CHAPTER 1
SYSTEM PLANNING
INTRODUCTION
This generation have made possible for the operations of the computer
easy enough in processing record systems such as, creation of data records,

storing, filing, and retrieval of data. It goes without saying that technology
has been advancing the way people learn and makes it easy and more
exciting than ever. Nowadays, with the new technology, people save time,
money and energy. They can do huge number of important things in short a
time.

Computers

tirelessly

perform

calculations

far

beyond

human

capabilities. They also create different possibilities for interacting with the
world by applying these calculations to information processing, and thus,
form a new arena for social interaction.
The computer nowadays is a basic need for businesses or companies.
It helps a lot in such a way that it makes work more progressive and
productive. Having computer programs may help a company grow bigger
and be competitive in the flow of the business world. The company
nowadays uses computer systems and is very competitive in the business.
Technological advances in the past few decades have also greatly
increased

the

competitive

nature

of

the

economic

business

world.

Companies have used software, computers and the Internet to transform


their businesses to national and global market competitors. Many companies
have responded to these changes by automating their business processes
and capturing industry-related information and using it to their advantage.
Technology has also forced businessman to remain flexible, adapting their
operations to newer and better technological advances.

EXECUTIVE SUMMARY
MGB Electronics Service Center was the early business name of OGR
Electronics and Refrigeration Service Center. It was established in 1990 and
founded by Mrs. M.G. Padua. Its name was changed to OGR Electronics &
Refrigeration Service Center in 1996 when it was transferred to Mrs. Ofelia G.
Rea, during that time she managed to make this business an authorized
service center for National Panasonic Philippines Inc. products such as

Televisions, Refrigerator and Washing Machines. From 2013 up to present


their service was trusted by different companies all over the Philippines, they
become authorized service center of these companies one after another,
Camel Appliance, Everest Cooling Systems, TCL, Markes of Canada, Haier
Groups, and Carrier Air conditioning Company. OGR Electronics and
Refrigeration Service Center currently have their main branch located at 885,
Don Simeon St., San Vicente, Gapan, Nueva Ecija and their satellite branch is
located at Purok 7, Barangay Suklayin, Baler, Aurora.

PROBLEM STATEMENT
A growing service providing business, all should have an organized and
practical way of storing clients as well as employees information. Traditional
hand writing of information to record books is simply not enough to sustain
the needs for faster and accurate saving and retrieving of information
regarding services. At this very moment, there are existing applications that
can help with regards to this issue. But having a spreadsheet of clients
information or a bunch of service reports written in record books are not
sufficient. Service and customers information may be lost through this ways
of storing.
Based on the interview conducted by the proponents, overlapping and
unorganized schedule of services are the main concerns that the client wants
to resolve. The client wants to have a more systematic and orderly way of
scheduling services to improve the overall productivity of the company.
The way of distributing salaries of the companys employees should be
properly documented. Employees salaries should depend on the days, hours
and minutes that the employees rendered their time. Using the old way of
monitoring employees attendance such as punch cards or by the use of
simple daily time records, there are instances that employees will become
untruthful with regards to their attendance.
OBJECTIVE OF THE STUDY
The general objective of the study is to develop a Service and Payroll
Management System for OGR Electronics Ref and Aircon Service Center,
specifically it aims to:

1. Determine the clients requirements for the Service and


Payroll Management System.
2. Design a specific module,

hardware

system

and

user

requirements for the Service and Payroll Management System.


3. Carry out and test each units functionality of the Service and
Payroll Management System.
4. Integrate each unit to the entire system to be tested for any
faults and failures.
5. Deploy a full functioning Service and Payroll Management
System that will meet the clients requirement.

SCOPE, LIMITATION & DELIMITATION
This project entitled Service and Payroll Management System is an
information management system which includes additional features such as
attendance, payroll and scheduling system. This system will help in

organizing client, service and employees information. It will help the


company to avoid overlapping schedule of services.
The systems scheduling feature will not be capable to provide
schedule on its own. It will require a user that will choose from the available
schedules depending of the employees availability and previous scheduled
services. Once the customer wants to change or cancel their scheduled
service, the system will give the customer to remove or amend their
registered schedule of service on their own; it will require an employee on
the company with administrator privilege to change their information.
Incorrect encoding of information such as customers name, address
and contact number will not be corrected by the system but it will provide
the capability for the user to edit or delete their previous encoding with the
approval of their administrator. Corruption and loss of information is still
possible when there are sudden loss of electricity and certain virus attacks.
SIGNIFICANCE OF THE STUDY
The researchers want to enrich and upgrade the system or process of
managing information of OGR Electronics and Refrigeration Service Center by
developing a system that will help them to properly organize and secure
their client, service and employees information with security and data
management features that will ensure that all information gathered by the
company through their services are all retrievable. This system will also
ensure that there will be no overlapping of schedules of their services.
Moreover, this study addressed itself to:
Administrators. This will help them to easily maintain their collection
of information about their customers, services and employees. This will also
help in monitoring the attendance of their employee and will also provide a
huge help to avoid conflict with the schedules of their services. The system
will also help them to monitor their employees actual attendance.

Employees. This will help them to easily monitor their attendance and
to avoid incorrect computation of their salary through that process. This will
help them to manage their daily load of services more easily.
Customers. The system will ensure that their information will be kept
confidential and safe. This will also let them choose schedules that are fit to
their needs and availability.

SYSTEM ANALYSIS

Requirements
The first phase of the proposed project is the requirements. All possible
requirements of the system to be developed are captured in this phase and
documented in a requirement specification doc.
Design
The next phase focuses on design. System Design helps in specifying
hardware and system requirements and also helps in defining overall system
architecture.
Implementation

In this phase, designs are translated into codes. The program are
written using a programming language. The system is first developed in
small programs called units, which are integrated in the next phase. Each
unit is developed and tested for its functionality which is referred to as Unit
Testing.
Testing
In this phase, the system is tested each module are tested separately
and in detail then the system is tested as a whole. Post integration the entire
system is tested for any faults and failures.
Maintenance
In this phase, the system is maintained since the system will undergo
changes once delivered to the customers. Therefore the software must be
developed to accommodate changes that could happen during those periods

FEASIBILITY STUDY
The feasibility of the system will discussed through proofs in each of
the aspects needed in developing the proposed system.
OPERATIONAL FEASIBILITY
The system needs an administrator to maintain and facilitate the
system. The administrator must have the knowledge in administrating the
information inside the system as well as running the system.

TECHNICAL FEASIBILITY
The proposed system will enhance and improve storing of client and
employees information. The system will have a more systematic and orderly
way of scheduling services. With the use of modern medium, the Biometrics
tool, monitoring the companys employees and distributing salaries will be
properly documented.
The proponents then need to know the knowledge of MySQL database
management, as well as Visual Basic Coding to be able to develop the
system.

The proposed system will include training for those who will operate
the system for being able to understand and operate the system more
efficient.
