STANDING RULES
1.

The CSMA Annual Meeting will be held in the Spring.

2.

Family members of advisors and members may attend any meal function without paying a
meeting registration fee.

3.

Advisors will be extended free registration at CSMA Annual meeting, if funds and profit
permit.

4.

CSMA will underwrite the full registration fee for the President, Vice President, Secretary and
Treasurer to the Annual meeting. This amount will be a part of the Presidents expense; Vice
Presidents expense and Other Officers Expense for Secretary, Treasurer and Immediate Past
President.

5.

A nonmedical guest of a member attending any educational workshop, will be allowed the
courtesy of the member package or daily registration fees.

CSMA will underwrite the cost of registration fee, hotel (double occupancy, unless unusual
circumstances arise) as approved by the Executive Committee and travel expenses for 2
AAMA delegates (First and Second Delegate) attending the National Conference and payment
for the Third Delegate if funds are available as voted in the current budget.
If funds remain in the Delegate budget expense, the First Alternate will be reimbursed to the
amount remaining but must submit a report for the web site. If funds are still available, the
second alternate will be reimbursed to the amount remaining but must submit a report for the
web site. Airfare is at economy class only. No incidental expenses such as a cell phone, tours,
special workshops, liquor or events are reimbursable expenses as these serve the needs of the
individual and not the society. The delegate/alternate(s) must file a Travel Expense Voucher to
obtain reimbursement. This document, with require necessary receipts, as required by the IRS
and are to be sent to the Treasurer. If the expenses are within the budget amount allowed as
stated in these Standing Rules, the treasurer will reimburse after the Delegate/Alternate(s)
reports are filed with the President. No per diem for meals.

A member who has paid the registration fee for a State meeting and is unable to attend due to
a personal illness or acceptable issue as approved by the Executive Committee, which occurs
after the meeting cancellation date and notifies the treasurer in writing, will be given a credit
in the amount of the registration fee for the next State meeting only. Any cost for food
functions will be forfeited.

Officers and/or Committee Chairs who are required to attend State education seminars as
representatives from CSMA will not be required to pay for registration.

9.

CSMA will donate $100 to a newly formed local chapters under CSMA/AAMA to underwrite
the cost of mailing and printing, following written notification giving the date elections were
held and the names of the officers to the CSMA President. Disbursements will be verified,
upon request, of the CSMA Executive Committee.

10.

CSMA shall send an official representative to the SW Regional every year. This official
representative is first the President. If the President cannot attend, the Vice President will
replace the President. If the Vice President cannot attend, the President shall appoint an
official representative with approval of the Executive Committee. Funds are provided in the
Presidents expense for this activity and will be used to pay for the official representative.
Any events outside the meeting shall be the personal responsibility of the official
representative. Upon return, an official report shall be filed with the President. No
reimbursement shall be paid until this is completed and posted to the web site.

11.

Initial meeting information shall be posted to the web site within 6 months following the
Annual Meeting. Final arrangement including hotel, program schedule and registration form
shall be posted to the web site no later than February 1 preceding the Annual Meeting

The President shall post a minimum of three (3) Presidents Message to the web site. One
message will be within 30 days following the close of the Annual Meeting; one following the
SW Regional or AAMA Annual Conference and one in January or February encouraging
attendance at the Annual Meeting.

13.

ALL REIMBURSABLE RECEIPTS (including but not limited to hotel, airfare, gasoline and
shuttle service), REGISTRATION FORMS be sent by USPS only. NO EMAIL COPIES will
be accepted and, if received, will not be accepted or reimbursed.

14.

Annual reports are required at the Annual Meeting of CSMA. The following should be
applied to each report. a) Report should contain line numbering, continuous; b) Copy the
following reports in the stated paper copy, 20 lb paper: Officers Reports: pink; Committee
Reports: golden rod; Minutes: yellow; Delegates report: beige. Special Reports or
Miscellaneous Reports (such as the SW Regional) blue. Proposed budget: green
