Through the Computerized Sales and Inventory System for School

Supplies of Cainta Catholic College, the manual reports will be removed since the

system will have a database of the files.

Sales and Inventory is a confidential matter in school supplies records and

so the system provides login security that will trap authorized persons in opening

these confidential files.

Chapter 1

PROBLEM AND ITS BACKGROUND

INTRODUCTION

In today's business environment, even small and mid-sized businesses have

come to rely on computerized inventory systems. There are some other businesses

that continue to rely on manual means for inventory tracking. The recent

development of powerful computer programs capable of addressing a wide variety

C A I N T A C A T H O L I C C O L L E G E

of record keeping needs including inventory management in one integrated system

have also contributed to the growing popularity of electronic inventory control

options.

Inventory is basically the total amount of goods and materials held in stock

by a factory, store and other business. An inventory system is a process whereby a

business keeps track of the goods and material it has available. In its simplest

sense it can be done manually by a count at the end of each day. In this way it is

possible to keep a record of the goods coming in to the business and goods being

sold.

Technology comes from the collective ideas by the expert`s

recommendations, Information system are collection of procedures, program,

equipment methods that process data of make it useful to management for

decision-making.

The aim of this study is to computerized the manual inventory system of

school supplies in Cainta Catholic College because there are problems that have

been observed in the manual system. The manual system uses a lot of time in

processing a transaction. Storing of file transactions in a file cabinet is prone to data

lost and unauthorized personnel may access it without the permission from the

admin. Every transaction in the manual system may sometimes be inaccurate

because of human errors. Because of these, the researchers proposed a

computerized inventory system to answer the problems that the manual system is

facing.
C A I N T A C A T H O L I C C O L L E G E

BACKGROUND OF THE STUDY

Since manual inventory of Cainta Catholic College consumes a lot of time it

may cause of misplacing the important file, it will be better if we use the

computerized transactions to updating the inventory database. By using this system

result the time can be used in more productive activities. The accuracy of the

current system will also be improved.

Computerized Sales and Inventory System for School Supplies of Cainta

Catholic College uses the modern development of technology.

Inventory System represents modern processing the way it transact your

product. The system will also provide the owner and the employees faster recoding

of transactions and counting of their supplies. It will also offer a much efficient and

reliable system that can record their transactions digitally. Since they are using

manual recording, the said system will of great help to them. In business

transaction, time is very important, having the traditional way of computing and

recording would take time, and the purpose of this system is to lessen this time and

spend it in much more important matters.

Also this study is based and focuses not only on the process of inventory

system for the school supplies of Cainta Catholic College but also in other

information about the school.

This is also aiming an effective means of processing information and

retrieving data aside from being orderly used in almost all aspects in our daily lives.
C A I N T A C A T H O L I C C O L L E G E

This Visual Basic Studio and database management system will serve as a

powerful tool in keeping and analyzing our records. And also this language is very

effective, easy to use and friendly any one can adapt to this system.

THEORETICAL FRAMEWORK

Theoretically, the main purpose of the system is to create an efficient, fast

and reliable Inventory System for School Supplies in Cainta Catholic College.

In this study, the software that is being used database management system

and Visual Basic Studio is window based programming language. It is the simplest

and the easiest way to create an application in Microsoft Windows.

According to Bonnie Conrad (2003), No matter the nature of your business,

you need to keep track of the products your firm has on hand. Keeping an accurate

inventory is critical to lowering costs and providing a more streamlined operation.

As a business owner, you can rely on traditional hand counting methods or institute

some form of computerized inventory control. Both approaches have their benefits

and drawbacks, and it is important to weigh the relative advantages carefully.

Speed and Efficiency

A computerized inventory management system makes everything from inputting

information to taking inventory easier. Doing a hand count of inventory can take

days, but with a computerized inventory management system, the same process

can be done in a matter of hours.

C A I N T A C A T H O L I C C O L L E G E

Document Generation

Once the computerized inventory management system is in place, managers and

workers can use it to automatically generate all kinds of documents, from purchase

orders and checks to invoices and account statements. Managers can also use the

system to automatically order products when they run low.

Timely Data

With a manual system, the data is only as accurate and up to date as the last hand

count. With a computerized inventory management system, the management team

can pull a report and instantly see how many units are on the floor, how many have

sold and which products are selling the fastest.

Reliance on Technology

With a computerized inventory management system, the company is at the mercy

of its technology. Outside factors like a power failure or the loss of Internet or

network connectivity can render the system temporarily useless.

Accuracy Issues

A computerized system alone does not ensure accuracy, and the inventory data is

only as good as the data entry that created it. Companies that plan to use a

computerized inventory management system need to have a system in place to

C A I N T A C A T H O L I C C O L L E G E

validate their data and check the numbers reported by the system. A select hand

count or targeted audit may be necessary to ensure the integrity of the system.

Risk of Fraud

Any computerized system carries the risk of intrusion, and with a computerized

inventory management system comes the risk of fraud as well. A dishonest vendor

could hack the system to receive payment for products never delivered, or a

dishonest employee could redirect checks to themselves.

STATEMENT OF THE PROBLEM

Inventory System answers the problems of the staffs in school supplies and

also the student in terms of speed, accuracy, user-friendliness and security to know

about the available stocks in school supplies, the risk of having too much stock or

too little and also the maintenance of the profit if it is becoming higher of losing the

income. The present school supplies system of Cainta Catholic College is done

manually. Manual system of school supplies caused a lot of inaccuracy and

efficiency in processing the record and data of the supplies. Too much time and

effort are consumed and cannot give on time.

REVIEW OF RELATED LITERATURE AND STUDIES

This chapter presents a study of related literature, studies and writing

recognized expert, all of which have significant bearing or relation to the problem

that is still being conceptualized. It is already reviewing the literature in identifying

and defining the problem, to be able to show evidences that the problems really

exist and worth studying. The major cover of this study is to make the Computerized

Sales and Inventory System.

This chapter presents a brief discussion of the literature reviewed by the

researchers which further enriched the conceptualization of the study and helped in

describing the cognitive design that guided the conduct of the researcher.

Automation is a system that mechanical or electronic device that takes the place of

human labor where it makes life easier. Human intervention is less needed and is

free from human errors unlike the traditional system which is the manual system,

given the limited number of currently available resources. The student of Cainta

Catholic College is going to develop and implement an effective and appropriate

means for (Computerized Sales and Inventory System for School Supplies of

Cainta Catholic College). It is useful and beneficial for all stakeholders, students
C A I N T A C A T H O L I C C O L L E G E

and employees. Traditional method has proven insufficient in addressing the extent

of instructional delivery and course design methods.

LOCAL LITERATURE

Computer-based system is a complex system wherein information

technology plays a major role. It makes the work easier, faster and more accurate.

Due to that fact, the automated scheme has become essential to small and big

companies for they are expected to give the best services possible. Nevertheless,

some businesses still prefer sticking with the system that is not integrated with

technology. Probable causes are computer illiterate staff and lack of funds.

Companies, especially the big ones are recommended to switch from manual to

automated systems because this will improve the efficiency and productivity of the

business which will uplift the industrys reputation. One of the most sought after

automated systems of different companies is a purchasing and inventory system

which comes hand in hand. A purchasing and inventory system is very important in

every organization because a good purchase and inventory management can

create excellent productivity. Primarily, inventory work consists of input, output and

restock. Input is a process of buying new products into the inventory and replacing

the old products with the new ones. Meanwhile, output is a procedure of taking out

the products from the inventory for sales or usage and refill is a process of

increasing the number of existing products in the inventory in order to fulfill the

insufficient products or escalating demands. Most of the retailing market is using

C A I N T A C A T H O L I C C O L L E G E

traditional way in the inventory management system where a person is assigned to

check and record the stock by hand using pen and paper. It is where operations

with regards to all the stock will be archived.

Lewis (2002) stated that the reason for using computers vary from person to

person. Some of the computers in business are to perform accuracy, to be as

productivity, to decrease bottle necks or hassles to alter cash flows or to simples

elevate your status.

Businessmen do not realize that many headaches and fire drills are caused

by the lack of control and knowledge of their inventory. Whether it is a lack of

knowledge of the quantity or specifications of a certain product, businesses too

frequently use outdated inventory systems. Insufficient systems do not allow them

to get the most out of their inventory, because when used properly, inventory

management systems allow businesses to make a concise, real time analysis of

products and markets that help them make better business decisions. Inventory

management systems also allow businesses to better serve their customers since

they keep a detailed and accurate record of purchase histories and trends so they

can reorder products more efficiently. Restaurant business was primarily through

tie-ups with travel agencies, while advertising through radio was utilized only by

some establishments.

The mission of hotel and restaurant education school is to educate future

workers and leaders of the industry; however, there is a prevailing apprehension

that teachers will become too academic in their approach and lose contact with
C A I N T A C A T H O L I C C O L L E G E

reality. Thus, there is a need for schools to select faculty, students and curriculum

that produce reflective practitioners and not scholars Clark 1989.

Janes (2001) stated that computers are extremely reliable device and very

powerful calculators with some great accessories applications like word processing

problem for all of business activities, regardless of size, computers have three

advantages over other type of office equipment that process information because

computer are faster, more accurate more economical.

Reyes (2005) task would be time consuming to accomplish manually and

more practical with the aid of computers field in cabinet.

Dioso (2001) stated that computer assist careful intelligent planning,

organizing, actuating and controlling .This maybe observed from the past that they

monitor production activities, solve scientific problem and help arrive in tentative

answer to a multitude of involve conditions.

According to the article in Cleantouch Class Management System (2008) it

was stated that, to provide complete computerized operations in any school,

students can be managed through Bio-Data (GR No. Allotment), Attendance, Fees,

Examination, Leaving modules. Staff records can be computerized by Bio-Data >

Staff Salary > Leaving modules. Accounting module is integrated with all other

modules to getting rid of transaction duplication.

FOREIGN LITERATURE

According to the U.S. Small Business Administration, Inventory refers to

stocks of anything necessary to do business (U.S. Small Business Administration,

2010) The U.S. Small Business Administration publication describes what

constitutes successful inventory management balancing cost versus benefits of

inventory, including Maintaining a wide assortment without spreading the rapidly

moving items too thin, Increasing inventory turnover without sacrificing service,

Keeping stock low without sacrificing performance, Obtaining lower prices by

making volume purchases, Maintaining an adequate inventory without an excess of

absolute items.

Wal-Mart (2006) runs its stores on a perpetual inventory system. This

system records the quantity of items sold as items are purchased. The computer

system at Wal-Mart constantly keeps up with additions or deductions from inventory

and tells management what items are on hand. The organization also conducts

counts of employee manual counts of inventory periodically. When an item arrives

at the Wal-Mart distribution center it is scanned into the inventory system. When the

items are purchased by the consumer, the point-of-sale system reduces the

inventory from that purchase.

C A I N T A C A T H O L I C C O L L E G E

According to Gail Lavielle (2006), a learner inventory will help clear out

store clutter and help Wal-Mart focus on specific brands and products that

consumers want.

According to Mr. Eugene F. Brigman (2000), Fundamentals of Financial

Management, 5th ed., Companies are increasingly employing Inventory System. A

computer start with an inventory counts in memory. Withdrawals are recorded by

the computer as they are made, and the inventory balance is constantly revised.

When the recorded point is reached, the computer automatically places an order,

when this new order is received, the recorded balance is increased. Retail stores

have carried this system quite far, each item has magnetic codes, and as on item is

checked out, and it passes over an electronic reader, which then adjusts the

computers inventory balance, at the same time the price is fed to cash register

tape. When the balance drops to the recorder point, an order is place. The

researchers aim to develop an automated inventory system which is technically,

operationally, and economically, the method used by the researcher to develop an

automated inventory system is Descriptive Method. The researchers conduct

several interviews in order to gather information about the present existing

conditions of the inventory system, knowing its problems and enhancing it by

developing an automated inventory system. Questionnaires were also distributed to

all interviewees for additional information. Using the descriptive method, the

researchers also observe the functionality of the present inventory system, which

help them discover that Electronic Data Processing Is Advantageous than other.
C A I N T A C A T H O L I C C O L L E G E

Malcolm E. White Published at (2003) merchandising means selling

products to retail customers. Merchandisers, also called retailers, buy products from

wholesalers and manufacturers, add a mark-up or gross profit amount, and sell the

products to consumers at a higher price than what they paid. When somebody go to

the mall, all the stores there are retailers, and you are a retail customer. Retailers

deal with an inventory of goods (products) for sale. They account for inventory

purchases and sales in one of two ways periodic and perpetual. As the names

suggest these methods refer to how often the inventory account balances are

updated.

RESEARCH INSTRUMENT

Through the use of data gathering instruments, the researchers gathered

information needed for the study. It is important for the researchers to conduct vital

information from the respondent to assist them through the study.

1. To determine the demographic profile of the respondents in terms of

gender, age and position/course, the researchers will give out survey forms to the

respondents in terms of:

Gender

DATA GATHERING PROCEDURE

C A I N T A C A T H O L I C C O L L E G E

In this study, the researchers used instruments in data gathering procedures

such as survey/questionnaires, document review, library research, internet

research, observation method, and interview method.

Survey/Questionnaires - the researchers conduct a pre-written series of

questions used ingathering important informations from one or more persons. This

will be given to the individual who have a direct bearing of the study and in order to

satisfy the proponents goal that is to get and measure the opinions, polls and

attitude of the respondents of the study.

Interview - An Interview is defined as a meeting of two people face to face to

confer about something or an act of questioning to receive a desired answer that is

necessary in solving a specific problem. This is where data gathering occurs by

asking questions for much needed information from the interviewee verbally and

directly.

Observation - This technique is used when the researcher cannot secure

adequate or valid data through the use of the questionnaire or some other

technique.

It is considered to be the most direct means of studying people in so far as their

overt behavior is concerned. Observation of a current operating procedure is

another data gathering tool seeing the system in action gives you additional

perspective and better understanding of system procedures.

C A I N T A C A T H O L I C C O L L E G E

Document Review the researchers used a document reviewing of

important information such as internet documentation that has been an important

contribution to the making of the COMPUTERIZED SALES AND INVENTORY

SYSTEM FOR SCHOOL SUPPLIES OF CAINTA CATHOLIC COLLEGE.

Library Research Data mining with the help of the library, the researchers

will be able strengthen the foundation of the study because of the ready tabulated

sources from the library. It can provide useful resources that will be handy to the

researchers.

Internet Research the researchers used the internet to get information for

the completion of the study, it is a powerful research tool created that provides

different related literatures and studies about the study.

VALIDATION OF THE INSTRUMENT

To be able to verify the demographic profile of the respondents in terms of

gender, age and position, to recognize the rate of performance the existing

inventory system of Cainta Catholic College and to determine the significant

difference between performance of the existing and the proposed system. These

are the procedures that the researchers make:

C A I N T A C A T H O L I C C O L L E G E

1. The researchers interview all the staff of school supplies, purchasing office

and students in Cainta Catholic College.

2. The staff/students responds that our proposed system are skillful than the

existing system that they used.

STATISTICAL TREATMENT OF DATA

In getting the sample size, the researchers used the Slovins formula which

is, n = , N stands for the whole population in school supplies and purchasing office

school year 2014-2015, while e, stands for the margin of error, the researchers

used 0.01 as the margin of error. The data collected were tabulated and analyzed.

Analyses of data were guided by mean and percentage.

A. The percentage formula was used to properly present the proportion of

the respondents data the formula for the percentage is:

f
P= X 100
n

Where: n = population size

P = percentage

f = frequency

. B. The researchers used the measures of central tendency to obtain

descriptive shorthand of the entire data and describe the population where the

responses were gathered. It determined the average value of responses that that

respondents give as an answer to the survey questionnaire.

The statistical formula for the weighted mean is given by the formula:

TWF
Wm=
N

Where: Wm = Weighted Mean

TWF = Total of the Products of the Weights multiplied by their

corresponding Frequencies

N = Number of Raters or Total Frequency

C. Significant Difference

In testing the hypothesis the researchers used the t-test formula:

Formula:

Where:

xx1 = Mean of first set of values

xx2 = Mean of second set of values

S1 = Standard deviation of first set of values

S2 = Standard deviation of second set of values

N1 = Total number of values in first set

C A I N T A C A T H O L I C C O L L E G E

N2 = Total number of values in second set

The formula for standard deviation is given by:

Formula:

Where:

xx= Values given

X= Mean

n =Total number of values

D. Ranking This was used to reinforce the percentage to show the proportional

importance of an item considered.

SOFTWARE DESIGN / DEVELOPMENT TOOLS

This study used the Software and Systems Requirements Engineering

Methodology in the design and requirements definition specifications.

C A I N T A C A T H O L I C C O L L E G E

The researchers chose the (RAD) Rapid Application Development Method

because it is easy to understand, simple and easy to use. It easy to manage due to

the rigidity of the model, each phase has specific deliverables and a review

process. Phases are well-process and completed one at a time and works well for

projects where requirements are very well understood.

RAPID APPLICATION DEVELOPMENT METHOD (RAD)

Figure 2: System Development Life Cycle: RAD Model

Business Modeling: A complete business analysis is performed to find the

vital information for business, how it can be obtained, how and when the

information processed and what is are the factors driving successful flow of

information.
C A I N T A C A T H O L I C C O L L E G E

Data Modeling: The information gathered in the Business Modeling phase

is reviewed and analyzed to form sets of data objects vital for the business.

The attributes of all data sets is identified and defined.

Process Modeling: The process model for any changes or enhancements

to the data object sets is defined in this phase. Process descriptions for

adding, deleting, retrieving or modifying a data object are given.

Application Generation: The actual system is built and coding is done by

using automation tools to convert process and data models into actual

prototypes.

Testing and Turnover: all the components need to be thoroughly tested

with complete test coverage. Since most of the programming components

have already been tested, it reduces the risk of any major issues.

Development Tools for the developing tools, the researchers will use Microsoft

Visual Basic 2012 to create the Computerized Sales and Inventory System for

School Supplies of Cainta Catholic College and to improve the capability of the

system. This system is compatible for Windows Operating System (OS) only and

Each section has its own sales and inventory reports prepared every last
week of the month. The sales report shows the item description, its price, the
number of items at the beginning of the month also known as the beginning
inventory, total number of unsold items, the total amount of sales and finally the
total amount remitted by the Sales Clerk to the cashier. The inventory report shows
the item descriptions, its original price, quantity and amount.

The preparation of sales and inventory reports are done manually.

Apparently, it is tedious considering the numerous items of each section to be
checked. It is the proponents hope that the proposed system would lessen the time
consuming preparation of reports.

SOFTWARE DESIGN / DEVELOPMENT TOOLS

This study used the Software and Systems Requirements Engineering

Methodology in the design and requirements definition specifications.

The researchers chose the Rapid Application Method (RAD) because it is

easy to understand, simple and easy to use. Easy to manage due to the rigidity of

the model, each phase has specific deliverables and a review process. Phases are

well-process and completed one at a time and works well for projects where

requirements are very well understood.

CONCLUSION

After the researchers gone through the study about the sales and inventory

system, here are some conclusions that are drawn.

The researchers concluded that the Cainta Catholic College School

Supplies will have a Speed, Accuracy, User-Friendliness and Security sales and

inventory system.

Through the Computerized Sales and Inventory System for School

Supplies of Cainta Catholic College, the manual reports will be removed since the

system will have a databases of the files.

Sales and Inventory is a confidential matter in school supplies records and

so the system provides login security that will trap authorized persons in opening

these confidential files.

RECOMMENDATION

In terms of preparing the sales and inventory reports, it is recommended to

use the proposed Computerized Sales and Inventory System. It makes the

preparation of reports faster than the manual system.

As time goes by, the database of the system will grow and so a computer

with high capacity of memory and hard disk enabling the system to run is

recommended.
