Exchange Conditions of : Germany - BVMD

Hard copy Documents required: Dear applicant for a research exchange to Germany,

You are about to apply for a scientific research program in which you have the opportunity to work in a group
of scientists for a certain period. Our tutors are really motivated and look forward to welcoming you to their
labs and research groups.
You will have the chance to learn a lot and get deep insights into research in Germany. We expect you to be
well prepared, motivated and attend your work regularly for a full working day. You can't expect a
holiday, but an enriching research internship.
We also ask you to respect the work we do when organizing everything for you. We are medical students and
do that voluntarily besides university. Please contribute to the continuity of our program with not cancelling
last minute and giving your best during the internship.

Digital documents required: The following documents ONLY digital, attached to the eAF!!!

- Motivation letter:
One for each project (a different one!). The letter should have a minimum of 250 words and a maximum of
one page (around 500 words).

- Recommendation letter (signed by Dean or tutoring professor)

- recent curriculum vitae (CV) in English, written in a professional way!


Do not use the CV attached to the application form but a professional layout!

- English certificate --> FLUENT English is absolutely necessary!


- Optional: if the student speaks German, please attach a proof/language certificate if possible.

- health insurance

- liability insurance (should cover accidents that may occur in the lab, e.g. damages to objects in the lab... if
you have problems to obtain it in your country, please contact nore@bvmd.de for more information or to get it
in Germany, we have an inexpensive partner insurance)

- copy of passport
- proof of enrollment: VERY IMPORTANT!
We need an official Proof of Enrollment from everyone. This is a crucial requirement of the German
Government.
Requirements for the PoE:
- with stamp and signature
- state expected day of graduation
- must comprise the time the student will have the exchange (for example "student is enrolled from April
to October 2014 and the exchange is in September)
-must be uploaded to your AF and send shortly before your exchange starts to our office in Berlin via email

Special requirements: - The SCORE Logbook is mandatory. (Ask your NORE to get it). Bring it with you
and fill it out during your internship (necessary to obtain your certificate).
- We take Academic Quality very seriously and expect you to attend work regularly and punctually, be
prepared and motivated.
- Please make sure the motivation letter & CV fit to the project and are written properly. These are
important documents for the tutor to decide on accepting the student.

Available periods for Universities / Cities: - Available months: NO exchange in January, December (due to
Christmas holiday 20th of December to 6th of January); unilateral NO exchange in July, August and
September
- Longer exchanges are possible (maximum: 3 months, availability depends on project), please ask
nore@bvmd.de for details!
- A research exchange is only possible for FULL calendar months.
- We cannot guarantee the student to be placed in one of his/her desired projects (especially in summer).
The sooner you send the AF, the more likely you will get the project you apply for.
- Be sure to be fluent in English to be able to communicate in the lab! (Recommended: at least level B2)
- Our Local Committees offer rather few places at once. Therefore the chance of getting one of your choices
might be small if you only choose the very popular choices (Berlin, Heidelberg...). Be also aware that not
every Local Committee accepts students at all times, what could be a reason for placing you in another
place. We try very hard to put you in the desired place or at least close to it, but please understand it
isn't always possible.
On the other hand, every Local Committee offers a high quality exchange. In fact, smaller cities tend to offer
even better exchange experiences! Germany is also not that big, so you can easily travel at all times :)
Card of Acceptance at least (weeks before starting the RE Program): 8
Card of Confirmation at least (weeks before starting the RE Program): 4
Substitutions: - In case of cancellation no money will be refunded
- Substitutions can be made until few weeks prior to exchange and only for the same period
- We prefer substitutions to cancellations
Working hours: Usually up to 8 working hours per day but depends on each project
Board & Lodging: Lodging: Dormitory, Hospital, Host family, Student flat, Student hostel
Boarding: Hospital, Student flat, Student hostel

Incomings must not host friends or family members in their appartments.


Social Program: - Travel costs (such as flights), visa costs and insurances are paid by the participants
themselves.

Generally our local officers provide a social program for exchange students throughout the year. In summer,
we provide several National Social Programs.
However, all local representatives work on a voluntary basis which means that the extent of organized social
activities will depend on the availability of the local committee.

Due to prior experiences, we kindly ask you to respect our conditions and German regulations and habits.
Even as an exchange student you are expected to attend all required classes and to work with the research
group like everyone else (standard: 8 hours). Punctuality is crucial. Non-compliance is considered rude and
impudent, and we reserve the right to send students home if we receive complaints from the lab and the
tutors in charge, or your accommodation and contact person.
