THE EVENT DIRECTOR

Event such as weddings, debuts, birthday parties, meetings, seminars, conventions,


product launching, etc., have become common these days. These occasions where a
lot of people gather for different purposes should be well planned and coordinated so
that there will be no inconvenience for the guests. The role of the event director exists
here. Her responsibilities are: to coordinate all the amenities, accommodations, and
related departments including site selection, staffs, food, transportation, and audio or
visual equipment , ensure staff is adequately prepared for event, give final approval for
items such as music and menus, etc. She is the sole of the event and is completely
responsible for the success of the event.
Event director is a person of vision, energy, and commitment in a position of
responsibility and authority. They supply to all types of services relating to the events
industry a take on the responsibility of coordinating all the logistics involved in making
the event work to the client. Being a director, these professionals need to handle most
of the managerial duties, assist, motivate, direct, support and provide leadership for
their members.

identifies each job, its function and where it reports to within the organization.

Organizational chart is important for any growing company to provide guidance and

THE IMPORTANCE OF COORDINATORS

Each aspect of our organizational chart has a coordinator that will be responsible for his
own team. The coordinators are in charge of every facet of the events. This isn't just
some wine and cheese affair with your buddies. Event coordinators plan everything
from weddings to large expos, trade shows, etc. Though formal education is not
required for this position, being personable, having excellent communication skills and
handling issues under pressure is imperative for a successful career.

Job Description:

 Control an event from conception to clean up.


 Meet with clients to work out event details.
 Plan with the client and their team.

 Creating event proposals which fit client requirements and presenting proposals
by deadline.
 Maintaining a working relationship with vendors and venue.
 Issuing invoices and collecting payments in a timely manner, and creating
comprehensive and readable financial reports.
 Managing and overseeing events on the day of, including problem-solving,
welcoming guests, directing event set-up, communicating with staff, and
organising vendors.
 Planning multiple events at once.
 Designing and implementing public relations campaigns.
 Scout and book locations, food, entertainment, staff and cleanup.
 Make sure the shrimp cocktail stays cold and the hired band stays hot.
 Create budgets and stick to them, as well as organize transportation, hire and
wrangle keynote speakers or celebrities, hire A/V teams and equipment.
 Event coordinators talk to clients, listening to their needs and presenting ideas
and solutions to their requirements. They also work with suppliers, contractors,
employees, wait staff and many other parties at the same time. Customer service
and interpersonal skills are required.
 Event coordinators have negotiation skills to work out prices with clients and
contractors.
 Generally make sure the event runs smoothly, efficiently and handle any crisis
that may come up.

and her team also do other type of events such as corporate and private events. With
over 12 years of experience in the event industry, Charlemagne has managed and co-
managed hundreds of international, national, regional, and citywide different events.

JUVENILLE CAMACHO, MBA

Juvenille first began her career in 2002 with an internship at Walt Disney World in
Orlando Florida. Since then, she had hundreds of opportunities to work in. She has
handled different kinds of events and has worked with diverse teams to create

Emily is a graduate from University of the Philippines with a Bachelor of Science in


Electrical Engineering. She passed the board exam and is a licensed engineer. Over
the last seven years, Emily gained experience in several industry segments. She gained
working in small to large-sized concert venues. Since joining the event management
team in November 2008, she has serviced a variety of events.

RODERICK P. GIRAY, Licensed Engineer

Equipment Coordinator

Roderick took Bachelor of Science in Mechanical Engineering at De La Salle University


and graduated Cum Laude last 2001. He, of course, passed the board exam and is a
licensed engineer. After he graduated, he builds his own auto shop which has now 14
international and 23 local investors. He began working in the event industry at 2010 and
serviced variety of events. He is responsible for coordinating maintenance and repair
programs to ensure the proper and safe operation of vehicles, machinery and
construction equipment.

RICA MAY BALAN

Promotions Coordinator

Her job is to generate and manage publicity. Rica generally serves as a bridge
between the relationship of a client and the public and said to use any possible
technique in order to get favorable mentions within the media in regards to the
information that they are willing to release. She graduated with a degree of Mass
Communication at Mapua Institute of Technology. Rica is a TV host, radio broadcaster,
and a journalist. She’s working in media for about 4 years now and was two times
awarded as the “Best broadcaster of the year” (2013-2015).
GENELYN CASIANO, MBA

Hospitality Coordinator

Is responsible for overall operation for the event’s catering, purchase food and stock,
and make sure that everyone is trained on proper food preparation. She always makes
sure that company is represented correctly and that the company’s standards are
upheld. Genelyn studied Bachelor of Science in Economics at University of the
Philippines. And graduated Hotel & Restaurant Management at Duke University in
North Carolina America. After graduating at the year 2005, she decided to go back
here in our country and open her new and first restaurant here in the Philippines which
became famous and successful.

JAMELINE GESMUNDO, MBA

Merchandising Coordinator

Jameline provides support to the planning and allocation of merchandise by providing


first level assistance. She already worked at Unilever Philippines as a Marketing &
promotion head and she makes sure that everything is displayed and priced properly.
Jameline sometimes perform some marketing work as well and oversee website
promotion for different product lines. She is the first point of contact for information,
materials and samples for all cross functional teams. She also negotiate with suppliers
for pricing and assist in setting retail prices, manage product roll-outs, perform
markdowns and ensure that all sales opportunities are fully taken advantage of, and
Create and maintain accurate and updated records of periodic replenishment purchase
order. Jameline is working in the event and business industry for almost 13 years.

VI. THE EVENT AGREEMENT

This Agreement is made effective as of January 12, 2018 in between LUXURY


EVENTS CORPORATION, to be referred to as the EVENT PLANNERS hereafter; and
DE LA SALLE UNIVERSITY MANILA, to be referred to as the CLIENT hereafter in the
contract.

The Agreement comes to effect on above mentioned date of signing mentioned above
and it states that the named EVENT PLANNERS have agreed to provide services to the
named CLIENTS.

The Agreement binds the PLANNERS to serve the CLEINTS for March 2018.

Therefore, the parties agree as follows:

1) DESCRIPTION OF SERVICES : Luxury Events Corporation will provide the


following event planning, and/or wedding planning and reception services:
 Event Planner Personal Assistant Services: Consultation, Coordination &
On-site Management on the day of the event.
 Needs Assessment & Consultation: Initial meeting with you to discuss &
define the fundamental objective underlying your investment of time,
energy and resources required to produce the event, and subsequently
provide you with an event framework that most directly, efficiently and
effectively achieves these objectives.
 Speaker Coordination: Gather pertinent information relative to any/all
speakers for this event, including speaker applications, biographies,
registrations, photos, and contact information used to create the marketing
collateral for your event. Oversee speaker-related travel itineraries,
accommodations, contracts and compensation (if needed).
 Scheduling: Manage schedules to ensure that the VIP (you) arrives on
time to meetings and events relative to your Wedding and Reception
(event). Scheduling duties include booking events, making arrangements
and managing daily meetings with vendors and their support staff. Upon
request, the Event Coordinator may attend as your representative for an
additional fee.
 Correspondence: Review and respond to the correspondence that you
receive relative to your Wedding and Reception (event).
 Research: For an additional fee, may compile research on an upcoming
event, travel destination, project or business entity.
 Document Preparation: This can include creating documents,
spreadsheets or presentations that you may use for your event.
 Project Management: May direct the Wedding and Reception (event) and
assign duties to other support staff members on a separate project, if
needed. An additional fee and a separate agreement are required for this
service.
 Photographer and Cinematographer: Consultation, Coordination & On-site
Management on the day of the event.
 Venue: Selection Assistance, Consultation & On-site Management
provided.
 Floral/Decorations (Silk Only): Consultation, Coordination & On-site
Management on the day of the event.
 Formal Wear: Applicable to Weddings & Receptions and Formal Events
Only.
 On-Site Decorating or Set Up/Take Down: Consultation, Coordination &
On-site Management on the day of event.
 Rentals: Consultation, Coordination & On-site Management on the day of
the event.
 Music and Entertainment: Consultation, Coordination & On-site
Management on the day of the event.
 Transportation: Consultation, Coordination & On-site Management on the
day of the event.
 Catering: Consultation, Coordination & On-site Management on the day of
the event.
2) COMPENSATION SERVICES:
 The Client(s) or agent for the Client(s), agree to pay an initial non-
refundable retainer of Php____________ and a Php__________ non-
refundable deposit for floral expenses. This payment serves as a retainer,
and is due and payable at the time of contract signature.
 The remaining payment of Php____________ will be due within 14 days
of execution of this contract. All subsequent charges will be billed within 3
days of occurrence, and will be due within 7 days of receipt of said billing.
This billing will include required deposits for all additional services
required, payment for additional coordination/consultation time at a rate of
Php___________ per hour and additional expenses incurred for phone,
postage and shipping, etc. All remaining balance must be paid within 14
days of the Client's event. All subsequent expenses incurred will be billed
within 7 days of the conclusion of the event. Billable coordination time
includes additional time spent both on behalf of the Client(s) and time
spent in communication with the Client(s) or their agents, vendors or
guests.
 Payments may be made via cash, certified check, credit or debit card, or
PayPal.

UNDER NO CIRCUMSTANCES ARE CHECKS OF ANY KIND ACCEPTED

3) CANCELLATIONS:
Due to the nature of this business, all monies paid to ELEGANT EVENTS BY
J&S is non-refundable for any reason. In the event of a cancellation all payments
made to date are non-refundable and all outstanding payments, up to the full
remaining event balance, will be due immediately.
4) ENTIRE AGREEMENT:
This Agreement contains the entire agreement of the parties except as noted in
any paragraph above, and there are no other promises or conditions in any other
agreement whether oral or written. This Agreement supersedes any prior written
or oral agreements between the parties.
5) AMENDMENT:
This Agreement may be modified or amended if the amendment is made in
writing and is signed by all parties.
6) APPLICABLE LAW:
This Agreement shall be governed by the laws of the Philippines.

Robinson’s Forum

Forum Robinsons, formerly called as Robinsons Place Pioneer is a shopping mall


located in Mandaluyong, Metro Manila, Philippines owned and operated by Robinsons
Land. It is the 18th mall opened by Robinsons and the first mall in Mandaluyong City
with a gross floor area of 56,000 square metres.The former name Robinsons Place
Pioneer was dubbed after its location, Pioneer Street. Back then, the mall was
envisioned to become a one stop shop for everyone in Cybergate Complex which was
in turn envisioned to become a cyberhub in the city. In 2010, the mall was renamed to
its current name to re-position itself as a cyber lifestyle mall focusing on IT products and

Guadalupe Ferry Station

The Pasig River Ferry Service, is the only water-based transportation in Metro
Manila, Philippines that cruises the Pasig River from Pinagbuhatan
in Pasig to Intramuros in the City of Manila. The system is owned and operated by a
private company, SCC Nautical Transport Services Incorporated. Although commonly
referred to as a ferry, it is more akin to a water bus. The entire ferry network has 12
stations in operation. The first line is the Pasig River Line which stretches from Plaza
Mexico in Intramuros, Manila to Pinagbuhatan Station in Pasig. The second line is

BGC Bus Edsa Ayala Terminal

Bonifacio Transport Corp., or more commonly known as BGC Bus or formerly The Fort
Bus, is an intercity bus company in Metro Manila, Philippines operated under Fort
Bonifacio Development Corporation (FBDC), an affiliate company under Ayala
Corporation, one of the largest conglomerate company established during
the Spanish era. It plies routes from Ayala Center to Bonifacio Global Cityvia McKinley
Road. This bus company was regarded as the first non-EDSA Metro Manila bus that

South Luzon Expressway (SLE or SLEx)


The South Luzon Expressway (SLE or SLEx), formerly known as the South
Superhighway (SSH), Manila South Diversion Road (MSDR), and Manila South
Expressway (MSEX), is a network of two expressways that connects Metro Manila to
the provinces of the Calabarzon region in the Philippines. The first expressway is
the Skyway, operated jointly by the Skyway Operation and Management Corporation
(SomCo) and Citra Metro Manila Tollways Corporation (CMMTC). The second
expressway, the South Luzon Tollway or Alabang–Calamba–Santo Tomas Expressway
(ACTEX), is jointly operated by the South Luzon Tollway Corporation, a joint venture of
the Philippine National Construction Corporation and the San Miguel Corporation-
backed Citra group of Indonesia (the group where MTD Capital Berhad, the original
partner, sold their shares) via the Manila Toll Expressway Systems, Inc. (MATES).
The expressway is a component of Expressway 2 (E2) of the Philippine expressway
network and Radial Road 3 (R-3) of Manila's arterial road network. It starts
in Manila's Paco District at Quirino Avenue and passes through the following cities and
municipalities: Makati, Pasay, Parañaque, Taguig and Muntinlupa in Metro Manila, San
Pedro and Biñan in Laguna, Carmona in Cavite, then transverses again to Biñan, Santa
Rosa, Cabuyaoand Calamba in Laguna and ends in Santo Tomas in Batangas. Most of
the part of the expressway is part of the N1 (AH26) from Magallanes Interchange onto
Calamba Exit (Exit 50).
In 2006, the South Luzon Tollway segment underwent rehabilitation through the SLEX
Upgrading and Rehabilitation Project, which rehabilitates and expands the Alabang
Viaduct as well as the road from Alabang to Calamba, and eventually connect the
expressway to the Southern Tagalog Arterial Road to Santo Tomas, Batangas.

Baclaran
Baclaran formerly spelled as Bacladan is a barangay (neighborhood district) located in
northern area of the City of Parañaque, Metro Manila, Philippines. It is also known to be
located at the borders of the cities of Parañaque and Pasay.
Located near the intersection of Epifanio de los Santos Avenue (EDSA) and Roxas
Boulevard, Baclaran is a major transportation hub and transfer point. The Baclaran LRT
Station is the southern terminal station of the Manila Light Rail Transit System Line
1 (LRT-1). Many bus and jeepney routes pass through Baclaran or have it as their end
destination, especially transportation to and from the province of Cavite to the south.
Wednesdays are generally busier as novena devotees come to pray at the Baclaran
Church.
The area is well known for the National Shrine of Our Mother of Perpetual Help also
known as the Redemptorist Church or Baclaran Church, dedicated to Our Mother of
Perpetual Help. There was also once Muslim mosque, the Baclaran Mosque, now
demolished by the City of Pasay. Baclaran is known for its children and youth
membership to the Rondalla which won in NAMCYA way back 1996 and the Drum and
Lyre Band, as well as its street welding.
It is also has a number of flea markets (tiangges), selling everything from clothes and
electronics to home decorations and traditional medicine, which occupied the
westbound lane of Taft Avenue.
Star City
Star City is a 35,000 m2 (380,000 sq ft) amusement park in Pasay, Philippines. It is
located in the reclaimed area of the Cultural Center of the Philippines Complex, part
of Bay City.
Star City has an annual attendance of about 1.5 million people.
Star City is the Philippines' only all-weather, air-conditioned amusement park. It has
more than 30 different rides and attractions.

Roxas Blvd.
Roxas Boulevard is a popular waterfront promenade in Manila in the Philippines. The
boulevard, which runs along the shores of Manila Bay, is well known for its sunsets and
stretch of coconut trees. The divided roadway has become a trademark of Philippine
tourism, famed for its yacht club, hotels, restaurants, commercial buildings and parks.
Originally called Cavite Boulevard, it was renamed Dewey Boulevard in honor of the
American Admiral George Dewey, whose forces defeated the Spanish navy in the Battle
of Manila Bay in 1898. The boulevard was again renamed to "Heiwa Boulevard" in late
1941 during Japanese Home Rule and Roxas Boulevard in the 1960s to honor
President Manuel Roxas, the fifth president of the Republic of Philippines.
The boulevard is also an eight-lane major arterial road in Metro Maniladesignated
as Radial Road 1 that connects the center of the City of Manila
with Pasay and Parañaque. It is also a primary national road designated as a
component of N61 of the Philippine highway network. The arcing road runs in a north-
south direction from Luneta in Manila and ends in Parañaque at the intersection of NAIA
Road and the elevated NAIA Expressway. Beyond its southern terminus, starts
the Manila-Cavite Expressway, also known as the Coastal Road, or more recently,
CAVITEX.

Luneta/Rizal Park
Rizal Park also known as Luneta Park or simply Luneta, is a historical urban park in
the Philippines. Located along Roxas Boulevard, Manila, adjacent to the old walled city
of Intramuros, it is one of the largest urban parks in Asia. It has been a favorite leisure
spot, and is frequented on Sundays and national holidays. Rizal Park is one of the
major tourist attractions of Manila.
Situated by the Manila Bay, it is an important site in Philippine history. The execution of
national hero José Rizal on December 30, 1896 fanned the flames of the
1896 Philippine Revolution against the Kingdom of Spain. The area was officially
renamed Rizal Park in his honor, and the monument enshrining his remains serves as
the park's symbolic focal point. The Declaration of Philippine Independence from the
United Stateswas held here on July 4, 1946 as were later political rallies including those
of Ferdinand Marcos and Corazon Aquino in 1986 that culminated in the EDSA
Revolution.
