1. Introduction
The purpose of this document is to provide team members with a template to be used as
submissions for the pen assembly projects.
All team members must use this document for presenting the work. The guidelines must
also be adhered to. Work will not be accepted in any other format. With 100 pages of work
from 16 different team members it is the only way to ensure that the final document is in any
way consistent. Please do not modify any of the styles.
Please read the requirements carefully and check your work to ensure that it is as required.
Apologies if this document is covering material you already know but I need to ensure that
everybody is coming at this from the same place.

2. Using Styles in MS Word


Styles are used for chapter headings, section headings, sub-section headings and minor
headings. Figure 1 shows the location of the gallery of styles located on the right hand side of
the home tab.

3. Chapter Heading
Chapter headings are used when a new topic is started. A chapter is a standalone section. It
can have many sub sections, or layers as shown below.

3.1.Section Heading
Section headings are used within chapters, if the larger chapter topic has more than one subtopic then you need section headings.
3.1.1. Sub-Section
Sub-section headings are used within section headings when you have more than one subtopic to discuss within your section heading.
3.1.1.1. Minor Heading

Minor headings are used when you have more than one sub-topic within your sub-section.

3.2. Selecting a Section Headings


To select a section heading, move the cursor to a new line and select the Chapter Heading
from the styles gallery as shown in Figure 2. The same method is used to select sub-sections
and minor headings.

4. Inserting Images, Tables, Equations and References


4.1. Most Important Consideration
The most important things to remember about inserting images/figures, tables, equations and
references are:

Always refer to the image etc. before it appears in the document.


Always centre and caption the image.
Reference the image if required. Use cross-references.

4.2. Inserting Images/Figures etc.


You must insert the image first. Then caption the image. Then use the cross referencing
function to refer to the image. This same method can be used for captioning/referring to
tables and equations. Make sure the image you insert is not imbedded, go to preferences, then
view and make sure the box that says object anchor is not ticked.
4.2.1. Why use Cross-Referencing?
By inserting images this way MS word can automatically update figures and tables etc.
wherever they are referred to in the entire document. And can also insert an automatic table
of figures when required. You must be careful if you delete an image you must caption and
cross-reference it again from the beginning.

4.2.2. Insert, Caption and Cross-Reference the Image


Go to a new line and insert the image where you require it in the document,

Right click,
Insert image.
Centre and crop the image

As show in Figure 3. Please do not anchor the image as it can cause problems with the
document formatting.

Once the image has been inserted

right click
select insert caption

As can be seen in Figure 4.

Then from the pop up box (Figure 5)

write the caption


ensure the label is correct (figure, table, equation etc.)
position the caption below the selected item
click OK.

Then go to the text above your image (remember that you must refer to the image before it
appears in the document).

Go to the references tab


select the cross-reference function (Figure 6).

When you click cross-reference select figure from the drop down menu (N.B. you can also
select table, equation etc. from the drop down menu). Make sure that only label and number
is selected from the other drop down menu, and select the caption that you inserted into the
image you are referring to.

The pop up box for cross-referencing can be seen in Figure 6.

5. Using the Reference Manager in MS Word


5.1. Automatic Referencing
MS word has an inbuilt function to help you to manage your references. The advantage is that
it will Automatically use the Harvard Referencing System for you. It will insert a
bibliography for you and ensure that your formatting is correct. For this document it will
automatically update everybodys references and organise the numbers into the correct
sequence. This will save me days of work and is extremely important that everybody uses this
function.

5.2. Using the Function


When you want to reference something

go to the references tab,


click manage sources (Figure 7).
Everybody use IEEE Reference order and not ISO 690 or any other style.

The source manager (Figure 8) will appear

select new.

A new window will appear (Figure 9),

select the type of source (book, website etc.)


populate as many of the fields as you can
click OK.

Note how the new source will appear in the source manager (Figure 10).

To insert the citation

click the insert citation function in the references tab


select your reference from the dropdown menu (Figure 11). The reference will appear
in brackets in the format you have set.
Everybody use IEEE Reference order. If anybody is using a mac you can download it
from Bibword and a YouTube video will tell you how to install it. If you are having
any trouble, ask me.

6. Other Features
All of the cross-referenced appears as hyperlinks in the text. If you place the cursor over the
link and press control-click it will bring you to the image or the reference in the bibliography.
To insert a table of figures, tables or equations go to the reference tab and;

click insert table of figures (Figure 12). A window will appear (Figure 13) change
between table of figures, table or equations as required.

7. Inserting the Bibliography


To insert a bibliography;

Place the courser wherever you want the bibliography to appear.


Go to the references tab
click the bibliography dropdown menu
select insert bibliography as shown in Figure 14.
