Year Survival Guide


Because we all need a little help from friends.
All information in this guide is from previous students only.
It is not supported by the UTCOM administration, and is to
be taken purely as advice. Good luck on your future
journey in clinicals!

General Organization of 3rd Year:


Your 3rd year is made up of bridge week, required clerkships, and one elective. Bridge week is
mandatory and is your orientation to 3rd year. It is usually the last week in June, and you will be
required to sit for Step 1 before bridge week begins. Do not take your backpacking trip across
Europe, your honeymoon, or your family reunion during the last week in June; you are busy.
Your clerkships during 3rd year are either 5 weeks or 10 weeks and are explained later on in
this guide. The 5-week clerkships are always paired together to make up 10 week blocks:
Obstetrics and Gynecology/Pediatrics
Neurology/Psychiatry
Family Medicine/Elective
Vacations:
Winter Break: 2 weeks, and the same break you had 1st and 2nd year
Elective Vacation: You receive 1 week of vacation during your elective. Electives are 4
weeks of service plus 1 week of vacation. The vacation may occur anytime during your
elective, it just depends on which elective you're in and how they assign it.
Between 3rd and 4th Year: 1 week off at the end of 3rd year, before you begin 4th year.
Usually the first week in July.

The AHEC program is designed to give students educational experiences in
underserved or metropolitan (MAHEC) areas.
o Requirement: You are required to have 8 weeks of AHEC during your 3rd year.
If you do not complete all 8 weeks, you can finish them during 4th year with AHEC
electives.
o Applying: At some point before the clerkship begins, the clerkship coordinator
will send you an email with a preference form. The preference form asks you to
choose a region (BAHEC, LAHEC, SAHEC) as a first choice, and one region as
a second choice. It will also ask you if you have completed an AHEC before.
You will send your form back to the clerkship coordinator, who will send it on to
the AHEC office. The AHEC office will place students based on a first come first
serve basis, and based on who has the least weeks of AHEC already completed.
If not enough students request an AHEC (just dont fill out the form and return it),

then students for that block will be randomly assigned to the available AHEC
sites.

Call: There is short call only, no overnight call. You must stay until 7:00PM or admit 2
patients in the evening. You're supposed take short call every fourth night, rotating with
other students. You receive a meal ticket to the cafeteria for dinner for call nights.
Weekends: You are expected to work 1 weekend day every weekend. Divide it up with
classmates so that there are students working each day. It is at the will of your
residents.

Neurology:

Length: Total of 5 weeks with a half day of orientation on the first day. Divided into 3
weeks of inpatient service and 2 weeks of outpatient service (assigned to 1 physician
every half day)
Services Available: You will spend 1 week on each of the following inpatient services (all
located on 5CD - 5th floor off the elevators to the right):

Stroke Service
Hours: Mandatory lectures almost every morning at 7:30AM. Morning outpatient clinics
start at 8:30AM, and afternoon outpatient clinics start at 1:00PM. Primary service
rounds in the morning, and consult service usually rounds after primary service. Stroke
service has a different attending and rounds on their own. Hours depend on service and
attending.
Call: No call
Weekends: You must work 1 weekend day during your 3 weeks of inpatient service.
Generally the residents will pick a service that will work on the weekend, and when you
work on that service you will work 1 of those weekend days (Saturday or Sunday).
Rounding is in the morning, and then you are usually done after rounds.

Family Medicine:
Length: Total of 5 weeks with 1 day of orientation during the first day with additional
optional (but highly recommended) knee exam workshop after orientation. There are
also mandatory lectures the second and third Friday of the rotation. The 5 weeks are
usually divided into 2 weeks of a community practice experience, and 3 weeks of a
residency site experience. There is a rare few that will have 5 weeks at a community
practice.

Shelf Exams:
What are they?: Shelf exams are basically end of rotation exams. They are
web-based exams given by the NBME. At UTCOM, they give shelf exams for
every required 3rd year rotations. You will take them on a laptop (either personal
or school provided) in a lecture hall with other students (generally students on
your clerkship and on 1 other clerkship). Depending on the clerkship it will be a
morning or afternoon exam. The exams are 100 questions and you get 2 hours
and 30 minutes for the exam, with exception of the internal medicine exam (110
questions, 2 hours 45 minutes).
What if you fail?: You get 2 chances to pass each shelf exam before you fail the
clerkship. However, you can only have 1 failed shelf exam grade at a time.
o You've failed 1 shelf exam: You will continue on rotations, and make up
the shelf exam when there is an open date. Shelf exams are only given
every 5 weeks at UTCOM, and you may not take 2 shelf exams on 1
day. Therefore, you will have to wait until you have an open day (typically
your elective) before you can make up that shelf exam. They generally
do not like you to take a make up shelf exam during a 10 week rotation.
o You've failed 2 shelf exams before retaking the 1st one: You will pulled
off rotations until you pass 1 of the exams.
o You've failed 2 shelf exams throughout the year but retook the 1st one
and passed: Same deal as failing 1 shelf exam
o You've failed the retest shelf exam: You have failed that clerkship and
you will have to remediate the clerkship.

Receiving

Parking
Visitor parking is available in a surface lot or in
one of our three parking decks. Handicapped parking
is reserved at various locations on the Medical
Center campus.
Valet Parking
Valet parking is available at the Medical Centers main lobby entrance,
Heart & Vascular Center entrance and at the Emergency Department/
Radiation Oncology entrances for a nominal fee.
Picking up a Patient
Parking charges are waived for drivers taking a patient home after a hospital stay.
If picking up a patient, please park in the visitor parking deck and bring the parking ticket
in to be validated. Move your vehicle to the main entrance only when the patient is actually
leaving the room. A staff member will escort the patient to the entrance and remain with the
patient until you arrive. If your family member or friend will have an extended stay, ask a parking
deck attendant for information about a weekly parking pass.
The Ohio Fire Code requires that fire lanes be left open. Cars left unattended in fire lanes around the hospital
will be towed at the owners expense.
Public Transportation
Metro bus schedules are available in the main lobby foyer.
Security
We provide 24-hour security staff who make frequent rounds. Security staff are also available to escort visitors
to their cars. Call extension 47604 from a hospital phone.

dayspriortothestartoftheclerkship.Electivedescriptionsareoftenonline,sothestudentmaysimplyinclude
thelinktotheappropriateWebaddress.Iftheelectivedescriptionisnotonline,pleasescanandattachtothe
email.TheclerkshipcoordinatorwillemailthestudentandDr.Aliwiththedecisionwithin7daysoftheinitial
request.Dr.Aliwillthenreviewforfinalapproval/disapproval.

2. Application
a. VSASElectives

1) IftheawayelectivedescriptionisapprovedforcreditatUTCOM,thenthestudentshouldelectronically
fileaVSASapplicationandpayanyrequiredfees.

2) VSASwillautomaticallynotifytheHSCOfficeoftheRegistrarofapendingapplication.Iftheapplicationis
notcomplete,theHSCOfficeoftheRegistrarmaycontactstudentsforadditionalsupporting
documentationtocompletetheirapplication,suchasHIPAAcertification,backgroundchecks,and
immunizations.

3) AfterthecompleteapplicationhasbeenreleasedtoVSASbytheHSCOfficeoftheRegistrar,thestudent
willbenotifiedviaVSASiftheyareapprovedfortheelective.Thetimefornotificationwillvarydepending
onthehostinstitution.
