Question 1
As a consultant monitoring this problem the solutions I will propose to Dan
are:
Creating a plan: This is vital to the project's success also mostly regarded
as the most significant phase in project management this will help Dan
establish the aims and objectives, scope, of the project, also it will in the
drawing out the procedures, roles and responsibilities, tasks which will helps
to ease the major drawbacks that will lead to project failure
Setting goals and objectives of the project: this also is a vital step
because it defines Dans target and also offer a road map for getting there.
A work breakdown structure that establishes the deliverables that
are associated with this project which helps in the following areas:

Costs: The measurable nature of the WBS enables Dan to assign


definite costs to each task. It enables Dan to allocate the project
budget into clear packages which are linked to the tasks to enable him
make sure that each task costs in total does not go beyond the total
project cost

Tasks: The WBS will reduce the projects complex activities to a group
of tasks. Which is very important for Dan because he will be able to
monitor the tasks more efficiently than the multifarious activities. This
also helps the tasks to be assessable and independent, with a clearly
distinct limits.
Scope: It helps Dan define the of the project scope by highlighting
individual tasks which make up the project which the project team will
complete without any additional work.

Schedule: The WBS helps him in tracking the progress of the project
schedule. Since the WBS tasks have obviously defined limits, Dan can
know how complex the project is by examining which of the tasks are
completed.

Responsibility: This will Help Dan assigns responsibility for each of


the tasks to ensure each task is completed with the full scope of the
project within a stipulated time, on budget and with all of its intended
functionality intact.
A monitoring and control process: this will provide Dan the opportunity
and tools to recognise variances in the project early so that the corrective
measure can be taken earlier to meet the general project goals and
objectives this process may include one or more of the followings quality
management status reports, risk and issues management, communication
plan, scope or change management and also expense and time recording.
Creating a checklist: This to ensure no stone is left unturned and all parts
of the project are completed
Dans management style as highly contributed to the problem with the
projects running past their budgets and initial schedules, more than 100%
and Dan does not have a clear sense of the status of the project in his
department
Question 2.
My suggestion to the team leader will be to collect the weekly progress
report from each team which will enable them ensure monitoring and control
during the project execution lifecycle, determine the completed parts of the
project, track the resources usage, determine if what is been completed is in
line with the scope and if the objective of the project is been attained or
accomplished. Doing this they can give a detailed feedback on the progress
of the project
Question 3.
Hard data incorporate and build the project procedure which empowers
organizations to swiftly understand how the work and resources align with
project goals while the Managerial information offers visibility and an integral
governance procedure into projects by way of handling project efficiency
thus creating transparency for different roles in an organization. This two will
create an all-inclusive view into how resources and time is being spent or
distributed, which will have an improvement on the control process
throughout the ongoing projects lifecycle.
