much time.

Pharmacity enables to customize Dynamic AX for the business special needs, such as
controlling batches in view of expiry dates, resulting in ensuring that deliveries are
sent to the right branches.

The technology allows Pharmacitys front-line retail team to focus on higher-value


tasks. In addition, Votiva provided advice on best practices and internal procedures
that improved process and workflow efficiency. With these new capabilities, the
company could have reduced headcount by 10 to 30 percent, given the efficiency gains.

Limitation:
- Initial investment is quite large, but not guaranteed to work effectively
- Need better personnel training, access to the new process is not easy
- Maintenance and support expensive.
- The effect may be affected if the data are not used CRM throughout the company.
- Because e-CRM system requires a lot of data entry, users often miscalculations or incorrect
information, leading to poor results of the analysis and decision-making errors.

2.2. Vivotek Camera


FD8134 and FD8136 is used to monitor the pharmacies which covers an area from small to
medium. Camera management system can be used both on site and remotely by free software
to 32 channels of VIVOTEK- ST7501.
Purpose: To improve customer care service, the products on display, the service attitude of
the staff, board of directors has decided to install IP camera system- VIVOTEK for the
pharmacy system in Ho Chi Minh City.
Contribution:

Supervision over the internet, which helps to closely manage without the effort and
cost of travel.

Limits:

BY

THE

ORGANIZATION
3.1. Identify the problems
3.1.1 Payment method
Today, online shopping is increasingly popular. Because of the convenience of shopping
online: buyers can save time, travel expenses, while at the same time can refer to the
information about the product in many different stores; the seller saves advertising costs,
space and staff ... However, it also has many disadvantages and barriers: the fear of the buyer;
if the transaction is not successful, it will make the seller to bear the whole costs .... With the
diverse forms of payment have partly solved these difficulties :
-

Pay on delivery: This is still primarily a form of payment when buying through the site
for safety assurance, the customer receives the correct goods ordered new pay.

Bank transfer: Through ATM or direct transactions at the bank, the account holder
transfers to the account of the seller some money before receiving the goods. This
approach should only be done when the buyer can trust in the seller, usually when the
two sides are patrons on shopping sites or the seller is a reputable partner. This method
is useful in cases where buyers and sellers stay away from each other, can not be paid

directly in cash, but there are certain risks to the buyer, the seller does not deliver or
inferior delivery quality than they sell.

product definition, price lists, invoices module and marketing management
requirements and all the tables are set before everything works correctly. Not all
companies to satisfies all the requirements above.

Dynamics also have trouble if you do not use IE (eg, Google Chrome), and any other

About CRM only:

CRM software can not integrate with the accounting systems and other email.

Companies must ensure that all departments are using this system effectively before
investing.

Many employees do not adapt to the change. For example, older workers are
accustomed to using the old system or their own methods may feel uncomfortable,
even unacceptable to the new system.

Require employees to take the time to learn the system. This can reduce work
productivity when the new system update.

3.1.3 Vivotek camera


- The video recording is often forgotten, not revised.
- It costs more labor costs for management, maintenance and repairs.
3.1.4 Applications on Smart phone
- The software does not have many features, these features are not really useful for our
customers.
- The security is not high: just register for free by email, no password.
- Only use the card when connected to the Internet, this is a pretty big inconvenience for
customers.
- There is no synchronization between the account on the site and the account on Extracare,
this is a disadvantage in the customer information management.
3.2. Analyze the impact of these problems on the organization
3.2.1 Payment method
Cash forms of payment after receipt of goods (Cash on Delivery - COD), vendors face
many risks. Because, after a week if the carrier does not connect with buyers, such products
are required to return it to the sender. Meanwhile the seller must pay the full 2-way delivery
fee, plus COD charge (fee for employees entrusted carriers charge households). However in
this unit, form COD still account for nearly 90% of the transaction. Also, many people do not
want to receive goods purchased more likely to be repaid should be quite high.
3.2.2 Vivotek Camera
- If not to review the daily recording section, the fault of the staff in the process of customer
service will not be overcome, the quality of service will not be improved.

- Camera will be an incentive for employees to perform their responsibilities properly. If there
is no form of honored or sanction a reasonable way, it will not motivate the right behavior.
- The camera is also used to prevent product loss cases or ensure the security in the state of
thieves.
3.2.3 Microsoft Dynamics AX
- The initial cost is high for Dynamics AX, the system is not optimized functions, monitor
usage closely can generate investment funds for inefficient companies.
- Overlapping processes, lack of data and discontinuous causing difficulties in storing,
processing and retrieving information as necessary
- The employee does not adapt to the new system to make mistakes in data entry operations,
can cause large errors in the statistics.
3.2.4 Applications on Smart phone
- Because software is not really having useful features, in addition, you need to connect the
internet for using is extremely inconvenient. Therefore the number of customers using the
software is not much. This results in costs for this software will not work and nor build
customer profiles comprehensively.
- The security is not high, easy to lose customers data.
- There is no synchronization between the account on the site and the account on extracare,
this is a disadvantage in the customer information management.

4.1.1 Payment method
Online payment: Some sites in Vietnam have had a form of payment online shopping makes
billing simple and convenient.

- Pay by credit card or international debit: customer owns the cards with Visa, MasterCard,
American Express, JCB can pay online at more than 60 sites connected to the payment
gateway OnePAY.
- Payment by domestic debit card: Cardholder versatile East Asia and Vietcombank
