Equipment room prospecting guide:
This guide is designed to help you uncover opportunities in the
dental equipment room. The vacuum and compressor are the heart
and lungs of the office; without them the doctor is shut down.
Therefore, it is important that they understand the condition of
their equipment and have a plan in place for when something goes
wrong. These questions provided are designed to help you identify
offices who have high risk equipment and help them prepare a
backup plan.
Opening Questions
How old is your current vacuum and air compressor?
A doctor might not know; take a look at the product. Does it look really old? If so, it probably is.
Dental vacuums and compressors can last 10 years or more if serviced properly. Anything between
7-10 years old should be checked out.
Have you had any service calls on your vacuum or compressor? What condition is the
product in?
Ask the doctor if he would like your service technician to stop by and evaluate the condition
of the product.
What is the cost of downtime to the office?
An average practice generates between $750k and $1M in revenue a year, that’s $3-4k a day.
Add the cost of the staff for a day to that and one day can easily reach $5,000 in total costs.
Now think about how many patients may reschedule with someone else? What long term loss
does that represent?
Has your practice grown or changed since you purchased your current vacuum and
compressor? How pleased are you with the level of suction and the amount of air you have?
Do you notice a drop when multiple operatories are working?
Adding a hygienist or another doctor, combined with performance degradation over time, can
make a substantial difference in a vacuum and compressor’s ability to meet demand.
If your current vacuum or compressor quit today, what would your backup plan be?
Do you know what system would best meet the needs of your office? Would you have
time to compare your options in an emergency?
The reality is that the doctor would frantically call looking for whatever they could get the fastest
to get them back up and running, even if it wasn’t the best system for the office.
Drill Down
Vacuum:
Are you using a wet or dry vacuum system? If wet, do you know how much water a wet-ring
vacuum uses? Do you pay for your water and sewage?
A single 1 hp wet-ring vacuum uses .5 - .7 gallons of water per minute, which equates to more than
60,000 gallons of water per year, while a 2 hp pump can use up to 1 gallon per minute equaling
120,000 gallons per year. Now, consider that some dual platform pumps use up to 2 gallons per
minute; that’s 240,000 gallons of water a year!

What maintenance does your vacuum system require?


Wet-ring vacuums require filter trap changes at least twice a month. This is a disgusting job which
many doctors pay a service technician to do for them. Some dry systems are oil lubricated and
require regular checking and changing of the oil.
Air Compressors:
Are you using a dental air compressor? Do you understand why a dental compressor
is important?
Dental compressors are required for use according to NFPA 99c level three, which governs
dental offices. They are essential based on filtration and drying, performance and noise. Dental
compressors have sophisticated drying systems to remove moisture from the air which is essential
for handpiece operation and composite bonding. They also filter the air of contaminants like bacteria,
so it is safe for human contact. Dental compressors are built to handle the demands of a dental
office - they offer higher quality compressor heads and are sized to last for many years of use. Dental
compressors are also designed to operate quieter than a standard compressor. In fact, Midmark
compressors can operate at a level quieter than the average conversation at just 60 dB.
What condition is your dental compressor in? How often does it run? Is your compressor
still drying the air effectively?
Just because they have a dental compressor doesn’t mean it’s still running efficiently. Dental
compressors are typically designed to run to a 35% duty cycle. This means they should only run
about 35% of the day. If it is running more often, then the office is undersized or has a leak in the
system.
Is your current compressor or vacuum oil lubricated? How regularly are you performing
maintenance on your compressor? What does this maintenance cost in time and dollars?
How are your handpieces holding up?
Oil and moisture saturated air will damage handpieces.
Have you experienced any issues with composites bonding well?
Improperly maintained and older compressors don’t properly clean and dry air, which can lead
to bonding issues, giving a false image of the doctor’s quality of work.
Wrap Up
Needs Payoff Statement:
Provide a payoff statement based on the responses you are given. What issues seemed to hit home with
the doctor? Only focus on the areas he/she seemed interested in; address their concerns.
Here are some examples:
We refer to the vacuum and air compressor as the heart and lungs of an office. And, unfortunately, just as
most people don’t think about their heart and lungs until a problem forces them to, most dentists don’t
think about their air compressor and vacuum until there is a problem. Waiting for a problem to occur is the
wrong decision; the best case scenario will still cause a backup of your entire schedule. More realistically,
you will have to cancel at least half of the day’s appointments. This results in an immediate financial loss,
as well as a potential long term loss of clients if they can’t be rescheduled quickly. In addition, you would
end up purchasing whatever was available the quickest and not spend the time researching what was
right for your practice. The reality is that with an older compressor/vacuum, there will be a problem at
some point. We suggest taking the time now to research what system is right for your practice and have
it installed as a backup until it is actually needed. With the system already in place, there is peace of mind
knowing that things are covered in the event of an emergency. When should I schedule some time with

Did you know your current wet-ring system is using X gallons of water a year to provide you with suction?
That’s water you pay for every month (some areas charge for the water usage and the disposal or
sewage). How much could you reduce your water bill by switching to a dry vacuum system? Using a
wet-ring vacuum is equivalent to emptying and refilling a hot tub every single day. That doesn’t make
