Chapter 1 Introduction

This chapter includes sections on the following topics:

What is PrintMate?, page 6.
Supported file types, page 7.
Running PrintMate on Windows, page 9.
Running PrintMate on Mac OS X, page 10.
PrintMate user accounts., page 11.

1.1 What is PrintMate?

PrintMate is ECRMs implementation of Global Graphics Print Production Manager (PPM). It is a server-
based, simplified process control and job management application for RIPMate, ECRMs implementation of
Global Graphics Harlequin RIP.
PrintMate makes heavy use of the Global Graphics Print Production Manager (PPM) application. For this
reason, some screens and displays in PrintMate make reference to Print Production Manager or PPM
rather than to PrintMate. Whenever you see a Print Production Manager or a PPM reference on the
screen or in this manual, understand that it is really PrintMate that is being refenced.
PrintMate allows multiple clients to connect to a web-based graphical user interface (web GUI) for monitor-
ing and managing job processing through each stage of the print production workflow.

PrintMate features include:

An easy-to-use, browser-based GUI that allows you to track and administer the RIP print pro-
duction workflow.
Support for concurrent access from multiple local and remote web-based clients. The precise
number of clients is strictly controlled by the Printmate/PPM permit file, installed in the Harle-
quin License Server (HLS).
Enhanced remote inspection and previewing (Roaming) of RIPped jobs.
Password protected user accounts and permissions. Setting up user accounts is described in the
PPM Customization Guide, available on the PPM CD-ROM at
CD-Drive:\Documentation\PrintProductionManager\<version>\<revision>\all-
all\pdf\PrintProdMgr_customize.pdf.
A GUI that can be easily changed to suit your own product styling requirements. See the PPM
Customization Guide for details on how to customize the application interface.

1.2 Supported file types

PrintMate can accept and process jobs in any of these file formats: PostScript-language, Encapsulated
PostScript (EPS) files, Portable Document Format (PDF) files, TIFF/IT-P1 files, (see restrictions below)
TIFF 6.0 baseline files, and JPEG and JFIF files. Processing of these files, however, is governed by the RIP,
with the exact options depending on your configuration and particular RIP version. Refer the your RIP User
Guide for details of files which are supported.

1.2.1 Restrictions on TIFF/IT-P1 files

Support of TIFF/IT-P1 is not fully compliant with the TIFF/IT specification, and the following restrictions
should be noted when submitting TIFF/IT-P1 files for processing:
PrintMate does not read the FP (final page) file, but instead assumes that any files with the same
base name as the FP file and a TIFF/IT extension (LW, CT, HC...) are part of the same TIFF/IT job.
The TIFF/IT specification does allow different base file names, but in practice they is rarely seen. It
is therefore not possible to use this feature to process a TIFF/IT job where some of the files referred-
to by the FP file do not have the same base name as the FP file.
PPM checks the stability of the component (CT, LW, HC...) files and the FP file. Therefore, PPM
will not submit any TIFF/IT jobs for processing which have slave files that are still being updated.
However, since PPM does not read the FP file, PPM is unable to detect slave files that are entirely
missing, when the FP file looks stable. This can result in premature submission of the job to the RIP.
The best way to avoid premature submission of the job to the RIP is to copy all the slave files to the
hot folder, before copying the FP file. If the user cannot guarantee to copy the FP file after all the
slave files, then a work-around is to set a large stabilization time on the hot folder.
The hot folder server (a component of PrintMate) treats all TIFF/IT file extensions case-insensitively
on all platforms. For instance, FP, fp and Fp are all acceptable extensions for the final page
file.
The hot folder server treats the base name case-insensitively on Windows, and case-sensitively on all
other platforms. Note that this could occasionally cause unexpected results on Mac OS X, if the user
is using a case-insensitive filesystem (the Mac has both types).

prior to this are not supported. If necessary, upgrade to version 7.2 before installing PrintMate.
If necessary, create suitable page setups for processing jobs submitted to PrintMate. Although no
special page settings are required, a valid output device must be specified when processing jobs sub-
mitted via PrintMate, such as a proofing printer, press or TIFF output. As such, the default page
setup installed by the RIP is not suitable for use with PrintMate, since it uses Preview as the output
device.

2.1.2 Web browser pre-installation checks

Check your browser is supported by PrintMate. For a list of supported browsers, see Running
PrintMate on Windows, page 9 and Running PrintMate on Mac OS X, page 10.
Make sure your browser has JavaScript enabled.
Configure the browser to allow pop-up windows.
Configure your browser to allow session cookies.
Do not configure the browser to substitute HTTP error messages in place of those generated by
PrintMate. In Internet Explorer, the relevant setting is Show friendly HTTP error messages within the
Advanced dialog (it should not be selected).
If you are using a web proxy server, set it up to bypass pages generated by PrintMate web GUI
(SWWebGUI.exe). In practice, this often means bypassing the web proxy server for pages that are
inside the Intranet.
If your browser is configured to a locale other than English, you may find some issues with the dis-
play, whereby some icons are replaced by text or look different depending on the browser. To correct
this, configure a list of locale preferences. In Internet Explorer the option is under Tools > Internet
Options > General > Languages.
In your default web browser, make sure that English (for example, en_US or en_GB) locale is one
of the preferences. Note: English does not have to be the first preference, but it must appear in the
list.

2.1.3 Firewall pre-installation checks

If you are using a firewall to protect your network then you must configure it to allow communication from
the following PrintMate programs:
SOAR
SWWebGUI
Roamserver
On the Macintosh you may also need to add the PrintMate port number to the allow list of ports, as fol-
lows:
1. Open System Preferences, Sharing, Firewall.
2. Click New.
3. From the Port Name list, select Other.
4. Enter the port number PrintMate is using in the box.
5. Choose OK.

2.6 Connecting to the PrintMate web server

The PrintMate web server connects you to the PrintMate web GUI, which allows you to see all the jobs sub-
mitted to PrintMate for processing and outpu, Additionally, if you have the necessary access rights, it allows
you to setup processing channels and manage jobs: previewing, deleting, reoutputting, and reprocessing as
necessary.
Connecting to the web server on the machine where PrintMate is installed:
See Starting PrintMate, page 18
Connecting to the web server from any machine (local or remotely connected):
Open a web browser and enter the following web address:
http://<IP address|machine name>:<port>/soar/
Where,
IP address or machine name is the machine where PrintMate is installed,
port is the comms port number assigned to PrintMate.

2.7 Setting PrintMate back to default settings

If required, you may reset PrintMate back to its default installation settings. Resetting deletes all your chan-
nel settings, job metadata and application settings.
To reset Harlequin PPM:
On Windows, choose Start > All Programs >ECRM WorkMates>Tools & Utilities>PrintMate
Utilities>Printmate Reset to Defaults.

2. Go to the WorkMates Admin screen. From the Control pulldown menu, select Stop WorkMates
Server.

Figure 2.6 Stopping the WorkMates Server

2.9 Making a backup copy of your PrintMate data

You can configure Harlequin PPM so that it creates a backup copy of the job processing data each time
Harlequin PPM starts up. The backup can be used to recover from an invalid application shutdown, which
might have resulted in corruption of the application data.
To create a backup, add -backup to the persistence.txt file, located in:
<ECRM WorkMates folder>\SOAR\PrintProductionManager\<version>\<revision>\all-
all\all\config
When backups are enabled the time taken to launch PrintMate may be significantly longer, since there may
be a considerable amount of data to backup. To facilitate the startup time, therefore, you may wish to delete

INSTALLING AND RUNNING AG50563 REV. 3 INDEX CONTENTS 21

PRINTMATE / PRINT PRODUCTION MANAGER 1.2
INSTALLING AND RUNNING INDEX CONTENTS 22

redundant completed jobs, either manually or by setting the auto-destroy policy setting to do this for you
(see PrintMate settings, page 45 for auto-destroy policy settings).

2.10 Recovering from an invalid application shutdown

Should an invalid shutdown occur when using PrintMate, the application data containing job data and other
application related data may not have been saved to disk before the shutdown occurred, resulting in possible
corruption of the application state. Following an invalid shutdown, the next time you start PrintMate the
SWWEBGUI: Application State Corrupt dialog box (Figure 2.7) will appear, with possible options for recov-
ering the application state, as described below.

Figure 2.7 Application State Corrupt dialog

Abort Aborts start-up without affecting the application data. This is the safest
option to choose following an invalid shutdown, since your data will
remain unaffected. Under the guidance of Technical Support, it may be pos-
sible to recover the data.

Log Attempts start-up and adds an entry to the PPM log file
(\SOAR\PrintProductionManager\<version>\
<revision>\<processor>\rel\logger.log). Start-up using the Log option will typi-
cally succeed, but in fact there could be potential corruption that will
cause errors later on. Once you have had a successful start-up using this
option, the previous backup will be lost and you will not be able to go back
to the known-good state. #
If you decide to use Log, because you have some jobs that you absolutely
have to carry on working with, then you should Reset to Defaults as soon as
possible afterwards. Note that, once you have continued using Log, it is no
longer safe to restore a backup.

INSTALLING AND RUNNING AG50563 REV. 3 INDEX CONTENTS 22

PRINTMATE / PRINT PRODUCTION MANAGER 1.2

Restore (recommended)
Selecting this option restores PrintMate to a known good state from the
PrintMate backup file, and is the recommended option to take the first time
you start after an invalid shutdown but not after you have used Log already;
in this case you should use Reset.

Reset Resets PrintMate back to its default settings, deleting all of PrintMates
application and job processing data in the process.

2.11 Uninstalling PrintMate

To uninstall PrintMate:
1. If PrintMate is running on the server shut it down, as described in Closing PrintMate, page 21.
2. Run the Windows Uninstall utilty program as follows:

Chapter 4 Using PrintMate

This chapter includes sections on the following topics:

Setting up channels, page 48.
Creating and publishing virtual printers, page 50.
Creating hot folders, page 52.
Processing jobs, page 53.

4.1 Setting up channels

A PrintMate channel contains options, such as RIP processing priority and page setup, which prescribe how
jobs in the channel should be processed. A PrintMate administrator will need to set up at least one channel
with a hot folder and/or virtual printer in place, in order for users to submit jobs for processing. Several
channels may be needed, each with different processing options, to meet the processing requirements of
your PrintMate/RIP users.

4.1.1 Adding channels

To create a new channel, do the following:
1. Connect to the PrintMate web GUI and login with an account that allows administrative access.
2. In the Channels window, click New to create a new channel, or, to create a channel using settings from
an existing channel, choose Copy instead. Both options open the RIPchannel window. See, The
RIPchannel window, page 42 for a description of the options that are available in this window.
3. Enter your hot folder and/or PrintMate printer details if you want to use the channel as an input chan-
nel, able to receive jobs from users. For more information on setting up hot folders and PrintMate
printers, see Creating and publishing virtual printers, page 50 and Creating hot folders, page
52.
4. Select your other job processing options as required.
5. Click OK to save your settings and create the new channel.

4.1.2 Editing channels

To edit an existing channel, do the following:
1. Connect to the PrintMate web GUI and login with an account that allows administrative access. For
help on connecting to the web GUI, see Connecting to the PrintMate web server, page 20.
2. In the Channels window, select the channel you want to edit and click Edit. The RIPchannel window
opens.
3. Edit the settings accordingly. See, The RIPchannel window, page 42 for a description of the options
that are available.
4. Click OK to save your new settings.

4.1.3 Deleting channels

If necessary, you can delete a channel that is no longer required. However, you can only delete a channel if it
does not have any jobs associated with it listed in PrintMate. These include jobs which have been submitted
via a hot folder or PrintMate printer, and jobs which have been resubmitted to another channel but were orig-
inally received by the channel you want to delete. Any jobs associated with the channel, therefore, must be
deleted first, before you can delete the channel.
To delete a channel, do the following:
1. Connect to the PrintMate web GUI and login using an account that allows administrative access.
2. If necessary, delete any jobs that are associated with the channel, including jobs which have been
resubmitted to another channel before proceeding. To quickly locate all jobs that are associated with a
particular channel, run a job search on the channel name. See, Searching for jobs, page 56 for
details on how to run job searches.
3. From the Channels window, select the channel you want to delete.
4. Click Delete and then Confirm, to verify that you want to delete the channel. The channel will now be
removed from PrintMate.
5. After deleting a channel, you may uninstall/remove any PrintMate printer or hot folder that was asso-
ciated with the channel.

4.1.4 Starting and stopping channels

Job processing in a channel can be suspended by stopping the channel. Although the channel will still
remain available and is able to receive jobs, a stopped channel will not be able to process jobs until it has
been restarted again.

4.2 Creating and publishing virtual printers

PrintMate virtual printers appear to the operating system like normal printers, but instead of being con-
nected to a physical printer, they are connected to the Harlequin PrintMate server. You can add a virtual
printer for each channel that you create in Harlequin PrintMate, and any documents printed using the vir-
tual printer will be processed using the settings associated with that particular printer/channel combination.
Note: Before you can add a PrintMate virtual printer, you must have installed the Harlequin PrintMate
printer on the Harlequin PrintMate server. See, Installing the PrintMate printer, page 17 for details.
To create and publish a PrintMate virtual printer:
1. Connect to the PrintMate web GUI and login using an account that allows administrative access. For
help on connecting to the web GUI, see Connecting to the PrintMate web server, page 20.
2. Select the channels window and create, copy or edit a channel. The RIPchannel window appears,
allowing you to enter details for the channel.
3. If creating a new channel, enter a name for the channel and pick a page setup option.
4. Select the Printer checkbox. The channel name will be automatically entered into the printer name
field. If you want to, you can enter a different name for the printer, but this is not recommended if you
want to easily see your printer/channel associations.
5. To publish the printer on your network, select the Share Printer checkbox. Sharing a printer allows
remote users to connect to the printer. The share name of the printer will be automatically inserted;
however, if your network consists of a variety of clients you should use 31 or fewer characters for the
name, including the server name and path, and not include spaces or special characters in the name.
6. From the Driver menu, select ECRM PrintMate (or whatever name you choose when adding the
PrintMate printer).

the selected jobs, as described in Reoutputting jobs (including parts of a job), page 54.
3. From the toolbar, click Hold to hold or unhold the selected jobs. The status icon will change to
reflect the new hold status of the job (see figure).

To delete jobs:
1. Connect to the PrintMate web GUI and login using an account that allows job control access. For help
on connecting to the web GUI, see Connecting to the PrintMate web server, page 20.
2. From the Input, Output or Complete lists, select the jobs that you want to delete.
3. Click the Delete button, and then click OK to confirm your action.
When you delete a job that was submitted using a hot folder, the job file will be moved to the Completed or
Error folder in the hot folder, depending on whether the job completed successfully or not. It should be
noted that PrintMate never deletes job in hot folders; it is up to the user to manage these folders.

4.4.9 Keeping jobs from being deleted

The Keep option allows you to retain jobs in the Completed list that would normally be deleted by the sys-
tems auto-delete policy, if one is in operation (see, Job Auto-Destroy Policy, page 45). Kept jobs will not
be deleted until their keep status has been removed, using the Keep option again.
To keep/unkeep jobs:
1. Connect to the PrintMate web GUI and login using an account that allows job control access. For help
on connecting to the web GUI, see Connecting to the PrintMate web server, page 20.
2. From either the Output or Complete lists, select the jobs you want to keep.
3. Click the Keep button in the toolbar. The keep status icon will now appear beside the jobs. Click-
ing the Keep button again will unkeep the jobs and remove the keep status icon.

4.4.10 Viewing job history

For each job processed by PrintMate a record of processing is generated. To view this log, which contains
RIP processing history and job summary information, open the Job History window (see Figure 4.5), as fol-
lows.
1. Connect to the PrintMate web GUI and login using an account that allows job control access. For help
on connecting to the web GUI, see Connecting to the PrintMate web server, page 20.
2. Select the job whose job history you want to view.
3. Click the Job Info button in the toolbar.
4. In the Job Info window, click the Job History button to open the Job History window.

5. When closing the Job History window and Job Info window, you should use the Harlequin PrintMate
close button, rather than the Windows close button, as PrintMate will take longer to determine
that you have finished with the job.

Chapter 5 Troubleshooting PrintMate

This chapter includes sections on the following topics:

PrintMate cannot be started, page 60.
PrintMate takes a long time to start, page 61.
Unable to connect to the PrintMate web server, page 61.
PrintMate closes without warning, page 62.
Roam is very slow when previewing jobs, page 63.
Some characters or graphics do not display correctly, page 64.

5.1 PrintMate cannot be started

Possible reasons why PrintMate may fail to start:
The port used by PrintMate (as specified during installation) is already being used. To specify a dif-
ferent port, amend the -port parameter in SWWebGUI.txt (see Configuration Files, page 66) or
reinstall. Ports 8080, 8082, 8084, 8086 and 8088 are all valid ports for PrintMate to use.
There is another application on port 9905 (SOAR name server) or nearby ports up to about 9940.
A license to start/connect to PrintMate is not available. Using the License Manager application
(installed at the same time as the RIP) check the status of your PrintMate licenses.
The RIP dongle is not present.
One or more of the configuration files in the all-all/config directory of the SOAR services contains
bad configuration information. For instance, the RIP will not start automatically if the
harlequinrip.txt file does not point to a usable RIP executable.
There are existing application state files and the IP address, host name and/or domain name of the
computer has changed. This should not happen in a standard installation, because it is configured
with localhost networking mode, where the state does not contain IP addresses or host names. But
an installation that has been reconfigured to use ip or fqdn networking mode can be affected. Reset-
ting the application to its default settings fixes this issue.
Also, check the PrintMate log files, logger.log and backup.log, for possible diagnostic information.
Depending on which operating system you are running, the log files are available at:

Mac OS X:
/Applications/ECRM WorkMates
/SOAR/PrintProductionManager/<version>/<revision>/macos_x-ub/rel/

5.2 PrintMate takes a long time to start

PrintMate may take a long time to start if backups have been enabled, by including -backup in the
persistence.txt (see page 67). To reduce the startup time, either reduce the amount of data there is to backup
by removing completed jobs efficiently (use the Job Auto-Destroy Policy to specify when jobs should be
removed, see page 45), or specify -noBackup so no backup is created. This second solution, however, will
reduce your ability to recover from an invalid shutdown should one occur.

5.3 Unable to connect to the PrintMate web server

The following checks may help resolve issues when connecting to the web server.
Server-side checks:
Check the PrintMate server has been started. On Windows, open your Task Manager
(CTRL+ALT+Delete) and confirm SWWebGUI.exe is running.
Check you have a PrintMate permit file installed. Use the License Manager application to list the
permits that are available on the server.
Check the port number that is being used by PrintMate isnt already being used. If necessary, amend
the -port parameter in the SWWebGUI.txt file (see Configuration Files, page 66), or reinstall
PrintMate. Ports 8080, 8082, 8084, 8086 and 8088 are all valid ports for PrintMate to use.
Check the firewall allows connections for SOAR, SWWebGUI and Roamserver.
Check your system has a default web browser. On Windows, choose Run from the Start Menu and
enter any web address. If a default browser has been set up, it should startup and connect to the
address you have entered.
To set Internet Explorer as the default browser, start it up and select the check box for Internet
Explorer should check to see whether it is the default browser in Tools > Options.

Client-side checks:
Check the address you have entered for the PrintMate web server is correct. It should be of the form:
http://<IP address|machine name>:<portnum>/soar/.
Check the IP address, machine name and port number are all accurate.
Check that JavaScript is enabled in your web browser.

Check that pop-up windows and session cookies are allowed in your web browser. It may help to
bypass the web proxy server when connecting. If you are unable to do this, set the web proxy so that
is does not serve stale pages.
Check that a valid PrintMate license is available. The permit supplied with PrintMate allows up to
five simultaneous connections only.
Check that your firewall or any other Internet security software you are running is not blocking com-
munications with the remote server. If you are using a dial-up internet connection, you may need to
configure your browser to never dial a connection.

5.4 PrintMate closes without warning

PrintMate can sometimes close without warning when Java runs out of memory, although this is rarely seen
in version 1.2 PrintMate. (In Harlequin Print Production Manager versions prior to 1.2 it may be necessary
to increase the Java memory heap if this issue occurs.)

5.4.1 How to increase Java memory in Windows

1. From the Windows Start menu navigate to the following program group:
Start > All Programs > Global Graphics > Harlequin Print Production Manager 1.2r0
2. In this group, right-click on Start Harlequin Print Production Manager 1.2r0 and choose Proper-
ties from the pop-up menu to open the Properties dialog.
3. In the Target field of the Properties dialog, append -Xmxnnm (where nn is the memory value) to the
line that is already there. For example, to set a value of 128 MB, the command would be:

"C:\Program Files\Harlequin\SOAR\PrintProductionManager\1.2r0\Development\win_32
-pentium\rel\SWWebGUI.exe -Xmx128m

4. Click OK when you have finished editing the Properties dialog.

5.4.2 How to increase Java memory in Mac OS X

1. Open a Terminal window.
2. Navigate to the PrintMate installation folder that contains SWWebGUI.app, for example:

cd /Applications/Harlequin/SOAR/PrintProductionManager/1.2/Development/
macos_x-ub/rel/

3. To increase Java memory to nn MB enter:

SWWebGUI.app/Contents/MacOS/javalauncher -Xmxnnm

4. Close the Terminal window and restart PrintMate.

To save entering these commands each time you run PrintMate, you may wish to create a shell script for
them instead.

5.5 Roam is very slow when previewing jobs

When you first open a job in Roam, Roam has to process the job before it can be previewed. Depending on
the size and nature of the job this initial processing can take a long time; several minutes in extreme cases.
However, once the job has been opened, you should find Roam is quite responsive and you will be able to
zoom and move around the job without too much lag.
To speed up the initial job previewing stage you should reduce the number of applications that are running
on your system, to ensure processing power isnt being diverted to other programs. Obviously the RIP has to
remain runningthe application will not be able to function otherwisebut you can reduce the RIPs pro-
cessing overhead by lowering its processing priority. To do this at install-time, select a lower processing pri-
ority in the Process Priority drop-down list (see diagram), or after install, you can change it by editing the
RIPExecPart configuration file (by default, this is called harlequinrip.txt) or by using the SOAR Control
ripExec command.

5.6 Some characters or graphics do not display correctly

If your browser is configured to a locale other than English, you may find some issues with the display,
whereby some icons are replaced by text or look different depending on the browser. To correct this, config-
ure a list of locale preferences. In Internet Explorer the option is under Tools > Internet Options > General
> Languages.
Note: In your default web browser, make sure that English (for example, en_US or en_GB) locale is one of
the preferences. Note: English does not have to be the first preference, but it must appear in the list.

Appendix A Configuration Files

PrintMate uses various configuration files for setting application parameters. You may find the information
in this section useful when customizing the applications default behavior.

A.1 Location of configuration files

The configuration files used by PrintMate can be found in the following location:
<ECRM WorkMates folder>\SOAR\PrintProductionManager\<version>\<revision>\all-
all\all\config

A.2 swwebgui.txt
The swwebgui.txt file allows you to specify the following startup parameters and options for the
Harlequin PPM web GUI.

-port n Configures the web server port used to communicate with PrintMate.
The default setting, as specified in the installer, is 8080. If this port is
already being used, try 8082, 8084, 8086 or 8088 instead.

-startBrowser/-noBrowser Controls whether the web browser automatically starts when PrintMate
is launched. After starting, the web browser attempts to communicate
with the web server on the port specified by -port.

-context Specifies the Web server context (the base of the Web GUI application
URL).

-base Specifies the base directory for the web server. A base directory is
<customization_folder> needed if customization of the PrintMateweb GUI is to be done. See
PrintMate Customization Guide.

A.3 Persistence.txt
The persistence.txt file contains the following configuration options for the application state data created
when setting up channels and processing jobs. This information is saved to the State directory.

-backup/-noBackup Determines whether a backup file of the application state data (effec-
tively a backup of the State directory) is taken when the application
starts-up. -backup is specified by default.
Depending on how much data there is to backup, PrintMate can take a
long time to start and consume a large amount of disk space when -
backup is specified. However, it will allow you to return to a known
good state, should the data become corrupt.

-minFreeDiskInM nn Specifies the minimum free disk space (in megabytes) required before
the application is allowed to start-up. It should be noted that this parame-
ter is independent of the disk space monitoring facility that is used to
suspend workflow when disk space is low disk.

-sentinelAction abort Specifies the course of action to take should an invalid shutdown be
| log | restore | reset detected. The default setting is ask.
| ask The following options are available:
abort: Startup is aborted.
log: Startup as normal and note in logger.log that an invalid shut-
down has been detected. Caution should be exercised when using this
option, since it ignores the potential corruption of your application state
data.
restore: Uses the backup file, created with the -backup option, to
restore the application state data files on startup.
reset: Resets PrintMate back to its default setting.
ask: Opens a dialog box that allows you choose which action abort,
log, restore or reset to take when an invalid shutdown has been
detected. This is the default setting.
