CHARACTERISTICS
1. Correctness a business letter should be
correct as to the facts given.
2. Clearness the business letter is easily
understood. Use simple, exact language.
3. Conciseness art of saying a thing in as few
words as possible.
4. Order essential characteristic of a letter is to
have a logical organization.
5. Unity no letter should deal with two unrelated
subjects.
6. Courtesy expressing friendliness and goodbreeding.

7. Character, Personality & Style encourages


freshness and originality as well as adding personal
touch.
8. Tone a letter should not be read as pompous,
sarcastic or humble tone.

TYPES
Sales Letters start off with a very strong statement
to capture the interest of the reader.
Order Letters are sent by consumers to a
manufacturer to order goods or services.
Complaint Letters words and tone may be the
deciding factor on whether the complaint is satisfied.
Adjustment Letters normally sent in response to a
claim or complaint.
Inquiry Letters ask a question or elicit information
from the recipient.
Follow-up Letters usually sent after some type of
initial communication.

Letters of Recommendation is usually from a


previous employer and it describes the senders
relationship and opinion of the job seeker.
Acknowledgment Letters act as simple receipts.
Cover Letters usually accompany a package,
report or other merchandise to describe what is
enclosed.
Letters of Resignation when an employee plans
to leave the job, this letter is used.
