Streamline NX

PREFACE
The purpose of this document is to provide users of RICOH Streamline NX-enabled
MFPs and laser printers with the instructions needed to log in to the device, and then
perform supported network scanning, printing and job management functions.

Terminology
Authentication
RICOH Streamline NX-enabled MFPs and laser printers (also called devices) support
user authentication. If enabled by your system administrator, you are required to log in
to the device.

Client PC
A client PC is a Windows desktop or laptop computer that is used to access Streamline
NX services. Via a Web browser, you can view and confirm available group and user
functions, as well as manage print jobs on the SPM Server.

Multifunctional Printer (MFP) / Laser Printers


Select RICOH MFPs and laser printers can be enabled with Streamline NX
functionality. For a list of supported models, go to www.ricoh-usa.com. Search
Streamline NX, and then click Compatible Models, or click here.

Projects
Projects are created by your system administrator, providing multiple ways of
organizing services based on specific document processing needs. For example, the
Sales Department may use Send to Email to route proposals to prospective customers.
The Legal Department may use Send to Folder to archive client correspondence.

Server PC
A server PC runs the Streamline NX system software, thus enabling the administrator
to control device authentication and function availability at the user level.

Services
The term Services describes the various Streamline NX functions - Send to Email, Send
to Folder, Send to Printer, etc. These Services are presented as Project icons on an
MFPs touch screen, for easy navigation.

1 INTRODUCTION
RICOH Streamline NX integrates versatile document processing functionality into one
easy to use solution. Enabling intuitive walk-up and PC operation, the Streamline NX-
enabled device maximizes workgroup efficiency, while increasing information security.

System Overview
Designed as a highly-scalable solution, Streamline NX is configured by your system administrator
using five software components, Administration Manager*, Accounting and Authentication Manager
(AAM), Scan and Fax Manager (SFM), Secure Print Manager (SPM) and Report Generator*.

Only user-facing components are covered in this guide, specifically AAM, SFM and SPM. Each of
these components is embedded within the MFP firmware, enabling you to....
Log in at a device, using the authentication function; prevents unauthorized access.

Send print jobs to the Secure Print Manager Server, for release when and where needed.

Capture and distribute documents using Scan and Fax Manager, e.g., Send to
Email/Folder/Printer, etc.
Manage scan and print jobs on the device display panel or via a Web browser.

Conserve valuable resources and lower costs by deleting duplicate or unnec-essary print jobs.

Create reports based on device information, e.g., device status, counter information, job logs, etc.,
for better visibility into fleet usage*.

Feature Overview
RICOH Streamline NXs user-facing components are

Authentication and Accounting Manager (AAM) This standard component enhances


security and regulatory compliance by identifying (authenticating) each user through login to the
device. This enables the system administrator to track usage, set limits and establish printing rules,
e.g., color usage, duplex, page limits by device, user quota chargebacks, etc. And with pull
printing enabled, you can release print jobs from the most accessible network print device.

Scan and Fax Manager (SFM) This optional component enables you to quickly capture and
distribute scanned document (electronic files) from a device to email addresses, network folders,
fax servers, as well as Microsoft SharePoint and other line-of-business applications.

Secure Print Manager (SPM) This optional component creates a secure print environment;
only authenticated users can access and print files stored on the SPM Server, after login at the
device.

Introduction

Screen Overview
To follow is an overview of screens that display on your RICOH Streamline NX-enabled MFP. Its
important to remember that all Streamline NX screens can be customized to address specific
document workflow needs, so Project button names, icons, supported features, etc., depend on
settings established by your system administrator. As such, screens within this guide may vary from
those displayed on your device.

Login Screens At a Glance


When user authentication is enabled, you will be required to log in at the device, using one of the
following methods.

New Card Login


When card authentication is required, you will be prompted
to register your card the first time your use the system.
Simply enter your user name and password. This will then
allow you to quickly access MFP features by holding your
card over the card reader or inserting it into the card reader.

Card Login
After a card is registered, you can either use the card
reader to authenticate or press [Login] and enter your user
name and password.
Note:

PIN Code Login


This login method is available for users that are not
authenticated through an LDAP/Active Directory server. For
example, various clubs within a school can be assigned a
different PIN Code.
Note:

Code.

Guest User
This login method gives a user permission to use the MFPs
Copy function. The user is not registered, so authentication
is not required.

Home
After login, if required, the Streamline NX [Home]
screen displays. Functions are accessed through
this customizable user interface.

Service Menu
When Streamline NX is configured with multiple
Services within a Project, the [Service Menu]
screen displays, allowing you to select the
desired function.

Send to Email
The [Send to Email] screen enables you to send
scanned documents to specified email addresses.
Send to MyMail is also supported, which
automatically sends the document to the login
users email address.

The [Send to Folder] screen enables you to send
scanned documents to folders shared on the
network. This simplifies distribution and
management of information shared with multiple
users. Send to Home Folder/FTP/WebDAV is also
supported.

Print Job List


Secure Print Managers [Print Job List] screen
displays the files that are in the print queue, on
the SPM Server. Only authenticated users can
access and print files, after login at the device.

Setting Screens At a Glance


Soft Keyboard
The soft keyboard is the MFPs touch-sensitive,
pop-up screen that allows you to type alpha-
numeric text and special symbols, e.g., user name
and password, email subject, document name,
etc.

Metadata
When using Scan and Fax Manager, Projects may
require entry of metadata, or information about
the scan job. Available features differ based on
administrator settings.

Options
When scanning a document to email, the
[Options] button enables you to select various
distribution settings, including file size,
notification, priority, etc. Available features
differ based on administrator settings.

This section explains how to use the following RICOH Streamline NX network
scanning features:
Send to Email

Send to Folder

Send to Printer
Note :
Using the scanning feature of a Streamline NX-enabled device is very intuitive. As such, this section
outlines just the key steps to capture and distribute a document to selected destinations email,
folder, printer, etc. If needed, details can be found in the Appendix, for example, how to select scan
settings (resolution, file format, etc.), email options (notifications, priority, etc.) and metadata, as
well of printer-related setup, and much more.

Important:
All Streamline NX screens can be customized to address specific document workflow needs, so
Project button names, icons, supported features, etc., depend on settings established by your system
administrator.

Send to Email
Scan and Fax Manager supports Send to Email, which enable you to send scanned documents to
specified email addresses. Send to MyMail is also supported, which saves time by automatically
sending the document to the login users email address.

How it Works
The scanned document is sent from the
MFP to the Scan and Fax Manager
Server, and then transferred to the mail
server. The mail server sends the
document to the specified email
addresses.

To Send to Email, proceed as follows:

1. Place document on ADF or Exposure Glass.

2. Log in to the device, if necessary.

3. On [Home] screen, select [Group] tab > [Scan


to Mail].

If Password entry screen appears, see
Entering Project Password.
If a [Metadata] screen appears, see [Metadata]
Screen overview.

4. Press [Send to Email], if necessary.

Note :
If the selected Project includes only the
[Scan to Mail] Service, the [Send to Email]
screen (top of next page) appears.
If the selected Project includes more than
one Service, the [Service Menu] screen
appears, as shown at right.

5. Select email address(es) by entering the address


manually or by searching the address book.

Note :
If the Send to Me function has been enabled
by the system administrator, [Scan to MyMail]
is displayed in [Selected Destinations] field
and the document is automatically sent to a
login users email address.
To delete a selected email address, see
Canceling Selected Email Addresses.

6. Press [Subject].

7. Enter a subject, and then press [OK].

Note:
This text will appear on the Subject line within
the recipients email Inbox.
To enter a preset subject, e.g., Urgent, press
[User Text].
Press [Cancel] to cancel an entered
subject and return to the [Send to Email]
screen.

8. Press [Options], if necessary.

Press [Details] to view a list of selected
email addresses. Press [Summary to return to
[Service Menu] screen.

11. Press [Document Name].

12. Enter Document Name, and then press


[OK].

This text will be used as the email attachment
file name.

13. Press [Scan Settings], and select desired


settings.

14. Press [OK].

[Service Menu] appears

15. Confirm document is placed on the ADF or


Exposure Glass, and all required settings
specified, and press control panel [Start] key.

The document is scanned and routed to the


specified destination email address(es).

Entering Email Address Manually


To enter an email address manually, proceed as follows:

1. On [Send to Email] screen, select [To], [Cc],


[Bcc], or [ReplyTo] from drop-down [] list.

Note :
This function may not be available,
depending on administrator settings.

2. Press [Manual Entry].

Note :
If the manual entry function is disabled by
administrator settings, the [Manual Entry]
button cannot be selected; search the address
book for email addresses.

3. Enter email address.

4. Press [OK].

Note :
If a default domain (e.g., @abccorp.com) has
been set by the system administrator, enter
only the mail account (e.g., john) for the
recipient. The preset domain will be added to
the entered mail account automatically. For
details on the domain setting, contact your
system administrator.

5. Repeat the steps above to enter another email


address, if necessary.

Searching Email Address Book


To search your companies global address book, if available, proceed as follows:

1. Press [Search].

Note :
If the search function is disabled by the
system administrator, the [Search] button
cannot be selected; enter email addresses
manually.

2. Enter Search keyword, and then press [OK].

Addresses that match the specified keyword


display.

Note :
To search for all email addresses, leave the
entry field blank, and press [OK].
To search using the Wildcard function,
enter * and a keyword. Depending on
the input position of *, the search
results differ as follows.
- *key word*: All the names that include
the keyword display.
- key word*: Names that include the
keyword at the first part of the name
display.
- *key word: Names that include the
keyword at the end part of the name
display.

3. Select [To], [Cc], [Bcc], or [ReplyTo] from drop-down [] list.

Note :
This function may not be available, depending on administrator settings.

4. Select (highlight) destination email address(es).

Note :
Multiple destinations can be selected.

5. Repeat the steps above to search for another email address, if necessary.

Canceling Selected Email Addresses


The procedures for canceling selected email addresses differ between the Email Address List and
Selected Destinations List.

From Email Address List

1. On [Send to Email] screen, press email


address to be canceled. Highlight is removed.

From Selected Destinations List

1. On [Send to Email] screen, press


[Selected Destinations].

2. Press email address to be canceled. Highlight


is removed.

Send to Folder
Scan and Fax Manager supports [Send to Folder], which enables you to send scanned documents to
folders shared on the network. This simplifies distribution and management of information shared
with multiple users. [Send to Home Folder] is also supported, which automatically sends the
document to the login users folder.

How it Works
Scanned documents are sent from
the MFP to the Scan and Fax
Manager (SFM) Server, and then
transferred and saved in the
specified local and network folders.
To send documents to a local
folder, shared folders must be
created on the SFM Server
beforehand.

Note :
The procedures for [Send to FTP] and [Send to WebDAV] are the same as those used for [Send to
Folder].
[Send to FTP] enables you to send scanned documents to a specified FTP site. This enables
information sharing with users outside your local network.
[Send to WebDAV] enables you to send scanned documents to a specified WebDAV platform.
When using Scan and Fax Manager, in conjunction with a third-party DMS that supports
WebDAV, this features enables users to collaboratively edit and manage shared files on remote
servers.
The settings required for using the [Send to FTP] and [Send to WebDAV] functions must be
configured by the system administrator beforehand.

To Send to Folder, proceed as follows:

1. Place document on ADF or Exposure Glass.

2. Log in to the device, if necessary.

3. On [Home] screen, select [Group] tab >


[Scan to Folder].

If Password entry screen appears, see

4. Press [Scan to Folder].

Note :
If the selected Project includes only the
[Scan to Folder] Service, the [Send to
Folder] screen appears automatically.

5. Select destination folder, or search destination


folders.

Selecting Destination Folders


Folders displayed in the Destination Folder List
differ depending on administrator settings.
Selected destination folders are highlighted.
Multiple folders can be selected.
Press [ ]to display sub-folders for the folder, if
the button is highlighted.
Press [ ] to display folder in the upper-level.
This icon is available only when sub-folders are
displayed.
Press [Root] to display root folders. This button
is available only when sub-folders are displayed.

Searching Destination Folders


To search for destination folders on the LDAP server, proceed as follows:

1. On [Send to Folder] screen, press [Search].

3 PRINTING
This section explains now to print to a device that supports Streamline NX Secure
Print Manager from your desktop.

Note :
The name of the Project with assigned print function depends on administrator settings.
Print drivers that can be used with the SPM Server depend on system settings.
For details regarding print devices and printer drivers, contact your system administrator.
Also see, Registering a Virtual Printer.

Sending a Print Job


To send print jobs from a client PC to the MFP or laser printer, proceed as follows:

1. From your desktop, open application/file.

2. Click [File] > [Print].

3. Select printer driver, e.g., SecurePrinter.

4. Click [Print].

The document is sent to the Secure Print Manager


Server, to await release from the device. See Printing
Jobs at the MFP or Printing Jobs at the Printer.

Note :
If required, click [Preferences] and configure the
detailed settings.
The authentication information can be entered in [Preferences]. For entering the authentication
information, see Setting Up a Printer Driver.
The [Print] screen may differ from the screen above depending on the application you are
using.
When print jobs are sent to a laser printer using a user alias name, the counter logs for the print
jobs are not sent to the Authentication and Accounting Manager Server, though print jobs are
printed.
Print jobs sent to the print server can be managed using the Secure Print Manager User Tool on
the device display panel or via a Web browser. For details, see [Print Job List] Screen and
Managing Print Jobs via a Web Browser.

Printing Jobs

Printing Jobs at the MFP

1. Log in to the device, if necessary.

Note :
If you log in to the device as a Guest User, the PIN Code entry dialog box appears. Enter a
valid PIN Code. A Print Job List for the Guest User appears.

2. On [Home] screen, select [Group] tab >


[Secure Print Manager].

[Print Job List] screen appears

Note :
For details, see [Print Job List] Screen.

3. Select print jobs to be printed, if necessary.

4. Press [Print] to print all jobs in the list, or


press [Start] key on MFP control panel.

Note :
If a print job is not selected, the [Print] button is not available (enabled).
To delete the job, highlight the job, and then press [Delete].
If you have exceeded the function usage limit, a message notifying you that the restrictions will
be applied may appear. Press [Print] to confirm the restriction and proceed with printing. For
details, see Warning Message Exceeded Usage Limit.
While printing, other operations are not available and the user cannot log out of the MFP.
Print jobs are deleted or retained after they are printed. For details, contact your system
administrator.
If a user alias name is registered, all print jobs sent using a user name and an alias name are
displayed on the MFP touch screen, and you can print or delete those jobs.
The number of print jobs displayed, or display items for print jobs, differs on a device with 4.3
inch display panel.

If the function to cancel a processing job at logout is enabled by the system administrator, all
the print jobs in process, including jobs waiting to print, will be deleted automatically when a
user logs out of the MFP because of a device error, such as paper misfeed, etc. This function is
enabled only when a user prints jobs via the MFP.
With the function to cancel a processing job at logout enabled, if a user sends print jobs using
the SNX SPM Direct Port, while another user logs out of the MFP because of a device error,
the print jobs sent by the user may be deleted.

Printing Jobs at the Printer

1. Login in at the device by holding your ID card over the card reader (or
insert into the card reader).

When authentication is successful, the printer starts printing the job.

Note :
After jobs are printed, you are logged out automatically.
If login fails, display reads Auth. Failed. See Error Codes.

Laser Printer Display Messages


Ready This appears on the initial screen.
Connecting This appears until printing starts, after you log in.
Cnct Server1 The printer is connecting to a server. The server name that printer is connected to displays.
Printing A print job is being printed.
Print Error An error has occurred while sending a print job to the printer. After this message appears for 3
seconds, the display returns to the initial screen.
No Print Jobs A login user has no print jobs. After this message appears for 3 seconds, the display returns to
the initial screen.
Auth. Failed Authentication has failed.
Lt. val. excd. A login user has exceeded the function usage limit. This message appears for 3 seconds.
Forced B&W The rules of a forced black and white print have been applied. This message appears for 3
seconds.
Forced 2 Sided The rules of a forced 2 sided print have been applied. This message appears for 3 seconds.
Note:
If a problem occurs with the printer, an error code will appear. Error codes that display on a laser printer are the
same as those that display on an MFP. For details, see Error Codes.

Printing Jobs as a Delegate User


A user registered as a delegate user can print jobs instead of an owner.

Note :
When a delegate user prints jobs for an owner, the owners authorization is applied to the jobs and
the counter logs for the owner are recorded.

1. Log in to the device, if necessary.

2. On [Home] screen, select [Group] tab >


[Secure Print Manager].

[Print Job List] screen appears.

Note :
If a user logs in to a device as a Guest
User, the PIN Code entry dialog box
appears. Enter a valid PIN Code. A
print job list for the Guest User is
displayed.

3. Press [Slct.JobOwner].

Note :
[Slct.JobOwner] is disabled when an owner is not registered.

4. Select print job owner, and then click


[OK].

Note :
An owner name and the number of the
print jobs are displayed on each button.
Up to five (5) owners per delegate user
are displayed.
The button for an owner who has no
print jobs is disabled.
If an owner name is not displayed on a

The messages Printing, Please Wait... and Connecting...Please Wait. appear and the selected
print jobs are printed.

Note :

When a Print Job List for an owner is displayed, [Slct.JobOwner] changes to [Login User]. To
return to the [Print Job List] screen for a login user, press [Login User].
If a print job is not selected, the [Print] button is not available (enabled).
The [Start] key on the MFP control panel can also be used to start printing.
If the function usage for an owner has exceeded the limit, a message notifying that the
restrictions will be applied may appear. Press [Print] to confirm the restriction and proceed with
printing. For details, see Warning Message Exceeded Usage Limit.
While printing, other operations are not available and a delegate user cannot log out of the
MFP.

Job Name The name of the print job is displayed (max. 70 characters). You cannot change the job name.
Quantity Specify the number of copies (1 999), using the numeric keys on the device. To cancel the
entered value and reset to the previous setting, press [Clear].
Note:
If the original setting is in four digits, 999 is displayed in the entry field.
1 or 2 Sided 1 Sided: Select to change the setting to single-sided printing.
2 Sided: Select to change the setting to duplex printing.
Color/B&W Do not Change: Select to print in its original setting.
B&W: Select to change the setting to black and white printing.

6. Press [Print].

The print job is printed in the specified


setting, and the display returns to the [Print
Job List] screen.

Note :
To cancel the specified settings, press
[Exit] to return to the [Print Job List]
screen.
The settings specified on the [Settings] screen will not be reflected on the [Print Job List] screen.
Print jobs may not be printed in the specified settings depending on the function authoriza-
tion settings. For details, contact your system administrator.

Checking a Print Job


After specifying print settings for a job, as outlined in the previous section, you can confirm the
output by pressing [Check Print]. This action will print one copy with the chosen settings.

1. Press [Check Print].

Note :
One copy is printed with the specified print
settings, and the value entered in [Quantity]
decreases by one.
If the quantity has been set to 1, the value
will not be changed from 1.

2. Repeat step 1 until a copy is printed as


you wish.

Note :
From the second test printing, the [Quantity] value will not decrease until you press [Print].

Deleting a Print Job


1. Log in to the device, if necessary.

2. On [Home] screen, select [Group] tab >


[Secure Print Manager].

[Print Job List] screen appears.

3. Select (highlight) the print job to delete,


and then press [Delete].

Note :
If a print job is not selected, the [Delete]
button is not available.

Confirmation message appears.

4. To confirm deletion, press [OK].

The message Deleting, Please Wait... and Connecting...Please Wait. appear, and the selected
print jobs are deleted.

Note :
To cancel the deletion, press [Cancel].
While deleting print jobs, other operations are not available; user cannot log out of the MFP.

Appendix A: Authentication
Device Login/Logout
When user authentication is enabled, you must log in to the device in order to access the RICOH
Streamline NX Home screen and associated Projects/Services. After logging in, be sure to log out,
to prevent unauthorized usage.

MFP Login
How you log in to a device is based on Streamline NX authentication
settings configured by the system administrator. If necessary, check with
your administrator for specific login procedures.

The available login methods include:


1. Manual Login 4. PIN Code Login
2. Card Login 5. Guest User Login
3. Card and Password Login

Note :
For more information about logging in to a device, function restrictions and error conditions, see
Login Notes.
If logging in to RICOH laser printer, see Printer Login.

Note:
The device control panel is locked when a user is not logged in. You need to log in to use device functions or
modify system settings via the device control panel.
You may not be able to log in to a device shortly after the device is turned on.
You cannot log in to a device while another user is logged in.
When you log in to a device with a card, while the display panel is turned off, the display panel is turned on, and
then the login process can be performed.
When you log in to a device with a card while the display panel is turned off, you may not be able to log in
depending on the condition of the device. In this case, display the Login screen, and then try to log in again.
After successful authentication, and the Home screen appears, some of the Project buttons may be disabled or
hidden for a moment.
After you log in, you can operate the device according to the function restriction settings specified by the system
administrator.
When a user logs in to a device using the cached user information, a password is not necessary, even if a login
method that requires a password is selected.

Editing User Information via a Web Browser


This section explains how to edit user information using the Authentication and Accounting
Manager (AAM) User Tool on a client PC.

Note :
For Client PC requirements, see System Requirements.

AAM User Tool Login


Users can log in to the AAM User Tool via a Web browser as either a General User or Staff,
depending on the User Role established by the system administrator. General Users can edit the
Delegate User information. Staff can edit the Delegate User information and register or delete
Temporary Cards. For details about User Roles, contact your system administrator.

1. Open your Web browser.

Important:
If multiple tabs and windows are opened in the browser, close all the tabs and windows before
logging in to the AAM User Tool. Do not operate multiple tabs and windows at the same time
when using the User Tool.

2. In the address bar, enter AAM User Tool URL.

When using HTTPS (SSL) connection, enter:


https://<Servers IP Address>:SSL port number/aam-s/

When using HTTP connection, enter:

Specifying Delegate Users


This section explains how to select Delegate Users from the registered login users. Up to five [5]
Delegate Users can be registered.

1. Log in to AAM User Tool.

2. Click [Configuration] > [Edit User Information].

3. Under [Delegate User Information], click [Edit].

Registering a Temporary Card


Users with Staff privileges can register or delete a Temporary Card. A Temporary Card can be
used only on the day a card has been registered. Only one card can be registered per user.

Note :
Differences between a Temporary Card and a normal card (with an expiration date specified) are
described below.
The card ID can be obtained by swiping your card on the card reader attached to the PC; the Card
ID field will be automatically populated.
You can enter a value that is read from a keyboard card reader in a text box of [Card ID].
For information about supported card readers, contact your local Ricoh service representative.

Resolution Select from [100dpi], [200dpi], [300dpi], [400dpi], or [600dpi].
Note:
Select [200dpi] for standard resolution.
Selecting high resolution achieves a clear image but the file becomes large in size.

Scan Type Specify the type of the scanned document. Items displayed in the drop-down [] list
differ depending on the color mode (Black & White, Gray Scale, and Full Color).
Black & White: Text
B & W: Text/Line Art
Black & White: Text/Photo
Black & White: Photo
Gray Scale
Full Color: Text/Photo
Full Color: Glossy Photo
Auto Color Select: If [Auto Color Select] is selected, documents are automatically
detected as black and white or color during scanning. If a document is detected as
color, a JPEG file is output. If a document is detected as black and white, a TIFF file is
output.
File Format Specify a file format for the scanned document. If Black & White is selected for the
color type in [Scan Type], specify a file format from the drop-down [] list for [Black &
White]. If Gray Scale or Full Color is selected for the color type in [Scan Type], specify a
file format from the drop-down list for [Grayscale/Color].

Original Settings If scanning a document using the ADF, select to scan one side or both sides of the
original from [1 Sided] or [2 Sided]. If selecting [2 Sided], specify the binding
orientation from [Top to Top] or [Top to Bottom].
Top to Top: Select for a layout to read text like pages in a book.
Top to Bottom: Select for a layout to read text like pages bound at the top.
Density Specify the scanning density. Select [Auto Density] to automatically detect color and
correct the density to improve the resolution for non-white or transparent pages. To
manually adjust the scanning density, select from the following items in the drop-

ADF and the Exposure Glass at one time. Place the batch of
documents on the ADF, or a document on the Exposure Glass,
and then press [Start]. When all the scanning finishes, press
the [#] key. The scanned data will be distributed at a one time.
Note:
For details, see Scanning Multiple Document using ADF and
the Exposure Glass.
SADF: Select to scan documents in several batches as a single job. If
placing additional documents within 60 seconds after scanning
the first batch of documents, scanning the placed additional
documents starts automatically. When all the scanning
finishes, press the [#] key. The scanned data will be saved as a
single job.
Note:
For details, see Scanning Batches of Documents using SADF.
If the data size exceeds the capacity of the device, the
scanned data cannot be distributed.

Size Divide The scanned documents is divided into multiple files according to
the file size specified in [Email Division Size (KB)]. Multiple emails
are sent to destinations. If the recipients email
application supports the data restoring function, the data divided
into multiple files will be restored as one file.
Note:
This function may not be available depending on administrator settings.
Email Division Specify the file size to divide the document data into.
Size Note:
This setting is only available when [Size Divide] is selected for [Divide Email].

Email Select whether to divide the scanned documents by pages or by a specified file size.
Attachment Logical Division (Join Automatically):
Format Scanned documents are divided into pages according to the specified file size and send to a
multiple recipients.
The divided files of which the file size exceeds the attachable file size are not sent, and an
error message is sent to a login user only when the email address can be obtained. In this
case, it is recommended to scan documents in lower resolution again.
Byte Division (Join Using Utility):
Scanned documents are divided into the specified file size and send to multiple recipients.
The recipients need to assemble the divided files after receiving them.
The divided files can be sent without an error by specifying the

Notification Select whether to require a notification when the email is opened by the recipient.
On: Select for receiving a notification.
Off: Select if you do not need a notification.

OCR Filter
The Optical Character Recognition (OCR) filter recognizes the characters on the scanned
documents and translates it into text data. It also supports the auto orientation detection function
that corrects the orientation of the scanned data automatically. If pages in different orientations are
scanned, the orientations are corrected to face all the pages in the same direction.

1. On [Metadata] or [Service Menu] screen, press [Scan Settings].

2. Press [OCR] tab.

3. Select language in OCR Language drop-


down [] list, if necessary.

PDF Converter Filter


The scanned data is saved in PDF. It is useful to create a password-protected file or restricts readers
from printing, modifying, or copying text and images of a file.

1. On [Metadata] or [Service Menu] screen, press [Scan Settings].

2. Press [PDF Converter] tab.

Note :
Filter tab names differ depending on
administrator settings. For details,
contact your system administrator.

3. Select size settings, as outlined below:


Create Searchable Select [Yes] to create a text searchable PDF. Characters on documents are recognized
PDF and translated into data. If [Yes] is selected, the drop-down [] list for the language
selection will be enabled. Select the language of the document. Select [No] to create
an image PDF.
Note:
Select the same language used one in the document to be scanned. Otherwise, the
characters cannot be recognized by the PDF Converter filter.
Assign a User Select to set a password for opening a PDF. If [Yes] is selected, the password entry
Password screen appears. Specify a password, and then click [OK]. The password entry screen
appears again for confirmation. Entry a password again, and then click [OK].
Note:
Specify a password using up to 32 characters.

Assign a Master Select to restrict readers from printing, modifying, or copying text and images of a file.
Password If [Yes] is selected, the password entry screen appears. Enter a password, and select
the functions to restrict users from using.
Note:
Specify a password using up to 32 characters.

Important:
Do not set the same password for [Assign a User Password] and [Assign a Master Password].

4. Press [OK].

The Section Specify filter enables to extract the specified section of the scanned documents and save
as data. For example, when scanning documents in six pages, if you specify the section 1 2 and
5 6, pages 3 and 4 are excluded from the saved data.

Deskew Select [Yes] to correct the skewed images of the
original before saving the data.
Note:
White margins may appear around the corrected
images if the skew distortion is extreme.
The range of skew correction is -7 to +7.
Auto Orientation Select [Yes] to automatically detect the orientation
of an image, and rotates the image to face all pages
in the same direction.
Note:
This function can detect and correct the
orientation of the documents that are rotated by
90, 180 or 270.
Change Select [Yes] to change a resolution of a scanned image to the specified value. The
Resolution resolution will be changed only when it is higher than the specified value in either height
or width of an image. When a resolution is changed, it will be the same in the height and
width of an image.
Note:
Resolution cannot be changed if it is lower than the specified value.

Scanning Batches of Documents Using ADF

1. After scanning the first batch of documents, place next set on the ADF.

2. Press [Start] key.

The scanned document will be distributed as a single file.

Important:
Be sure to press the [#] key after scanning all the documents. Scanned data will not be
distributed until the [#] key is pressed.

Scanning Multiple Document Using ADF and Exposure Glass

1. Place next batch of documents on the ADF, or place a next document on the Exposure Glass.

2. Press [Start] key.

3. Repeat steps 1 and 2 to scan all documents.

4. After scanning all documents, press [#] key.

The confirmation message that scanning has finished appears.

5. Press [OK].

The message is closed. The scanned document will be distributed at a one time.

Important:
Be sure to press the [#] key after scanning all the documents. Scanned documents will not be
distributed until the [#] key is pressed.

When the documents are placed both on the ADF and the Exposure Glass, the documents on
the ADF have a priority.
When using the preview function, each preview screen for a scanned document appears. To
distribute the scanned document, press [OK]. To cancel the distribution of the scanned data,
press [Cancel]. If you press [Cancel], only the distribution of last scanned data is cancelled.

Scanning Batches of Documents Using SADF

1. Within 60 seconds after scanning the first batch of documents, place the next set on the ADF.

Scanning of the next set starts automatically.

2. Repeat step 1 to scan all documents.

3. After scanning all batches of documents, press [#] key.

The scanned data will be distributed as a single file.

Important:
If you do not set the next documents within 60 seconds, documents that have been scanned
are automatically distributed as a single file. In that case, you do not have to press the [#] key
in step 3.

Scanning Multiple Documents using Exposure Glass

1. Within 60 seconds after scanning the first document, place the next document on the Exposure
Glass.

2. Press [Start] key.

3. Repeat steps 1 and 2 to scan all documents.

Important:
If you do not set the next document within 60 seconds, the data of the documents that have

Appendix C: Print Management


Job Logs
This section explains how to view logs for scan jobs on the display panel of a device or using Scan
and Fax Managers User Tool via a Web browser.

Note :
The information that can be confirmed on the job log differs depending on administrator settings.

Viewing Job Log on Device Touch Screen


Logs for all the Projects (All Projects mode) or logs for each Project (Select Projects mode) can be
confirmed on the [Job Log] screen. For details, contact your system administrator.

Note :
You cannot view logs for the functions that you do not have authorization for in the Select
Projects mode.
If a security setting is enabled, user information other than that for a login user is masked with
asterisks (*****).
Job logs for functions other than Scan and Fax Manager cannot be viewed on the device touch
screen.
In the Select Projects mode, buttons for functions other than Scan and Fax Manager are disabled.

1. Log in to the device, if necessary.

2. On [Home] screen, press [Job Log].

3. If available, select a specific Project.

Managing Print Jobs via a Web Browser


This section explains how to manage print jobs stored in a print server using the Secure Print
Manager User Tool on a client PC. You can confirm and delete print jobs via your Web browser. If
a user alias name is registered, all print jobs sent using a user name and an alias name are displayed
and can be managed via the browser.

Setting Up a Printer Driver


This section explains how to set up a printer driver for sending print jobs to an MFP or a laser
printer on a print server. Print jobs sent to an MFP using the SNX SPM Port can be managed on
the display panel while print jobs sent to an MFP or a laser printer using the SNX SPM Direct Port
will be printed without the operations on the display panel of a device.

Note :
For the printer port you use, contact your system administrator.
For details on managing print jobs on the display panel of an MFP, see [Print Job List] Screen.
For details on managing print jobs using the Secure Print Manager User Tool, see Managing Print
Jobs via a Web Browser.
RICOH Streamline NX supports PCL 5e/5c/6, RPCS and PS printer drivers and LAN Fax driver.
The screens of the PCL printer driver are used for the illustrations in the following procedures.
The following steps are for setting up a printer driver by dragging and dropping a printer icon of
a network printer installed on a print server to the printer folder of your computer.
Depending on the operating system of your client PC, the shared printer driver cannot be copied
using the drag and drop operation from a print server. In this case, copy the printer driver by
performing one of operations described in the Note of step 4 on page 37.For details, contact your
system administrator.
The procedures to open the network print server folder and printer folder differ depending on
the operating system of your PC. Perform the procedures accordingly instead of the steps below.

system administrator.

[Home] Screen
After successful login, if required, the Streamline NX [Home] screen displays on the MFP touch
screen. All functions are accessed through this intuitive user interface.

Name Home Screen Features


Group Tabs Select a tab to display the Projects assigned to each tab.
Note:
Names displayed on the Group tabs, and Projects assigned to each tab, differ
depending on administrator settings1.
Project Select a Project you would like to use by pressing the associated button (icon).
Buttons Note:
Three types of Project buttons are displayed on Group tabs of the [Home] screen:
each button is for Scan and Fax Manager, Secure Print Manager or the standard MFP
functions, such as Copy/Scanner/Printer/Fax/ Document Server. This enables you to
select each function by simply pressing the desired button.
For Scan and Fax Manager, a scan task (with scan settings, e.g., resolution, file

[Print Job List] Screen


Secure Print Manager creates a secure printing communication path. Only authenticated users can
access and print files, stored on the SPM Server, after login to the device. You can then access the
[Print Job List] screen via the associated [Project] button.

Button Print Job List Screen Features


Database The database, in which print jobs are stored, is displayed. Database name can be
Display Tab entered in a tab, using up to 10 characters.

Print Job List The current login users print jobs are listed. Up to 50 print jobs can be displayed in
the list. To select a job, press a print job. The selected job button is highlighted. To
deselect a job, press it again. The following information is displayed for each job:
Job name: A job name is displayed in a maximum of 74 characters.
Data storage information: [Client] or [Server] is displayed as a data storage
information (right-hand column).
[Client]: This is displayed when a user sends print jobs using the optional
Client Secure Print function. Print job data is stored in a client
computer.
[Server]: This is displayed when a user sends print jobs using the printer
driver supported for the Secure Print Manager. Print job data is
stored in the Secure Print Manager server.
Note:
This item is not displayed on a device with 4.3 inch display panel.
This information is displayed even when you sent print jobs as a delegate
user.
Date: The date that a print job was saved in the print server is displayed.
Page: The total number of pages is displayed.
Quantity: The number of copies is displayed.
1/2 Sided: [1 Sided] or [2 Sided] is displayed.
Color/B&W: [Color] or [B&W] is displayed.
Note:
A job name may not be displayed correctly depending on the characters such as a
double-byte character.
Print job information may not be displayed correctly depending on an source

Appendix E: Setting SL-NX Display Language


The Switch Language function of Scan and Fax Manager and Secure Print Manager allows you to
select the language to be used within Streamline NX screens. This change does not affect the MFPs
display language. For example, Streamline NX screens can appear in Spanish, while screens for
standard device functions appear in English.

Another option is to change the MFPs display language. That selection automatically changes the
Streamline NX screens to the same setting. For example, if the MFPs display language is changed to
Spanish, all screens within the Streamline NX application automatically change to Spanish. In short,
switching languages, as outlined below, is local to Streamline NX. Changing the MFPs display
language is global, thus changes all applications and standard device function screens.

Note :

Scan and Fax Manager and Secure Print Manager supports the following languages:

If you change the MFPs display language, the setting is also applied to the function screens of Scan

be applied the next time a Project is selected on the [Home] screen.
If the language that is not supported is set, English is selected for the display language.
The language setting specified in Streamline NX does not affect the setting specified on the MFP.
Once a user changes the language setting, the setting will remain until a device is restarted.
The screen is displayed in the devices default language when you start up a device for the first
time or after you restart a device.

Only print jobs sent using SNX SPM External Port can be used with the Aficio SP 4400 Series.
Printing using the SNX SPM Direct Port is not supported.
PCL or PS Printer Driver for Aficio SP 4400 Series
Print using PCL or PS printer driver for Aficio SP 4400 Series is supported.
When installing PCL or PS printer driver for Aficio SP 4400 Series, authentication information
is not required. A login user name for a client computer is used as user information for print
jobs.
Printing using the RICOH Universal Print Driver is not supported.
Print using the Print and Hold function is not supported. Do not specify the function in the
driver.

Display Language
A language displayed on Aficio SP 4400 Series can be changed. If you change the display language,
the setting is also applied to the Secure Print Manager screen, login screen, user information screen,
card registration screen, pop-up screen, screens for applications embedded in Aficio SP 4400 series,
etc. Languages supported by the Aficio SP 4400 Series are the same as those for other RICOH
devices, with the exception of Simplified Chinese, which the Aficio SP 4400 Series does not support.

Warning Message Exceeded Usage Limit
