Asset management includes the CMMS. If we focus on key asset management concepts,
then we can sub-divide the topic into (1) shareholder values and strategy, (2) CMMS
data, (3) asset management knowledge, and (4) end-game.

You can tell a lot by reading a mission-vision statement. Behind this statement is a
strategy to maximize shareholder value in the form of a policy statement. Per ISO
55001, the strategic asset management plan (SAMP) converts this policy to asset
management objectives. This document identifies the asset portfolio and desired asset
condition. Below this is a asset management plan which outlines objectives by
department.

The CMMS data consists of foundation data and transactional data. The foundation

you have identified these analytical reports, it is important to verify you are actually
capturing the formula data. This is called linking inputs to outputs.

Data becomes information and information becomes knowledge. It is this knowledge

that aides the decision making process. That is the hope anyway. Asset management
knowledge includes knowledge regarding business processes that support asset
management. The purpose of an asset management system can be stated as to (1)
optimize asset reliability/availability, (2) improve work force productivity, and (3)
promote job safety, all of which helps to optimize O&M costs. One of the key
knowledge base objectives is to design the CMMS to manage by exception and make
more informed decisions. Lastly, it is beneficial to facilitate critical decisions utilizing a
risk-based prioritization matrix. In some cases, the complexity involved may also
warrant a management of change process.

The end-game should be clearly defined and supported by a long range plan which
links prerequisites to the above purpose statement. It is important to interview all of the
stakeholders and senior management to establish their (output) requirements. What
decisions do they need to make whereby the CMMS could assist in? Performance
measures can indicate trends, but when senior managers ask why this is happening, the
analytic can point them in the right direction.

Continuous improvement is a worthy goal but if left up to the day-to-day worker,

minimal benefit may occur. Therein several techniques are warranted such as work
order feedback, asset condition capture, chronic failure analysis, RCA, defect
elimination, auditing, SQL error checks, benchmarking, RACI chart, asset owners, story
boards, posters, and of course training.
