patience while walking me through the very basics of SAP. I appreciate Mr.

Executive Summary
By the grace of almighty Allah, I have successfully completed my 8 weeks
internship. I was appointed at PTCL Headquarter Islamabad Sector G-8/4. I
feel myself lucky to have worked with such a cooperative, dedicated, resultoriented team. They all helped me in every possible way they can. I was
happened to work in Accounts department.
PTCL is the largest telecommunications provider in Pakistan. PTCL also
continues to be the largest CDMA operator in the country. It has the potential
to be an instrumental agent in Pakistans economic growth. However they
have enjoyed huge market despite tough competition. However, the
competitors have responded with wide range of products and lower price.
Therefore, PTCL have planned to compete their competitors by offering more
products to customers. In order to compete and streamline their operations,
PTCL have decided to implement SAP software system. PTCL have
implemented 6 modules of SAP system. The modules are: Human Resource
Management (SAP HRM), also known as Human Resource (HR),Product
Planning (SAP PP),Material Management (SAP MM),Sales and Distribution
(SAP SD), Financial Accounting and Controlling (SAP FICO),Quality
Management (SAP QM).PTCL has high hopes of their SAP software system.
Whether their SAP implementation will be successful or not, it will be seen in
future.

Chapter 1:
Introduction

1.1 Background and Purpose


Internships are short-term work experiences that allow you to observe and
participate in professional work environments and explore how your interests
relate to possible careers. They are important learning opportunities that can
help you make informed decisions about your career path. More specifically,
doing internships is beneficial because they provide the opportunity to get
an inside view of an industry and organization/company, gain valuable skills
and knowledge, make professional connections and enhance your network,
get experience in a field to allow you to make a career transition
It was an academic requirement to undergo an internship for 6 weeks in any
reputable organization to test and practice the concepts that I have learnt in
my courses of BBA. I carried out an internship in PTCL. I explained my
internship approaches in this report.

1.2 Scope of the Report


This report is made only for academic purpose and to fulfill the requirement
for internship. This report has covered the direct and indirect aspects of SAP
software system, including the benefits and challenges. In addition, the
report is focused only on PTCL and the modules of SAP which I had learned.
Any more modules of SAP implementation that take place at PTCL has not
been included in this report.

Chapter 2: The
Organization

2.1 An Overview of PTCL


Pakistan Telecommunication Company Limited (PTCL) is the largest
telecommunication company in Pakistan. PTCL provides telephonic services
to the nation and is the backbone for country's telecommunication
infrastructure. The company consists of around 2000 telephone exchanges
across Pakistan. They provide the largest fixed line (land-line) network,
currently having 4.8 million fixed line customers. GSM, CDMA and Internet
are other services of PTCL. The Government of Pakistan sold 26% shares and
control of the company to Etisalat (U.A.E's telecom company) in 2006. The
Government of Pakistan retained 62% of the shares while the remaining 12%
are with the general public. PTCL also provides Wireless Telephonic network
by the name of 'Vfone', having 1.25 million active customers.
Ufone, which is the second largest cellular network in the country, is also
owned as a subsidiary of PTCL. Ufone has about 6.5 million mobile
subscribers and a market share of nearly 25% currently in Pakistan. PTCL has
the potential to be an influential means in Pakistan's economic growth. It has
laid the Optical Fiber Access Network technologies in major metropolitan
cities of Pakistan.

PTCL is offering convenient bill payment solutions to its customers. Steps taken in
this direction so far include:
Online Bill Payment Facility:
PTCL customers can avail Online Bill Payment facilities with concurrent updating of
their accounts and automatic restoration of suspended lines. Below is the list of
Online/ Real Time Bill Payment options available now:
One Stop Shop (PTCL Centers)
PTCL service centers One Stop Shops facilitate subscribers for payment of bills
and recharge of balance/upload for PTCL pre-paid services. Payments through cash,

credit/ debit card, local cheque, demand draft or pay order for PTCL services can be
made at your nearest OSS.
Ufone Service centers and Franchises
PTCL customers can also avail the facility to pay their PTCL bills at any Ufone outlets
including Ufone franchise, UShop and Service Centers
Public Cash Payment Machines (PCPMs)
A facility for customers to pay their bills themselves without involvement of any
cashier.

UNIVERSAL ACCESS NUMBER (UAN)


PTCLs Universal Access Number (UAN) service is specially designed to cater
for such diversified needs of organizations and groups. Through our UAN
service, the customer can subscribe and have different telephone lines in
different places. These lines can be accessed via single unique Universal
telephone number. The system will translate the UAN number to a specified
corresponding Public Switched Telephone Network (PSTN) number according
to the area of caller & calling time to connect call accordingly.
If an enterprise subscribes to our UAN service, the customer in different
places will be able to contact the branch office of enterprise or the company
group nearest to him by simply dialing the universal number. For customers
who have various offices in different periods of time, they can easily specify
different routes for incoming calls which will greatly facilitate timely solution
for customers.

simple number.

A quick and easy access to make queries and complaints that


increases customer satisfaction.

Consumers are increasingly aware of the benefits of doing business by


phone because it is time saving and both convenient and cost-saving.

UNIVERSAL INTERNET NUMBER (UIN)


131 numbering scheme for Internet Service Providers, represents exclusive
code assigned to each ISP. Functioning just like UAN-0800 toll-free service,

UIN involves allocation of numbers to individual ISPs who are licensed by


PTA. This service functions under a single-metering billing system with the
promise of rich dividends in terms of customer care. The benefit of the
service of course, goes to the end-users, who happen to be any ISP
customers. Once subscribed, the service means your customers pay for a
single call irrespective of its duration.

VPN SERVICE
PTCL Business VPN is powered by broadband technology and state of art Network &
Telecom infrastructure. Broadband technology carries high bandwidth information to
your premises over ordinary copper telephone lines whereas latest Network and
telecom infrastructure. What it means is a much faster, smoother and secure
connection. This keeps all your branches connected to main office over a secure
virtual tunnel created on Private IPs DSL as last mile.

CUSTOMER SERVICE CENTRE


The customer service centers have been designed to serve as a one window
operation for the general public so that they can have their queries answered and
complaints redressed immediately. The Customer care centers are established in
major cities of Pakistan, Islamabad, Lahore, Karachi etc... These centres are fully
equipped to provide all telecommunication related information and services to its
customers. These centers are connected with their respective regional headquarters
and their computer and data network. The customer services centre are providing

I.SERVICE IMPROVEMENT
By digitalization of its network PTCL has further improved its quality of
service. There have been a reduced number of complaints like dropped calls,
cross talk, and wrong dialing.
II. NETWORK GROWTH
During the year 2003-2004 there has been a 7% increase in installed
capacity and a 12% increase in working connections, also during the year,
106 new NWD stations were added and the optical fiber network increased
from 6,879 km to 7,959 km. the overall fixed line teledensity increased from
2.8% to 3.0%.
III. INTERNATIONAL TELECOMMUNICATION
After signed bilateral agreements with the existing and new international
carriers there were almost more than 4000 International Circuits were added
in the International Gateway exchanges.

2.4 Organizational Structure of Ptcl


To achieve the mission and objectives in a competitive manner, any
organization should employ experienced and talented human resources so
that the task can be fulfilled accurately and effectively. An experienced, welleducated and enterprising workforce is needed for the continued growth and
progress of any organization. The organizational chart of PTCL has shown in
figure 1.

2.5 Departments of PTCL


Every organization is divided into deferent departments. Each department
performs different kind of jobs and requires staff with specialized skills to
handle particular job. This increases the efficiency of workers and
productivity of company.
The PTCL Head Quarters is comprised of several departments. The division is
made on the basis of function they perform. Hence it can be concluded that
PTCL has adopted the policy of functional departmentalization. The main
departments of PTCL are mentioned below.

Human Resource Department:


The main purpose of human resource management is to accomplish
the organizational goals. Therefore, the resources are mobilized to
achieve such goals. PTCL is engaging a substantial number of experts
and specialists of standing caliber in different spheres of profession.

Operational Department:

Manages operations of PTCL HQ, with regional offices, branches, and,


subsidiaries as well as with other corporations.

I.T Department:

IT department builds, manage and maintain PTCL IT Infrastructure also


ensures the availability and the stability of the IT systems and
solution.IT department is responsible for the implementation of SLA
with other departments.

Finance Department:
This department is divided into following three sub-sections
1. Finance
2. Accounts
3. Revenue
The Finance Wing deals with the revenue matters of the company &
the Accounts Wing is responsible for proper book-keeping of the
financial transactions, commercial audit & preparation of periodic
accounts of the company.

Technical Department:
This department is engaged in the management and control of
technical aspects of the company, e.g. technical manpower, technical
training, technical equipment, etc.

Corporate Development Department:


This department deal corporate level issues such as PTA, International
Telecom Union, Legal and Regulatory affairs etc.

Special Projects Department:

This department is doing their activities on behalf of president.

Marketing Department:

Marketing department perform the function like marketing strategy,


Advertisement and announcement of new services.

3.1 An Overview of Internship


My internship experience PTCL started at their Head Office, located at BlockE, G-8/4, Islamabad. I started my internship from 10, August 2016 and ended
on 3rd October 2016. In addition, I was attached to the Accounts section and
worked in ERP finance. At there I have worked on many assignments. As time
passed on my relationship with the officials and other interns became
deeper. I can confidently say that I tried to become a professional,
hardworking, responsible, honest and amiable person at my workplace.
Finally, the officials complimented me upon completing the internship and it
made me feel that as an intern I am successful.

Experience

3.2 General Office Responsibility


From time to time, the senior manager would give me some work like to
arrange many documents together, to photocopy documents and arrange
them in order, arrange different forms together and send them where
needed. So, I did perform the general tasks quite well and were
complimented by the senior manager.

Chapter 4: An
Overview of SAP
Software System

4.1 What is SAP?

SAP is a German company that develops business software and it


started its operations in 1972. It is the worlds largest vendor of
standard application software, the third largest software vendor in the
world, and one of the market leaders in enterprise applications
software.
ERP stands for Enterprise Resource Planning, and the term is used to
describe an integrated software solution that incorporates the key
business functions of an organization.
SAP ERP consists of several modules including utilities for marketing
and sales, field service, product design and development, production
and inventory control, human resources, finance and accounting.
SAP ERP collects and combines data from the separate modules to
provide the company or organization with enterprise resource
planning.
Although there can be major benefits for customers of SAP ERP, the
implementation and training costs are expensive. Many companies
experience problems when implementing SAP ERP software, such as:
failing to specify their operation objectives, absence of a strong
commitment or positive approach to change, failing to deal with
organizational differences, failing to plan the change to SAP ERP
properly, inadequate testing.
If SAP ERP is implemented correctly, an enterprise can go from its old
calculations system to a fully integrated software package. Potential
benefits include efficient business process, inventory reduction, and
lead time reduction.

5.1 Activities Performed


As I describe earlier that I worked in ERP finance department and I also
briefly discussed about SAP. So there are 3 servers at the back end of the
SAP.
1. Development Server (100, 200, 300)
2. Quality Server (600, 790)
3. Production Server (700, 800)
In Development the configurations & coding done here.
In quality server where the core team members and other members
test the customization.
Production is the live client- day to day transactions are performed
here.
I worked in quality and production only.

5.2 Types of Data


There are two types of data in SAP.

Master Data
Data that is created centrally and it is valid for all applications. It remains
constant over the time but we need to update it on regular basis. For
Example: Vendor is a type of master data that is used for creating purchase
orders or contracts.

In this Report I am covering my topics which I learned.

5.4 Duplication
Its important to check duplication in order to avoided and save data twice.
Duplication can be check by using the key Fk03. There are two ways to check
the duplication.
1. FTN/NTN number of Vendor company
2. Name & CNIC No. of vendor

Search Term 1:
Enter DDO code number.

Search Term 2:

Enter NTN/FTN (National Tax Number/Free Tax Number.

5.5 Creation of Vendor

Vendor can be created by following the below steps: On SAP Menu screen select create

Fill in all required details like company code, purchasing org, vendor
no, PTCL Company Code is 1100.

Fill in all details of vendors address like street name, postal code,
country.

Create vendor control screen will appear, fill the necessary fields on
this screen, these are:
1. Tax 1(CNIC)
2. Tax 3 (sales tax number or -)
3. Tax 4 (Passport Number)

Fill in the necessary bank details of vendor.

Fill in the necessary accounting information of the vendor.

Fill in the terms of payment that are defined between company and
vendor. Click on save. A new vendor master will be created.

5.6 Parking & Posting

SAP has provided Park Facility for the document which allows the user
to save the document but the amount is not posted in the G/L Accounts
.The document can be later reviewed by High Authority Personnel who
has appropriate posting amount authorization. Once approved, the
document is posted in G/L Accounts.

Enter Transaction Code FB50 or FV50 for G/L Account Posting in SAP
Command Field.

In the next screen , Enter the following


1. Enter Document Date
2. Enter G/L Account to be Credited
3. Enter Credit Amount
4. Enter G/L Account to be Debited
5. Enter Debit Amount
6. Enter text, tax code & cost center

Check the status for the Park Document Number.

When these changes are finished and logged, you can post the parked
document.
Enter Transaction code F-53 in the SAP command Field

In the next screen , Enter the Following


1. Document Date
2. Doc.Header text
3. Enter the Account, amount & text in Bank data options
4. In open item selection we have to enter vendor code in account
5. Enter the profit center which is 1901 and then press enter.

In the next screen, post outgoing payment process open items will
appear select the amount and then click on overview the document
which is shown in black circle

In the next screen , Check the Document

And finally enter * in amount the original amount will appear and if u
select two or more amounts then total of those amounts will appear.
Check the status for the Park Document Number.
When parking and posting is done then we have to push the
document.

In final step save the record.
Customer will be created with Customer number.

5.8 Parking and Posting of customer

Enter Transaction Code FV70


In the next screen , Enter the following
I. Enter Customer vendor code number
II.
Enter G/L Account
III. Enter Amount
IV.
Enter text, tax code & Profit center

Check the status for the Park Document Number.


When these changes are finished and logged, you can post the parked
document.
Enter Transaction code F-28 in the SAP command Field
In the next screen , Enter the Following
I. Document Date
II.
Doc.Header text
III. Enter the Account, amount & text in Bank data options
IV.
In open item selection we have to enter vendor code in account
V.
Enter the profit center which is 1901 and then press enter

In the next screen, post incoming payment process open items will
appear select the amount and then click on overview the document.

In the next screen , Check the Document


And finally enter * in amount the original amount will appear and if u
select two or more amounts then total of those amounts will appear.
Check the status for the Park Document Number.
When parking and posting is done then we have to push the document.

Following are some account types used in SAP:

Assets is denoted by A.
Customer is denoted by D.
GL is denoted by S.
Materials is denoted by M.
Vendor is denoted by K.

FK01 is for create vendor master data.


FK02 is for change vendor master data.

FK05 is for block or unblock vendor master data.
FV60 is for Park Incoming Invoice.

Second Important thing is Transaction Codes or T-codes:

F-53 is for Manual Outgoing Payment.


FBV0 is for Post Parked Document.
FB02 is for Change Document.
FB03 is for display document.
FB08 is for reversal of open item.
FBRA is for reversal of cleared items.
FBZ5 is for Printing.
FBL1N is for Vendor Line Items.
FK10N is for Vendor Account Balance.
FD01 is for create customer master data.
FD05 is for Blocking Customer master data.
F.07 is for Balance Carry Forward.
F-29 is for Down Payment.
F-39 is for Clearing Down Payment.
F-28 is for Post Incoming Payment.
FB70 is for Customer Invoice.
FV70 is for Park Customer Invoice.

Always remember in any module:


The Transaction Code (T-Code) having:
1 represents Creation.
2 represents Change.
3 represents Display.
5 represents Block/Unblock.
6 represents Mark for Deletion.

Third thing is Document Type:

A' Document type' is a 2-digit alpha key that identifies the nature of a
document in SAP with respect to its relevance to GL, Customer, Vendor,
Assets, inventory account etc. Document type is used as one of the tools for
establishing system based controls in posting of certain transactions in GLs
and helps users in understanding the information system more effectively.
List of some Important Documents:
KZ is used to Vendor Posting Payment.
KR is used for all Vendors' invoices.
KA is used for Posting Vendor Adjustment.
DR is used for Customer invoices.
DZ is used for Posting Customer Collection.
DA is used for all types of adjustments related to customers.

Fourth Thing is posting Key:

A 'Posting Key' in SAP is a 2-digit numeric key that controls the debits and
credits to be posted to head of account in line items of financial document .
Posting key is basic tool that is used to control financial posting of accounting

transactions on debit or credit side of a General Ledger account. lt also


specifies the nature of the transaction account that affects GL account,
Customer account, Vendor account etc.
Posting key '40' is used for all General Ledger debit entries.
Posting key '50' is used for all General Ledger credit entries.
Posting key'26' is used for debit vendor's payment difference.
Posting key'27' is used for clearing debit vendor.
Posting key'29' is for special GL indicator.

5.9 Conclusions
I have completed my internship with PTCL for about 8 weeks. During this
period I have gained a lot of knowledge and practical experience. I have
practically realized the importance of individual/practical work. During my
internship period I have conclude following these things:

PTCL management should give more emphasis towards customer


satisfaction, delight and retention.
PTCL should make Customer Care Centers in remote areas.
Employees at PTCL are quite efficient. Its employees have to bring their
org among the list of good. Therefore, they work more than their
working hours and it is all according to their will. It also shows their
loyalty, commitment to organization.
In PTCL, all the work is done on laptop & computers. All the entries are
made in computer. Balance is fed into the computer. This increases
efficiency of the org.
PTCL has implemented SAP to differentiate itself from the competitors,
bring new products to the consumers. With the new system, initially
employees will face some problems but soon will be able to adapt to
the changes and as a result, the employees will become more efficient.

During my internship training I gathered information regarding how a


successful or operational aspect decorticated with the practical. I found
my internship training at PTCL to be a very rewarding experience. The
training was beneficial because it helpful me to aware a real life working
environment. I feel pleasure that I have really gained a lot during 6 weeks
and enjoyed working with experienced, corporative and intelligent staff.
