CHAPTER 1

Introduction

The evolution of technology is excessively developing

and making life much easy to deal with. A study shows that
it will have a direct bearing on the initial efforts of new

During the historical time, systems are not capable and
efficient

enough

to

hold

and

keep

record

in

their

database due to the insufficient capacity. There are two

factors to consider in a specific system and these are the
Local Area Network (LAN) Based System and the Online Based
System. The electronic medical record (EMR) exists on a
central system that is tied to all of the ancillary systems
and data sources. The PC-based Medical Gopher order-entry
system runs on a local area network (LAN) connected to, yet
distinct

from,

the

central

repository

(Mamlin,

Overhage,

Tierney, Dexter, & Mcdonald, 1995). Well, there is no doubt

that the online information has been widely introduced for
there are these studies that were made in connection with a
certain company and whether it is a LAN which is PC to PC

only system and the online which is in connection with the

Internet environment.

All

of

these

advancements have the aim to simplify life by making a lot

of things easy and in a short time. In developing countries
such as Kenya, Peru, Haiti, Uganda, Malawi, and Brazil,
healthcare information systems have been driven mainly by
the need to report aggregate statistics for government or

little or no feedback to the staff collecting data (Fraser

there is a possibility that when a person tries to view a
previous or old record, it will be easier for that person
to find that record directly with the help of the automated
system. Another study which is related to the concept of
promoting records was found in Oklahoma City, states that

used by the education system to promote student success and
provide appropriate services (Agencies, 2000). Instead of
scanning

the

old

papers

and

folders,

the

system

advancements will only ask the name of the applicant and it

will show you its job history or its previous records.
As

the

any toil that in connection with the technology makes it

was to make the toil easier to deal with as what have

on

it

practically

saying,

whenever a user is in a rush of something, or maybe in a

hurry

to

certain

task,

by

inputting

and efficient rather than scanning the papers manually. A

this is the initial stage of using computers, however in
this stage users are still relying on paper record as well
as

preparing

documentation.

The

second

stage

was

Computerized Medical Record (CMR), at this stage, the need

for paper was totally eliminated. Data is scanned into the
4

system

which

preserved

integrity

(Mohd,

Mastura,

&

Mohamad, 2005). Well, we never know how fast the progress

of technology expands, but obviously in the history of this
field,

papers

were

used

to

keep

and

nowadays, it has been almost eliminated because online is

Regardless of how other countries advance too much in
technology matters, just so the Philippines wont be left
behind. Problems while implementing a system for a specific

for it may only be a small defect, but, we never know it

Developments are unpredictable, no matter how far the

irresistible.

Herman, 1993).
Apparently,

the

easiest

way

to

summarize

student

performance is by creating a report card. Parents cannot

review or examine the student's entire work and come up
with

all

specific

information

regarding

the

student

performance, so grades, numbers, and symbols are the most

efficient way to do this, by making a form which represents
the work and present facts, prescription and judgments all
in a user-friendly form. Public schools are known to be one
of the sources who provides good education and helps the
students to build a better future. No matter what kind of
quality of education a specific school gives, these schools
7

are obviously still in need of support regarding automated

processing. Providing reports for the students in Bankas
Heights is having difficulties regarding the processing of
some school reports, for it takes so much time for the
teachers to release a precise report due to manual process.
So

aside

of

issuing

grades

and

summarizing

students

information all in a form, the group planned and tried to

conceive some ideas to make things easier for the school
and

getting

things

be

done

immediately,

then

all

those

things work out for the group so well, which is where the
system

improves

of

which were already improved.

Project Framework
Figure 1
Theoretical Framework

The

field

in

information

systems

nowadays,

recognized as a distinct discipline and we should devote

some effort to seeing the nature and form of theory in
our own field of study. Some thought on what delineates

One

concerns

the

and

of

society

(Avison and Fitzgerald, 1995). The framework presented

above is for the proposed system of the group. Using the

characteristic

that

distinguishes

information systems from these areas is that it relates

the

use

of

artifacts

in

human-machine

systems.

Thus,

there is a discipline that the intersection of knowledge

of

the

properties

of

physical

objects

(machines)

and

knowledge of human behavior (Gregor, 2002). From this

definition of information system it connected to the word
theory which altered the information system. According
to the dictionary, the word theory could lead to more
than one meaning such as,
propositions

used

as

a coherent group of generic

principles

of

explanation

for

class of phenomena; a proposed explanation whose status

is

still

conjectural,

in

contrast

to

well-established

propositions that are regarded as reporting matters of

fact; that department of a science or art which deals
with its principles or methods, as distinguished from the
practice of it, a system of rules or principles; or
conjecture or opinion (Macquarie Dictionary, 1981).
The Figure 1 is a designed theory for the project
using the IPO framework. The starting point of it is the
input or what is known? The relevant of what goes into
the process and this is the student's data. Next, is the
process

which

accepts

inputs,
10

consist

of

steps

and

produce output. From the word process, it is where the

input should be manifested or established to produce a
desirable output. Process includes the registration where
in the school management system registration is the first
key to access the system. Adding, editing, and deleting
of inputs were the basic functions of the information
system. Using the search engine plug-in to the system it
could be easier to search certain data, the basis of the
design is the school year. Calculating student's average
grade and a number of students in the category of Reading
Performance is also one of the features of the system.
Lastly, the output where it is often the focus and the
expected outcome of the input and process. The generated
output includes the print-out forms, list of students
under a certain advisory, list of sections, system user,
and the processed inputs.

The current systems activity diagram shows that there

the

students

their

specific

and

section. The principal, basically have the access to view

the students reports so that the parent will be asked for
the student profile using the form provided by the teacher

The Internet was established in the early 1960s by the

social

websites like Facebook; text messaging such as Twitter and

so on (Internet Use and Its Impact on Secondary School

35

information transfer for it reduce the cost of expenses

compare to manual processes. There are ways to connect the
Internet it include traditional dial-up access through the
analog modems and broadband options such as ISDN, xDSL.

The

Internet in the Philippines has been undergoing development

As

of

September 30, 2011, more than 30,000,000 people used the

Internet in the country numbered for about 33% of the total
population (Labucay, 2011). The Philippines has the slowest
Internet connectivity rate in the southeast region and is
among the slowest in the world (Why is our Internet so
slow? | Opinion, News, The Philippine Star | philstar.com,
n.d.) So theres a tendency that some of the places in the
Philippines are not capable enough to utilize the Internet
connectivity.
A survey of New Zealand businesses using the Internet

for future research (Abell & Lim, 1996). Broadband can help

The

PROGPA

group

decided

to

have

every

Saturday and Sunday, wherein Sunday is only optional. The

group depends on the availability of each of the places.
Talking about the meeting, the team wisely allocated each
of the members, in order to diminish the said tasks. The

the

PROGPA implemented and introduced the system to the users.
Conducting a survey is the best way to collect the
information needed and will guide the planning phases of
the project (Sleutel, 1999). Thus, the group planned with
regards to this issue that, in order to accomplish this
problem, a survey must be conducted to the user of the
system.

So,

the

On

will meet the client and will be having a system test and

41

group could give the clients the assurance of stability of

the system.

Design

Part

of

the

development

of

the

system

is

the

consideration of making the interface, the templates, and

47

the

logical

diagrams

of

both

proposed

and

the

current

model. Pointing out the tangible interface of the system,

the

only

resource

that

has

been

used

was

the

Adobe

Software. The colors, the photo background, and the layout

were made according to the clients proposition and the
project advisers. About the templates, it was made with the
contemplation of being a user-friendly environment. Then,
the logical diagrams of proposed and the current model were
formed by using the Microsoft Visio 2013. By means of using
this tool, it helps the group to create the diagrams easily
for all the shapes are specified for use.

Coding

In building the proposed project, the group also mull

over the tools or the applications to be used in creating
the automated system. Since the proposed project will be
implemented

in

computerized

form,

the

programming

language to be used is the most important tool that should

be taken focused of. The group decided to use the most
flexible programming language that can be use through LANbased

form

programming

and

Web-based

language.

This

form

which

language

is

is

the

PHP
the

most

powerful programs that are usually used nowadays, for it

48

supports more on functionality combined with HTML, CSS, and

JavaScript to enhance the design and the structure of the
program. Hypertext Markup Language or HTML is one of most
popular tool that is used in building a web base system. On
the

other

hand,

CSS

and

JavaScript

are

also

used

for

enhancing the system interface which creates attraction to

the user and by using a Bootstrap tool, the programmers of
the group was able to create a stunning interface that was
responsive to any kind of device.
By the use of MySQL Database tool, the programmers
were able to store the data or the record of the system in
an

automated

way.

MySQL

is

full-featured

database

management tool that also provides the connection between

the

system

and

the

database.

The

programmers

also

used

XAMPP application to test the program without the access to

Internet and to build a connection to the MySQL database.
XAMPP is also capable of running the Apache which is to
create a connection within the code of the program. It also
allows the system to run in administrator mode and create a
security to access the system parent directory. Internet
browsers like Google Chrome, Mozilla Firefox, Maxthon Cloud
browser and many others are the applications to be used in
running and testing the system for it creates a faster and
easier access to the system.

to the survey forms.
Conferring about the form that is to be distributed to
the clients, the company employed two sets of survey form,
one

used during the exploit of the manual means, and also asked
the users once again to utilize the implemented system,
which is the automated one and recorded the time consumed
using the system and compared the timeframe on both scheme.

difference. Table 1 showed that Teacher 1 consumed 3 hours
and 12 seconds when using the current and expended exactly
29 minutes when using the proposed means and so on. In
concern with this reckoning, it was clearly understood that
the group achieved the first specific objective which was
to lessen the guzzling of the time when recording student
grades. Refer to Table 1 to distinguish the alteration of
the average of time guzzles and the time format used in the
table is H: MM: SS (hours: minutes: seconds).

58

Specific Objective: The information encoded can be modified

for correction.

The information encoded was addressed in the system by

a manner of specifying a button for modification wherein
the information recently encoded will be displayed and it
will automatically be evaluated and edited for correction.
On the other hand, it will be easier for the clients to use
the aid of a search engine which was one of the features of
the

system.

Compared

to

the

Specific Objective: The platform of the system can adapt

either online or LAN set-up.

As the group perceived the place of the organization

where

it

was

located,

the

school

cannot

receive

the

required speed of Internet connection, for this glitch, the

system design then can be deployed either web-based or LANbased

set-up

(Local

Area

Network).

The

system

can

be

accessed without the aid of Internet using the LAN set-up.

In the future, if the organization will be upgraded and
released

budget

in

service,

the

proposed system can adapt the implementation via online. By

this matter, when a system is implemented via LAN-based,
there

is

possibility

that

the

system

is

only

usable

throughout the organization, moreover, if the clients want

the system to be innovated and implement it through online,
the system will be accessible anywhere as long as a certain
user has access to the Internet. Basically, the advantage
of

Specific

Objective:

Able

data

using

search engine plug-in to the system.

The purpose of this search engine tool was to sort the

student data in accordance with the specified school year.
In this condition, it will be easy for the users to review
the certain reports. During the current means, when the
users were using the manual type of arrangements regarding
their

papers,

the

users

kept

the

data

and

reports

in

folders and envelopes. While in the proposed means, the

users used the search engine to make things easier when
viewing and seeking out the papers whoever and whatever the
users wanted to. In addition, when the users were filling
up a form or some identification of a certain student, the
users were having a hard time to fill up long forms due to
the

manual

process.

Besides,

when

the

users

used

the

proposed system, it will be easier for them in filling out

using

the

computer

application.

It

is

obvious

that

it

lessens the time of the users when using the proposed one

The

proposed system will automatically let the client saved the

changes they made in the students data and automatically
be updated in the database.
In this section, another table will be presented and
this is the presentation of the data in the second survey

General

Objective:

Increase

the

speed

in

recording

the

student grades.

The Bankas Heights Elementary School was one of the

public schools in Toril, it was expected that there were
lots of students in a single room or section. The general
66

objective of the study states that the proposed system can

increase the speed in recording the grades of the students
which were stated in Table 1, that the average time guzzled
using the current system was 3:11:47 while in the proposed
system

they

when

and

the

proposed

51

seconds.

Understandably, it did make a difference that the general

objective of the group was achieved which was to increase
the speed in recording the grades. The system provided a
form which was likely designed to the report card of the
school.

It

was

where

the

teacher

(user)

will

input

the

grade of the student in a certain subject by grading then

eventually it will calculate the average and automatically
provide a remark either the student get passed or failed.
Unlike the manual process, it will be very time-consuming
and

prone

to

typographical

error

upon

calculating

the

average that would lead to the unauthenticated result of

the information. To further justify this objective it could
be referred to the Table 1 of this chapter.

CHAPTER 5
Summary, Conclusions, and Recommendations

are the general objective and the specific objectives, the
review of the literature and the methodology.

Summary

The

developing and making life easy to deal with. Regardless of

how the other countries advanced too much in technology,
just so the Philippines wont be left behind. A group in

objectives but the group decided to focus on the general

one which was the main problem of the school and that is to
increase the speed of the teacher (user) in recording the
student grades. As the tint passed by, the group achieved
the main objectives, the group performed a survey in the
68

school

and

made

the

teacher

(user)

as

the

respondents,

reckoning of around 13 persons composed of 12 teachers and

the

When

the

execution were done, the group then calculated the gathered

time consumed when the users were using the current system
and

the

proposed

system.

PROGPA

concluded

based

on

the

findings that the system made by the group helped a lot in

the organization. Instead of recording the students grades
within a timeframe of 3 hours and 11 minutes, the group
abets the organization and the clients to make it within
38 minutes.

Conclusion

This Academic Monitoring System was able to achieve

the

desired

outcome

on

all

the

six

proposed
was

to

increase the speed in recording the student grades was also

achieved for the reason that the PROGPA group finished and
accomplished all the suggestions and recommendations of the
clients. Furthermore, a study in Turkey and Indonesia were
unearthed, thus, it was in connection with the groups gap,
specifically the scarcity of resources in school, lack of
development

of

leadership

and

lack

of

coordination

in

relation to new roles and responsibilities. These problems

were not resolved by the above mentioned countries, but, by
the aid of the PROGPAs system and study, the group were
able to achieved and worked out this hue of quandary.
