Editing in MS Word:

1) MS Word is a word processor used to create documents such as books, letters, articles, reports, poems and
anything that consists mainly of words.
2) MS Word is a part of the Microsoft Office Suite.
3) Starting MS WORD:
Click on the start button on the Windows taskbar.
Go to All Programs
Microsoft Office
Microsoft Word 2010.
A blank document opens.
4) Creating a document: ( Ctrl + N )
Click on the file tab.
Click on New.
Click on Blank document.
Click on Create.
5) Saving the file: (Ctrl + S )
After you finish typing, Save the file by
Click on File --> Save.
Save As dialog box opens
Give a name to your file in the File name box.
Click on Save button.
6) Opening an Existing document:
Click on the File tab.
Click on Open
The Open dialog box opens.
Select the file.
Click on the Open button.
7) Closing a document: ( Ctrl + W ) / ( Alt + F4 )
Click on the File tab.
Click on Exit.
8) Editing: Making changes to a document is called Editing.
9) Selecting Text: Before making changes to the text, it is important to select the text. The selected text is
highlighted in blue. The empty space at the left hand margin of the text is known as selection bar.
10) Selecting text using mouse: You can select any part of the text by dragging the mouse over it.

11) Selecting text using keyboard: Place the cursor to the left of the text from where you want to start selection.
Press different keys to make different selection.

12) Deleting text:


To Delete a Character
Place cursor to the right of the Character

13) The Undo command is used to cancel the last action done in the document. ( Ctrl + Z ).
14) The Redo command is used to cancel the action of the Undo command. ( Ctrl + Y ).
15) Copying text: Copying means to create a duplicate copy of the selected text. The selected text remains at both
the locations after copying.
16) Moving text: Moving text means to shift the selected text to another location. The selected text is deleted from
its original location after moving.

Spell Check: MS Word helps in identifying spelling and


grammatical mistakes. The spelling mistakes are
highlighted with red wavy lines. The grammatical
mistakes are highlighted with green wavy lines. The
correct spelling can be chosen from the list of suggested words when right clicked on the word. Click ignore if
you want to keep the word as it is and remove the wavy line under it.
Spelling and grammatical mistakes can be corrected using the Spelling and Grammar option under the Review
tab / F7 key.
The AutoCorrect option automatically corrects spelling at the time of typing.
Find option:
Click on Find in the Home tab.
The Navigation pane opens on left.
Type the word to search.
The searched word gets highlighted in the document.
Replace option:
Click on Replace in the Home tab.
The Find and Replace dialog box opens.
In Find what box type the word to search.
In Replace with box type the word to replace with.
Click Replace All to replace all occurrences at once. Click on OK.
Or click Replace to replace the selected word. Then click Find Next to search for the next word.

Formatting in MS Word:
1) Formatting: Formatting means changing the appearance of the text.
2) Formatting Font: Each letter, number, or symbol used in a text document is called a character. A character
designed in a particular way is called a font. There are many types of fonts. Each font has a different
appearance from other fonts. The buttons in the Font group under Home tab can be used to format font.
3) Font size: The font size of a character is measured in points.
To change font and font size: ( Ctrl + Shift + F )

Click on Home tab.


Click on the drop down arrow of the Font box and choose a font from the list.
Click on the drop-down arrow of the Font size box and choose a font size from the list.
