the asset record

country intercompany

Current ACH Hybrid Process
PACT to iERP interface IDD-WW-FINCO0058 sends the legacy IGS project # to iERP and iERP load them in table AUFK
as CO internal order.

When the Inbound Fixed Assets Capitalization Interface from GLIM IDD-WW-FINFA0059 is received from ITH/GLIM,
legacy IGS project number is not on the interface. Asset is capitalized based on the department of the customer in the
interface. If the customer is not found, or the department on the customer is invalid, the asset goes to error. GFA then
manually researches the order to fix and post the asset data. IGS project is not entered by GFA on manual corrections.

Users can update the legacy IGS project number on the asset, using the IO values created by PACT feed in the format P
+ country + space + PACT project ID on the asset master record cost order field. This could be done by any process that
has update authority to asset records.

Currently there are no assets capitalized this year in AT/CH with IGS project on them. The ones with cost order filled with
IGS project (examples below) look to all have been migrated from AP0 when Fixed Assets were deployed to AT/CH.
 Checked asset main numbers in 0131 and 0009 with create date and cap date > 02/01/16. None were assigned
a project IO.
Options for IGS Project in ACH CHW Phase

Note: IDD-WW-FINFA0059 Inbound Fixed Assets Capitalization Interface from GLIM will be disabled for
ACH as decided during the interco discovery session.

Assumes legacy project number will still contain a similar value as current FA solution, with P + country + space
+ PACT project ID

1) Change the Interface PACT to iERP to create WBS instead of CO internal orders. That approach was
already evaluated during the Coexist Strategy discussion. By doing that the Pact project will create
WBS in iERP. The iERP OTC and WWCT process will remain BAU. FA system will need to change
theh following.
a. FINCO0058 interface from PACT will to be changed to create a WBS element instead of an IO to
represent a legacy IGS project number. Assume format will be the same or similar to current IO
value stored in AUFK-AUFNR. Will need to engage CO/RR/CFM squad to determine which fields
to populate on WBS element.
b. Modify FINFA0059 to populate WBS element on the asset rather than IO field.
c. Mass change of assets will be performed to move value from IO to WBS, blanking out the IO field.
There is an existing program can be used for this update.
d. Verify Fire is getting the WBS elements data in existing Fixed Assets feeds.
e. If there is a need to populate statistical IO on the assets, as is done in the integrated solution, then
divisional profit centers need to be in the ztable that indicates which profit centers require a
statistical IO. It is not expected that this is needed until iERP is the ledger of record. At that point,
the FA data will need to be updated to the Pxxxx profit center to support the integrated process.
f. Education will be needed to the user community to explain the change to the asset data.

Pros:
Strategic change. Follows global template to use WBS to represent projects. Processes
where there are upcoming hybrid projects, such as configured HW, GP/AP, Intercompany,
will not have change due to FA using internal order for project.
Cons:
There is some development effort

2) THIS OPTION WAS DICARDED since has impact and does not bring us closer to the strategic
solution: Change the process to enter the IGS project in one of the available field on the investment order
instead of the WBS. Requesting order is already populated with a statistical IO and copied from capital order to
asset record in global template EDD, so may need any modifications to do this change. Need to test to verify. If
there are issues, code changes may be needed.

a. Pros:
i. Maintains existing asset process.
b. Cons:
i. Would need to do option #1 at a later date or if never done then other projects would have
to adjust to FA process using IOs for projects

3) Do not enter any IGS project information in WWCT. The Sales order will still be created with a capital investment
order in the account assignment tab like in the global template, but the capital investment order will not have the
WBS in it. Hence Assets will not get an IGS project assigned automatically like in the current pre ACH CHW asset
process. A subsequent update (ie. eAMT-Lite) would be needed to depreciate assets to a project if required
(Note: ACH seems not depreciating assets on IGS project )

a. Pros:
i. No change needed to deploy CHW project. Could be a temporary situation until option
1 is implemented.
ii. We expect no impact on OrderNow: templates will remain like the one of ACH except
for the customer that should be the RDC customer
b. Cons:
i. Does not provide ability to enter project information on order and have it assigned to the
asset. Assets owners would have to make updates after assets are capitalized. But based
on this years data, no new assets capitalized in AT/CH have IGS project filled in.

DECISION: Based on discussion in the call, it was agreed to create stories in FA squad to implement option 1.
If they cannot be scheduled/tested in time for CHW deploy in May, the option used will be # 3 and Option 1
will be deployed after ACH CHW deployment. Option # 3 keep the FA capitalization as it is today in ACH.

We will need to interlock with WWCT and automated creation of capital internal orders. That is expected to
deploy in April, so code being developed should support option 1
Changes/Impacts to Fixed Assets Process in ACH CHW Phase

iERP
Source of Asset Capitalization:
 iERP will follow the global template process similar fully integrated countries such as Germany/China.
The sales order/purchase order create process will create the asset master records. Data will be
populated in the asset records in the same way, except for the items below. Invoice receipt to the
purchase order will post the asset capitalization value.

IGS project:
 IDD-WW-FINCO0058 interface from PACT will be changed to create a WBS element instead of an IO to
represent a legacy IGS project number. This change will apply to all countries on iERP Fixed Assets.
Assumption is the format of the IGS project number will be the same or similar to current IO value stored in
AUFK-AUFNR. Will need to engage CO/RR/CFM squad to determine which fields to populate on WBS
element.
 For procured equipment Modify FINFA0059 to populate WBS element on the asset rather than IO field.
 For IBM equipment in countries like ACH where the CHW OTC process is deployed in phases the WBS
will be populated in the Capital Investment order
 Mass change of assets will be performed to move value from IO to WBS, blanking out the IO field. There
is an existing program that can be used for this update.
Note: The capital investment order will not have WBS under the fixed asset stories are deployed. This may not
be done until after the CHW deployment in May.

Customer:
 EDD-WW-FINFAxxxx – During creation of asset from sales order/purchase order, derive legacy
customer from SAP customer and populate in license plate field in asset record??

Capital Management
 Capital Requester will enter the WBS in the capital request/capital investment orders if the asset should
depreciate to a project. The WBS # will be created by the PACT interface IDD-WW-FINCO0058 with a
nomenclature TBD. The Short ID of this WBS will be the IGS project
 New WWCT Bluemix application (replacement of WWCT lotus note) will send create automatically the
capital order in iERP including the WBS.
 The capital investment order will not have statistical IO for IGS expense reporting until the full scope ledger
is deployed

GLIM
 Based on plant order # range GLIM will post on the 120 account and will stop sending this record in the
IDD-WW-FINFA0059

Global Logistics:
 IDDE will send import invoice file to both iERP and CIAS during ACH CHW Phase. When Ledger is
deployed for ACH, the file to CIAS can be eliminated.

Order to Cash:
 The order to cash process will follow the global template. The capital investment order will continue be
entered in the account assignment tab of the sales order
 Asset will continue to be created by the OTC process when the PO is created.
Order now: in both option 1 and 3 we believe OrderNow need to change the customer number to the Site ID
(S+ RDC number).

Transition Period (dry out) for internal, loaner, demo, SO orders orders:
 Today ACH uses the FA not integrated processes where an interface from GLIM (IDD-WW-
FINFA0059 ) capitalize the asset in iERP (Note: iERP is the FA system in ACH). The interface does not
identify which kind of order is (internal vs demo vs loaner vs SO). IDDE send the interface to
CIAS/ITH. GLIM take the ITH file and for the internal based on CINFO information send FA0059 to
iERP.
 When CHW will deploy in ACH the process will be according to the global template where
capitalization is done in SAP based on the interco invoice receipt which in turn is based on GL39 from
IDDE
 IDD-WW-FINFA0059 will remain active for the legacy internal, loaner, demo and SO orders.
 At the end of the transition period IDD-WW-FINFA0059 will not process anymore transaction for CHW
ACH but will continue to process transaction for capital vendor products so will not be deactivated
