management concept and skills. The study can deal with small or big issues in any division of an
organization. It can be case study where a problem has been dealt with, through the process of

EXECUTIVE SUMMARY
Objective of the project: The aim of the project was to study the scope of logistics in exhibitions
so to suggest additional business from exhibitions/events for the organization.

Approach: A primary and secondary data study was conducted. Through primary data, the views of
customers and various companies belonging to different industries were analyzed.

Findings: There is broad scope in the field of exhibition logistics because not any big company is
active in this field. Exhibition takes place at regular interval and in a no. of cities with a large no. of
exhibitors who participates regularly in such exhibitions. So, such exhibitors will like to have
service which will handle their products and materials with safety.

Recommendations: Safexpress has a large network in domestic market and with the use of such
network it can easily get services in field of exhibition logistics. Company should use its manpower
to contact such exhibitors, organizers and event management companies so that it can easily
convince them with the service company can offer them to make their functions more easily.

INDUSTRY PROFILE

An Overview: The Logistics Industry


Logistics refers to movement of goods and raw material from the place of production to the place of
consumption. A recent study defined logistics as that part of the supply chain process that plans,
implements and controls the efficient flow and storage of goods, services and related information
from the point of origin to the point of consumption, in order to meet the customers requirements.
Transportation is the raw term used in place of logistics.
Logistics was originated when it was felt that there was a great deal of need of transportation of
arms, ammunitions, food supply, tools and thus the term logistics came into existence. 1920s and
1930s were the era of manufacturing. Less of customization; there were limited models of cars and
that too of a particular range. At that time, the focus was entirely upon the production efficiency,
companies concentrating more on the purchasing of cheap raw material and low cost transportation.

With the changing emerging trends in the Indian market, the focus shifted from production to
market orientation, the number of competitors increased in the market.
Customers are now equipped with multiple choices and the companies shifted towards
customization of more and more products. The mantra for being successful in the market to
improvise the existing system the term purchasing of raw material transformed to procurement of
raw material, thus there was addition of a number of warehouses and distribution system.
Furthermore, the intense competition in the market place was on major highlights and concept of
mere logistics turned into supply chain management. Now not only the attention given to production
efficiency to produce better quality and low priced products. All this was possible through a good
communication and interlink age among the vendors, manufacturers, distributors of supply chain.
Next level is the value chain strategy, in this concept no one is customer or supplier but all echelons
of supply chain are partners and work hand in hand. Thus in order to have a sound and oiled
logistics network rule is to give boost to supply chain and

value chain. Today's modern, efficient warehouses/distribution centers are the heart of logistics, and
provide control, efficiency and velocity for goods moving through the system.
Logistics is not confined to manufacturing operation alone. It is relevant to all enterprises, including
Govt. institutions such as Hospitals and schools and service organization such as retailers, banks and
financial service organizations. The study of logistics is especially important for bulk raw materials,
where substantial outflow of freight is involved. Management of Logistics is an art, which is
extremely difficult to perfect in India, JIT ends up being SHIT somehow in time.
The Transportation & Logistics industry sector comprises a wide range of service providers,
covering all modes of transport air, road, rail, sea as well as related services such as
warehousing, handling, stevedoring, and finally value added services like packaging, labeling,
assembling etc. In addition to these 'physical' services, T&L includes all sorts of planning,
organizational and management services in the area of transportation and logistics. Over the past
years, we have seen a trend to consolidation, resulting in larger, integrated groups operating in more
than one of the T&L sub-sectors. As a result, the limits between the T&L sub-sectors become more
and more indistinct.
The success of the logistics industry depends on the promptness with which the products can be
delivered to a particular destination or to a client. Time and location are two factors, which can
either make or mar the logistics industry. The logistics industry is governed by technology,
integration, globalization, legislation and confederations.
Formerly, warehousing facilities and logistic facilities were situated in remote areas like water port,
beside rail tracks and those places in towns or cities which were not treaded up on by many.
However, these sites shifted to rural areas and other localities. The logistics industry has

experienced several changes over the years. These changes can be attributed to the growth in the
retail industry and the manufacturing segments.
Globally, the logistics industry is valued at US$ 3.5 trillion. The U.S., which contributes to over
25% of the global industry value, spends close to 9% of its GDP on logistic services. The Indian
Logistics Industry is presently estimated at US$ 90 billion. The industry has generated
employment for 45 million people in the country in comparison with the IT and ITeS sector which
employs approximately 4.3 million people.
According to CII It is forecast to grow at a Compound Annual Growth Rate (CAGR) of
approximately 8% over the next three to five years. Third Party Logistics (3PL) Solutions, is slated
to grow at a compound annual growth rate (CAGR) of over 16% from 2007-10. Consequently, 3PL
service providers are expected to corner an increased share of the Indian Logistics pie, from 6% in
FY06 to 13% in FY11, at a CAGR of 25%.
The primary growth drivers of this industry are as under:
(1)Investments in the infrastructure sector amounting to US$ 350 billion.
(2)Increased efficiency and productivity of the transport system would result in lower transit times.
(3) Streamlining of the indirect tax structure: The introduction of Value Added Tax (VAT) and the
proposed introduction of a singular Goods and Services Tax (GST) are expected to significantly
reduce the number of warehouses manufacturers are required to maintain in different states, thereby
resulting in a substantial increase in demand for integrated logistics solutions.
(4)Robust trade growth:-Strong economic growth and liberalization have led to considerable
increase in domestic and international trade volumes over the past five years. Consequently, the
requirement for transportation, handling and warehousing is growing at a robust pace and is driving
the demand for integrated logistics solutions.
(5)Globalization of manufacturing systems coupled with advancements in technology are
increasingly compelling companies across verticals to concentrate on their core competencies and
avail the cost saving potential of outsourcing. This is expected to contribute to an increase in the
need for integrated logistics solutions, which is the niche of every business.
(6)Third Party Logistics Service (3PL Services) provider.The industry has been valued at US$
125 billion in 2010.
A snapshot of the FDI regulations governing the industry is as under:
100% FDI under the automatic route is permitted for all logisticservices except services
mentioned in points ii and iii below.
FDI up to 100% subject to FIPB approval is permitted for courierservices.
FDI up to 49% under the automatic route is permitted for airtransport services, including
air cargo services. It is pertinent to mention in this context, that Press Note 1 (2007) that is

expected to be imminently notified by the DIPP proposes to increase the limit of FDIon air
cargo services in 74%.
The industry has been at the receiving end of increasing interest from the private equity
sector. The year 2007 witnessed just under US$ 1 billion in private equity investments in this
industry, representing approximately 7% of total private equity investments during the year,
against 3% in the previous year.

The settlement of freight refund is undertaken by this department on percentage basis. Generally,
the refund percentage is 33-34%.

4. Marketing:The prime function of this department is to do survey of the interested and prospective customers
and convince them to build & maintain healthy relations. All these are done and under the
purview of Branch Manager, by negotiating, providing discount and other facilities and make
them their permanent clients.

This department deals with following: Scrutinizing of the applications and selecting the required person suitable to filling the
position.
Placements are provided by linking with the institutions.
The department works on the ADERLINE system for its functioning.
Interviews held and conducted by the H.R. persons (including direct interview, prelims,
etc).
Various aptitude test, I.Q test and psychometric test are also conducted

7. Information Technology (I.T.):This department works and handles the whole networking of the company and works on software

TURNOVER

The privately-held company has been growing at 35 per cent and posted a turnover of Rs. 600 crore
in 2008-09. It expects a similar growth.
In two years, Safexpress will add 7 million sq. ft of space to its existing 3 million sq. ft. It will set up
logistics parks comprising warehouses, vendor management, raw material management, finished
products storages, and also distribute consignments. These parks will come up in 32 locations across
the country.

EMPLOYEES TURNOVER
At present, there are 2500 employees in Safexpress but they are planning to expand their number of
employees in future.

Exhibition
An exhibition, in the most general sense, is an organized presentation and display of a selection of
items. In practice, exhibitions usually occur within museums, galleries and exhibition halls.
Exhibitions include art exhibitions, as in major art museums and small art galleries; interpretive
exhibitions, as at natural history museums and history museums, for example; and commercial
exhibitions, or trade fairs.
The word "exhibition," is usually, but not always, the word used for a collection of items.
Sometimes "exhibit" is used synonymously with "exhibition," but "exhibit" generally refers to a
single item being exhibited within an exhibition.
Exhibitions may be permanent displays or temporary, but in common usage, "exhibitions" are
considered temporary and usually scheduled to open and close on specific dates. While many
exhibitions are shown in just one venue, some exhibitions are shown in multiple locations, such
exhibitions are called travelling exhibitions.
Though exhibitions are common events, the concept of an exhibition is quite wide and encompasses
many variables. Exhibitions range from an extraordinarily large event such as a World's
Fairexposition to small one-artist solo shows or a display of just one item. Curators are sometimes
involved as the people who select the items in an exhibition. Writers and editors are sometimes
needed to write text, labels and accompanying printed material such as catalogs and books.
Architects, exhibition designers, graphic designers and other designers may be needed to shape the
exhibition space and give form to the editorial content.

Commercial exhibitions

Commercial exhibitions, generally called trade fairs, trade shows or expos, are usually organized so
that organizations in a specific interest or industry can showcase and demonstrate their latest
products, service, study activities of rivals and examine recent trends and opportunities. Some trade
fairs are open to the public, while others can only be attended by company representatives (members
of the trade) and members of the press.

Art exhibitions

Art exhibitions may present any array of artifacts from countless forms of human making: paintings,
drawings, crafts, sculpture, video installations, sound installations, performances, interactive art, etc.
Art exhibitions may focus on one artist, one group, one genre, one theme or one collection; or may
be organized by curators, selected by juries, or show any artwork submitted.
Fine arts exhibitions typically highlight works of art with generous space and lighting, supplying
information through labels or audioguides designed to be unobtrusive to the art itself.
Exhibitions may occur in series or periodically, as in the case with Biennales, triennials and
quadrennials.

Interpretive exhibitions are exhibitions that require more context to explain the items being
displayed. This is generally true of exhibitions devoted to scientific and historical themes, where
text, dioramas, charts, maps and interactive displays may provide necessary explanation of
background and concepts. Interpretive exhibitions generally require more text and more graphics
than fine art exhibitions do.
The topics of interpretive graphics cover a wide range including archaeology, anthropology,
ethnology, history, science, technology and natural history. Examples of such exhibitions may be
found at the Natural History Museum, museums of the Smithsonian Institution, the American
Museum of Natural History and the Field Museum to name a few of the largest museums of this
kind.

EXHIBITION ASSOCIATION:
1. INDIAN EXHIBITION INDUSTRIES ASSOCIATION (IEIA)

This association brings together all the exhibition organizers, managers,


designers and stand contractors, freight forwarders, services and facilities
providers, venue owners etc. so that there is a common platform available to
the entire industry to consider ways and means for the sound and scientific
development of various facts of the industry. This Association represents the
entire country and all segments related to the exhibition industry.

PRIMARY DATA:Area of interest of my project is commercial exhibition. For information


regarding my projectI visited four exhibition places which are regular venue for
conducting exhibitions across Delhi & NCR.

Information obtained from visiting these venue is stated in brief below:

ITPO (INDIA TRADE PROMOTION ORGANISATION)

Established In 01/01/1992
Centre PragatiMaidaan.
Branches in India: Bangalore, Chennai, Mumbai and Kolkata.
Branches outside India: New York, Frankfurt, Tokyo and Moscow.
Services provided: Bare space:
In bare space scheme only space is provided without any construction over it.
Company has to build their stall as per requirement. In bare space facility
minimum booking space is 36 sq. Meters. Organization has its own layout plan
in which interior design is required to be submitted to architect unit of ITPO for
approval prior to commencement of construction.
Space is provided 48 hours before inauguration of exhibitions and will have to
leave in 24 hours after completion of exhibition.

Shell scheme (Built-up booth)


Under this scheme a minimum of 9 sq. Meters is provided to participant and for
more space it is provided in multiple of 9. In Space booking under shell scheme,
a constructed booth with partition panels, floor covering, one table and two
chairs, five spot lights, one plug and one waste paper basket is provided to the
exhibitors.
Space provided 24 hour before inauguration of exhibitions and will have to
leave in 24 hour after completion of exhibition.

Space allocation is done by ITPO on first-come-first-served basis on receipt of

charges, is required to be made two months prior to commencement of the
event or failing which the space earmarked will be allotted to other potential
exhibitors
ITPO is active in conducting 3 forms of exhibitions.
A. Overseas (own & participators):ITPO conducts exhibitions overseas. It exhibits its own product as well as
product of other agencies which shows willingness to participate.
It doesnt give services such as securities and logistics to other agencies but
provides services of C & F agents both at the time of departure from country as
well as at the time of receiving it abroad.
B. Domestic(own):Domestic exhibitions is Organized by ITPO in India at its various branches.
C. Domestic(organized by others):ITPO provides space and facilities to organizers of such exhibitions.
Some other points:
Exhibitions may be Business to Business or Business to Customers..
ITPO doesnt provide accommodation facility but it provides transport services
from ware houses or hotel to place of exhibitions.

ITPO doesnt provide any logistic service but it suggests when asked by
organizers or exhibitors. ITPO Provides security when asked by taking charges.

ITPO has its own construction and decoration (C & D) agents who looks
entire shell schemes. ITPO doesnt needs any other event management
company for construction of stalls and booths.
2. NSIC (National small industries corporation)
Location : - Okhla, New Delhi.
NSIC got MOU Excellence certificate 2007-08 for excellence in the
achievement of MOU target by department of public enterprises, ministry
of heavy industries & public enterprise, govt. of India.
It gives facilities of Business to business exhibitions. It books order at
exhibition place and delivers it later.
NSIC Provides bare space to third party. Dont provide security or logistic
or decoration to third party.
When organize exhibition for its own, in that case shell scheme & does
tendering for event Management Company, logistic services and entire
security.

EXPO MART has its own 1800 show room.

Expo mart provides Business to Business facilities because main customers are
from foreign and they dont want to buy products here because of legal issues.
So, they book their orders and they got their delivery as they require.
Due to upcoming common-wealth games and off-season for exhibitions
there was not many exhibitions conducted during my project period. Due
to beginning of new academic season only some exhibitions regarding
education took places and I visited three of them for my survey and
information purpose.

The operational aspect of the organization was observed to have an insight about the operation. The
working mechanism was pen down.
Personal Interview MethodSome officials of the organization were interviewed to understand the operation of distribution. This
was conducted without the help of any questionnaire. The objective was to draw a general
understanding about the operation. This technique helped to clear doubts arising due to observation
method.
Questionnaire methodOne set of questionnaire was prepared to survey the prospect of exhibition logistic services
personally or via telephone. Same questionnaire was created with Google documents to know the
response of exhibitors via Email.

Secondary data
Secondary data was collected from the organization itself.

Project: Study on scope of exhibition logistics in India


I collected database of the exhibitors and event management companies form ITPO and other
organisation. Safexpress also provided directories of exhibitions conducted across the India. I also
went through websites to generate database for more companies. It contained names, contact
numbers and email ids, and the exhibition they participated and also participating. I visited
exhibitions which were going on to get response from customers. Since I also had to use e-mail
questionnaire as my research tool,so I mailed my questionnaire to mail ids collected. I also used
telephonic interviews to generate responses from the customers. The project was done into
following steps:

1. Data of all exhibitors were collected from the event management company, website and
Safexpress.
2. Email ids and contact no. of exhibitors were available in these directories.
3. Questionnaire form onexhibition logistics as designed as a form on GOOGLE DOCUMENTS
and the form was mailed to the customers.
4. Customers who didnt respond were sent a request mail after 48 hours.
5. The responses were collected in google document spreadsheet.
6. I got some responses fom exhibition I visited.
7. I also got response personally by visiting those companies of Delhi who participates in
exhibitions across India.
8. A no. of responses I collected through telephonic interviews.
9. The responses were analyzed and interpreted.

After relating both questions it can easily be observed that mainly exhibitions takes place in 45 major cities in India and most of the exhibitors takes part in only those exhibitions which
takes place in these cities. So it will be more useful to concentrate on those association and
exhibitors who works in these areas. And some of the big organizers and exhibitors who also
work in small towns and cities can be contracted and can be converted into a loyal customer of
the company.

new and unique qualities in terms of rate or quality. So usually exhibitors prefer to carry their
products with themselves or through transport from origin to exhibition place to save their
product by damage or to keep secret about the product.

their good reputation as a reliability factor.

As stated already whole business depends on the product they are going to display and
exhibitors carry it personally to keep it secure or bring it by use of transport or cargo services.
So in this question majority of exhibitors carry products physically. And some do not sale their
product in exhibition instead they use exhibition as a platform to promote the product and to
get the orders for manufacturing.

In responses majority of exhibitors states that they dont use prototype of the product which
most of the times product can be directly shown in the exhibition but if products are large

These things are most common for use in exhibitions and can be easily managed by local

These things should be handled with care so most exhibitors do not use them. Whoever uses

These things are small in size and can be easily carried personally in a bag. So, exhibitors
prefer to carry it with them. Also where there is no use of monitors and LCD there is no use of
CD so they dont need to bring it.

Majority of exhibitors take their products through transport. They get this service more easily
than others. Sometime company has their personal contract with transport companies to carry
other products of company so they take their service also at the time of exhibition. Cargo
service is not easily available in small towns.

In bringing back also majority of exhibitors prefer transport and some then leave at cities or

None of the exhibitors gets packaging support which have tie ups with exhibitions.
And majority also does not have warehousing also. So opportunity for new entrant is there to
lure exhibitors through giving these services.

Transit time is one of the most important factors exhibition has fix time to open and
exhibitors should manage to arrange their products at exhibition place by that time for which
delivery at time is very necessary.

Mostly exhibition takes place in selected cities especially metro cities i.e. Delhi, Kolkata,
Chennai and Mumbai. Some other cities like Bengaluru, Ahmedabad, Lucknow etc. are also a
prime location for conducting exhibitions. Majority of exhibitors visits those cities more
often.
Exhibitors prefer to carry products and product related things personally because of safety
and cost issues. Transport service they use doesnt gives surety of safety of products
Things like projectors and LCD screens are costly and delicate so mostly exhibitors do not
use such things and if they use them they arrange them from local city.
Most exhibitors dont have tie ups with logistics companies which is an opportunity for the
company and new entrants. Exhibitors will give priority to logistic companies over transport
services if they will provide good packaging support and surety of safety and delivery on
time.
None of the logistics company provides packaging support. In exhibitions, product is most
essential thing and for its safety a good packaging support is highly needed. So, a logistic
company should provide packaging support facility.
Exhibitors mostly use transports because they think it is easily available at any place at any
time than Logistics Company.
Exhibitors dont see Cost as important like other factors such as transit time, safety,
packaging support and reliability.
Big market players are not involved so smaller firms getting business through it. Hence, a
good opportunity for logistic companies to come in this field.

If company is reliable in sense of all documentations and can give surety about delivery on
time and keeping all promises made with client company can go for their services.
Exhibitors also face some problem of warehouse during their exhibitions. A logistic company
can provide these services to them.
Exhibitions have their pick period between October and April.

Some exhibitions have their regular exhibitors. So, attention on those particular customers
can give high benefit.

RECOMMENDATIONS
1. Overall exhibitions take place in mainly in some major cities that can be easily targeted by
Safexpress. Company has good branch support and head offices in major cities and has
network in all over India. It must be an advantage over others.
2. Exhibitors carry their products personally becausethey want to keep their product secure
so company should make good plan for security of product and it can be presented in front

of exhibitors to take them in confidence. So that they can feel it is safe to go with the
company.
3. Mostly exhibitors dont have tie ups with any logistics company. It shows they keep on
searching for new companies which can provide better service to them. The goodwill and
reputation of Safexpress can help here and by providing service to them there is
opportunity to get new contracts and tie ups with some.
4. None of the logistic companies or transport services provides packaging support so
Safexpress can provide packaging support to exhibitors. Exhibitors will definitely like to
take advantages of this service.
5. Reliability, safety and transit time are the most important factors. Safexpress should use
their good coverage over cities to get business and for providing better services. Company
should make good carry vehicle to carry delicate material and efficient employees to save
time.
6. Cost is not a matter of much importance but if Safexpress will provide them same quality
service at better rates than other companies, exhibitors will definitely move towards
Safexpress and here company will be in advantage due to large scale of economy
companys cost will be low.

7. Most of companies are only specific about exhibition logistics and exhibitors trust them
due to near contacts with exhibitors.So exhibitors should be told deeply about services
offered by company and some lucrative offers in beginning will work.
8. As Safexpress has work with some exhibitors in recent time in the field of return logistic
from exhibition to the origin. If company can work on transit time area it can give a full
service to the exhibitors. Then it can get contract of carrying their material from origin to
exhibition place also.

CONCLUSION
Safexpress is not so active in the field of exhibition logistics and it should check
its opportunity for exhibition logistics and whether the company should enter into
it or not.
According to customers response and after seeing position of the market it can be
concluded company should enter into exhibition logistics and will definitely do
better.

Company has a strong domestic market and company can take advantage of
goodwill and large network across India. It can take advantage of large scale of
economy by working all over India not only in certain regions.
One more strong point is that company already involved in return logistic of many
exhibitions. There are only some issues of operation and time sensitivity that can
be overcome by focusing on this segment by using dedicated fleet for this service.
In start, perhaps it may not give that much profit but gradually it will definitely
help company and can be a major part for companys business.

LIMITATIONS
Most of the top market players in logistics industry do not provide this facility so it was very
difficult to collect secondary data about exhibition logistics.
Due to summers and commonwealth games 2010 there were not much exhibition to visit.
To convince the people for proper interviewing was difficult.
Due to survey was conducted on phone and email also. There may be slight
miscommunication in explaining the questionnaire.
The analysis of project was based on observation and interpretation of a sample survey, hence
they could be slightly biased due to my inability to extract all possible facts despite all efforts.
