Re: Assessment of ‘problems’

After reviewing the submitted letter, it would appear that there are numerous errors that
should be corrected before sending that document out to the residents. To begin, the “Subject”
line of the letter should be more descriptive than just ‘problems’ and the first word should be
capitalized. Moving on to the linguistic style of the letter, the overall tone of the letter is
informal and conversational which is not what should occur in this type of communication.
There are inconsistent styles when it comes to pointing out a sentence that is being
emphasized. Some sections are underlined while others are capitalized which is an
inappropriate way to convey seriousness of tone; words and sentences that are all capitalized
imply that the writer is yelling at the reader, which is not appropriate here.
Additionally, there are major inconsistencies in the logical flow of the document. In more than
one location the subject of the letter changes without a proper transition, and then the original
idea is revisited again without transition. There are problems that have been introduced into
this letter like the issue of trash being left outside or the battery being removed from the fire-
alarm that have little context. When discussing why these problems and the resulting penalties,
the paragraph should include the clauses, or where to find them, from their lease agreement
that prohibits that behavior.
Lastly, there is no unifying structure to the document as there is no identifiable beginning,
middle, or summarizing conclusion. It would be helpful for the reader if there were more
structure as it will make the document easier to follow. Along with a distinguishable conclusion,
there should be an acknowledgement to the reader that they are a valued and respected
member of the community. Finally, the document should be signed by management, with the
understanding that if they have any additional questions or concerns, that management is
always available for a conversation.

In its current form, the document submitted for review is not accepted for publication without
making the suggested revisions outlined above.
