Chapter 1

INTRODUCTION
Background of the Study
Nowadays computer serves as an important role in the
society, most especially in school premise. Majority of the
school uses computer to help their students to improve their
learning. Some of the schools that are computerized or automated
deliver a quality and excellent education to the students in a
particular place. But as the students continues to grow, those
school face difficulties in handling their enrollment in a manual
process. One of the solution in this problems is to make their
manual enrolment into a computerized system. The discovery of the
computer made all possible and it makes the work easier, more
capable, and more adaptable to the user.
Enrollment is process that plays a very important role in
every school. Any school has a process on how they will
accomplish the long process. Majority of the school are still
using manual system in their enrolment process. The technology
today is very advance, that can make possible solution to speed
up the process of the slow systems.
Enrollment system is one of the most useful, important and
evident system, not only in a university, but also in lower
levels of education. It will make an accurate and efficient
enrollment records that helps to ensure a good impression of the

institution on possible enrollees encouraging them to enroll in


the institution.

The purpose of an enrollment process is to

provide a means for staff and the faculty members to write down
data that are essential to enrollment. As the enrollees increase
every year, the enrollment procedures become harder and harder to
deal that the staff will be stressed out. The amount of
information that needs to be jot down also increases. This only
serves to slower process and confusion among the staff and
faculty members. Some unexpected problems such as loss of
information may occur and wrong information that will be jot
down.

A manual process of enrollment system takes more time and

effort and causes delays of transaction. The unsystematic


procedure of school during enrollment is dreaded by them. Instead
student enrollees have to stand and wait of finishing it in an
hour or two, and sometimes the students are made to come back the
next day or even after a week so that they can be officially
enrolled. According to BreeenT(2012),The process would also a be
burden for those students and parents who would line-up for hours
just to get enrolled and paid.
According to Hernandez(2012), enrolment involves the process
of entering and verifying data of the students enrolled in a
particular school or university. It is the good idea to
computerized an enrolment system of a school that has a big

population of students since control system manages the


processes. The common function of an enrolment system is to store
the data of the enrollee and to retrieve and update students
information. According to Antonetee(2012) a computer based system
is system in which the computer plays an important role and this
system is needed by every school ,companies and institution. This
is the best way of storing and retrieving data on a server or any
data storing devices rather than using papers and file cabinets.
Computerized enrollment system is a must in this school to
improve their work and reduce error in the enrollment. The
advantages of the Enrolment system are Faster and efficient in
processing information automatic generation of accounting
documents like invoices, cheques and statement of account more
timely information can be produced and no more manual processing
of the data all automatically been posted to various
ledges/accounts.
According to Agustin and Mundo(2015),using the enrollment
system makes the process reliable and accurate. The said system
will be the replacement of the traditional way of enrolling a
student and make all the work consistent and efficient.
Web based enrollment system is an enrollment system that is
accessible on the local network that can be opened in the

browser.

It is very essential to the school. It can also be

upgraded into online enrollment. Web based enrollment has a lot


of benefits it can be accessed to every computer that are
connected to the server unlike a computerized enrollment system
that you need to install it to every computer to use it.
According to Agu(2015), The Mobile based enrolment can
improve the accessibility of the enrolment system it can be used
while moving around the campus premises. In a certain study out
of all 109 enrollees said that Mobile enrolment can save time and
cost. The responses of the clearly shows that its worth trying to
implement Mobile enrolment system.
There are many similar researches about web-based system
those system are proposed by Albay(2016), The system was proposed
to La Trinidad National High School and the other is a system
that was proposed for Lyceum Northwestern University by
Palis(2013). Both of these systems are focused in solving the
problem in erroneous entry of a data, long queues, time consuming
admission, loss or misplacement of important documents and
retrieval of specific information.
The Saint Louis Pacdal is encountering a very slow process
regarding enrolment. The researchers main concern is to lessen
the work loads and errors of the teachers in Saint Louis Pacdal.

The enrolment system will provide efficient system that will


easily update the basic data of the students such name, address,
year ,and age and it will maintain the students record.
The researchers proposed a Mobile-Based Enrollment System
for the Saint Louis High School-Pacdal. The researchers decided
to propose the said system to improve and enhance the capability
of the enrolment of the school. Web-based enrollment system
provides a convenient and organized way to store their data. It
will also reduce the work load that the staff normally do.
Company Profile
Saint Louis Pacdal was established in

June 10, 1969 by the

mission council of the CICM fathers. This was headed by the


bishop of the Vicariate of Montaosa, the late Msgr. William
Brasseur, popularly known as The Voice of the Mountain through
the insistence of a young energetic and ambitious priest, Fr.
Pedro Rulloda. He was then parish priest of Saint Joseph the
Worker church. Feeling the need for a catholic school in the
community, the enthusiastic father braved all the trials and
difficulties in seeking the funds to get the school founded and
started.
His first sacrificial move was converting his rectory which
was then located at the right side of the church, into two

classrooms hall laboratory, and office rolled into one to


make way for 21 boys and 22 girls who were much eager and anxious
to experience what Catholic Education is all about. These young
boys and girls were later considered The Pioneers of the
institution.
The school owes its success, glory and distinction through
the unselfish effort and leadership of its past and present
school director namely: The late Fr. Pedro Rulloda, the Founder
and Master Builder; The late Fr. Pablo Filog, the founder of the
kindergarten department; Fr. David Ganggangan; The late Fr.
Marcos Molintas; Fr. John Pardou, Fr. Gaston Nollet, Fr. Eugene
Van Ackere, the architect of the many improvements of the school
which we see today. Repairing and improvements of the existing
buildings as well as the restrooms and the construction of the
three story building which currently holds six classrooms. Fr.
Vicente Castro, constructed two new buildings with six classrooms
each and renovated the faculty room, and Fr. Manuel Castro
improved the restrooms and the grotto.
Behind these school directors and principals are of course the
backbones of this institution, the ever patient and persevering
teachers of SLP, who come and go.

After years of struggle, Saint Louis High School Pacdal


continues to shine as a prestigious institution and goes to
answer the horn of challenges as it ventures into the jungle of
education. Saint Louis Pacdal has 800 students and they have 4
year levels. They currently have 50 computer that are available
and can be used in the enrolment. The process of their enrolment
go to admission , go to registration , have an evaluation ,go to
setting of the tuition fees then go to confirmation.
Purpose of the Study
The purpose of this study is to design and develop an
effective mobile-based enrollment system for Saint Louis Pacdal.
this

study aims to design a mobile-based enrollment System that

will benefit the following:


To the Saint Louis Pacdal. The web-based enrollment system
will help the students to enroll faster through the use of the
computer browser. This system can improve the speed of the
enrollment process.
To the teachers. Web-based and Mobile-based enrollment
System will reduce the work load of the teacher when the student
enrolls.

To the students. The web-based Enrollment system will


provide fast enrollment within the school premises.
To the researchers. This study may enchance the knowledge
of the researcher about Web-based and Mobile-based enrollment
System and what are the processes within it and

how it is

develop.
To the Future Researchers. Other researchers can use the
study as their basis for future research works and assignments
regarding the design. This may serve as additional information or
references to the future researchers pursuing similar studies. It
will also give them an idea of how an Enrolment system works and
the processes involved in its construction and implementation.
Objectives Of the study
This study develops a mobile-based enrolment system for
Saint Louis Pacdal where in students, Teachers and Saint Louis
Pacdal can benefits from the researchers aims which are the
following:
1.To identify the features of the proposed Mobile-Based
Enrolment System.
2.To determine the cost and technical requirements to
implement the proposed Mobile-Based Enrolment System.
3.To identify the usability level of the proposed

Mobile-Based Enrolment System.


Definition Of Terms
The Definition Of Terms will help the furture researcher to
understand the technical term that they are not aware of.
Computer. Electronic device for storing and processing
data, typically in binary form, according to instructions given
to it in a variable program.
Computerized. Making a manual activity into a automated.
Cost. It refers to the cost necessary to get an asset or
system in place and ready for use.
Enrollment. It is a process in which a student is being
admitted to the institution. This include the listing of
information or data about the student and subject he/she will be
enrolled.
Features. Refers to a notable property of the system thats
unique and can improve the system.
Information System. Refers to a system that collects,
stores, and processes data and for providing information to the
students.
Mobile-based. An activity that can be done in a mobile app
that are developed specifically for use on small, wireless
computing devices ,such as smartphones.

Saint Louis High School-Pacdal. Refers to the school where


the system will be proposed and it teaches high school students.
System. Is

consists of hardware components that have been

carefully chosen so that they work well together and software


components or programs that run in the computer.
Technical Requirements. It refers on how the system is
built.
Usability Level. It refers to the level of ease of use and
learnability of the system.
Web-based Enrolment System. Refers to an enrolment System
that can be accessed through a Computer Browser.

Chapter 2
Methodology
This chapter discusses the methodology, data gathering
techniques, researchers design, sources of the data, and software
development tools that was used by the researcher in completing
this design of the Web-based and mobile-based Enrolment System
for the school.
Software Development Methodology
Feature Driven Development(FDD) is an agile, highly adaptive
software development process that is highly and short iterative
It Emphasizes quality at all steps and it delivers frequent ,
tangible working results. It also provides accurate and
meaningful progress and status information with the minimum
overhead and disruption for the developers.
The researchers used this methodology because it is focused
in the development of the features and it is designed by feature
and Build by feature. This two activities includes task such as
detailed modeling, programming, testing, and packaging of the
system. It is the most suitable Methodology that can be used in
the system.

Develop an Overall Model.

FDD Modeling is a cross

functional, collaborative, and time-boxed activity. The result f


the model has just enough detail to form a good understanding ,
vocabulary , conceptual framework for the project .in addition,
the modeling activity uncovers enough knowledge to build a really
good product backlog(called a feature list in FDD) and initial,
overall release-level project plan.
In these phase the researchers will build an overall model
of the domain, in order to establish the scope of the system and
provide a common understanding in the system.
Build a Feature List. Constructs The FDD equivalent of
initial, overall product backlog. Instead of user stories or
backlogs items, FDD Talks About features

In FDD, a feature is a

small piece of client-valued function expressed in the form:

In these phase the researchers develops a comprehensive
list of features and group these features into feature set, and
then major feature sets.
Plan by feature. The third and last of the iteration-zerostyle FDD processes involves constructing an initial schedule and
assigning initial responsibilities. The planning team initially
sequence the feature sets representing activities by relative
business value.

The planning team may adjust the overall

sequence of feature sets to take into account technical risk and


dependencies where appropriate.
In these phase the researchers establish a development plan
that includes the order in which features sets will be realized,
which one of the researchers will be responsible for the feature
sets, and the other researcher will responsible in each class.
Design by Feature.

A number of features are scheduled for

development by assigning them to a Chief Programmer. The Chief


Programmer selects features for development from his or her
inbox of assigned features. Operationally, it is often the case
that the Chief Programmer schedules small group of features at a
time for development. He or she may choose multiple features that
happen to use the same class (hence developers). Such a group of
features forms a Chief Programmer work Package. The Chief

Programmer then forms a feature team by identifying the owners of


the classes (developers) likely to be involved in the development
of the selected feature(s). The chief Programmer then refines the
object model based on the content of the sequence diagram(s). The
developers write class and method prologues. A design inspection
is held.
In this phase the researchers will choose a feature develop
it and refines the object model based on the content of the
sequence diagram.
Build by Feature.

Working from the design package produced

during the Design by Feature process, the class owners implement


the items necessary for their class to support the design for the
features in the work package. The code developed is then unit
tested and code inspected, the order of which is determined by
the Chief Programmer. After a successful code inspection, the
code is permitted to build.
In this phase the researchers will be working on the design
package and implements the item necessary for the class. The code
that will be developed by the researchers will be tested and will
do a code inspect. After the inspection the researchers will
start the build the system.
Scope and Delimitations of the Study
The study evaluated and analyzed the current approach in
Saint Louis Pacdal in accessing the enrollment system. This study

limits its coverage on web-based enrollment system. The


main purpose of this is to identify the common problems of the
system and to propose possible solutions regarding this problem.
A Mobile-based enrolment system that allows the students
and authorized staff to access enrollment system. The system will
feature improved Admission, registration, evaluation, Setting Of
Fees. The improve system will help them to reduce the problems
that they encounter.
Implementation of the proposed system was limited to
students and the staff of Saint Louis Pacdal to protect their
personal records. System maintenance was no longer be a part of
the proposed system due to time constraints. In addition, Staff
records is not included as part of the system.
This Web-based and Mobile-based Enrolment system can only be
used inside the school premises.
This study covers the improvement of the school processes so that
it can reduce the problems like long queues and slow processing
of data.
This study considers every aspect of students personal
information that has an impact on their academic performances

such as their parents educational background, gender, age and


home location.
Data Gathering Techniques
For the Enrolment system, the researchers employed the
following procedures in order to gather necessary information:
Interview. The researchers gathered information through
interviewing the principal and other consultant.The researchers
inquired the common problems they encountered and what are the
current processes of their system.
Document analysis. The researchers finds an available
documents that may be useful in determining system boundaries
such as student information records and student information
sheets. This serve as additional sources of data to facilitate in
improvement of the system. Those documents are about the
enrolment system that are used and tested from other schools and
the documents that are related to the students record like the
specific number of students that will use the system and the
enrolment form of the students.
Observation. The researchers find out that Observational
research is a type of correlational (i.e., non-experimental)
research in which a researcher observes ongoing behavior.
Observation would seem to be an obvious method of carrying out
research in psychology.

Software Development tools


Many software development tools are available on the web
today which could help in the development of this project with
open-sources. The best tools are carefully selected by the
researchers for the development of the proposed system.
Notepad++. Notepad++ was the main tool to be used to develop
the backbone of the system. It is where the researchers code
everything for the system to be complete and functional. The
researchers started of by using HTML (Hypertext Markup Language)
and CSS (Cascading style sheets) to layout and design the system.
The researchers then embedded PHP (Hypertext Pre-processor)
scripting language to handle database queries and ensure the
connectivity of the system and the database, on top of the
script, the researchers used the mysql class which is known for
its simple functions which would be a great help for reducing the
time for the systems development. This is where the researchers
will code the source code of the web-based enrolment system.
