Check Prerequisites

In this guided procedure, you configure your system for the project management.

SAP Solution Manager is integrated with the project management functions of SAP Portfolio and Project
Management (SAP PPM), so you can manage, for example, project time, resources, and status.

For the following areas of SAP Solution Manager, project management is integrated:

Solution documentation
Change request management
Requirements management
Issue management

The integration of projects gives you the following options:

Enriching your solution documentation in SAP Solution Manager (branches, landscapes, and change
cycles) with project management capabilities
Reflecting business requirements in projects
Detailed planning, timing, structuring, and managing of resources for a project
Handing over your plans to realization. With time and status feedback, you can monitor the progress
and resource consumption of your project.
Monitoring the issues belonging to your project

The following scenarios are supported:

Project assignment: You can assign entities from solution documentation and issue management to a
project.
Implementation: You can create a request for change, a change document, and an IT requirement out
of a project task, to start the realization of this task; you can plan a new function before implementing
it. You can also assign existing transactions to a task.
Maintenance: You can create a project task out of a request for change or a change document; you can
include smaller changes in your project planning and monitoring.
Project management without integration into other SAP Solution Manager capabilities.

Note: The Check Prerequisites activity below checks basic settings of SAP PPM and the availability of the
configuration for project management integration. Make sure that you have activated the piece list
AI_CUSTOMIZING (see Basic Configuration).

In edit mode, you can complete the activities automatically as follows:

Select the activity to be automatically executed by positioning the cursor on the row of the activity.
Make sure that the status of this activity is set to Execute.
Choose Execute Selected.

Note that you cannot select multiple activities.

To execute all automatic activities, make sure that the execution status of the activities is set to
Execute and choose Execute All.
The system may require several minutes to perform the activities depending on the number of
activities.
To execute specific automatic activities, make sure that the status of these activity is Execute, select
the activities, and choose Execute Selected.

For each activity that you perform, the system displays log messages in the Log screen area:
To display a detailed description of a message, choose the link in the Details column.
If an error occurs, a link in the Notes column appears. Choose this link to search for SAP Notes and
Knowledge Base Articles (KBA) based on error message and number.
To get additional information about a log entry in another application, choose the link in the URL
column.
To check errors in the log of failed batch job executions, open Job Management (SM37) and enter the
job name.

Check PPM configuration

This activity checks the prerequisites for using SAP Portfolio and Project Management (SAP PPM) with the
project management in SAP Solution Manager.

Configure Project Management


For the project management, SAP delivers a predefined customizing, which can be subject to regular changes
and enhancements. For this reason, we recommend that you use customer-specific customizing.
With the activities below, you can copy the settings delivered by SAP to your own namespace, compare your
copied customizing with the settings delivered by SAP, and update your settings as required.

The predefined customizing includes project types, phase types, and task types for SAP Portfolio and Project
Management (SAP PPM), as well as settings for the integration of these types with the solution documentation,
change request management, and requirements management.

If you want to use SAP PPM integrated with change request management or requirements management, you
need to copy the transaction types first.

In the configuration log, you can examine which source and target table entries have been changed by copying
or updating the customizing of the project management.

Activities

1. Go to edit mode.
2. Select the activity from the list and choose the link in the Navigation column.
The activity is opened in a new window. For more information, see the detailed help text there.
3. When your settings are complete, set the execution status to Performed.

Copy Customizing for Project Management

For the project management, SAP delivers predefined customizing, which can be subject to regular changes and
enhancements. For this reason, we recommend that you use customer-specific customizing.
With this function, you can copy the settings delivered by SAP to your own namespace and adjust the copy as
required.

The predefined customizing includes project types, phase types, and task types for SAP Portfolio and Project
Management (SAP PPM), as well as settings for the integration of these types with the solution documentation,
change request management, and requirements management.

Requirements

You have imported the customizing predefined by SAP to your working client. To do this, activate the
customizing Piece Lists under SAP Solution Manager: Configuration (transaction SOLMAN_SETUP) ->
Mandatory Configuration -> Basic Configuration.
You have copied the transaction types that you want to use in Project Management and that are
predefined by SAP for Change Request Management and Requirements Management. You can do this
under SAP Solution Manager: Configuration (transaction SOLMAN_SETUP):
o under Change Control Management -> Change Request Management -> Define Change Process
-> Copy Transaction Type
o or under Requirements Management -> Define Requirement Process -> Copy Transaction Type

An SAP PPM task type is only copied if the transaction type that is assigned to it is copied, or if it does not have
a transaction type assignment. Project types are only copied if at least one of the task types is to be copied.

Activities

1. In the Source section, choose a source project type from the dropdown list.
For the customer namespace, you can accept or change the proposed value. It must be a four-character
value and must not start with zero (0). It will be used as prefix for the new IDs of the copied project,
phase, and task types in the target.
2. Choose Apply to get a preview of the copy and customize in further detail.
o In the Target section, you see the proposed copy results for the new project, phase, and task
types.
o The Task Types table additionally displays the transaction types that will be assigned to the
task types.
o You can edit the proposed IDs and texts for the project, phase and task types.
o In the Action columns, decide whether to create a new type or to ignore a type for the copy.
Note: If a task type is already created, assigned to the same transaction type, and has the
same settings for the creation of tasks from transactions, it must be reused (Use existing) or
ignored.
3. Choose Execute in Test Mode to preview all source and target values in a separate popup.
Close the popup. Nothing is saved to the database.
4. When your settings are complete, choose Execute. Your version of the customizing is saved to the
database.
5. The log shows the entries of the source and the target for all affected database tables. Click the table
names to display the included entries.
You can also check the log later, in the Display Customizing Log for Project Management activity.

Update Customizing for Project Management

For the project management in SAP Solution Manager, which is integrated with SAP Portfolio and Project
Management (SAP PPM), SAP delivers predefined customizing. This customizing can be subject to regular
changes and enhancements. For this reason, we recommend that you use customer-specific customizing.
With this function, you can compare your copied customizing with the settings delivered by SAP and update your
settings as required. You can also use this activity to complete an incomplete copy of the customizing.

The update supports the following changes to the task types delivered by SAP:

Changes to the detailed configuration of the project type, an assigned phase type or task type
New assignments of task types, phase types, role types, and forms to the project type
New and changed status mapping and restrictions for the assignment of tasks and transactions
New roadmap node type and RDS type mapping

All updates based on new SAP deliveries can also be updated if they are missing in your system, for example,
because you deleted them or did not include them in the initial copy.

Prerequisites

You have imported the customizing predefined by SAP to your working client. To do this, you have
performed the activity Activate Piece Lists under SAP Solution Manager: Configuration (transaction
SOLMAN_SETUP) -> Mandatory Configuration -> Basic Configuration -> Configure Basic Functions.
There are transaction types predefined by SAP for change requests and requirements. You have copied
the transaction types that you want to use in the project management, in SAP Solution Manager:
Configuration (transaction SOLMAN_SETUP):
o either under Change Control Management -> Change Request Management -> Define Change
Process -> Copy Transaction Type
o or under Requirements Management -> Define Requirement Process -> Copy Transaction Type

Steps

1. In the Settings section, choose a project type from the dropdown list.
For the customer namespace, you can accept or change the proposed value. It must be a four-character
value and must not start with zero (0). It will be used as prefix for the new IDs if additional phase or
task types are copied.
2. Choose Apply to get a preview of the updates and customize in further detail.
3. In the New Values section, you see the proposed results for the new phase, task, and other types, for
example, new forms.
o The Task Types table additionally displays the transaction types that will be assigned to the
task types.
o You can edit the proposed IDs and texts for the phase and task types.
o Note: You cannot edit a task type that is already created, assigned to the same transaction
type, and has the same settings for the creation of tasks from transactions. But you can assign
the existing task type to your project type. This also applies to the other types because they
are not copied but assigned to your project type.
o In the Action columns, decide whether to create a new type and assignment or to ignore a type
for the update.
4. The Updated Values section displays the changes on existing customizing entities, for example, a
change of a task type that you had copied before. Click the icon in the Details column to see what has
changed in detail.
5. Choose Execute in Test Mode to preview the update results in a separate popup.
Close the popup. Nothing is saved to the database.
6. When your settings are complete, choose Execute. Your version of the customizing is saved to the
database.
7. The log shows the entries of the source and the target for all affected database tables. Click the table
names to display the included entries.
You can also check the log later, in the Display Customizing Log for Project Management activity.

Display Customizing Log for Project Management

In the log, you can examine which source and target table entries were changed by copying or updating the
customizing of the project management.

In edit mode, choose Start Web Dynpro to start the activity:

1. In the dialog, you can either filter for selected log, for example, by selecting the source or target project
type, a timeframe, or a user, or you can leave all fields empty to display all existing logs.
Choose Display.
2. The log opens with the affected tables in a tree structure on the left. This structure contains 3 levels:
o The first level is the table that was changed.
o The second level shows the source and target project type.
o The third level contains the action (for example Copy or Deletion) and date of the action.
3. Select any line from the navigation tree to display the affected table entries in the right screen area.
When you select a higher level, all table entries underneath are displayed on the right.
4. On the right, you can select a source table entry and the corresponding target entry will be highlighted,
and vice versa.

Maintain Configuration
In this step, see the manual configuration activities for the project management integration. You can use them
to adapt the configuration you copied in the previous step to meet your needs.

Note: If you want to adapt the configuration of SAP PPM, use transaction SPRO and perform the activities listed
below SAP Customizing Implementation Guide -> SAP Portfolio and Project Management -> Project
Management. The detailed configuration of SAP PPM is described in the attachment of SAP Note 2026421.

Activities

Proceed as follows:

1. Go to edit mode.
2. Select one of the activities and choose the link in the Navigation column.
The activity starts in a new window.
3. When your settings are complete, set the execution status to Performed.

Map Transaction Type to Task Types


Use

This customizing activity maps transaction types of SAP Solution Manager to task types of the project
management. You can only assign transaction types that are used in change request management, for requests
for change.

Activities

Choose which project management task types are mapped to which SAP Solution Manager transaction types.
Then, for each mapping, maintain the task and transaction type, the creation and assignment mode, and the
Restrict Time indicator to restrict time recording. If the indicator is set, only resources that are assigned to the
transaction with partner function PPM Resource (SMCD0005) are allowed to record time.

With the mass assignment indicator, you can maintain a default setting for mass assignment of transactions.

Scenario 1: Creation mode in implementation

To create a request for change in the project management task, choose one of the following creation
modes:

o Manually Create Transaction Out of Task: You will be able to create a transaction using a
button, after the task has been released.
o Automatically Create Transaction on Release of Task: The system creates the transaction
automatically after the task has been released.
Scenario 2: Creation mode in maintenance scenario

To enable the creation of a task by the SAP Solution Manager transaction, choose the Create Task on
Customized Action of Transaction creation mode. In the transaction, there will be an action to create the
project management task.

The assignment of this creation mode to the transaction type must be unique, so you can only choose
this creation mode once for each transaction type.
You need two task types in Project Management for implementation and maintenance.

Scenario 3: Assignment mode in implementation scenario

You can define whether a transaction can be assigned to a task and choose a creation mode and allow
assignment to this task type.

Example

PPM Task Type: 000000000000001

Transaction Type: SMCR (transaction type for request for change)

Creation Mode: Automatically Create Transaction on Release of Task

Assignment Mode: Assignment Not Allowed

Restricted Time Feedback: Check (only users with a specified partner function can record time)
