CHAPTER I

INTRODUCTION

BACKGROUND OF THE STUDY


The M. San Jose hardware is a small business that is managed by Ms.
Charlene Ong San Jose. The hardware sells different types of products, more
specifically a hardware equipment’s like a typical hardware store that we can see
everywhere. They only have one branch, here in Rodriguez, Rizal and have 10
employees that work for them. Like some other hardware store, the business does
their everyday transactions but they still do physical counting of stocks,
handwritten billing of products and manual computation of the salary of their
employee.
Handling a whole business is a difficult job to do, especially if you are alone.
The owner is the one who accepts the deliveries from the supplier, list the products
delivered, arrange the product on the shelves, compute the employee’s salary,
deducting their taxes, listing the sales and many more. So it is possible that the
owner will get confused, especially if the customer and the supplier come in the
same time. For example when there is a customer and a supplier came. The owner
will get confused because he will attend to the needs of the customer while
accepting the delivered products.
That’s why the researchers create a four system that would do the overall
transaction in the hardware. They called it “Enterprise Resource Monitoring
System for M. San Jose Hardware”. The system has an Inventory Management
System that is a software-based business solution used to simultaneously track
sales activity and inventory of the hardware. It allows for much greater accuracy in
stocking and product management. Inventory Management System helps to
provide better insight into which products are most popular. It is the most common
method of inventory control and sales processing in retail markets. For the solution
of their handwritten billing products is the Billing System. It calculates the total
amount of products or hardware equipment’s purchased by the consumer and act
as counting them. It also use to ensure the number of items ordered matches the

actual number of items counted physically. It also creates invoices benefited for
the customer. For the computation of the salary of their employee is the Payroll
System. It organize all the task of employee payment. These tasks include
calculating wages, holiday pay, overtime pay and deductions such as cash
advance. Payroll system can print payslip beneficial for the employee. Payroll
software often requires very little input from the employer, which is the owner. The
employer is required to input employee wage information and hours—then the
system calculates the information and performs deductions automatically. The last
one is the Warehouse Management System. Because the warehouse of M. San
Jose Hardware is separate to their hardware store, we create a system that would
track the deliveries and available stocks in their warehouse. They don’t need to go
to the warehouse to check the stocks needed if it’s available. The data input in the
warehouse system will do the task without consuming much time.
Enterprise Resource Monitoring System can establish the benefits you and
your business handling may have. First is time savings. The amount of time that
can be saved by a business is perhaps the biggest benefit of using the proposed
system. In the case of M. San Jose Hardware, they maintain their data manually,
the owner must reconcile each sales receipt with every piece of physical inventory,
record manually the sales for that particular day, month or year, check the stocks
in the warehouse physically and compute the employee’s wage manually. This can
be daunting and time consuming task. But using the Enterprise Resource
Monitoring System, the only thing the owner would have to do each day is monitor
the overall transaction of the hardware in the system. Second is accuracy. An
additional benefit of using a system is the accuracy it ensures. When an inventory
list is maintained by hand, the margin of error widens with each update. If one
mathematical calculation is wrong or one typo is made, disaster may occur. And
lastly is the consistency. A small business operates most efficiently when its
processes are executed in a consistent manner.

STATEMENT OF THE PROBLEM
General Problem
 M. San Jose Hardware is using a manual process in managing their
monthly association dues. The company is having problem when it
comes to the manual process due to its inaccuracy and slow process
of transaction.

Specific Problem
 The manual transaction they are doing makes it hard for the owner
to effectively search, edit and produce reports through a vast amount
of data.
 Unexpected losses of important records.
 Difficulty in checking overstock, under stock and out of stock
products.
 Errors in computation of payroll and billing payments are most likely
to happen due to manual computation.

OBJECTIVES OF THE STUDY


General Objective
 To build a four system that will help M. San Jose Hardware for their
everyday transaction.

Specific Objective
 To provide a system that will lessen the time being used in looking
for existing item in the hardware and warehouse.
 To provide a system that will secure important records.
 To compute accurately the salary of the employees and rapidly
process payroll computation.
 To present an accurate computation on the bill charged to the
customers.

SIGNIFICANCE OF THE STUDY
The proposed systems aims to provide the M. San Jose Hardware an effective
and efficient systems that will increase the production of the hardware.
To the Owner/admin, greatly benefit with the system because it will provide
easy-to-use and easy accessed system; transactions and calculations will be more
reliable and faster that they do not have to hire another employer or programmer
to do the job. It gives more accurate and secure records of employee information,
sales, list of products and purchasing of items. This will help them to have a better
service.
To the Employee – have the benefit of the printed pay slip.
To the Customers - have the benefits of the printed receipts right after
purchasing an item.
To the Future researchers – would see the possibilities of developing a
system for the benefit of the business.
To the Other hardware stores – would have an idea of purchasing a system.

SCOPE AND DELIMITATION


Scope
Inventory management system can store, update, view the current stocks
of the hardware and can also generate a list of available item. You can view if a
product is out of stock base on the quantity input in the database. Billing system
calculate the total amount of products purchased by the customer. It can generate
sales report in the hardware daily. Payroll system covers the process of preparing
the pay slip of each employee, monitors charges and easily computes the basic
pay, overtime pay, special and legal holiday pay, gross pay, charges deductions
and net pay. It also keeps the records of the employee. Warehouse management
system is like the inventory system it can also store, update, view the stocks
delivered, but in the warehouse.

Delimitation
Inventory Management system can’t automatically know if the product is out
of stock. You must view it first in the system. Also the system can’t automatically
add a new stock. Manual input of stocks in the hardware is still needed. Billing
system can only receive cash. The system cannot receive amounts on a credit
card basis. It can’t also create sales report monthly, daily and yearly. Payroll
system does not allow the employees to alter. The system cannot transmit data to
the bank account of the employees. While Warehouse Management System can’t
automatically record the data in inventory. Overall, the proposed systems can only
be accessed offline.

This discusses the foreign and local literature. The information’s indicated
were gathered in internet sites, journals and various books relating to the
researcher’s topic.
FOREIGN LITERATURE
According to Hold (2010) article, “Inventory refers to stocks of anything
necessary to do business”. The U.S Small Business Administration publication
describes what constitutes successful inventory management balancing cost
versus benefits of inventory, including: Maintaining a wide assortment without
sacrificing service; Keeping stock low without sacrificing performance; Obtaining
lower prices by making volume purchases; and maintaining an adequate inventory
without an excess of absolute items.
According to Andrew Marder (2017) in his blog “What is an Inventory
System and what features do I need?” says that Inventory management systems
track goods through the entire supply chain or the portion of it a business operates
in. That covers everything from production to retail, warehousing to shipping, and
all the movements of stock and parts between. Practically, it means a business
can see all the small moving parts of its operations, allowing it to make better
decisions and investments. Different inventory managers focus on different parts
of the supply chain—though small businesses are usually more interested in the
ordering and sales end of the chain.
According to a blogged article in Patriot Software written by Kaylee Riley
(2017), says that “A payroll system is software you can use to run payroll. The
system can be desktop software you install on your computer or cloud payroll
software you can access anywhere with an internet connection. Payroll systems
generally handle all payroll tasks, such as time and attendance tracking, wage

calculations, employee payments, and tax payments and filings. A payroll system
can help you complete most or all of your payroll tasks, including: calculate payroll
taxes, print payroll checks, use direct deposit, deposit for federal, state, and local
taxes, file for federal, state, and local taxes, store payroll records, track employee
time, manage multiple money types, like tips and commissions and subtract
additional deductions.”
In the article written by Dave Rietsema (2017), a payroll system is software
designed to organize all the tasks of employee payment and the filing of employee
taxes. These tasks can include keeping track of hours, calculating wages,
withholding taxes and deductions, printing and delivering checks and paying
employment taxes to the government. Payroll software often requires very little
input from the employer. The employer is required to input employee wage
information and hours—then the software calculates the information and performs
withholdings automatically. Most payroll software is automatically updated
whenever a tax law changes and will remind employers when to file various tax
forms.
According to the website of University of Virginia (2012), stated that on the
beginning of Fall 2007, the Amherst campus introduced QuikPAY, an electronic
system for all students to view their bills, print their bills and made payments online.
As a convenience during the transition to QuikPAY, the students will receive both
a paper and an electronic bill. The QuikPAY system is very flexible for the students
to view and print their bill electronically 24 hours and & 7 days a week from any
location through Intranet. Payment history of the students can be viewed also.
Crook, S. (2009) stated,“billing is an endless cycle and processing of daily
and suspense’s may continue during the billing process or immediately once billing
is complete in preparation for the next month of bills. Larger companies, school,
and other office work may need to stagger billing into a weekly processor for
different groups of customer or student to regulate the billing manager’s workload
or level out the cash flow”.
According to a blogged article in QStock Inventory written by QStock
marketing team, a Warehouse Management System (WMS) is a software

application specializing in supporting the day to day operations within a
warehouse. The application does this by allowing the users to have a centralized
system where different warehouse management tasks are managed through an
interface on a handheld device or a tablet working in the warehouse or a desktop
in the office. It is used to control and track the transfer and storage of materials in
a warehouse. The system involves a number of processes that are important when
shipping, receiving, or even putting away materials and integrates with other
systems in the supply chain to ensure data transparency throughout your
enterprise.
A blogged article in IQMS Manufacturing ERP: Manufacturing blog written
by IQMS. In the beginning, warehouse inventory management systems could only
provide simple functions, mostly just storage location information. Nowadays, the
breadth of WMS functionality can vary greatly, from basic best practices in pick,
pack and ship functionality to sophisticated programs coordinating advanced
interactions with material-handling devices and yard management. A warehouse
management system can reduce the likelihood of errors that could occur when a
product is shipped. The system can also help a company fulfill orders more rapidly
and instantaneously trace ordered products within the warehouse. In the end, the
overall goal of warehouse management system software is to achieve a paperless
environment that directs your employees automatically on the optimal picking, put-
away and shipping of your products.

LOCAL LITERATURE
According to Jesus Desiderio G. Madrazo (2000) in his book “An Inquiry
into the Inventory Management of a Spare Parts Distributor.” The inventory system
refers only to common-use supplies and materials. Equipments and peculiar items
are excluded.
In the study from Averion, Gaela, and Libo (2009) entitled “Monitoring and
Inventory for discovery Mall.com”, it stated that: “It will minimize the difficulty of the
manager in processing inventory because physical counting products, stocks and
computing inventory summary will be the system job. It will monitor the availability

of products, items to prevent under stocking, over stocking and running out of
stocks. The system will also simplify the transaction between dealer and supplier
relationship because of the updated supplier information and price list of items will
correspond to collaboration with other supplier.”
According to sunstar.com (2007) the City Accounting Department of
Cagayan De Oro City has introduced an upgraded computerized payroll system
for permanent employees in a bid to improve its services and maximize resources.
“This project, which was conceived two years ago, basically aims to improve our
services particularly in the processing of payrolls for permanent employees”, City
Accountant Wilma Polley-Rugay told payroll in-charge of the different departments
and offices at City Hall during a briefing and orientation on the concept of the one-
month payroll system held Friday last week at the City Council session hall in
Cagayan de Oro City. With the added features of the new computerized payroll
system, Rugay said the preparation, processing and payment of payroll system to
permanent employees would be hastened and fast-tracked. Adopting of the one-
month payroll system is also beneficial, not only to the City Accounting
Department, but also to the payroll-in-charge as it would save time, energy and
resources. “Employees who handle payroll preparation and processing can now
attend to other office needs and concerns as the new payroll system will lessen
their workload,” she added. Under the new payroll system, preparation of payroll,
this reflects the accrued, amount payable every 15th and 30th day of the month,
done only once. Unlike the time-consuming old payroll system, preparation and
processing of payroll is done twice a month covering the first half and second half
of the month.
According to Philippine Long Distance Telephone Company (PLDT) (2010)
the Human Resource and Payroll System is an easy to use application that help
the business organize, manage and monitor employee’s information and process
employee’s payroll. The website stated the features of the HR and Payroll System
of PLDT. These are the following: (1) User defined defaults (compensation and
benefits, employee types, deductions, holidays), (2) Employee’s information, time

keeping and attendance logs, (3) payroll processing with government mandated
deductions (4) Web access for filling leaves and online pay slips.
LAN-Based Assessment and Billing System for Camiling. According to
Camiling College, “LAN-based Assessment and Billing System for Camiling
Colleges”, presents the possibilities of helping the cashier or person-in-charge by
developing a system that enhances the existing manual system to satisfy their
clients, the students.
According to Sinsong (2009). “Sales invoice which is more popularly known
as a “bill” is simply an itemized list of goods or services sold for which payment is
due”. This statement about an invoice shows the relevance of it to the study. An
invoice must be enforcing to the billing system because it serves as a proof
between the concerned parties that a payment was due, benefits of Billing System.
According to Jojo Balagosa, Sales and Marketing Manager at Jinisys
Software Inc., a Warehouse Management System is the art of motion and also
storage of materials through the warehouse. Warehouse management displays
the improvement of items through the warehouse. It requires the physical
warehouse infrastructure, monitoring techniques, and also conversation between
product stations. Warehouse management handles invoice, storage and also
motion of products generally completed goods and consists of functions such as
warehouse master record, item/warehouse cross-reference listings and also things

voice directed picking, and Auto-ID technologies, it enables automated operation
processes and real-time visibility of inventory resulting in timely accurate
information for better business decision-making.

REVIEW OF RELATED STUDIES

in other dissertations and research projects in the internet and schools.
FOREIGN STUDIES
The Trouble-shooters: Defeo, Delina, Deneros and Gracilla conducted a
study entitled “The Lewis College Physical Facilities Automated Inventory System”
aims to identify the problem of the The Lewis College’s existing inventory system
and develop the framework for the future implementation of an Inventory System
for the school. To develop the inventory system for The Lewis College that would
afford the user’s easy access the system. Provide better manipulation, managing
and handling for the better stocks control system application.
J. De Leon and M. Ferrer (2013) conducted a study entitled “Koread Red
Ginseng Enterprise Sales and Inventory System”. Under the Koread Red Ginseng
Enterprise Sales and Inventory System, the researchers came up with a
computerized sales and inventory system. The proponents used database to easy
access of files and for easier and faster processing of the selling and inventory
transaction. The program was designated to generate reports such as monthly
reports, inventory reports, sales invoice and list of items. In connection with the

proposed system, the proponents proposed a new and faster way of processing
business transactions. The system also helped the user to know the availability of
the products. It also helped the manager to monitor the stocks and to get
immediate notice for acquisition of additional products. The Proponents acquires
knowledge about the file processing and report generations through this study. It
also gives the proponents ideas to create the proposed system’s reports in online
sales and Inventory system. Automation is mandatory, thus automated report
generation for precise reports is to be included in the proponent’s proposed
system.
Legaspi, Jonalie Anne R., Lamson, Madelaine P. Gazmen, Paul Vincent D.
conducted a study entitled “Online billing and reservation system of bacara resort”.
Bacara Resort and Spa has a website that is truly captivating. With its design,
interfaces, simplicity, easy-to-browse and 24-hour website, the clients will be
captivated. The online reservation system of Bacara encompasses registration for
a clients’ account, calendar to verify the availability of rooms, instant confirmation
online and modification or cancellation of reservation at any time. They also have
a virtual tour that takes the customers and clients around the whole resort. The
proponents found many similarities in Bacara Resort & Spa website and system
with the proposed system. The design of the website, the virtual tour, the calendar
that checks the availability of rooms, the modification and cancellation of
reservations and the 24 hour accommodation covers this comparison.
E. Estores,, C. Ignacio (2009) conducted a research entitled “Sierra Madre
and Spring Valley Billing System”. Sierra Madre and Spring Valley uses a manual
system for their reservations. Their reservation is done mostly through calls. Their
computation of bills is also done manually. The database for customer records and
other files needed are not included in their system. From the specified problems
above, the system that was created is Spring Valley billing system. It monitors the
files and records of the customers via database. Clients with user accounts can
reserve hotel rooms and other amenities and payments for their reservation are
also done via internet.

Carl Passion (2013) conducted a study entitled “Nyanmaru Computerized
Payroll System”. Nowadays all establishment are becoming modernized, they use
modern technologies to make their transaction fast, easy, and accurate in order to
avoid waste of time and for the sake of safety and security. It also helps human to
solve and understand complex problem and analysis such us the computational
need of humans. Especially to business establishment or corporation processing
enormous data and complex transaction. Payroll is an example of a complex
transaction because it is a critical business operation dealing with numerous
accounts and produce plenty and confidential files. Payroll is encompasses every
employee of a company who receives a regular wages or other compensation due
to each.
Ljubljana conducted a research entitled “Prototype of a simple system for
Warehouse Management based on Android and Android mobile devices PHP
server” (2014). Under the thesis, consider the options for using smartphones or
other mobile smart devices based on the operating system Android for storage.
Assuming that all objects in to the warehouse marked with batch or QR codes, and
the mobile device should be enabled their reading. Develop a prototype system
that will work on a mobile device, at the same time, design a prototype of the server
that will connect to the mobile device and will allow centralized record keeping and
warehouse monitoring. Under the task also briefly present the technologies used
and possibly related ones existing solutions.
Ramaa, Subramanya and Rangaswamy conducted a study entitled “Impact
of Warehouse Management System in a Supply Chain” (September 2012). The
study was conducted at India’s biggest retail company, which has developed
expertise in Supply Chain Management of consumer product categories such as
Fashion, Food and General Merchandise. The company operates from 60
strategically located hubs, servicing more than 2600 retail outlets spread across
the length and breadth of India. Its network of facilities and specialized expertise
enable it to manage more than 3 million SKUs per year. This requires 30 distinct
supply chains to be managed simultaneously, each with their own specific
requirements that require customized solutions. Out of the three warehouses

where the study was taken up, one had automated WMS and the other two
warehouses were manually run and had a high cycle time of 773 minutes. The
retail chain company possessed three more warehouses which were catering to a
total of 14 stores across south India. With the company planning to add more
stores and establish a centralized warehouse this chain would become inefficient.
In order to improve the efficiency a study was taken to analyze the impact of
implementation of WMS in these warehouses.

LOCAL STUDIES
Jonick Boguat and his fellow researchers conducted a research entitled
“Computerized Inventory System and POS of Brothers Burger” (2014). The
general objective of the study aims to develop a computerized Inventory system
and POS for Brothers Burger Inc. that will help and make their transactions of
inventories fast, smooth and secured. The system has a capability to secure and
retrieve a password of admin/user if he/she remembered their pin code. The
system has a capability to easy to inventory all the product in the storage room.
The system has a capability to accurate generation of reports and the system
includes maintenance that would automatically add, delete, save, update, and
retrieve information of files. The system limits are some data’s are not based on
the database. not an online transaction, not major credit card transaction during
payment only cash payment.
Kim Ivory C. Santiago and her fellow researchers conducted a study entitled
“Computerized Sales and Inventory System for Pharmacia Josefa Drugstore”
(2005) technically, Pharmacia Josefa Drugstore is only using a manual system that
may cause to duplication of documents and work redundancy. The business is just
depending on their manual listing of products and inputs of data which is possible
to commit errors. The business can’t view their proper records of sales or income
in a given time of the year. It also doesn’t have its proper listings of product. In
some instances, lost items are just being ignored by the owner. The objective of
this study is to develop and implement a computerized sales and inventory system
for Pharmacia Josefa Drugstore that will enhance the company’s operation. Its

specific objective is to design, develop and implement a module that will handle
the security for the system; to design, develop and implement a file maintenance
module that will handle the files, records and important data of the business; to
design, develop and implement a sales module that will handle the sales
transaction of their company; to design, develop and implement a generated
module that will handle the sales and inventory reports; and to design, develop
and implement an inventory module that will handle the inventory of products.
Estores C. Ignacio conducted a research entitled “Sierra madre and spring
valley online reservation with billing system” (2009). Sierra Madre and Spring
Valley uses a manual system for their reservations. Their reservation is done
mostly through calls. Their computation of bills is also done manually. The
database for customer records and other files needed are not included in their
system. From the specified problems above, the system that was created is online
reservation and billing system. It monitors the files and records of the customers
via database. Clients with user accounts can reserve hotel rooms and other
amenities and payments for their reservation are also done via internet. The
proponents’ proposed system is similar to their study in terms of monitoring their
customer records and other files needed by having a database. The system also
includes a user account for the clients of the resort.
Christel Jane L. del Prado and her fellow researchers conducted a research
entitled “Customer Billing System of Dalagita Hair and Body Salon” (2014). The
Dalagita Hair and Body Salon do not have any computer-related system and
compute manually when billing, too much time wasted in computing the total sales
per day, lack of data security, too much time consumed in billing their customer,
inaccurate computations of bills, difficulties when retrieving records and important
files or documentation and they were not giving invoices to their customers unless
if the customer ask for a receipt. The study aims to provide a computer-based
billing system for an accurate computation of bills. To managed, stored, and
secured the record in the database. To provide a secured and protected account
for private information inside the organization and to lessen the time, energy, and
resources that was being consumed when performing a billing for the customer.

Chester I. Barry and his fellow researchers conducted a study entitled
“Payroll system of Blanco Family Academy”. The timekeeping and Payroll System
of the Blanco Family Academy is imprecise sometimes when it comes in
computation of timekeeping and payroll. Also, the employees of the company are
using bundy clock to indicate in their date time card, the time of work in and out
every day and the Accountant administrator based the wages of each employee in
that time card. By this proposed system, the program will run through computer for
payroll record with an intergration of biometric fingerprint scanner for time keeping.
The general objective of the study aimed to help Blanco Family Academy to have
an efficient and effective way of monitoring their employee’s time keeping and
payroll system to five a higher quality of service.
Acel Carl David O. Dolindo conducted a research entitled “Computerized
Payroll system for Barangay Dita” (April 2014). The main objective of the study is
to design and develop a Computerized Payroll System for Barangay Hall, Dita that
fast transactions, minimize the manual checking of employees, monitor the status
of employee’s charges, deductions and generate the essential reports. An equally
important objective of any payroll system is to generate paychecks and pay stubs.
Computerizing this task saves managers and business owners time and money
rather that reviewing time cards manually and calculating a check amount based
on the hours worked, the payroll should be designed to automatically calculate
these figures. Additionally, since an employer can use the system to check the
number of hours an employee works, the employer can shift schedules to avoid
paying additional overtime. The study will covers the process of preparing the pay
slip of each employee, monitors loans, cash advances, charges keeping the
records and easily computes the basic pay, regular overtime pay, pay during day
off, special and legal holiday pay, gross pay, SSS contributions, PhilHealth
contributions, Pag-ibig contributions, deductions, lates and net pay. The study
does not cover any other not employee of the Barangay Hall, Dita. This system is
not cover by any deduction that may not belong to the pay slip. And also the other
income that not belong in Barangay Hall, Dita.

Cheri Amour P. Calicdan conducted a study entitled “Warehouse
Management System on RFID” (2013). The WMS is a key part of the supply chain
and primarily aims to control the movement and storage of materials within a
warehouse and process the associated transactions, including shipping, receiving
putaway and picking. The systems also direct and optimize stock putaway based
on real-time information about the status of bin utilization. Warehouse
Management Systems often utilize Auto ID Data Capture (AIDC) technology, such
as barcode scanners, mobile computers, wireless LANs and Radio-frequency
identification (RFID) to efficiency monitor the flow of products. The objective of a
warehouse management system is to provide a set of computerized procedures to
handle the receipt of stock and returns into a warehouse facility, model and
manage the logical representation of the physical storage facilities, manage the
stock within the facility and enable a seamless link to order processing and logistics
management in order to pick, pack and ship product out of the facility.
Camille Anne E. Cruz and Reya Eufemia S. de Ocampo conducted a
research entitled “Improving Warehouse Management System of Einsco Company
Inc.” (December 2009). The purpose the study was to improve the Warehouse
Management System of Einsco Company Inc. This study focused on the returns
section, delivery section and packing area of Warehouse department. The
problems that occurred in the areas were the discrepancy of returned items,
backload in delivery section and waste boxes in packing area. Why-Why Diagram,
How-How Diagram and Fishbone Analysis were used to evaluate and analyze
these problems while Flow Charts, 6S Checklist, Systematic Layout Planning, Box
Capacity and Rapid Entire Body Assessment (REBA) were used to solve these
problems. Direct observation, interview, documents, data collection and work
sampling were carried out to gather data for the study. The results were decreased
by 78.79% on the discrepancy of returned item, decreased to 1% on the backloads
and an elimination of waste boxes. Thus, the company could reduce its cost and
improve its service to the customers. It was recommended that it would be better
if the discrepancy and backloads could be eliminated. To improve the study further,

other areas in the warehouse that are not studied could be addressed.

CHAPTER III
SYSTEM ANALYSIS

SOFTWARE DEVELPOMENT METHODOLOGY


The Incremental methodology or Incremental Build Life Cycle is a method
of software development where the product is designed, implemented and tested
incrementally (a little more is added each time) until the product is finished. The
product is defined as finished when it satisfies all of its requirements. This model
combines the elements of the waterfall model with the iterative philosophy
of prototyping. The product is decomposed into a number of components, each of
which is designed and built separately (termed as builds). Each component is
delivered to the client when it is complete. This allows partial utilization of the
product and avoids a long development time. It also avoids a large initial capital
outlay and subsequent long waiting period. This model of development also helps
ease the traumatic effect of introducing a completely new system all at once.
The researcher choose Incremental Build Life Cycle model because this
model is more flexible – less costly to change scope and requirements and it is
easier to test and debug during a smaller iteration. It uses a set number of steps
and development goes from start to finish in a linear path of progression. Easier to
manage risk because risky pieces are identified and handled during its iteration.
System development is broken down into many mini development projects.

Software Functional Description


Login – It gain access to the system by identifying and authenticating
themselves through username and password. It keeps the system secured
because only the owner and the user who registered can access the system.
User Registration – other people can access the system when the owner
registered them using the User Registration. Owner is only the one who can
register a user for security purpose.
Inventory Control – can add, update, and delete stocks. It controls the
maximum quantity of stocks should be in the hardware. It also control the stocks
coming in and out of the hardware
Warehouse Control – control the stocks coming in and out of the
warehouse.
Billing – compute the payments of the purchased product and create
invoice.

Payroll – takes care of wage, deductions, record keeping, and verifying the
reliability of pay data.
Sales Report – record of all the products that have been sold daily, monthly
and annually frame by the user or the owner.
Back-up Data – refers to the copying and archiving of computer data so it
may be used to restore the original after a data loss event.
Emergency Contacts – in case that the employee had an accident, the
assigned user or the owner can immediately see the contacts of the employee’s
relatives.

DEVELOPMENT TOOLS
Front-End Technologies
The language that we choose is Visual Basic .NET. A programming
language and environment developed by Microsoft. Based on the BASIC
language, Visual Basic was one of the first products to provide a graphical
programming environment and a paint metaphor for developing user interfaces.
Instead of worrying about syntax details, the Visual Basic programmer can add a
substantial amount of code simply by dragging and dropping controls, such
as buttons and dialog boxes, and then defining their appearance and behavior.
The researcher choose VB .NET because the structure of the VB .NET
program is very simple, particularly as to the executable code. VB .NET may be
slower though, yet it is flexible and it can be rightly said that things that are difficult
in other languages are comparatively easier in visual basic programming
language. It may also be said that, since it is one of the most popular programming
languages, lots of related books and material and other resources are available
and can be accessed for developing programming skills at visual basic
programming language conveniently. The VB .NET has been highly optimized to
support rapid application development (“RAD”). It is particularly easy to
develop graphical user interfaces and to connect them to handler functions
provided by the application. The graphical user interface of the VB .NET provides
intuitively appealing views for the management of the program structure in the

large and the various types of entities (classes, modules, procedures, forms). VB
provides a comprehensive interactive and context-sensitive online help system.
The other front-end technology that the researchers choose is the Microsoft
Visual Studio. An integrated development environment (IDE) from Microsoft.
Visual Studio supports 36 different programming languages including VB .NET.
Allows the code editor and debugger to support (to varying degrees) nearly any
programming language, provided a language-specific service exists.

Back-End Technologies
Microsoft Access
Is a database management system (DBMS) from Microsoft that combines
the relational Microsoft Jet Database Engine with a graphical user interface and
software-development tools. It is a member of the Microsoft Office suite of
applications, included in the Professional and higher editions or sold separately.
Microsoft Access stores data in its own format based on the Access Jet
Database Engine. It can also import or link directly to data stored in other
applications and databases.

CHAPTER IV
SUMMARY, CONCLUSION AND RECOMMENDATION
This chapter presents the summary or the research work undertaken, the
conclusions drawn and the recommendations made as an outgrowth of this study.

SUMMARY
The researchers interest to conduct an investigation has led them to
understand the manual transaction of M. San Jose Hardware present problems
such as; The manual transaction they are doing makes it hard for the owner to
effectively search, edit and produce reports through a vast amount of data.
Unexpected losses of important records. Difficulty in checking overstock, under
stock and out of stock products. Errors in computation of payroll and billing
payments are most likely to happen due to manual computation.
The study deals with a proposal for an Enterprise Resource Monitoring
System for M. San Jose Hardware which has a 4 system; Inventory System,
Payroll System, Billing System and Warehouse System. The general objective of
the study was aimed to build a four system that will help M. San Jose Hardware
for their everyday transaction. From the objectives to: Provide a system that will
lessen the time being used in looking for existing item in the hardware and
warehouse. Provide a system that will secure important records. Compute
accurately the salary of the employees and rapidly process payroll computation
and present an accurate computation on the bill charged to the customers.
To attain the objective of the study, the researchers made use of the
descriptive research method where the library research method and research
survey falls under this category, and creative type of research. To gather
necessary data, the proponents made used two of the data gathering techniques
such as observation and interview. The data gathering instruments used was
observation and interview guide.
In developing the system the following analytical tools were used: Flowchart
and Data Flow Diagram (DFD). The proponents also used the Incremental build

life cycle model as the method for developing the system and SWOT Analysis to
know the strength, weaknesses, opportunities and threats of the system.
The programming language that the researchers used in developing the
system is Visual Basic .NET. The researcher choose VB .NET because the

CONCLUSION
The system proposal entitled “Enterprise Resource Monitoring System for
M. San Jose Hardware” will be beneficial to the company for maximizing its profits;
and minimizing manpower and additional equipment’s necessary for Enterprise
Resource Monitoring System which includes Inventory Management System,
Payroll System, Billing System and Warehouse Management System.
With the use of this new system, gathering data and computation are all
accurate, Data manipulating and processing are expedited, report generations are
faster and security for the held are better. It also consumes less waste of time.
The development of this system is to help solve problems of M. San Jose
Hardware and this has been achievable to an extent. It does not only provide less
manpower, it has also replaced the traditional cabinet file storage method that
deals with a lot of paper work thereby, allowing ease in the storing, handling,
retrieval of data and computations in a dynamic way.
In concluding this project, the researcher’s would like to highlight areas for
future development and these include: Reviewing of this project work to see what
has been done and then look out for what the project should have accomplished
that has not been implemented in it for those who desire to continue on this project.

Furthermore, certain features must be included in the system in order to justify
improvements on the manual transaction and this include making it an automated
system that allows detection of automatic ordering of stocks to the supplier when
the system detects low quantity of stocks.

RECOMMENDATION
Based on the performance of the Enterprise Resource Monitoring System,
the researchers highly recommended that this study be implemented to the M. San
Jose Hardware and for their future branches. Also with its dependable
performance and easy to use procedures, this study can be a great help for
companies and organizations concerning their inventory and warehouse control
and payroll and billing computation.
Considering the rate of technological development in our society today, any
business organization, small or big, that want to remain in the forefront of today’s
competitive market is left with no choice that to have and provide a system that are
operational in their business.
Other recommendations include: putting in place computers and other
peripherals that would allow the usage of the system, a good training background
for the users of the system in order to familiarize with the software and
recovery/back-up must be in place.
