Student hostel management

We were asked by a student hostel manager to create a database for that student
hostel. The purpose of the database is to facilitate the work of hostel employees.

Within such institutions are more categories of employees such as manager,


assistant manager, head of the accommodation committee, members of the
accommodation committee, janitors, electrician, plumber, secretaries, nurses, guards.
It is necessary to know about each employee his full name, CNP's, address, phone
number, age, number of children, position, seniority in job and salary.

Also the manager, assistant manager, secretaries, nurses, head of the


accommodation committee and accommodation committee members hold
qualifications that prove that they have higher education levels and the years when
they have made these studies. It is preferable to know about each of these employees
to know what college he graduated, and if master courses are attended, information
about the master courses should be stored in the database.

Electrician and plumber have diplomas that attest that they have completed a
vocational school and have practical experience. It is desired to know information like
vocational school name, years of study and number of hours of practice.

The guards working schedule it is organized in shifts that takes place in the
morning, afternoon and night. For each shift must be specified the date and the hours
when that shift took place and the events that happened during that shift.

The janitors have a variable working schedule due to their variable tasks, it is
desirable to know the numbers of hours worked in each working day and the tasks
completed in that day; each janitor is responsible for one floor of the hostel.

As in any student hostel there is a certain number of students and a certain


number of rooms. For each student it is required to know the last name, the first name,
the CNP's, age, sex, university, year of study, form of schooling budget / tax, father's
name, father’s job, mother's name, mother’s job, address, the number of the
accommodation room, the amount of money he pays for the accommodation room,
which is different depending on budget / tax schooling form, the starting date of
studies, the ending date of studies, the average mark of previous year. If a student has
one or both parents as a teacher, he gets tax relief.

Also, it is mention to know the floor for each room, the maximum number of
students who can checked in that room, the number of students who are checked in
that room on October 1, the names of students who are checked in that room, the
condition of the room when it was given in use, the condition of the room when it was
returned.

In case when outside persons want to get in the hostel, the guards must records in
a form the person’s last name, first name, date and time of arrival, CNP, date and time
of departure, last name and the first name of the person whom it visited. If a foreign
person remains in hostel overnight, it must pay an amount of money corresponding to
the number of nights spent in the hostel.

The payment of the hostel accommodation it is made between certain periods of


time. So you should know the start date and the end date of these periods and the
secretaries work program in order to pay the hostel accommodation.

The manager has allocated a budget for repairs and maintenance. We should
know what failures occurs and which of have priority, the time required for repairs
and the amount needed to repair the damages.

The student hostel manager has the responsibility to decide the maximum
number who can check in a room. He must know the number of students who remain
in hostel during the holidays and the amount of money that need to be paid by each
student. If a student damages any goods of the hostel, the administrator must make
sure that the student pays for the damages he made.

Also there should be a form stating the rules for maintenance of the room and
sanctions. The manager should keep track of students who have caused damages, so if
a student produces a considerable number of damages, that student should be expelled
out of the student hostel.

The database helps to improve the distribution of rooms to students according to


the offenses that each student has made. Using this database, students will be placed
in rooms according to number of offenses that each student has made. Thus, those
with fewer or no offenses will be checked in rooms situated on the lower floors, and
those with more numerous offenses will be checked in rooms situated on the higher
floors of the hostel. Also, to students with few or no offenses it will be given
modernized rooms.
