Reflection

Typical Day in my Work Place

I start my day with curiosity. I ask first my mother about what can I expect

with the typical work in a Accounts Payable department since my mother is an

Financial Accountant in a Accounts Payable department from a hotel in Pasay

City. While having conversation with my Mom, I eat breakfast at the same time to

be able to have energy during my first day. Time passed, I arrived at the office 20

minutes early. I ask the reception if my assigned supervisor is already at the

office, then the receptionist called the said person. Moment later, someone

arrived named Rylla Faye Bueno and Ms. Rylla said that she is also part of the

department and will be my co-worker during my stay, she added that my

assigned supervisor hasn’t arrived yet so she will be the one in-charge for me at

the mean time. She assisted to my designated working place, where a desktop

computer is assembled and instructed that it will be my desktop during my

internship period where I will do my work. Next, my supervisor and another co-

worker has arrived namely, Patricia Marie Jose and Manilyn Delambaca. Three of

them instructed me to just call them by their first names, for me to make it feel

that I’m also an employee and not just a mere intern. My first day is just full of

orientation about the company policies, my work assignments, things to do about

the attendance and required documents for their interns, as well as they

introduced me to the whole Financial Operations team.

As I’ve been told I will put my exact time in and time out in a excel file
which they provided, and it will be check by my supervisor every day if what has been
reported is the actual time I arrived and leave the building. In regards with my typical
work, I was assigned to help them to process invoices which were given to them by
different and multiple vendors or suppliers. This includes checking if the invoices comply
with the BIR requirements such as the name, address, TIN, total amount, PO number,
invoice number. Once there are invoices that doesn’t comply, we will talk to the
messenger of the said company who sent the invoice if they can just countersign the
minimal errors or we can just send it back to their company to revised the invoice or
make a new one, whichever of what the said company decides. While validating the
invoices we should put a tick or a check to those information required by BIR since it is
the proof that we validated it for internal auditing purposes.

Once the invoices is validated and that it complies with the BIR requirements then we will stamp it
received and the date it actually received. Next, we should write the necessary tax code depending on
the type of invoices, whether it is goods, services, professional fees, as well as if it is vat-exempt sales,
zero-rated sales, vatable sales, and if whether it is foreign or local invoices.

I start my day with a smile and by greeting our supervisor and co-workers,

logging in the biometrics and small chitchats while waiting for the time. After that I

will continue doing the work I left, these are the work I am opt to do as they

explained on my first day. There are instances that they need my assistance and

will give me another work. My everyday work mostly focuses on the official

documents of the company: Classifying and compiling the official receipt:

Customer’s copy and accounting’s copy. Job Order, service report. If all the

paper work is done, I will assist on releasing the purchase order of the service

center under Exatech. Other works are recording of way bill number for delivered

parts, putting freight charges on in transit parts and assisting customers through

phone. .

Our lunch break starts from 12:30 noon and ends in 1:30 in the afternoon.

This is mostly allotted for eating, taking a short nap, and reviewing.
After lunch break, I will continue doing my unfinished work. If all the task

given to me is done, I allow myself to take a rest with the afternoon break around

3:30pm – 4:00pm. After that I will ask if there’ll be anymore tasks to do before I

go to school for my evening classes.

Our supervisor understands that we have evening classes so she allows

us to leave earlier than the normal working hours. I just need to inform her that I

will leave at a specific time then she will immediately agree.


Significant Experience in the Company

One of my significant experiences in Exatech happened when I was

assisting a customer through phone. That was Saturday afternoon when I was

asked to answer a call. Since, I already tried assisting a customer through phone;

somehow I know what I should do. The customer was irate and was asking for a

specific part for his refrigerator. I asked all the information needed to assist him

but after checking I found out that the part is out of stock. I also informed him

that it will take a month or so before the delivery of parts. However, it seems like

he doesn't believe me and ask for others opinion. I looked for anyone available

but they are all busy doing their work. I was panicking; I don't know what to do.

My co-worker saw that I was struggling and helped me to explain things to the

customer. I was able to pull it off and rely the information well.
Summary of My Weaknesses

Communicating is not really a problem for me. I am all out when it comes

to my thoughts or so. But then while I'm having this on the job training I was able

to discover that I have a soft voice. Whenever I am speaking they will always

say that they can't hear me and I will have to repeat what I said. I thought that

they are joking but then I realized that maybe my voice is indeed soft. Maybe I

can communicate with others but then I should consider the loudness or softness

of my voice.

Another weakness that I can consider is the difficulty of saying "No".

Helping is not bad but because of having a hard time saying no, all the works our

piled up and sometimes I don't know what to do first. However, I was still able to

comply and do the task and realized that I can always say that "I will help them

after finishing the task I am doing". By doing that I'll be able to help my co-

workers without piling up all the work loads.

Being a detailed oriented person has it pros and cons. Since I pay

attention to small details, sometimes I lost track of time and won't be able to do

my other work on time. Knowing that, I manage to adjust and develop myself to

be still detail oriented but this time considering the other circumstances. This way

I was able to practice working under pressure.


Summary of My Strengths

Last summer I worked as a Customer service representative at an international

account in a Call center. With that experience, I consider talking to customers as one of

my strengths. To be able to rely information and assist them makes my task easier for

me. Also, I have the confidence to talk to them allowing them to feel that we care about

their concerns.

I consider myself as a good listener. With this, I was able to understand the

information they are giving to me without repeating it specially if we are under pressure.

Working under pressure, and as a good listener saves time, and all work will be done

easily.

Communicating is not really a problem for me. I am all out when it comes to my

thoughts or so. Having said that, I don't have any problems with my co-workers. I was

able to talk to them and share stories. Even if I'm not having troubles talking them I still

don't forget to talk to them with respect.

Also, I am a well-organized person. I assure that my working place is at its

finest state. I don't like working at a messy place and as a result I always do things in

the most proper way. Likewise, I try to do things on a priority basis, meaning the most

important goes first. This helps me in achieving my targets without many difficulties.

Lastly, my greatest strength is my positive outlook in life. For me, being positive

means a lot. This allows you to continue doing what you want. This makes you strive

harder and always be the best version of yourself.


Learnings: Company Policy

Exatech, Inc. opens every Monday - Friday at exactly 8:30 am and closes

at 6:30pm and 8:30am - 5:00pm every Saturday. They have this Skeletal system

every Saturday. Meaning everyone will go to work on Monday to Friday but not

all will work on Saturday. There will be schedules that will be released so they'll

know if they will go to work. It will be alternate, for example employee 1 will go to

work on the first Saturday hence, he will not go to work on the second Saturday

but will go on the third.

What I noticed about Exatech, Inc. employees is that they always value

customer’s feedback. They always assure that no customer will leave unsatisfied.

Moreover, they make sure that they will do the best that they can to help the

customers.

Also, the employees get along very well. One factor is that they eat lunch

together. I can always hear them sharing stories. Sometimes they talk about the

latest movies or TV shows or their love life but sometimes they still talk about

work. But when it's work tine, they are all doing their works.

Moreover, the employees surely know how to handle pressure. They do

not allow the work to eat them, instead they eat the work by assuring their selves

that no work will be unfinished at the end of the day.

Lastly, Exatech, Inc. is a private company in which they rarely suspend the

office work.
Observations: Company Practices

Employees of Exatech, Inc. have their own field. There are three front

liners who are designated in different works. The first is responsible for the walk

in customers. She assist the customers whether if it is going to buy a part of

wants to have a schedule for service center. Send is the one who handles the

purchase order for the service center. Each service center will have a person to

pick up the parts they ordered. Lastly is for the Job Order. She records the parts

and the person who will do the job; home service. She also answers the emails.

Every Monday, there will be a seminar or discussions for the technicians.

They assure that all the technicians under Exatech, Inc. will be updated on their

new products. Also they discuss the problems that need to be solved.

The supervisor conducts immediate discussion if there is something to be

discussed. They make sure that all problems brought up are solved. They also

talk about the upcoming events like their Halloween party. All employees are all

out to support the event. They sure put a lot of effort in everything they do.

The employees also have their uniforms. The uniforms every Monday and

Wednesday is the same. Same goes with Tuesday and Thursday. Every Friday

and Saturday, they are allowed to wear semi-formal or casual clothes.


Getting Along with Employees and immediate Officers

Choosing Exatech, Inc. was right. During my stay on there, there's no day that

I did not have fun. I am doing my job and at the same time I am having fun, I was happy.

They made sure that all the interns there are well treated and been taking care off. First

I was shy, not knowing what to do but then, they themselves made me feel accepted.

They made sure that we won't feel out of place and soon we get along well.

They are all approachable, asking and talking about the work was easy. They

also assure that what I am doing is right; they guide me and tell me if it is wrong.

Sometimes we exchange jokes and we will all laugh. During lunch, they don't forget to

invite us to join them and eat with them. Sometimes during afternoon break, and there's

an occasion like, birthday of an employee, they make sure that we will get a share of

food. Most of the time they give me a serving because they know that I am shy when it

comes to that. They are very thoughtful.

The employees there always give me tips about the work and how the

processes and system work. Moreover they give me tips about life.

Over all, I learned a lot during my stay there. Not only in the work itself but

also about the world I will soon enter, the corporate world.
