I. PRE-INTERNSHIP

A. Requirements for Admission


1. Has taken at least 80% of the major subjects or 60 units.

B. General Procedures
1. Student will appear on the pre-evaluation and evaluation dates.
a. Grades in the preceding semester should be secured.

b. INCs should have been complied.

c. Pay the internship fee

2. If qualified, student will attend the orientation.

a. Pay the necessary fees (OJT Manual, operational expenses and uniform).

b. Wear your business attire. (Long sleeves and slacks with leather shoes
for men. Dark coat and pencil with dark footwear for ladies.)

3. The group will elect the set of officers who will help the Faculty Intern
Coordinator (FIC) to consolidate the documents and facilitate all internship
activities.

4. Submit the following to the FIC for scrutiny and signature:

a. Received application letter

b. Resume’

c. Waiver (student and school’s copies)

d. Signed MOA/MOU

5. Interns will secure an approval from the head of office they wish to become
interns.

6. Agreement between the interns and head of office assigned will be


determined and submit the certificate of acceptance to the FIC.

7. The intern will follow the enrolment procedures of the university. Students
will only start their internship after they have been validated. Put the
following in a green long folder together with the aforementioned. Submit to
the Faculty Intern Coordinator.

a. Photocopy of enrolment receipt

b. Photocopy of study load

c. Photocopy of Official Receipt of enrolment

II. INTERNSHIP PROPER

A. General Procedures

1. FIC will give the go signal to the interns ready for deployment.
2. FIC may call for a midterm follow-up. Issues and concerns will be tackled.
3. FIC will also visit offices to monitor interns’ work performance.
4. The Intern should pass the following documents within three days from the
start of the internship:
a. Employer Information Form
b. Student Report and Goals & Learning Objectives Agreement Form
c. Certificate of Acceptance

B. Points to Remember

1. You are representing Bukidnon State University to the office/ agency where
you are assigned. Protect the name of the school.
2. Observe social graces. Act as professional in dealing with others.
3. Be punctual. Observe official hours.
4. Be prompt in the submission of reports and related documents (DTR,
Narrative Reported, etc.)
5. Be courteous and friendly to your head of office, your co-workers and the
clienteles of the office.
6. Be careful in handling office materials and in using office facilities.
Observe cleanliness and orderliness.
7. Don’t smoke inside the office.
8. Attend officials activities (Convocation Program, Flag Ceremony)
9. When communicating with others, be tactful.
10.Work diligently. Listen to instructions.
11.Always wear uniform and ID
12.Observe proper grooming.
13.Maintain a good health.

C. Other Reminders

1. Issues: if issues arise in the workplace that cause you to feel uncomfortable
or you feel should be discussed, please contact your Faculty Internship
Coordinator.
2. Site Visits: Faculty Internship Coordinator may make site visits with intern
& supervisor to review the progress of the internship per the Goals &
Learning Objectives Agreement Form.
3. Journal and Timesheet: Keep a record of your major internship activities on
a journal. This will help you develop your report. Also, keep track of your
time on the timesheet provided.

D. Habits/ Mannerism To Avoid

1. Talking about people and personalities.


2. Sitting down lazily.
3. Coughing and sneezing without using handkerchiefs/ tissue paper.
4. Grooming one’s self in public places.
5. Talking about yourself, your achievements, your activities, etc.
6. Interrupting conversation.
7. Talking and laughing loudly.
8. Wearing excessive jewelries and make up.
9. Smoking while in office.
10.Sleeping while in the office.
11.Wasting official time in texting.
12.Murmuring while working.

E. Office Decorum
1. Speak in soft or well-modulated voice.

2. Be business-like. When transacting business with others, say what you


would like to say then stop. Do not steal the time of busy person by talking
to him more than you should.
3. Observe office rules and regulations.
4. Know your proper place.
5. During lull periods, don’t just sit down. Think of something worthwhile to
be done as improving systems and procedures.
6. Dress yourself appropriately. Look neat and clean.
7. Maintain orderliness in the office.
8. Be punctual and regular in reporting to work place.
9. Don’t indulge in rumor mongering.
10.When you are not involved or concerned, do not stand close to the people
conversing, so as to hear the conversation.
11.Never sow intrigues.
12.If you are gripe, direct this to the superiors who may be able to take action
on the matter.
13.Don’t be curious on matters you should not know.
14.Avoid the “Easy lang Pare” attitude at work.
15.End the day with a smile and cheerful greetings to your co-workers
“Goodbye’,
16.“See you tomorrow”, “Happy weekend” or “Take care” are certainly greetings
for a day’s work.

F. Internships Dos and Don’ts


DO’s
1. Do participate in an orientation for your internship-learning experience.
2. Do make sure you know whom to contact at the site and at the university
in case of an emergency.
3. Do ask for help from your supervisor or another staff member at your
internship site when in doubt.
4. Do be punctual and responsible in completing your commitment to the
internship site.
5. Do call your site supervisor if you know you will be late or not able to come
at all.
6. Do keep all information about clients you work with confidential.
7. Do show respect for your internship site, its staff, and its clients.
8. Do be aware that you are representing your university.
9. Do log-in at your internship site every time you are there, and record your
internship hours on your student internship timesheet. This will ensure
you receive credit for the hours you have served
10. Do know that if you’re having trouble at your internship site, you can
talk with your Faculty Internship Coordinator about it.
11. Do know that you can consider another internship site if you’re not
comfortable with your current site.

DON’TS
12. Don’t report to your internship site under the influence of drugs or
alcohol.
13. Don’t give or loan client money or other personal belongings.
14. Don’t make promises or commitments to a client that you cannot keep.
15. Don’t tolerate verbal exchange of a sexual nature or engage in behavior
that might be perceived as sexual with a client or organization
representative.
16. Don’t tolerate verbal exchange or engage in behavior that might be
perceived as discriminating against an individual on the basis of his/her
age, race, gender, sexual orientation, ability, or ethnicity.
17. Don’t engage in any type of business with clients during the term of you
internship.
18. Don’t enter into personal relationships with a client or organization
representative during the term of your internship.
Responsibilities in the Memorandum of Agreement

For the Student-Intern:


1. Must have completed 60units in Accountancy subjects.
2. Need to complete the 300 hours.
3. Wearing of practicum uniform and ID during office hours must be observed.
4. Observe proper behavior and office decorum.
5. Should report regularly and observe office hours.
6. Use DTR (Daily Time Record) / Bundy Card.
7. Should comply requirements given by the agency / office.
8. Submit Narrative Report.
9. Practicum is part of the curriculum.
10.In case of failure to comply the OJT policies, the student is disqualified to OJT.

For the Agency:


1. Evaluate the student’s performance by giving a grade ranging from 1.0-3.0.
2. Sign the student DTR and narrative reports.
3. Assign work to students related to their field of discipline.
4. Require students to follow office rules/ policies and standard operating
procedures.
5. Refer/ confer with the practicum adviser on problems regarding practicum
students.

For the University:


1. Confer with the agency on the possibility of accommodating practicum
students.
2. Conduct regular supervision to practicum students.
3. Assign students to Agencies/Banks/LGU/Etc.
4. Require students to do practicum as part of the curriculum
5. Conduct orientation on the requirements for the practicum and rules related to
on-job-training.
6. Conduct evaluation after the term.

Student Expectations

Intern Responsibilities

Responsibility of the Student to the Agency


The intern is expected to conduct himself/herself in a professional manner at
all times. It is the intern’s responsibility to:
- Dress appropriately to the activity and the agency assigned;
- Arrive on time, work the required number of hours, and notify the agency if
- Necessary to deviate from the specified schedule
- Carry out all assignments to the best of their ability; and
- Fulfill the requirements of the internship course

Internship Supervisor Expectations

Student intern should provide agency with worthwhile assistance in the


planning, promotion, implementation, and supervision of its programs and services.
The internship should provide an opportunity for the student to test formal theories
and concepts in actual practice situations. The agency/company can facilitate this by:
1. Providing the student with a significant period of orientation to the agency and
its operation during the early part of the internship assignment;
2. Giving the student assignments and responsibilities which will foster
development in accordance with individual needs and abilities;
3. Providing periodic evaluation sessions to discuss student’s performance and
individual strengths and weaknesses; Providing the student with ample
opportunity to observe and participate in various agency meetings as well as
program activities;
4. Clarifying specific work assignments and follow-up with student to ensure
completion;
5. Allowing student to attend internship course meetings.

Internship Sites

Student can participate in internships in every level of the public/private sector


including national and local agencies. Recently students have participated in
internships with the following agencies:

1. National/Local Government Agencies


2. Government/Private Banks and Financial Institutions
3. Governemnt/Private Corporations

Internship Credit and Hours

The course requires a total of six (3) credit units of internship experience. In
actual hours, this represents a minimum of 300 hours at internship sites.

5S of Good Housekeeping

5S is the Japanese technique of good housekeeping and workplace organization

1. Sort (Seiri). Items are identified/ distinguished and sorted out with the
unnecessary items must be discarded and disposed away from the workplace.
In doing the sorting, the following steps should be observed:

Step 1. Evaluate/ assess workplace in relation to the use of a workplace;


identify unnecessary items; and set the item aside.

Step 2. If one and his colleagues cannot decide, put them in Disposal Notice
with the date on the item, and set the item aside.

Step 3. Tagging Operation

2. Systematize (Seiton). Necessary items are arrange in good order and placed in
where they could be easily picked so that they can be used when needed and
accessible to all users.

These are the steps under the 2nd S:

Step 1. Think which things should be put where.

Step 2. Consider how often the things are used; decide a proper place where
things should be located.

Step 3. Keep a list of things with their locations; label each drawer to show what
is kept inside.

3. SWEEP (Seiso). Cleaning of workplace is conducted to remove dust, dirt, stains


and foreign materials in all areas / equipment.

4. STANDARDIZE (Seiketsu). All areas/ equipment covered by this standard are


always organized maintaining the high standard of housekeeping including the
clean condition for safety and sanitation

5. SELF DISCIPLINE (Shitsuke). Cultivating the habit of observing the good


housekeeping rules, maintaining and training staff for the right/proper
attitude. Do things spontaneously without being told or ordered.

HUMAN RELATIONS

A. “How Can One Get Along Well With People?”


To improve one’s interpersonal relationship with people, (Batra, 2017) gives 10
guidelines.

1. Keep your tongue under control and watch your body language.
2. Make few promises but keep them.
3. Learn to praise and criticize constructively.
4. Show empathy by being interested in others.
5. Be cheerful. Do not let worries pains, disappointments wipe off your smile.
6. Keep an open mind. Discuss. Do not argue.
7. Let your merits speak for themselves, do not talk about others demerits unless
necessary.
8. Pay no attention to ill-natured remarks made about you.
9. Treat everybody with importance and never laugh at others expense.
10. Do not be anxious about getting what is due to you. Keep a good
disposition; efforts and rewards will come to you.

B. How May Right Human Relations Lead To Peace?

Alice A. Balley advocates that right to human relations is the only true peace.
To achieve this, the source, Peace ideas, cited 7 steps to healthy anger release. These
steps are:

1. Recognize the anger you are feeling. Denying anger burns the feeling inside
where it festers.
2. Decide what made you angry. Bring your feelings to the surface and deal with
them.
3. Give the provoker the benefit of doubt. Come up with reasonable justification
for the behavior- something that you can understand and relate to.
4. Count to ten or practice some form of mental relaxation before discussion the
conflict rationally.
5. Make your grievances known without attacking the other person. Register your
complaint using “I” instead of “YOU”. Example, say “I feel hurt”, rather than
“Your acting unfairly.”
6. Listen. The key steps in resolving the conflict is to listen and understand. It is
also the key to safely diffuse anger.
7. Forgive. When you forgive someone, many clearly positive psychological and
physiological changes takes place. Forgiving allows experiencing the love that is
the essence of your relationship.

C. How Is Human Relation Atmosphere Developed In An Organization?

Human relations atmosphere refers to a climate of cooperation and goodwill.


This is the responsibility of the management. There are certain attitudes, which must
be developed, in the working atmosphere. These are:

1. Recognition of human dignity and worth of every individual. This means that
workers must be treated as human beings. They desrve respect and should be
allowed to grow to pursue their goals within the limits of moral and social
responsibility.
2. Recognition of individual differences. This means that each person is unique.
Human relations must focus upon the individual’s welfare.
3. Empathy or the ability to put oneself in the other person’s place.
4. Behavior desired by the worker should be accomplished by motivating him to
work harder and not because he is coerced. This is because every worker has
his motivation that motivates him to perform his work well.

D. The Ten Commandments Of Human Relations Speak Of One’s Well Being


As A Person.

These are:

1. Speak to people. There is nothing as nice as a cheerful word of greeting.


2. Smile at people. It takes 65 muscles to frown, only 15 to smile.
3. Call people by name. The sweetest music to anyone’s ears is the sound of his
own name.
4. Be friendly and helpful. If you would have friends be friendly.
5. Be cordial. Speak and act as if everything you do were a genuine pleasure.
6. Be genuinely interested in people. You can like everybody if you try.
7. Be generous with praise: cautious with criticism.
8. Be considerate with the feelings of others. It will be appreciated.
9. Be thoughtful of the opinion of others. There are three sides to a controversy:
yours, the other fellow, and the right one.
10.Be alert to give service. What counts the most in life is what we do for others.

E. Office Etiquette

1. Be polite, pleasant and courteous when answering the telephone.


2. Answer promptly any telephone that rings in the office.
3. Avoid blowing and popping gum in the office.
4. Be discrete when coughing or yawning.
5. Avoid applying makeup at the desk
6. Use positive body language.
7. Avoid eating at your desk when dealing with the public.
8. Be tactful with rude people.
9. Avoid personal conversation when client is waiting.
10.Be punctual.
11.Avoid annoying habits.
12.Discourage personal office visitors.
13.Do not use strong perfume or cologne.
14.Do not wear noisy jewelry.

F. How Does One Observe Telephone Manners?

1. Place calls correctly. Be sure you have the correct number. Identify yourself at
the beginning of the conversation.
2. Answer properly showing courtesy. Speak slowly and clearly. Pick up the
telephone on the first ring if possible.
3. Taking calls for others. Be utmost tact in determining the identity of the caller.
You may say: He is not available at the moment. May I tell who called? He is not
at his desk right not. If you leave your name and telephone number I can have
him call you. He will not be here this morning. If you will leave your number I
can have him call you.
4. Terminate calls pleasantly. Be courteous. The telephone is a common office
property. Do not monopolize the use of it. Conversations should be short in
consideration of the right of other members of the office.

III. POST-INTERNSHIP

A. General Procedures

1. At the end of the internship, each intern will consolidate the requirements
and put them inside a long green expanded folder following the order:

a. Signed DTR with complete data

b. Photocopy of logbook indicating signature of attending supervisor


authenticating the document

c. Weekly Journal

d. Narrative Report (follow specifications/format)

e. Certificate of Completion

f. Copy of received “thank you letter” to the assigned office head

g. Agency evaluation/grade sheet should be sealed in a white envelope.


Sealed part should be signed by the agency supervisor.

All documents should be passed at most 5 school days after the last day of the
internship.

2. The FIC shall call for a Colloquium. Each student will present a graded 10-
minute powerpoint/video presentation regarding his experiences. The
presentation may include, but not limited to:

a. Brief Office Profile. Where is it located? To whom does the intern directly
report to? What is main mandate of the agency and the unit/section
he/she is assigned to?

b. Duties and functions assigned to the intern.

c. Challenges/Difficulties encountered and the measures done to address


them.

d. Learning experiences

e. Tasks in other significant events

Note: Report should be supported with pictures and captions

3. The officers will help the FIC to bind all outputs.

4. The interns are graded according to Manner, Method and Matter.

5. The overall criteria in grading the interns includes work performance to be


rated by the supervisor, attendance to orientation and colloquium, presentation
of intern experiences and prompt submission of, accuracy of, and substance of
the documents sought.

Narrative Report Guidelines and Format

Report lay-out should typically be as follows:

1. Report cover ( a sample is provided, see page 35)


2. Contents with pages
3. Content of Report with appropriate sub-headings
4. Work cited section
5. Appendices section (pictures, letters received/approved, awards, citation,
etc)

Report content should cover information such as:

I. Introduction
- An introductory section providing an overview of the content of the report.

II. Office
- The name of the business/organization that you interned with.
- Identify the type of Business or agency and the specific agency. Provide some
history and context of the organization.

III. Office Assignment


- What division or unit were you assigned to? (If relevant)
- Identify the people and their titles in the division or unit you worked in.

IV. Goals and Learning Objectives

- What goal(s) did you accomplish during your internship?


- List objectives to meet that goal. These should be the same as those agreed
upon between you and the supervisor at the start of the placement.

V. Duties and Responsibilities


- Describe some of the duties and responsibilities given to you during this
internship.

VI. Challenges
- What challenges did you encounter during your internship?
- How did you resolve these challenges?

VII. Learning Experiences


- Discuss the relationship with your supervisor(s) and co-workers.
- Which specific theories/concepts/principles from which specific classes did you
apply or find useful as you developed and completed your internship?
Provide citations as appropriate.
- What lessons from this practical experience would have been difficult to learn
merely from a classroom?
- What were the best and worst experiences you had during your internship?

VIII. Conclusion
- Provide a succinct conclusion summarizing the key points covered in your
report. Review the following information, and return to it when you start writing
your report.

Notes: 1. Support report with pictures with captions.


2. Report must be encoded. (Specifications: at most 10-page report; long
bond paper; font 12, times new roman; 1 inch- margin all sides, 1.5-
spaced)
3. Pagination should be placed at the upper right. Page 1 starts after the
contents.
Tips in Classroom Presentation

What better way to conclude your internship than to give a brief testimony to
your classmates about your experience! Think about it- you get to be a spokesperson
for internships, and timely career planning. Towards the end of your internship, and
current quarter, ask your professors for a few minutes to give a brief presentation in
class.

Preparation time?

You’re don’t have to make detail preparations for this presentation. Simply
share how important internships are for one’s future- making the most of such
opportunities. Refer to the positives and negatives below.

Positives:

PROMOTE internships to others (LEARN-APPLY-SUCCEED!).

SHARE about the agency or organization where you did your internship.

REMIND students to gain work experience before they graduate.

ENCOURAGE classmates to develop a network of agency contacts.

INFORM them they can earn 3 units of credit through an internship course.

Negatives:

DELAY looking for an internship opportunity until the LAST quarter.

FAIL to take advantage of student resources on campus to prepare for the future.

NEGLECT proper career planning (resume building; interview techniques; etc)

IGNORE the importance of internships!

OVERLOOK the above Positives; spend a longer time looking for a job after
graduation.
