Executive summary
The aim of this report is to have an overview of the functioning of a wellestablished company named as GREEN CROP (PVT) Ltd. As directed by the
department of management science of COMSATS University of Vehari, this report
comprises of four major sections. The first and foremost important section contains
introduction and information about the nature of the organization GCL. Industry is a very
important manufacturer in Industry of Pakistan. . Sector is the major source of revenue
for Pakistan after agriculture.
The next section contains organizational structure of GCL. It has a wellorganized departmental structure. Every department and division is connected with
other departments and division by a very strong IT system. This strong IT system is
helpful in prevention of all undesired activities such as frauds, miscommunications and
any other unwanted results. All division is functioning in their own vertical and horizontal
operations in an integrated and well organized manner. This strong and organized
structure is also helpful for the efficient operations of all the employees.
During my internship program, I mainly worked with three departments: Accounts
& finance, Store and Production. These three departments have been discussed in
detail and all the policies and procedures have been described thoroughly.
As it is cleared that the main purpose of internship is to learn by working in
practical environment and to apply the knowledge acquired during the studies in a real
world scenario in order to tackle the problems using the knowledge and skill learned
during the academic process. This opportunity has been provided by our College, that
before entering in professional life, we the student of commerce should be able to
understand the practical and professional life. In this report the detailed analysis of the
organization has been done and all the financial, technical, managerial and strategic
aspects have been evaluated to analyze the current position of the organization. Along
with it, the background analysis, the SWOT analysis, the business process, and the

internal environment and external environment of the organization have been discussed
and the recommendations for the improvement have been made wherever required.

Group & agriculture sector of Pakistan, his efforts & contribution are highly admirable
and noteworthy.

The Finance Department at Apparel Division is mainly dealing with Daily & Final
Accounts, Inventory and Cash of the Firm not with allocating or investing spam
funds of the firm as such finance means.

Cash department is also under the Finance Department and take cash from
Head Office on demand as per sheets of different payments are reached after

The Inventory or Store Department is also under the Finance Department.

MARKETING DEPARTMENT
Marketing Department cannot be ignored in any organization. Because it is the heart &
soul of the organizations.
GCL cannot ignore the pivotal importance of this department. The marketing manager
with the Chief Executive officer performed the marketing activities jointly. They not only
promote their department but also visit the markets to search their new customers.

Checks and observes all the activities of crop sectors especially
keeping focus on the competitors activities.
The marketing department with the help of merchandising department makes it possible
that the order place by the customers should be completed within specified time.

CROPPING SYSTEM
Analyzing Cropping System:In tight financial times, businesses often try to reduce spending and improve their
profits. Many farmers are currently operating their businesses under such conditions.
Wise management decisions can improve profits in farming while reducing cash flow
needs. Some of what you put into your farm business can be perceived as cost free.
That is, this input does not change as yield per acre changes. Examples include
timeliness in all operations, equipment adjustments, crop rotations, land rent and taxes.
Making the best use of them should increase yields and profitability in your cropping
system.
Avoid high costs until your financial position improves. Too often, we take big risks
during hard times in hopes of big payoffs. But when you are counting your chips is not
the time to double your bet. Don't overlook any necessary costs that could directly affect
crop yield. These necessities might include seed, pest control, fertilizer, lime, fuel,
equipment, maintenance and adjustment, and positive management. Omitting anything
that has increased yields will undoubtedly reduce profits.

Keep a positive attitude. It has been stated, "For success, attitude can be as important
as ability."
This guide contains information about cost-cutting and cost-effective measures that may
be useful in your crop production. The major theme is management. Proper
management will improve profitability.

Management Strategies:Planting & Seed


Seed quality is a key to good yields. For most crops, use certified seed or seed of a
quality comparable to certified seed. Home-grown seed can save money, but you
should know the germination so you can get a proper seeding rate. Never use seed
from hybrid crops for next year's planting (corn or grain sorghum).
Use new varieties soybean varieties have been improving at about 1/3 bushel per year.
Using a 10-year-old variety means you may end up with about 3 less bushels per acre.
Corn varieties are improving at about 1 bushel per year. Use current variety test
information to help make your decision.
Always treat seed corn wheat seed treatment is generally beneficial. Soybeans may not
need seed treatment in non-stress conditions. Seed treatment can improve some low
germination seed.

Narrow rowsusually increase yields for nearly all crops. Consider narrowing existing
equipment to the limit and, as needs arise, purchase equipment for narrow rows.
Soybeans planted in narrow rows (10 inches or less) have increased yields an average
of 4 bushels per acre over 30-inch rows. Narrow rows show the greatest advantage in
late-planted crops such as double crop soybeans or grain sorghum. You can get narrow
rows by doubling back with wide-row equipment.

Product: -

The product is defined as the companys tangible offer to the market, which
includes the product quality, design, features, branding and Packaging services are
intangible products offered to the consumers. GCL produced the different product of
pesticides. GCL Group is one of the pioneer manufacturers in introducing foliar
application of Micro and Macro nutrients in Pakistan especially in southern Punjab.
Many progressive farmers have won prizes on district and provincial level using our
products.

Pricing:

Price is considered to be the very critical factor in the marketing mix. The reason is
that one has to be profitable on the one hand and also have to bargain with the
customers on prices. Loosing target markets prospects is itself a failure for the
organization so in the continuum of the price and target market, organizations have to

choose the best alternative so that it may be helpful in the long run of the organization,
yet there are number of variables and tools that an organization can pursue while
deciding on pricing. At that time taking right pricing method is the key to success. GCL is
adopting much kind of strategies; as for price setting is concern these are different, if
the company export directly or in other case indirectly its products.

Place:

The place and distribution channel is also in the critical elements and factors of
the organizational effectiveness and efficiency. A powerful setup may deteriorate only
because of the misallocation of resources or because of poor distribution channels so
organizations specifically keep in mind about the place of marketing mix.

Mangers of GCL always review the mission and goals then they can do the internal and
external environment analysis to identify elements that influence the organization
performance. To determine such elements SWOT analysis is conducted. SWOT
analysis is the method that helps manager identifies the organizational strength,

number of National level Distributors in our customer's list. We distribute all kinds of
agro-based chemicals through our valued dealers. We have a complete range of quality
/ result oriented products. We are committed to serve the Farmers at their door step.
More than 200 Professionals and 3000 dealers network are working in all over
Pakistan.

2. FORMULATERS:
We are formulating pesticides (in Liquid & Granule form) which
stood us among leaders of pesticides industry in Pakistan who could be counted on
finger tips. Here it is remarkable that we are the pioneer of insecticides manufacturers in
our region (South Punjab). For the said purpose, our formulation plants (Both, liquid &
granules) are capable up to International standard and the latest technology defined by
WHO, CIPAC, AOAC, FAO and other international organizations.

3. SSP MANUFACTURING PLANT:


We are the 1st. One Technical Concentrate
manufacturers of Copper Ox chloride (Technical) in Pakistan.

4. ZINC SULPHATES:

We are the manufacturers of Zinc Sulphate 12%, 10%, 8%, 5


%( Aqueous solutions), Zinc SulphateHepta Hydrate 21%, Zinc Sulphate Mono Hydrate
33% and Chelated Zinc. Our distinction is that we offer Zinc SulphateHepta Hydrate in
transparent crystal form. We follow the basic rules of manufacturing regarding the
processing of Zinc SulphateHepta Hydrate i.e. Open Mouth and Wide reactor for
optimum completion of the reactants (raw material) which ensure the unavailability for
free acids in our zinc products.

5. FOLIAT PRODUCTS:
We are one of the pioneer manufacturers in introducing foliar

price is set according to finishing, time, session, and delivery based. So that in

will also low, and if product is demanded in high quality then price will also high.

Purchase Department
Green Crop Purchase Raw Material through Pakistan & import from
Malaysia, China, India, Greece, Finland and Other Countries. Following are the

Purposes and Procedure of Purchasing the Raw Material and Other material that
is need in the Organization.

Purpose:

The main purpose of department is to maintain the desirable level of purchase,


so that ideal funds are not stuck up in the shape of heavy purchase or a position
not arise that Production stop due to non-availability of raw material or store and
spares.
In addition to this purchase department is also responsible for

checking of

following.
Checking quantity of purchased goods.
Checking rates of purchased goods.
Checking quality of purchased goods.

Procedure:

Firstly different departments according to their requirement put their


demand. Higher authorities will check the authenticity of demand. They inspect
that the goods, which are demanded, actually required when demand is
approved. Purchase department gets different quotation for this product and after
making a reasonable decision in this regard, they will issue a purchase order.
Purchase order declares the terms and conditions of order and finally deal
between the parties are decided. The supplier will send the goods along with the
delivery order.
On receiving the goods the purchase department will make a goods receipt
note on which the name of goods and it quantity is shown. The supplier will send
the commercial invoice or sales tax invoice according to the product and finally
purchase department will make a store purchase voucher, which provides the
evidence of transaction.
When the supplier dispatches the goods to the Company a dispatch
advice is made by the department to other storekeeper that the items are

dispatched to you. At factory an inward gate pass is made and the items sent to
the store where the storekeeper prepares goods receipt note after inspecting the
items and this GRN one copy is sent to the purchase office and one copy is sent
to the accounts office.

In the organization as an internee I am working in the Finance, Marketing


and HR departments and other areas.

Finance department
In the Finance department my work was to make the cash receipt vouchers, Bank
receipt vouchers, Cash payment vouchers, Bank payment vouchers, and journal
vouchers.

Marketing department
In the marketing department my work was to make the invoice of the orders, serve the
fields and meet the dealers of GCL.

In Admin/HR:

In Production:
Preparation of demand for the material issue from the main store.
To prepare the demand particulars, pack size, Qty these things must be in mind.
Prepare the production report according to departments, products, products
(daily & monthly).
Preparing Packing/Filling/Repacking/Refilling Report and finding the variance
according to standard and actual Production.

In purchase department I worked under the supervision of Mr. M.Imran who the head of
purchase department. I work the following tasks in this department:

These Purchase order are prepare on the base of Demand slip this slip signed by
supervisor and approved by the Head of Department.
Updating the Purchase Ledger.

In Store:

Accomplishments:In the Organization during work I have complete all


assignments successfully. During the internship I set new personal goals in the
organization. I was calling to supervisor everyday to conform the schedule meeting
travel for serve and recovery from dealers. During the internship my attitude was
positive with every employee. During the internship I was avoiding negative activities. I
was never missing the chance to learn about the company. I was not afraid to ask any
question to the supervisor.

New knowledge Acquired:I am understood the organizations purpose, mission,


vision, services and priorities. I am getting the experience of finance, marketing and HR
department. Now I am working easily in every organization. I was learnt dealing with the
customers to sale our products and receipt our previous payments.

Problems Encountered:There are many problems faced during the internship


period,
Strict role and regulating in the GCL
No proper guidance in the early days
No proper canteen in the GCL
Work time lengthy

How Experience Impacts your Career:My work in the GCL during period of
internship was very nice. My work experience will be helpful for future job. My work
experience impacts my career because I learnt a lot of things in the GCL.

SUGGESTIONS
The GCL is losing its benefits in lower raw material prices, while energy cost and
credit cost have increased considerably. There is a need to check the trend of
further increases both by policy, support by the Government and itself. The major
challenges are to enhance the competitiveness of the factory, which have been
created on account of internal weaknesses to improve quality productivity and
production efficiency to be desired levels.
The suggestions that particularly relate to the GCL are as followings;

Allocating a specific budget should enhance the promotional


activities of GCL.
The company should control the financial charges especially
commission to the agents should be controlled.
The cost of production of company should be controlled. The utilizing
the plant capacity in full can reduce fixed cost.
The sale of company should increase by searching new markets.
Political stability consistent Government policy and Government that
remains for its tenure.
Lowering of energy costs to allow the industry to become more
competitive.
