Dear members,
We are honoured to send you the first call for International Assistants and
Program Coordinators for the term 2017-2018!
ITs and PCs represent one of the greatest workforces of our federation. It
is within them that we find the capillarization of ideas and insights from our
members in order to share them with the world. Now, more than ever, we
need competent and motivated members to join us in this journey as we
start establishing our recently adopted strategy! We are sure that in this
year we will have many great applications.
Please find below a task description for all positions offered this term as
well as the necessary requirements set by the officials for the next term.
Do not hesitate if you have any questions regarding the positions or the
selection process by emailing us to ebelect@ifmsa.org and we will reply
as soon as possible.
We kindly ask NMO Presidents to disseminate this manual widely to their
members.

How to Apply?

All candidates interested in applying for one of the positions


outlined in this manual must submit the following documents:

1. Filled Candidature Form (CF), signed and stamped


by the NMO President (link);
2. Technical Data Card (TDC) (link);
3. Curriculum Vitae (CV) adapted to the position;
4. Motivation Letter (ML), no more than 1 page long,
highlighting previous IFMSA experience;
5. Plan of Action (PoA), no more than 2 pages long;
6. High-resolution, coloured, passport-sized photograph,
for publication purposes.

IMPORTANT NOTE:
All applications must be sent by email to ebelect@ifmsa.org AND
the email of the relevant Official. Officials’ email addresses can
be found throughout this manual and in a summary table at the
end.
All applications must be sent in before the deadline, which is set
to August 29, 2017 @ 23:59 GMT. No late applications will
be considered!
Applicants must ensure that the subject of their email contains
the code corresponding to the position they are applying for.

Applicants must be available for an online interview to be
scheduled upon agreement with the relevant officials. All
interviews are likely to take place in the first week following the

Task Description
1. Search for new funding opportunities for the Federation;
2. Categorize grants and funding opportunities;
3. Continue building a database over grants and funding opportunities;
4. Support in the coordination of grant applications;
5. Support in the writing of grant applications;
6. Make sure all relevant documents are collected for grant applications;
7. Support in the planning and follow-up of grants;
8. Helping to create a template for sponsorship agreements used
within the Federation

Selection Criteria
1. Experience in financial matters;
2. Good experience in grant application and grant application writing;
3. Experience in fundraising;
4. High level knowledge in the English language;
5. Availability for the entire term (Oct. 2017 - Sep. 2018);

General Assistant
The General Assistant will be working closely with the RD and the
NMOs. S/He will be mainly working together with the RD on external
affairs, enhancing the external representation within the region, and
promoting and supporting NMOs in connecting with potential partners.
This position requires a highly experienced and involved member who
is aware of the region’s main issues and priorities. Experience on
executive management, external representation and capacity building
of NMOs is required. The specific tasks vary throughout the term
and they will be outlined by the RD based on the needs he sees fit.

1 - Help the RD in External Representation (mainly preparation

Regional Assistants
• The Regional Assistant (RA) is the link between the SCOPE Director and the NEOs of each region.
RAs manage SCOPE in their respective regions, from contacting and developing new NEOs and
NMOs to managing any problems within the region in collaboration with the SCOPE Director and
the Regional Director (who must be regularly updated about what is happening in the region).
• Regional Assistants shall assist the SCOPE Director in the realisation of his Plan of Action, and work on
the basics of Academic Quality within the region (selection of outgoings, PDT, UAT, etc.)
• Regional Assistants should (at least four times per term) contact all NMOs, to see if they need any
support. They should also contact all non-SCOPE Active NMOs and help them set up SCOPE in their
country if they want to.
• Regional Assistants must encourage the cooperation between NMOs in their region and facilitate
cooperation on similar projects within the region.
• Regional Assistants should also regularly organise online meetings with the NEOs of their region, and
should assist NMOs willing to organize a PRET (Professional and Research Exchange Training) or a
TNET (Training New Exchange Trainers) in the preparation and agenda setting (with the help of the
SCOPE IT).
• Last but not least, Regional Assistants will be responsible for the SCOPE Sessions at the Regional
Meeting, as well as the Regional Sessions at the General Assemblies.

Description
Based on my experience from the previous International Team and after
collecting inputs from the previous SCORE IT, there will be some key
changes made to the structure and the responsibilities of each assistant.
The General Assistant will remain and continue with the responsibilities of
overseeing the Database and developing our capacity building system.
The Regional Assistants will continue to be responsible for their regions
and will have specific regional priorities that they will focus on for the term.
In addition, it will now become a task of the RAs to help the NMOs in
their region develop their Academic Quality as they are the ones who best
understand and know the needs of their region and the NMOs.
This will free up more time for the Development Assistants to focus on
developing new trainings and educational activities in cooperation with
the Liaison Officer on Medical Education Issues (LME) and potential
external partners. The Development Assistants will also run a medical
research awareness campaign and work on advocacy and recognition
together with the LME.

Regional Assistants
Regional Assistants (RAs) are the link between the NOREs of each region
and the SCORE-D. They are members of SCORE who are actively involved
and highly motivated to help all NOREs in their region. There is continuous
communication between the RAs and the Director in order for the Director
to be informed about everything happening in each region. The RAs also
facilitate discussions within the region and are responsible for the SCORE
sessions at their respective Regional Meeting as well as the Regional
Sessions at the General Assemblies. The RA, as a member of the SCORE
IT, will also help with the SCORE Annual Working Plan and continuous
development of the research exchange program.

General Assistant
The two main responsibilities of the General Assistant (GA) are
troubleshooting for the Database and development of capacity building
in SCORE. The GA also has a secretarial function within the SCORE IT
as he/she will be in charge of taking minutes during online meetings
and compiling the SCORE IT reports. The GA will work closely with the
SCORE-D and the rest of the SCORE IT on the SCORE Annual Working
Plan.
Task Description
1. Help NOREs with Database problems and constantly seek for
improvements.
2. Be the IT contact person for capacity building development within
SCORE, including responsibility towards improving and developing
workshops such as the Training New Exchange Trainers workshop.
3. Assist the SCORE-D in achieving the goals in the Annual Working Plan
and the SCORE Strategic Plan.
4. Compile and share the SCORE IT Reports.
5. Assist the Development Assistants with the awareness campaign.
6. Keep the SCORE-D updated on the progress of any tasks assigned
to him/her.
7. Help prepare the SCORE Sessions for General Assemblies together
with the Sessions Team.
8. Take minutes and create action plans for the SCORE IT online meetings.

General Assistant
The SCORP General Assistant will work mostly on our campaigns

Regional Assistants
Regional Assistants serve as a crucial link between the national and

In addition to being part of the SCORP International Team, Regional

collaboratively within both teams. Regional Assistant are expected to assist
and guide the development and activities of SCORP within their region.
Task Description
The following tasks and responsibilities of SCORP Regional Assistants
are outlined in the SCORP Standing Committee Regulations (amended
in August 2017) paragraph 3.3.3.
• Provide a link between their region and the SCORP-D, LRP and rest

• Responsibility for recruiting NMOs to become SCORP active.

Coordinators.
All Activities should be enrolled and approved by the Program Coordinator before they
are carried out. This ensures that Activity Coordinators can benefit from the experience
of the Program Coordinators to improve their Activity’s design, resource management
and impact evaluation. However, as long as an Activity meets determined criteria,

Activity Report forms submitted until the 15th of June are compiled into the Program’s
annual Impact Report that showcases the Program’s achievements. Program Impact
Reports are presented at each August Meeting and tabled for adoption.
With this structure, IFMSA aims to provide a simplified and outcome-oriented system
for NMOs and their members, that can accommodate a wide variety of Activities. It
also aims to equip medical students with tools to measure their own impact and can be
used as a great platform for NMOs to collaborate amongst each other.
IFMSA Programs have a lot of potential. Information from the Impact Report can be
used to showcase our Activities to External Partners. Furthermore, using information from
Activities can be used when applying for grants.

Bylaws
According to IFMSA Bylaws paragraph 13.19, any applicant for the position of
Program Coordinator must fulfill the following criteria at the time of appointment:
• Be a medical student when the term of offices commences;
• Be a member of a National Member Organization (NMO) with Full or
Associate Membership Status;
• Not be a member of a National Member Organization (NMO) that is
in violation of IFMSA Constitution and Bylaws.
Any applicant not fulfilling the above criteria will not be considered in the
selection process. For the selection itself, the following items will be taken into
consideration.
Please feel free to also include ideas on how to further develop the Program,
for example how you plan to collaborate with relevant Officials in areas such
as External Representation and Finances.
