ASSESSMENT INFORMATION FOR


STUDENTS
Throughout your training we are committed to your learning by providing a training and assessment
framework that ensures the knowledge gained through training is translated into practical on the job
improvements.

You are going to be assessed for:


 Your skills and knowledge using written and observation activities that apply to your
workplace.

 Your ability to apply your learning.

 Your ability to recognise common principles and actively use these on the job.

All of your assessment and training is provided as a positive learning tool. Your assessor will guide
your learning and provide feedback on your responses to the assessment materials until you have
been deemed competent in this unit.

HOW YOU WILL BE ASSESSED

The process we follow is known as competency-based assessment. This means that evidence of your
current skills and knowledge will be measured against national standards of best practice, not against
the learning you have undertaken either recently or in the past. Some of the assessment will be
concerned with how you apply your skills and knowledge in your workplace, and some in the training
room as required by each unit.
The assessment tasks have been designed to enable you to demonstrate the required skills and
knowledge and produce the critical evidence to successfully demonstrate competency at the required
standard.
Your assessor will ensure that you are ready for assessment and will explain the assessment process.
Your assessment tasks will outline the evidence to be collected and how it will be collected, for
example; a written activity, case study, or demonstration and observation.
The assessor will also have determined if you have any special needs to be considered during
assessment. Changes can be made to the way assessment is undertaken to account for special needs
and this is called making Reasonable Adjustment.

What happens if your result is ‘Not Yet Competent’ for one or more assessment tasks?

Our assessment process is designed to answer the question “has the desired learning outcome been
achieved yet?” If the answer is “Not yet”, then we work with you to see how we can get there.
In the case that one or more of your assessments has been marked ‘NYC’, your trainer will provide you
with the necessary feedback and guidance, in order for you to resubmit your responses.

What if you disagree on the assessment outcome?

You can appeal against a decision made in regards to your assessment. An appeal should only be
made if you have been assessed as ‘Not Yet Competent’ against a specific unit and you feel you have
sufficient grounds to believe that you are entitled to be assessed as competent. You must be able to

adequately demonstrate that you have the skills and experience to be able to meet the requirements of
units you are appealing the assessment of.
Your trainer will outline the appeals process, which is available to the student. You can request a form
to make an appeal and submit it to your trainer, the course coordinator, or the administration officer.
The RTO will examine the appeal and you will be advised of the outcome within 14 days. Any
additional information you wish to provide may be attached to the appeal form.

What if I believe I am already competent before training?

If you believe you already have the knowledge and skills to be able to demonstrate competence in this
unit, speak with your trainer, as you may be able to apply for Recognition of Prior Learning (RPL).

Assessor Responsibilities

Assessors need to be aware of their responsibilities and carry them out appropriately. To do this they
need to:
 Ensure that participants are assessed fairly based on the outcome of the language, literacy
and numeracy review completed at enrolment.

 Ensure that all documentation is signed by the student, trainer, workplace supervisor and
assessor when units and certificates are complete, to ensure that there is no follow-up
required from an administration perspective.

 Ensure that their own qualifications are current.

 When required, request the manager or supervisor to determine that the student is
‘satisfactorily’ demonstrating the requirements for each unit. ‘Satisfactorily’ means
consistently meeting the standard expected from an experienced operator.

 When required, ensure supervisors and students sign off on third party assessment forms
or third party report.

 Follow the recommendations from moderation and validation meetings.

How should I format my assessments?

Your assessments should be typed in a 11 or 12 size font for ease of reading. You must include a footer
on each page with the student name, unit code and date. Your assessment needs to be submitted as a
hardcopy or electronic copy as requested by your trainer.

How long should my answers be?

The length of your answers will be guided by the description in each assessment, for example:

Include a reference list at the end of your work on a separate page. You should reference the sources
you have used in your assessments in the Harvard Style. For example:

WRITTEN ACTIVITY
For this assessment you must complete the below activities.

1. Handling human resources

When handling human resources, you will be subjected to, and required to adhere to many policies
and procedures that relate to relevant legislation in regards to handling human resources.

For this task you will need to draw on information obtained throughout this unit as well as further
research to expand on your current knowledge base. You will need to produce a report that identifies
and explains the key provisions of the following relevant legislation:

a. Anti-discrimination legislation;
b. Ethical principles;
c. Codes of practice;
d. Privacy laws;
e. Occupational health and safety/Work Health and Safety (OHS/WHS).
You will need to collate your findings into a report that is required to be presented in a professional,
word format document. This task should be completed within 45 minutes.

Organisational resource acquisition policies, plans and procedures.

Drawing on relevant work experience, you will need to identify the organisational resource acquisition
policies, plans and procedures that were developed and adhered to within your workplace.

You should use your existing knowledge base attained throughout this unit to assist you with task,
however you may also need to consult with relevant persons in your workplace to provide you with
further information as to:

a. The information within the policies, plans and procedures;


b. The purpose of these policies, plans and procedures;
c. How you would ensure these policies, plans and procedures are adhered to.

2. Organisational procedures for record keeping/ filing systems, security and safe
recording practices.

Drawing on relevant work experience, you will need to identify the organisational procedures for
record keeping/filing systems, security and safe recording practices that were developed and adhered
to within your workplace.

You should use your existing knowledge base attained throughout this unit to assist you with task,
however you may also need to consult with relevant persons in your workplace to provide you with
further information as to:

a. Procedures for record keeping/filing systems;


b. Security and safe recording practices

You will need to collate your findings into a report that is required to be presented in a professional,
word format document. This task should be completed within 45 minutes.

WRITTEN ACTVITY

1. Report on Human Resource Handling:


a. Anti-Discrimination Legislation: The basis of such law is that equal treatment
of employees should me made necessary. There are several discriminations
based on various variables like age, gender, race and religion. So these are
frequently used by various employers in the world to deal the employees but it
is unethical practice. So there are anti-discrimination laws which makes it sure
that such discrimination does not takes place. Most common discrimination laws
are:
1. Age Discrimination Act 2004
2. Disability Discrimination Act 1992
3. Racial Discrimination Act 1975
4. Sex Discrimination Act 1984.
b. Ethical Principles: Ethics is all about what is right or wrong so the people in
various organizations are dealt ethically in their work setting. There are three
basic ethical principles which should be observed:
i. Respect for persons: Dealing seniors and subordinates with respect.
ii. Beneficence: Giving fair benefit to other people.
iii. Justice: Implementing a fair system of justice in the organization.
c. Code of Practices: A code of practice is a set of written rules which explains how
people working in a particular profession should behave. The auctioneers are
violating a code of practice by dealing in stolen goods.
d. Privacy Laws: The Privacy Act 1988 (Privacy Act) is an Australian law which
regulates the handling of personal information about individuals. Personal
information is information or an opinion about an identified individual, or an
individual who is reasonably identifiable.
e. OHS/WHS: Occupational safety and health, also commonly referred to as
occupational health and safety, occupational health, or workplace health and
safety, is a multidisciplinary field concerned with the safety, health, and welfare
of people at work.
2. Identify the organizational resource acquisition policies, plans and procedures:
Organizational policies is a framework which ensures that there is no ambiguity in the
overall working of the organization. It makes sure that who reports to whom and then

draws a clear picture of the direction of the organization. So this discussed in the
following heads:
a. Information within the policies and procedures: The common type of
information found in the policies and procedures may include:
i. The mission and vision statement.
ii. Hiring procedures.
iii. WHS issues.
iv. Control procedures.
v. Customer service standards.
vi. After sale service policy.
b. Purpose of policies, plans and procedures: Policies and procedures are
designed to influence and determine all major decisions and actions, and all
activities take place within the boundaries set by them. Procedures are the
specific methods employed to express policies in action in day-to-day operations
of the organization.
c. Ensuring the adherence of policies, plans and procedures: Each service
needs to have policies and procedures to help them guide the actions of all
individuals involved in the service. They ensure and endorse the well-being of all
families, children, staff, volunteers and everyone who is connected to the service.
3. Organizational procedures for record keeping/ filing systems, security and safe
recording practices: The record keeping of the procedures is necessary as it becomes
difficult to access the policies if they are not stored properly. So we need to ensure the
following:
a. Procedures for record keeping/filing systems: There are different ways to file
information, it could mean opening a drawer to a filing cabinet, or opening an
electronic folder and click Save. There are similarities between using a filing
cabinet and a digital filing system. Just as you create paper folders labelled with
names and filed alphabetically, the same is true for electronic folders. Think of
your computer folders as an electronic filing cabinet!

b. Security and safe recording practices: An effective design is key to a digital
filing system that will enable you to find what you need, when you need it and

OBSERVATION
For this assessment you will need to maintain business resources in a workplace or simulated
environment.

For this task you are to identify a commonly used resource in your workplace (or simulated
environment). You are to collect and record data on the use of the resource, you will need to observe
the use of the resource over defined and operational timeframes (to be defined by your assessor), and
are to perform routine resource maintenance on the resource, including all required documentation of
the maintenance.

You will be observed during your assessment completing the following activities:

1. Calculating estimates of future and present business resource needs

2. Advising on resource usage and possible ideas on how to minimise resource usage

3. Advising on resource shortages and the impacts these shortages can have on the
organisation

4. Ensuring resource handling is in line with all guidelines

5. Using technology to monitor effective resource use

6. Consulting with others to facilitate effective decision-making

7. Identifying the policies and procedures regarding resource use

8. Monitoring and comparing resource use in line with budget controls

9. Acquiring and storing of resources

10. Reviewing acquisition procedures to identify improvements

11. Performing routine resource maintenance

In order to complete this assessment effectively you will need access to the following
resources:
Assessment must be conducted in a safe environment where evidence gathered demonstrates
consistent performance of typical activities experienced in the general administration field of work
and include access to office equipment and resources.

OBSERVATION

1. Calculating estimates of future and present business resource needs: The business
is an ongoing process where we estimated the needs and resources required to run a
business effectively. So the organization needs to look after several matters while
calculating the business needs as per current and future perspective. You may need to
advise on the level of existing resources, their cost to the organisation and their rate of

usage. When an organisation knows this, it can plan what resources are required and
identify cost-efficient ways of purchasing them.
2. Advising on resource usage and possible ideas on how to minimize resource
usage: There is a main problem of excess use of inventory or stock in an organization
and we can do it by following a Just in time (JIT) inventory system and this ensures the
reduce use of the inventory.
3. Advising on resource shortages and the impacts these shortages can have on the
organization: Equipment, Facilities, Human resources, Raw materials, Software, stock
and supplies- Possible impact on operations like the assessment for providing the right
information on equipment and raw materials, the same broad analysis would apply here
to what impact there could be on resource shortages.
4. Ensuring resource handling is in line with all guidelines: Your organisation may use
a fixed asset register to keep track of their existing resources. This register identifies and
lists assets, the date of acquisition and the cost. It also allocates a unique identifying
number. When assets are sold or are not used any longer, they are removed from the
assets register
5. Using technology to monitor effective resource use: The use of technology is critical
for monitoring the use of resources in current era. The technological factors like CCTV
systems, RFID devices and POS systems are used to ensure and monitor the effective use
of resources.
6. Consulting with others to facilitate effective decision-making: There are several
models of group decision making that you can put to use. Two examples are consensus
and consultation. Consensus decision making involves posing several options to the
group and using the most popular option to make a decision. Consultation takes the
opinions of the group into consideration when making a decision. Both methods require
the group's participation and call for a manager who respects the opinions and input of
the group in the decision making process.
7. Identifying the policies and procedures regarding resource use: The policies and
procedures used in this purpose can be obtained from the policy manual related to the
assets from the organizational chart.
8. Monitoring and comparing resource use in line with budget controls: The
monitoring and comparison process is very important in this regard as they are related
with the assets utilization. The budget gives us an outline that how many assets or
resources are to be used and it is compared with actual results through variance
analysis.
9. Acquiring and storing of resources: All businesses must store goods and materials
safely, especially warehouses, factories, shops, food, agricultural and construction
businesses. As well as ensuring you fulfil your legal duty to protect the health and safety
of those affected by your business, the right approach to storage can also help you reduce
pollution, unnecessary wastage and other costs.
10. Reviewing acquisition procedures to identify improvements: One key aspect of
your business that has a major impact is resource allocation. Your business needs the
right tools and resources to succeed and your employees need the right tools and
resources to effectively perform their jobs. Some benefits of effective resource
allocation include:
 Improved efficiency
 Reduced time spent on projects
 Increased employee satisfaction
 Diminished workplace stress

in accordance with organizational requirements?

In order to check the actual growth of a business over time it is necessary for the organizational
success. So the future and present business needs are determined by a procedure of budgeting
so that any deviation in the resources should be properly dealt and business process should not
be slowed down.
2. What is involved in the planning process?

Planning is one of the most important project management and time management
techniques. Planning is preparing a sequence of action steps to achieve some specific
goal. If you do it effectively, you can reduce much the necessary time and effort of
achieving the goal. Successfully launching a new business or initiative requires
careful planning and the results of a business planning process are usually captured
in a business plan.

3. What factors should you consider to ensure advice is clear, concise and relevant?

The business advice given by a person to another person or a business entity should be:

 Clear: As there is no ambiguity in the advice.

 Concise: It should be in summarized form.

 Relevant: The advice should be relevant to the problem.

4. Identify the most economical and effective choices of equipment, materials and suppliers.

For equipment we need to buy such equipment which is user friendly and easy to handle. For
materials we need to determine EOQ for finding out the cheapest purchase price of materials
and supplier selection process should be done through proper screening and bidding.

5. Identify 3 techniques you could use to collect and measure resource consumption and
therefore determine any shortages.

For three purposes we can do:

 Asset register: A fixed asset register can be maintained in order to get the record of fixed
assets on a proper track.

 Inventory logs: The inventory can be maintained by using specific inventory levels.

 Energy resources: These resources should be utilized with efficiency.

6. What impacts can shortages of resources cause? Provide 5 examples.

The impacts can be:

1. Cash: The cash shortage can cause the operational expenses to cease.

2. Stock: The shortage of stock can cause inventory shortfalls.

3. Fixed assets: They can cause cease to production.

The business is an ongoing process where we estimated the needs and resources
required to run a business effectively. So the organization needs to look after several
matters while calculating the business needs as per current and future perspective.
You may need to advise on the level of existing resources, their cost to the
organisation and their rate of usage. When an organisation knows this, it can plan
what resources are required and identify cost-efficient ways of purchasing them.
12. What is the purpose of routinely monitoring and comparing resource usage with estimated
requirements in budget plans?

The monitoring and comparison process is very important in this regard as they are
related with the assets utilization. The budget gives us an outline that how many
assets or resources are to be used and it is compared with actual results through
variance analysis.
13. What might the acquisition of resources involve (when ensuring processes are cost effective
and in accordance with organizational requirements and timelines)?

An Acquisition Plan is a plan that documents all cost, schedule, technical, business,
management, and other considerations that will govern an acquisition program and
is derived from the Acquisition Strategy. It summarizes the acquisition
planning discussions and identifies milestones in the acquisition process.
14. How would you ensure resources are acquired within available timelines to meet identified
requirements?

The efficiency of the purchasing department should be made proper so that timelines are met.
And if there is any delay then it should be reported.

15. What might be involved in reviewing resource acquisition processes in order to identify
improvements in future resource acquisitions?

Current use of the resources will ensure that the future use will be better and the resources that
acquire will carry some warranty that will make sure that proper use of equipment and its
handling is done efficiently and next time more improved equipment is purchased.
