Housing Reservation Contract T 202 238 7900  F 202 238 7700

www.twc.edu/info@twc.edu

After carefully reviewing the contract below, please indicate your agreement by signing and dating the contract, and returning it to
The Washington Center for Internships and Academic Seminars with a housing security deposit of $300. In order to confirm a space in The
Washington Center housing, you must submit this contract and the $300 housing security deposit no less than six (6) weeks prior to your check-
in date. If you are admitted within six (6) weeks of the check-in date, this contract and housing security deposit are due within five (5) working
days.
All students, regardless of scholarship, are required to pay the $300 housing security deposit which may be paid by credit card authorization
or by check, payable to The Washington Center. This includes Diversity Leaders Award recipients, Disability Scholarship Award recipients,
Native American Leadership Program participants, Abitibi Scholarship recipients, state scholarship awardees, and students receiving financial
assistance provided by their placement agency and/or home institution.
The Washington Center encourages interns to submit a credit card number for the housing security deposit, as the card will not be charged
unless 1) you cancel your housing reservation or 2) you incur any charges/damages, lost keys, etc. during your stay within
The Washington Center housing. If you submit your deposit via personal check, it will be filed with your contract and shredded at the end of the
semester, assuming there are no charges/damages. If there are charges/damages, the check will be cashed, and a check for the remainder will be
mailed to the student.
Submission of the signed and dated Housing Reservation Contract, along with the housing security deposit, constitutes agreement to the terms
and conditions of the contract. Receipt of this contract and housing security deposit guarantees the intern a space in housing provided by The
Washington Center, if submitted within the deadline. If applicable, interns must submit a Parking Request Form and/or Late Arrival Form
with their housing reservation contract.

1.0  Apartment Access

Designated persons, including The Washington Center Resident Assistants (RAs) and Office of Student Life staff, as well as
building management, have the authority to enter and inspect rooms at any time without permission or consent of the student
occupants for the following reasons: health and safety purposes, to conduct repairs, or if there is just cause to suspect student
endangerment or policy infractions. Students are expected to comply with all reasonable requests for entry.

2.0  Apartment Care

Interns living in The Washington Center housing facilities are responsible for the upkeep of their apartment. The cost of repair, cleaning,
damage, or loss of furniture will be the responsibility of all occupants of an apartment. Damages/charges will be equally divided between
the occupants in the apartment. If a single intern takes responsibility for damage, that intern will be charged the entire amount. Any
charges will be charged to the credit card number provided for the housing security deposit.

3.0  Cancellation & Fee Assessment

Your housing reservation is for your entire term attending The Washington Center program. No adjustments will be made for late arrival
or early departure. Interns who are cited for violations of the Student Code of Conduct according to established procedures and are evicted
for this cause will not be entitled to a refund.

3.1 Cancellation Date: 14 or more days prior to check-in

Fee Assessed: Forfeiture of $300 housing security deposit

3.2 Cancellation Date: Fewer than 14 or more days prior to check-in

Fee Assessed: Forfeiture of $300 housing security deposit and an additional $500 cancellation fee

3.3 Cancellation Date: On or after check-in day

Fee Assessed: Forfeiture of $300 housing security deposit and the entire cost of housing for the term.

4.0  Check-out Procedure

All students must attend the check-out meeting scheduled by the RA Staff and follow the check-out procedures laid out there.
Please note ALL students must schedule a check-out appointment and vacate housing by 12:00 noon sharp on the designated check-out
day. Failure to do so will result in an improper check-out charge of $25.00.

5.0  Conduct and Guests

To maintain a noise level that is acceptable and conducive to a professional environment, apartment occupancy is limited to no more than
eight (8) people in an apartment at one time.
All guests (friends, fellow interns, etc.) in apartments must be at the mutual agreement of all roommates. Overnight guest(s) may be
permitted only with the prior written permission and consent of all roommates by using the Overnight Guest Form. All roommates must
sign the written approval before the guest(s) arrive; a copy must be given to the RA prior to the arrival of any guest(s). Guests cannot stay
longer than three (3) nights in a seven (7) night period, per visit in an apartment. At any point, if any roommate does not want the guest(s)
to stay in the apartment, the guest(s) must find other accommodations and cannot stay in the apartment.
All guest(s) and their vehicle(s) must be registered at the front desk.
All residents of the apartment are responsible for the behavior and actions of their guest(s), in both the apartment and on the property,
whether or not they are present when the behavior occurs. Guest(s) are not permitted to stay in the apartment without the presence of their
host.
The Washington Center reserves the right to ask any and all guests in an apartment to vacate an apartment at any time.

6.0  Consolidation Policy

The Washington Center reserves the right to change student accommodations at any time. To consolidate vacant spaces, students may be
required to relocate to another apartment or housing facility. When time allows, The Washington Center will inform current residents
of a new roommate’s arrival. Please note The Washington Center reserves the right to lease any extra bed spaces in its housing facilities to
clients unaffiliated with The Washington Center; those leasing beds are often interns who are not taking classes through The Washington
Center.

7.0  Housing Cancellation Policy

To cancel your housing reservation, you must submit notification, in writing, to housing@twc.edu. No cancellations will be taken by
phone or in person by a member of The Washington Center staff. Any cancellation will automatically result in at least the loss of your $300
housing security deposit. Additional cancellation charges will be determined per the schedule in this contract and will be added to the
student’s bill.

8.0  Housing Security Deposit

Each intern, regardless of scholarship, is required to provide a check or credit card for a housing security deposit of $300. The housing
security deposit is collected in advance for any charges/damages, lost keys, etc. that the intern might incur within The Washington Center
housing. There is no exception to this rule. If you cancel your housing reservation, you immediately forfeit your $300 housing security
deposit.
A final charge amount will be determined after all charges are received from building management, which is at least ten (10) weeks after
departure. Please note any and all damages/charges to an apartment are divided among all occupants. Your credit card will not be charged
unless damages/charges are assessed. Credit cards will be verified periodically for sufficient balance to cover the housing security deposit;
grades will be withheld if there is an unpaid balance.

9.0  Insurance for Personal Belongings

The Washington Center is not responsible for any loss, theft or damage to your personal property; insuring your valuables is recommended.
You may want to check your parents’ or guardians’ homeowner’s insurance policy to verify if your belongings are covered under their
homeowner’s insurance. If not, you are advised to consider insuring your personal belongings with a renter’s insurance policy.

10  Late Arrival

If you are not able to arrive between 10:00 a.m. and 6:00 p.m. on the designated check-in day, it is essential for you to complete the Late
Arrival Form to seek approval for your late arrival. The information you provide on the form will help us prepare for your arrival. Please
note, we do not accept late arrivals between the hours of 12:00 a.m. and 9:00 a.m.

11  Parking
We recommend that interns do not bring a car during their stay. Prior to their arrival, interns must submit a Parking Request Form to seek
approval to park a car at their housing facility. Parking is limited and therefore not guaranteed. The Office of Student Life will make every
attempt to grant your request.
If your parking request is approved, there is a monthly rate per parking space, which must be paid to property management on check-in day.
This rate is set by management and varies from building to building.
All guests must register their vehicles with property management upon arrival. You will need to use the designated parking area and follow
all building parking procedures; vehicles that are not registered, are not parked in the designated area, or are not parked correctly (e.g.
parked in a reserved spot, blocking another space) are subject to tow at the vehicle owner’s expense. The Washington Center assumes no
liability for damage, tickets, or towing that may occur to your vehicle or one that belongs to any visitors.

12  Photo Identification

All The Washington Center interns are required to carry a valid, government-issued photo ID with them at ALL times to present to any
The Washington Center official immediately upon request.

13  Removal from Housing Facilities

The Washington Center reserves the right to remove any student or guest from our housing facilities; students whose conduct is considered
disruptive, harmful, or potentially harmful to others or themselves may be removed from the program immediately.
If a student’s financial assistance requires that he/she live in The Washington Center housing, removal from said housing will result in
a loss of financial aid, with the appropriate amount added to the student’s bill. Please note that Student Life regulations are subject to
change. For more information, please refer to the Student Code of Conduct.

14  Room Assignments

The Washington Center interns should receive a housing assignment approximately 30 days prior to their check-in date via e-mail, provided
they have completed the necessary forms by the deadline.

15  Student Life Procedures

If you choose to live in The Washington Center housing during your internship, you must accept the following rules and regulations:
 You are required to have health insurance and provide proof of such insurance upon request.
 The Washington Center is not responsible for loss or damage to personal property and recommends that you insure your
valuables. Please check to see if you are covered under your parents’ or guardians’ homeowners insurance.
If not, we recommend you purchase renter’s insurance.
 The Washington Center does not permit pets on the premises except for service animals for official purposes.
 Smoking is NOT permitted in any of The Washington Center facility or housing units.
 All interns are expected to abide by The Washington Center’s Student Code of Conduct

Some financial assistance awards provided by The Washington Center require recipients to reside in The Washington Center housing
facilities, (government scholarships excluded) as these awards are applied to your housing bill.
