Dear CDS PTA Members,

Firstly, thank you for your time and effort during the 2016/2017 school year. The school
continues to evolve with the support of the parents.

The First Program Parent Teacher Association is an important part of the school community.
It provides opportunities to support and enrich the student experience. In an effort to include
all parents in the opportunity of being an integral part of the PTA, and in choosing who will be
representing the parents in the year to come, the First Program facilitates the choosing of
the next years PTA council.

FP PTA member = parent of an FP student (everyone automatically is a member)


FP PTA council member = Room Representative, Treasurer, etc. (a person is voted into this
position)

We will hold a nonpartisan online election to choose next years FP PTA council members.
We would like for this to be a simple democratic process:

Voting members of the PTA must be parents of current students and the student must be
returning next year, e.g. parents of students who will join next year - they do not vote; parents
of students who are leaving CDS - they do not vote.

First, we acquire all the roles that the PTA needs to have filled, e.g. treasurer, room rep., etc;

Second, we poll the FP parents on who would like to offer their name for consideration as a
PTA council member, i.e. who wants to be a candidate. Please be brave! If you are
interested, say so! If everyone is shy, it is the students who lose support.

Third, we then have every 2017/2018 FP PTA member (registered students parent) vote for
the positions. (for example: G2 Room Rep. - there are 2 people who wish to be considered;
on the voting ballot, there would be three choices:
person 1,
person 2,
none of the above (NOTA)
If there are 14 students in the class, 14 parents must vote, and if they choose NOTA, that is
fine.

The ability to speak English is highly recommended to be a PTA council member.


PTA council .

If a parent has x students in the school, then the parent gets x number of votes, e.g. If a
parent has two children in the school, that parent may vote twice for the treasurer of his/her
choosing.

The recommended positions for PTA council are as follows.

1. President
2. Treasurer
3. Secretary
4. Sports & Events (CAAT) Representative
5. Pre-K Room Representative
6. Kindergarten Room Representative
7. Grade 1 Room Representative
8. Grade 2 Room Representative
9. Grade 3 Room Representative
10. Grade 4 Room Representative

We would aim to have the PTA Council positions by Tuesday, and to hold the election, soon after.

It is strongly suggested to establish a quorum. The quorum is the minimum number of
members/council members who must be present to conduct business at a PTA or council meeting.
The number for your PTA is set by your bylaws. If a quorum is not met at a meeting, then a vote cannot
be taken.

Overview
Bylaws are the rules the PTA must follow. They are adopted and amended by a vote of your units
members at a general meeting. All officers should be familiar with the local unit bylaws. Any member
has a right to view them.
Bylaws provide the following important information:
The structure of the PTA
Information on required meeting dates (may include how meeting notification is given)
Nominating committee formation
How and when to conduct elections
Dates for the fiscal year
Requirements of a quorum for conducting business
