Job description

Assistant Director of Studies Stafford House School of English

Location: Stafford House London


Position-holder reports to: School Manager
Working hours: 37.5 hours per week, hours to be agreed with School
Manager. Flexibility will be required during busy periods.

Overview of role:

The Assistant Director of Studies (ADoS) supports the School Manager in all aspects of the academic
management of the school. Responsibilities are as follows:

Recruitment and management of teaching staff


Academic Administration
Student welfare and academic support
Teaching as agreed with the School Manager

Key responsibilities:

Recruitment of teaching staff

1. Recruitment of teachers according to number of enrolments, following up references


systematically
2. HR administration, ensuring all HR documents are provided by new teachers and that the central
register remains up to date
3. Teacher induction, teacher training and development. Ensure regular observations and feedback
take place. Designing INSET and providing information and advice on external training for staff in
conjunction with the School Manager.
4. Maintain class averages at optimal levels to be agreed with School Manager.
5. Arrange / provide cover when teachers are sick, ensuring that the teacher has left instructions
on what is to be taught using the Scheme of Work. Brief cover teacher accurately so that
students have continuity of class content
6. Teach for up to 17 hours per week as agreed with the School Manager
7. Hold regular staff meetings and INSET sessions for teachers unable to make the PM meetings,
and ensure that major points are included in minutes of the meeting and filed for future
reference
8. Ensure teachers are up to date with administrative procedures including registers, progress
reports and certificates. Ensure teachers produce weekly schemes of work and that these are
filed and referred to systematically to avoid repetition of work
9. Issue contracts and maintain records of sickness and holidays for the teaching department.
Agree holidays with teachers; to be taken at the convenience of the school.
10. Appraisal of teachers on an annual basis.
11. Regularly observe teachers and provide constructive feedback
12. Discipline staff in line with company procedures as outlined in the staff handbook.
13. Ensure that teachers give and mark homework on a daily basis on the Intensive English and
examination courses.

Academic Administration

1. On a daily basis check that rooms are set up correctly for classes in the mornings and that
windows and doors are secure at night.
2. Oversee Library and Computer Suite, offering provision of self-study material and internet to
students after class. Develop self-access materials including reference materials, library books
and video
3. Run a twice-weekly book club for students, offering advice on using reading materials to
improve language
4. Timetable classes, carrying out intake procedures, student placement and testing, progress tests
and exit tests.
5. Allocate teachers to classes/courses
6. Resources development, ordering materials which are appropriate to the teachers and students
needs on Summer Programmes and year round courses. Meet publishing reps as necessary.
7. Syllabus design
8. Pay - provide timesheets and any relevant information to Accounts Dept as required and on
time.

Student Welfare and Academic Support

1. Carry out Skype interviews of prospective students to assess language level for visa application
purposes (if required)
2. Co-ordinate examinations entries and certificates.
3. Carry out monthly Progress Tutorials with any student who is staying over 4 weeks or in the
event of delegation, ensure these take place and are followed through by the tutor in a
systematic way, offering every support to the student in his/her academic aims.
4. Counsel students on all academic issues such as examinations, options and level, and if
appropriate arrange visits to sister colleges or study centres.
5. Liaise with Accommodation and other administrative staff on students pastoral care

Other

1. Attend conferences, as necessary.


2. Deputise for Director of Studies in his/her absence.
3. Liaise with Group Leaders and Agents on visits to School.
4. Liaise with Head Office in Cambridge and other CEG colleges as appropriate.
5. Work within parameters set by outside bodies such as UKBA and British Council
6. Take turns on the duty manager emergency phone rota
7. Teach according to number of enrolments in the school and projects being undertaken.
8. Cover other tasks as deemed necessary by the School Manager.
