outin2012,andthenextonetakesplacein2014.Allemployeesareexpectedtoparticipatein

TheWorkEnvironmentSurveyisatemperaturereadingoftheworkenvironmentatNTNUs
organizationalunits.Employeesaregivenanopportunitytotellhowtheyaredoingatwork.

Themanagerisresponsibleforthefollowupofthesurveyincollaborationwiththesafety
delegateandemployees.

Practicalinformationabouttheelectronicsurvey#
ThesurveyincludesallemployeeswhoseprimaryworkplaceisatNTNU,definedashavinga
minimumof40%positionatNTNU.AttheFacultyofMedicine,adjunctacademicstaffisalso
invitedtoparticipate.

EmployeesreceiveanemailfromRectorafewdaysbeforethesurveycallingontheir
participation.Tuesday4Novemberemployeesreceiveapersonallinktothesurveybyemail
fromarkkontakt@ntnu.no.Donotsharethelinkwithothersasthismayleadtomoreanswers
inyournameinwhichcaseyouranswerwillbedeleted.Incaseyoudidnotreceivetheemail
orhavedifficultieswiththelink,contacttheFaculty/UniversityAdministration(seecontact
personsbelow).

Surveydeadline:25November2014.Thesurveytakes1530minutesandmustbeanswered
inonesession.

Reservetimetoanswerthesurveywithoutinterruption.Duetosafetyprecautions,interim
storageofthesurveyisnotpossible.Furthermore,browserstendtoclosethesurveyafter
aboutanhour.InternetExplorerworksthebest.NotethatthesurveyisnotsupportedbyApple
Zafari,thusAppleusersshoulduseFirefox,Operaoranotherbrowser.

Ifyouneedmoretimetothinkthroughthequestions,youmayprintoutthesurveyandenter
theanswerselectronicallyafterwards.

Toobtainthemostadequateimpressionoftheunit,itisimportantthateveryonetriesto
answerallquestionsevenifsomeofthemmayseemstrangeoroverlapping.Thissaiditis
possibletoskipaquestionwhichclearlyisnotrelevanttoyourworksituation.

Ifyouwoldlikeacopyofyouranswers,youmaystorethesurveyonyourlocalcomputeror
printitoutbeforeyousendit.

Howtheresultsareusedconfidentiality#
Howthesurveyiscarriedout,aswellastheusageandstorageofdata,isapprovedby
NorwegianDataProtectionOfficialforResearch(Norsksamfunnsvitenskapeligdatatjeneste,
NSD).NSDsetshighstandardsfordatasafetyandprotectionofpersonsensitiveinformation:

Whilethesurveyisongoing,responseratedevelopmentistheonlyinformationwemayhaveaccess
to.
Whenthesurveyisclosed,thelinkbetweenpersonandanswerwillbedeleted.
Itisnotpossibletotakeoutresultswithlessthanfourrespondents.Backgroundvariablessuchas
genderandage,willonlybeusedatFacultyandNTNUlevels.
DepersonalizeddatafromthesurveyaretransferredtoaresearchdatabaseoperatedbyNTNU
HUNT.Datausageissubjecttostrictrequirementsrelatingtoprivacyandresearchrelevance.The
databaseoffersNTNUtheopportunitytocompareresultsovertimeandagainstthehighereducation
institutionsinthedatabase.

NTNUwillreceiveresultsforeachparticipatingorganizationalunit.

TheNTNUresultsarepublishedontheNTNUwebsite.
ResultsofFacultiesandAdministrativeDivisionsarediscussedinmanagementgroups,facultyboards
andLocalLiaisonCommittees(LOSAM).
Theresultsofthelocalunitsarehandedoutonpaperatthefollowupmeetings.

NTNUusesthenationalWorkEnvironmentandClimateSurveyARKArbeidsmiljog
klimakartlegging.Thesurveyisdevelopedbyandfortheuniversitysector.Inadditionto
NTNU,sofar14institutionsuseARK,includingtheuniversitiesofOslo,Bergen,Tromsand
Agder.Thisimpliesthatweinadditiontomeasuringourowndevelopment,wemaycompare
ourresultsagainstthenationaldatabase.

Anationalsteeringcommitteeisresponsibleforthefurtherdevelopmentofthesurvey.Itwas
revisedin2013basedonexperiencefromNTNUandscientificvalidationofthequestions.

Themostimportantchangesare:

scalesareharmonizedtomakeiteasiertoassessthestatements,
statementsaresimplifiedtomakethemmorequicklycomprehensible,and
statementswhichbyexperiencedidnotwork,orwhichbyvalidationprovedtobeoverlapping,have
beentakenoutorreplacedbyothers.

Duetodatasafetyprecautions,ithasnotbeenpossibletoaccommodateNTNUsrequestto
allowrespondentsaccesstointerimstorageofthesurvey.

Followupafterthesurvey#
Themanagerisresponsibleforthefollowupofthesurveyincollaborationwiththesafety
representative.SupportstaffattheFaculty/UniversityAdministrationassistsinplanningthe
followupmeeting.

Allemployees(alsothosewhodidnotparticipateinthesurvey)shallbeinvitedtothefollowup

EvaluationandactionplansarediscussedattheFacultiesandintheUniversityAdministration
withtheaimtoconsiderjointmeasuresortheneedforassistanceinlocaldevelopment
processes.Evaluationandlearningwithregardtofuturesurveys,isalsoimportant.Followup
ofthesurveywillbediscussedinRectorsDialogueMeetingsandbecoveredintheAnnual
HSEStatusReports.

Themanageristoinvolvethesafetyrepresentativeinthepreparationandfollowupofthe
survey,aswellasreportingandevaluation.TheyshallfillouttheformsFaktaARKIandII
together.Atunitswithmoresafetyrepresentative,theyselectonewhoshallrepresentthemin
theARKprocess.Whenseveralunitsshareonesafetyrepresentative,therepresentativeand
deputyareencouragedtoshareresponsibilityfortheunitsbetweenthem.
