I. Description of the Study

This study focuses on the attendance monitoring and computerized grading computation
of the students of Computer Science Department in Western Mindanao State University-External
Studies Unit Pagadian City and each students quizzes, activities, projects, major exams, etc. will
be recorded and computed online.
The main reason of this existence is to tend the information to the parents/guardians or
even the students of this institution. With the system providing a user-friendly and effective
system provides an easier and faster view of data of every student such as when the
instructor/admin is mistaken in the input of grades, the system provides the means of updating
the record. The system
can retrieve information from the database and can view anytime.

1.1 Background of the Study

The Bachelor of Science in Computer Science is one of the courses offered of the
Western Mindanao State University- External Studies Unit here in Pagadian City. The Computer
Science Department was established 6 years ago and some of the instructors were utilizing on the
manual system in all phases on their school work.
The Computer Science Department composed of small staff of guest lecturers and
personnel as of compared to its growing population. There are guest lecturers handling as much
as three different subjects, aside from being a class adviser. Some of the guest lecturers handling
three different year level.

The Com-Sci Department, some of the guest lecturers use the manual way of recording
the attendance of the students as well as computing of their grades. This process takes a lot of
effort in computing and storing their data manually and its probably prone to errors especially to
the guest lecturers who handle to two different classes. By using the manual way of computing
and storing data, being prone to error is possible and just by a single mistake, repeating the
process may be required.
Developing an online attendance monitoring and grading system for the Computer
Science Department would make the task of recording and computing grades easier for the guest
lecturer. This will not only benefit the guest lecturers of the school but will also benefit the
students because of the improvement in the accuracy of calculations and in the proficiency and
productivity of the guest lecturer.

1.2 Overview of the current state of the technology

The advancement of technology today has immersed itself towards education. The
presence of technology has reached its maximum of providing sustainable technology towards
quality education through delivery and effective learning. The WESTERN MINDANAO STATE
UNIVERSITY-External Studies Unit Pagadian City is one of the University that embrace
information and communication technology now. As they immersed themselves with technology
through their delivery of lessons and other forms brought about by information technology.

Attendance is very important in every student, a single absent is big difference in

performance in the University. Some students of are prone to absences, it is because of some
reasons that they think it is a boring class, laziness to attend the class, some students prefer going
to computer shops playing games rather than entering the class and some student cannot refuse
the influence of a friend inviting to go with them during class period. Some of this reasons are
not reported to the parents or guardians because it only happens in high school by telling them
their students to come their parents to come to school.
A grading system also plays a key role in the management system of any State
Colleges/University. But, such systems do not often relate expectations, outcomes, and
performance. As each student desires to achieve a good score for each assignment, exam, project
and/or report, the whole process adds heavy workload for teachers/instructors/guest lecturers in
order to make their evaluation fair, comprehensive, and accurate. A computerized grading system
is a highly desirable addition to the educational tool-kit, particularly when it can provide less
effort and a more effective and timely outcome.
The proponents of this study wish to reduce the workload of teachers by eliminating the
need for manual computation and recording of each grade. The common problems encountered
in manual recording and computations are error- and file-handling, and redundancy. As the
workload gradually increases with growing amounts of grades and student lists that need to be
attended, it becomes tedious on the part of the teacher to proficiently manage them in time for
documentation and file submission to higher education authorities. As such, this paper aims to
produce a workable computerized grading system that will address these issues. And also the
parents will monitor if their students are attending in the class or not.

1.3 Objective of the Study

1.3.1 General Objective
The design and development of online Attendance Monitoring and Grading system aims
to provide an interface for the parent to monitor their childs attendance as well as their grades.
And to make computerized grading system for the guest lecturers.

Specific Objectives

To create a module that will record the students name, grade level and block section.

To create a module that will record the students grade for quizzes, project, and quarterly
exam.

To create a module that will compute the students quarterly grade.

To create a module that will secure and maintain the integrity of the records of the
students.

The parents can view all the attendance records as well as their performance of their
students online.

Significance of the Study

The computers provide convenience to its user through the easier and faster way of recording
information. Population of students in almost all-educational institution is rapidly increasing so
great demand in teaching force is also becoming higher.

Attendance Monitoring and Grading System is a very important aspect of a schools operations
and goals. The students are graded to measure their performance and knowledge in every grading
period. And to monitor whether the student is absent or not. Teachers spend massive time to
accurately compute the grades of the students using their calculators, and, in earlier times,
teachers manually solve grades using paper and pen.

An online attendance monitoring and computerized grading system for the Computer Science
Department of WESTERN MINDANAO STATE UNIVERSITY-External Studies Unit Pagadian
City, will provide a marked improvement in the way teachers/guest lecturers record and compute
for the grades and attendance of students. The study will be a great help to the following:

Faculty Teachers

Teachers would be able to record and compute for the grades and the attendance of their students
faster thereby lessening their workload and providing them with added time to attend to other
functions. This in turn would improve their efficiency as teachers.

School Administrators

School Administrators no longer have to re-compute the grades of each student to check on their
accuracy. Reports such as grading sheets and class records can be submitted on time.

Students

Students can now look forward to better lessons since their teachers would have added time to
prepare for them their lesson plans.

1.5 Scope and Limitation

This are the scopes of the proposed study:

It can access the students records from the previous year up to the present.

It has the ability to create different criteria of the Grading System.

The system can generate a hard copy of the students final grades.

The system has a warning information if the students had succeeding absences.

However there are some limitations of the proposed study:

The system cannot print the students attendance.

The students personal information like age, address, or birthdate is not included in
the proposed study.

The system is focused only to the students attendance and grades
