Overview
SAP tech upgrade will be executed and with this, downtime period will be April
11 13, 2017
During the downtime period, no SAP system may be accessed
Impact to existing DD process

Store Ordering Store places order in SWS No impact
Sending of Consolidated Daily PO Summary Report containing the No PO Summary Report can be sent
Orders to Supplier orders is sent by BATCHADM every morning by BATCHADM
Supplier Delivery Supplier delivers orders based on PO April 11-14 delivery: No impact
Affected delivery dates: April 15 & 16
Store Receiving Store receives delivery using EPO, prints No impact
RR and signs DR
Sending of GR Template Supplier submits GR template to JWS No impact
GR Creation GR is created by JWS and a GR report No GR can be created
summary is sent by BATCHADM
Payment Processing Supplier submits invoices with GR numbers No invoices can be processed
to JWS submit invoices by April 17
BCP for Direct Delivery
Scope: Orders sent on April 12, 13 for delivery on April 15, 16
Activity Impact during Downtime BCP
Sending of No PO Summary Report Email containing SWS Order Summary Report will be sent on
Consolidated Orders can be sent by April 12 & April 13, by imcsc@jollibee.com.ph
to Supplier BATCHADM
No PO in the summary report

Once the system is up on April 13, orders will be converted


to POs which suppliers should be able to receive on April
13-14 (through PO Summary Report) from BATCHADM
Supplier Delivery Affected delivery dates: Business As Usual
April 15 & 16
GR Creation No GR can be created GR template may be accomplished upon delivery as POs
are generated for the affected orders

Sending of Consolidated Ensure orders are properly tracked for easier matching with PO
Orders to Supplier Ensure no double processing of order refer to the SWS order number to
ensure no duplication

Level 3 BCP: In case POs will not be available by April 14 due to system
issues, suppliers to continue to deliver orders. POs will still be generated as
soon as system issues are fixed
Supplier Delivery If store requests for a delivery of an order not in your summary report, please
flag to CSC OM
GR Creation Do not submit GR template without the PO
