This manual will guide you through the steps involved in the construction of your
organizational chart using BOS/e Organizational Strength Manager.

In building an organizational chart, create first a dummy org chart or a SIMULATED org
chart. While in simulation, gradually arrange and configure the different hierarchy of your
personnel based on the existing organization structure. This also allows movement of
personnel data and associated tables on cases of transfers, promotions, etc.; at the same
time maintains movement history record of each employee.

When all parameters have been defined in your simulated org chart, this can now be
converted to your CURRENT org chart.

data for budget purposes and headcount.
Generates organizational listing, headcount budget, and summary of

BOS/e HR InfoManagerholds the position and unit code of the employee.


BOS/e Personnel Movements Managerif you transfer or promote an employee using
the BOS/e Personnel Movements Manager, the BOS/e Organizational Strength will
automatically change.
BOS/e Job Model Managerif you promote an employee, changing his/her position will
automatically change his job model as well.

Running BOS/e Organizational Strength Manager

1. On the BOS/e Desktop (see Figure 1), click the [+] sign beside the folder of Business
Operating System for the Enterprise, click the [+] sign beside the folder of BOS/e
PeopleWARE HR Strategy then right-click the BOS/e Organizational Strength
Manager. A run component tab will appear, click the said tab. You may also choose to
double-click BOS/e Organizational Strength Manager on the right pane of the screen.

2. The BOS/e Organizational Strength Manager main window will appear (Figure 2).

Steps in Creating a New Organizational Chart


1. On the BOS/e Organizational Strength Manager main screen, go to an Organizational
File, right-click then select Add Organizational File(Figure 3).

2. Fill up the information requested (Figure 4). Note that in creating your organizational
chart the status is initially set to SIMULATION. The value that you will input in the
Description information box will reflect as the name of your OrganizationalFile. For
demonstration purpose lets name the description INFO ORG CHART

3. Click OKto add a new organizational chart. The INFO ORG CHARTshould now be
included in the list of Organizational charts/file for your company (Figure 5).

4. To begin setting up the different hierarchy for INFO ORG CHART, right-click on the
Organizational Chart Pane and select the icon . Right-click on the Organizational
Chart Pane (Figure 6) then select Explore Tree.

5. To create a new level for each hierarchy, right click and then choose from EXECUTIVE,
GROUP, DIVISION, DEPARTMENT, SECTION, or SUBSECTION the level that you
need depending on your companys structure. Refer to Figure 8.

Steps in Adding a new Executive, Group, Division, Department, Section,


and Subsection Levels
1. On the Organizational Chart Pane, right click to show the Organizational level options.

2. After selecting Add EXECOFFICE a form will appear as shown on the figure below (see
Figure 10).

3. An Organizational tree will appear after selecting Explore Tree (see Figure 11).

4. Select the list of items that your organization consist of. In this case, choose Add
Section. The chosen code will reflect on the Organizational Tree (see Figure 12).

5. A new form will appear where you can select 1 or all of the available Sections in the list
(see Figure 13a).

6. Select the list of items that your organization consists of. In this case, choose Add
SUBSECTION. The chosen code will reflect on the Organizational Tree (see Figure
13b).

7. A new form will appear where you can select 1 or all of the available Subsections in the
list. Figure 14.

8. On the BOS/e Organizational Strength main window, you can now add members for
each level of your org chart. To add employees, right-click one of the level of your Org
Chart. A small menu will be displayed (Figure 15), select Add Employee.

9. On the Filter Employees dialog box, you can select employees. Using the dropdown list
set the following: fields, the operator, and the value. Click Add. Choose a logical
operator, either OR or AND if you want to add another field then click Add. Figure 16

10. Click Extract Now to extract the employees who fall into the qualifications you have
previously set up. Results will then be automatically viewed in the Result Set tab. Use
Include, Exclude, Include All, Exclude All in selecting an employee.

11. Click OK. Repeat Steps 8 10 to add employee members for the different hierarchy
levels of your organizational chart.

12. Another way to add personnel to your selected level is by clicking on the menu of
your BOS/e Organizational Strength Manager. The same Filter Employees window will
appear.

13. To place an incumbent who will be leading the whole INFO, click Executive Office in the
left pane, and then click the pick list button that corresponds to Incumbent found in the
right pane of the window. See Figure 17.

14. Using the arrow key, select an employee and then click Select. The selected incumbent
will now be reflected in the Incumbent pane.

15. Repeat Steps 12 13 to add incumbents for the different hierarchy levels of your
organizational chart.

16. Your organizational chart is now complete.

Notice that on the right pane of your BOS/e Organizational Strength Manager are three sets of
tables: The Head Count, the Information, and the Incumbent, refer to Figure 19

Head Count details should show the information of all included organization levels in the selected
group of the organization chart.
Lists all the names/description of the Executive Codes previously created for this

Information Pane
MembersAll items listed in this table are those that you have defined in your CMFPA
including tables associated to your employees.
GUID BOS/e automatically assigns a Global Unique ID (GUID) to each employee
record. This ID is generated based on the last assigned number plus 1 (n+1).
The GUID of a record serves as its unique identifier in the database enabling
BOS/e to locate it and its pertinent information quickly and efficiently.
Personnel ID Lists the employees Personnel ID Numberautomatically generated by the
No. system.
First Name Lists the first names of the employees.
Middle Name Lists the middle names of the employees.
Last Name Lists the last names of the employees.
Division Code This is the division code you set up for this particular organization level.
Department
Code This is the department code you set up for your selected department level.
Section Code This is the section code you set up for your selected section level.
Unit Code This is the unit code you set up for your selected unit level.
Position Code Indicates the position codes of the employees.
BOS/e 201 Files automatically displays the corresponding job grade code of the
Job Grade Code entered position code.
BOS/e 201 Files automatically displays the corresponding job class of the
Job Class Code entered position code.

FIELD DESCRIPTION/ACTION
Subsection Code This is the subsection code, if you defined a subsection for your section.
Group Code The column used to indicate the codes for groups.
Exec Office This is the code you set up for this particular organization level.
Subsection Code This is the subsection code, if you defined a subsection for your section.
Group Code The column used to indicate the codes for groups.
Exec Office This is the code you set up for this particular organization level.
Incumbent This adds the superior employee in a selected group. Click the pick
list button to select the name of the incumbent employee for a certain
organizational level.
Employee Name The name of the selected incumbent will automatically be reflected in
the provided employee name textbox.
Budget Headcount The necessary number of employee in a group.
Total Headcount The total number of existing employee in a group.
Variance The difference between the total number of employee and the budget
headcount.

Unit MembersAll items listed in this table are those that you have defined in your
CMFPA including tables associated to your employees. The fields in the Unit Members
column are the same as that of the Members column. Allows users to view the members in
a selected unit.
Other Information
Description The description of the selected code.
Job Class List Shows the employee headcount in master file under the selected job
class list.
Job Grade List Shows the employee headcount in master file under the selected job
grade list.
Position List Shows the employee headcount in master file under the selected
position grade list.
Code Shows code of each item in the list (job class list, job grade list,
position list).
Description The description of the selected code.
Selected Group Headcount of employees under the selected group and its code.

Budget The necessary headcount of employees in the selected Group.

Variance The headcount of employees needed for the group.

Selected GroupSelect a group from the organizational chart pane; i.e., Executive,
Group, Division, among others, the employees under that group will then be showed
under this column.
Company Members Lists employee under the entire company and its pertinent
information.

NOTE:

The records of employees belonging to a department/division of a newly created organizational


structure that has been set to CURRENT will be automatically updated in BOS/e HR
InfoManager.

Review your simulated organizational chart. Double-check all parameters, incumbent, and
included personnel. Follow the instructions in Table 2 in converting your org charts.

Simulated The figure representing a simulated org chart is colored
Org Chart orange. The chart, while still a simulation, can be
reconfigured and edited.
Current To convert a simulated org chart into a current chart,
Org Chart right-click the item you want to convert. From your
BOS/e Organizational Strength menu bar, click Set As
Current. A confirmation dialog box will appear, click
Yes to set as current, otherwise click No. The figure
representing the current org chart will now be colored
blue. Once converted to a current org chart, it can no
longer be reconfigured or edited.

Replicate You can replicate either a simulated or a current org


Org Chart chart. Select and highlight the chart you want to
replicate. From your BOS/e Organizational Strength
menu bar, click Replicate Chart. A dialog box will
appear. Tick the checkbox that corresponds to the Copy
Employees field if you need to copy the employees
previously set in the org chart where it is being copied.
Click OK to add the new organizational chart. The
replicated chart will be on a simulated mode, therefore,
it is orange.

After reading through the manual, you will able to perform the following
tasks:

Create new organizational structures.

Designation of incumbent and member employees based on the unit.

Arrange new and existing organizational structure as current and move previous

organizational structure to history folder.
