SUMMER HAULIDAYS BAZAAR (SHB)

Bazaar Location: Jasmin Street, Karangahan Blvd., Tabaco City

Bazaar Hours:

• Setting up of Booths: 12:00 pm


• Closing time: 10pm

The following Bazaar Official Rules and Regulations should be read


carefully. If you have any questions, please contact the Bazaar
Committee at summerhaulbazaar@gmail.com

Kindly sign the last page and return it to SHB.

On behalf of the Summer Haulidays Bazaar, the Bazaar Committee shall


enforce the Official Rules and Regulations uniformly, consistently,
fairly, and without bias or favor. The Bazaar Committee shall have
the authority to interpret, enforce, and amend these Rules and
Regulations.

Furthermore, the Bazaar Committee has the right to accept or decline


any items or vendors, new or returning. These Rules and Regulations
have been developed in the best interests of the Vendors, Bazaar
Shoppers, SHB Contractors and SHB Volunteers.

1. Failure to abide by the following Rules and Regulations will


result in suspension and/or loss of privileges to participate
in the Summer Haulidays Bazaar.

The following are strictly forbidden:

a. Exchanging, sharing, giving, selling or sub-letting of


Bazaar Committee assigned vendor spaces between vendors.
b. Illegal transactions or behaviour.
c. Failure to check in by 12:00 pm.

2. Failure to abide by the following Rules and Regulations will


result in an official written warning. If vendor continues to
break any Rules and Regulations, result will be suspension

and/or loss of privileges to participate in the Summer


Haulidays Bazaar. The following are strictly forbidden:

a. Unauthorized transactions or behavior.


b. Selling merchandise and/or product that has not been
approved. If a vendor wishes to sell additional items,
they must submit this request in writing (or email).
c. Packing up merchandise and/or displays before the
official closing time.
d. Failure to vacate assigned space and exit by the official
closing time stated.
e. Extending beyond allotted assigned space and/or
obstructing the flow of customer traffic.
f. Strollers and shopping carts are not allowed inside the
bazaar; therefore, vendors are not allowed to sell these
items.
g. Not abiding to Casa Ver’amore’s allowed wattage.
h. There will be designated trash bins in the surrounding
area; failure to keep the area clean will result in a
warning and possible forfeiture of the selling space.

3. Others

a. Vendors who cancel or fail to appear at the Bazaar as


scheduled, without canceling 10 business days in advance
of the bazaar, will forfeit their space contribution.
b. Vendors who fail to reserve their space for the following
bazaar in the allotted time may have their space
reassigned.
c. Request for change of space, additional space, or
additional electrical wattage, must be made in writing
before the scheduled bazaar.
d. SHB Members, Volunteers and/or Staff are not allowed to
accept personnel gifts or any other kind of gratuity from
any vendor. Vendors should notify the Bazaar Committee if
they witness this situation.
e. The SHB Committee will provide the vendors with snacks
and social media advertising or promotion.
f. Vendors are encouraged to give out promos and coupons to
customers to entice them to purchase from their stores.
g. Vendors will be given tickets for sale to their customers
to ensure their presence in the bazaar.

4. Space Specifications

a. A space of 6x6ft will be given to each vendor with right


to choose their desired space before the bazaar. Request
for change of space will not be allowed once the vendor
have signed below.
b. The Bazaar Committee will provide each vendor with his
own table/s and chair/s good for three (3) personnel
(maximum), as well as tent, electricity and lights.
c. Vendors must display merchandise only within their
allotted space. No merchandise or display equipment may
extend into the aisle or infringe on the space of another
vendor. Any obstruction to the flow of customer traffic
is strictly forbidden.

5. Bazaar Space Reservation:

To ensure participation at the bazaar, vendors must pay


at least 50% downpayment to the Bazaar Committee, within
10 working days before the scheduled bazaar.

6. Bazaar Day Procedures

a. Ingress - SHB Vendor Check-In: Begins at 12:00pm and ends


at 1:00pm the afternoon of the bazaar. Late arrivals will
not be allowed to check in and/or set up for the bazaar.
NO EXCEPTIONS.
i. Vendors must Check-In using their registered name.
ii. Vendor IDs - Each space is entitled to three (3)
official SHB Vendor IDs. These IDs are for vendors
and extra staff that will be at the bazaar for the
entire day. Extra IDs may be obtained for
additional vendor and extra staff (100 Php
Contribution). IMPORTANT: Vendors and/or staff must
be present to be given a ID. If you are not checked
in by 12pm, allotted ID(s) are forfeited.
iii. Crew – (Vendor’s staff, helpers or drivers – that
are only helping with unloading, set-up and packing
up.) Crew must receive a CREW STAMP at the time of
registration to enter the Bazaar Halls. Vendor must
be present to validate the identity of his crew.
All crew must exit the bazaar halls at 12:20pm.
iv. Bazaar vendor/s and his staff may not enter the
bazaar halls without an ID and/or Crew Stamp.

v. Bazaar participants shall be subject to security


inspections to ensure that they are not bringing in
any unnecessary and unwanted items (ie. Firearms,
weapons, liquor, prohibited chemical substances,
etc.)
vi. The vendors must declare any additional items that
they will bring.
b. The bazaar shall end at 10pm. Vendors are required to
keep their displays open and stocked until closing time.
c. Egress starts at 10pm. SHB requires all vendors to vacate
their spaces and exit the halls by 11pm.

7. Customer Satisfaction Policy

a. In order to provide your shoppers with the best possible


shopping experience and to attain ensure good customer
service, we encourage you to offer your customers the
opportunity to exchange and/or return merchandise that is
damaged or defective. If you do not have an Exchange
and/or Return Policy, kindly visibly post “NO RETURN OR
NO EXCHANGE POLICY” in your Assigned Space and/or on the
Official Receipt provided to customers.
b. The Bazaar Committee shall hand out survey forms to
customers, on each day of the bazaar, to ensure quality
service.

The Summer Haulidays Bazaar is only as great as the vendors who


participate.

The Bazaar Committee expects all vendors to provide quality


products, reasonable prices, honest transactions and good customer
service.

Neither the SHB nor the Bazaar Committee accepts responsibility for
the loss or damage of a vendor’s merchandise. Vendors are urged to
take all precautions necessary to ensure that merchandise is
carefully guarded against theft and/or damages.
