Revised Project Drawing File Folder Structure (Revision 1)

As we are all aware of the possibilities of using obsolete data, the quantity of drawings created and
accumulated during the course of a project, a few of us got together to expand the folder structure in
attempt to avoid confusion.

Below is the expanded drawings file structure for design and production that will support all current
company disciplines. Please note, this may only be a temporary structure, modifications may take place
at a later date. In the meantime, the changes made below reside under the DWG file structure for the
start up of every project. You may not require all of the folders for your project, however they will remain
in the folder tree and act as a placeholder.

01 Reference Drawings

This folder consists of all support drawings from clients, partnering consultants/firms, contractors,
digital support data, as builts, existing drawings, referenced files, linking files, design sketches etc.

Sub folders may be created to distinguish between the types of files.

It is data provided without warrant as to accuracy and if used in a drawing should be identified
with proper layer names such as: REF in the completed CADD drawing.

Under the Reference drawing folder

There are two sub folders to assist with organizing reference drawing types.

1. Xref folder

Contained in this folder are only drawing used specifically for externally reference functions.

AutoCAD treats an xref as a type of block definition. When you attach a drawing as an xref, you
link that referenced drawing to the current drawing; any changes to the referenced drawing are
displayed in the current drawing when it is opened. Xrefs must be a model files and they can be
attached at any scale, location, and rotation.

A drawing can be attached as an xref to multiple drawings at the same time. Conversely, multiple
drawings can be attached as external references to a single drawing.

External references or XREFs, enable designers to share drawing information electronically,

eliminating the need to exchange hard copy drawings between the design disciplines. With the
use of reference files, the structural engineer need not wait for the architect to complete the
architectural floor plans before beginning the structural framing plan model file. Nor does the
engineer have to redraw the architect's structural walls on the structural framing plan model file.

Using referenced model files to build a new model file without redundant effort. Referencing
electronic drawing information makes any future changes made by the architect apparent to the
structural designer. This real-time access to the work of others ensures accuracy and consistency
within a set of drawings and helps promote concurrent design efforts.

Naming conventions and dates of files are very important to ensure integrity and proper use of
files.

2. Client folder

This folder is to be used for drawings received from the client. They can be in the form of a sketch
or existing as built. They are to be used only as reference information.

02 Working Drawings (or Design Development)

03 Submissions

These drawings refer to all drawings submitted or printed for a purpose ie: tender, internal review,
client review, 30%, 60%, 90% review, as built, record.

Contained in this folder should be a .zip file created by the etransmit function in AutoCAD
which will contain all the associated .dwg and support files for that submission.

.pdf files can also be contained in the submitted .zip file if it is a required submission.

The file should be saved with the year-month-day- description or purpose of the submittal.
