II. ABSTRACT

The proponents identified the problems encountered of Bannawag Integrated


School in managing records to help them improve their everyday office work in
terms of manual recording and managing records. The proponents reviewed some
literature, articles and studies in order to help the establishments achieve their
goal.
In supplementary research, the proponents came up with theory entitled
“Multi-purpose, Yeasty & Boundless Automated Storage Information System
of Bannawag Integrated School”. This research was a record system to develop
and to enhance the institution’s performance in work and continuous filing system
to ensure safe and conspicuous book keeping in the the school. The current
system is fully paper-based that is difficult to handle because of its tendency of
losing and misplacing the records. Multi-purpose, Yeasty & Boundless Automated
Storage Information System served as records management system which
provides more convenient and efficient scheme that is manageable and user
friendly to the faculty & staff and students of Bannawag Integrated School.

The proponents thought of a system that could solve the problems in

managing records, searching a certain records, printing of necessary requirements

both teachers and students and problems encountered using the traditional paper-

based works that might be lost or damage. After understanding the process, the

proponents reviewed all the problems with regards to the usage of the current

system. The proponents came up with the constructing of a mutli-purposed record

management system for Bannawag Integrated School entitled “Muti-purpose,

Yeasty & Boundless Automated Storage Information System to help the teachers

and students in saving time and energy in keeping and producing relevant records

in the school, moreover, the project provided best paper less, best service in

managing records.

The proponents used a centralized manipulations of gathered data from

institution’s constituents in encoding the functions of the whole system as well as

the design and edge of the system. The use of different data gathering instrument

such as interview method, library or documentary research, survey method,

observation method, and internet method was conducted by the proponents in

designing and developing the project.

At the end of the of the project, the proponents gathered references

concerning with the boundless interface and automated additional functionality of

the record system that may be be useful for the future researchers.

III. RATIONALE:

One of the dynamic character of every educator is to provide themselves of

an ample means of diversely multi-purpose resources such as inventive programs

and activities which could be used as augmentation and enrichment intervention

to supplement needs and gaps behind systematic management of records keeping

in the school. Record management is the supervision and administration of digital

or paper records, regardless of the format. Its activities include the creation,

maintenance, use and disposal of records. In this framework, a record is content

that documents a business transaction. Documentation may exist in contracts,

memos, paper files, electronic files, reports, emails, videos, instant message logs

or database records. Unlike paper records that may be stored in physical boxes

on-premises or at a storage facility, Digital records maybe stored on storage media

in-house.

The record system of Bannawag Integrated School was the paper-based in

managing and tracking records of daily, weekly, monthly and yearly records. It was

less efficient and less accurate because in a manual system the data can be

misplaced or lost. Having a manual record management system requires a lot of

storage space and filling equipment in the office because hard copies of the files

are kept. The process of writing the record manually in a piece of paper, keeping

and finding the records of the school’s constituents are time consuming and slow

in retrieval of information and transactions.

Purposively a centralized and computerized Multi-purpose, Yeasty &

Boundless Automated Storage Information System (MY BASIS) is efficient,

accurate, complete, accessible and usable for record keeping. It reduces operating

costs including office space, equipment and staff to maintain an organized filling

system, minimize the time in writing the record, minimize the use of paper and

improve efficiency and productivity of the teachers the keeping and producing of

important records inside the school.

Using the computerized Multi-purpose, Yeasty & Boundless Automated

Storage Information System (MY BASIS) provides the user an efficiency working

environment and generates more output. Also the system has the feature of

printing relevant and necessary records both teachers and students in the school.

The system also includes friendly user interface resulting in knowing each other

and other usability features of the system. It also enables easy searching records

so that the employee will save time and effort. It also maintains an updated record

of the faculty & staff and students for easy identification, and updated references.

It also provides a backup and recovery utility security. It provides high level of

security for specific people (e.g. administrators and staffs) who can access the

system where administrators have the full access using the system while the

employee just have the limited access in terms of confidential records. No changes

can be made to it until it verifies the user log in id and passwords.

IV. STATEMENT OF THE PROBLEM

The Study was entitled “Multi-purpose, Yeasty & Boundless Automated

Information System” (MY BASIS) of Bannawag Integrated School. The main

purpose of the study is to help the faculty and staff’ and students in saving and

managing data or record of school constituents, printing of teachers and students

name and records acquired and encoded report in a computerized core and most

convenient way.

The study aimed to answer the following:

1. What are the processes of the current Bannawag Integrtaed School

Record Management System?

2. What are the problems or weaknesses of the current system?

3. What are the procedure or system need to be established or developed

to improve the current system?

4. Who will be the beneficiaries of the study?

5. How will the proposed system improve the manual inputting or writing

the school’s record through Multi-purpose, Yeasty & Boundless

Automated Storage Information System?

6. How will the Multi-purpose, Yeasty & Boundless Automated Storage

Information System be designed, developed and implemented?

7. How will the proposed system be effective in terms of the following?

V. OBJECTIVES OF THE STUDY

This section discusses the purposes as well as the aim of the PROPONENTS

in developing the proposed project scheme.

1. The purpose of the study is to enhance the current system in terms of

managing records through computerize works.

2. To make a Multi-purpose, Yeasty & Boundless Automated Storage

Informations System as a means of record management to minimize paper

works in the current system.

3. Design and develop a Multi-purpose, Yeasty & Boundless Automated

Storage Informations System of Bannawag Integrated School.

4. To have a system that can print relevant and necessary records of

Bannawag Integrated School faculty & Staff and Students in the most

efficient and convenient way.

5. To have a System that can Add, Edit and Update Records in a computerized

way.

6. To have a system that can be saved and update to the data folder.

7. Improve the flow and procedure of the current system by inputting records

in a convenient and computerized way.

8. To have a user-friendly record system in the school.

VI. SIGNIFICANCE OF THE STUDY

The researchers assessed the process of Managing record, gathering

information, Printing, inputting record, and they realized that there are lots of

problems on the existing process/system that is why it needs improvement and

innovations.

The proposed system aimed to benefit the following:

Bannawag Integrated School. The project will help the school in organizing its

constituent’s record in a more convenient, clear and understandable easy use of

the System.

The Principal. The project system lessens the time and energy consumed in

managing records including the account created by the users and in printing

records/certificates in a convenient way. It will also act as the admin.

The Teachers. The project system lessens the time and energy consumed in

managing records and printing certificates, they will act as the user or client of the

system.

The Students. The project system will be faster and efficient in terms of printing

of certificates and other school records like SF1 and so on in a convenient way.

The Proponents. The proposed system will help the developers to enhance their

software development skill and the implementation of the system would be a great

accomplishment and can be considered as their legacy.

The Future Researchers. The study will serve as a basis and guide to improve
computerized system of other researchers.

VII. DESCRIPTION OF THE PROJECT:

“Multi-purpose, Yeasty & Boundless Automated Storage Information

System” has the concept details of systematic procedure in developing the

proposed study. This serves as the guide throughout the development of the

proposed study and to lessen the difficulties in designing the proposal.

The first step is to determine the current and common problems the

respondents encounter on the current School Record Management. Second, the

proponents will create questionnaires and will conduct a survey at Bannawag

Integrated School Office to evaluate the current systems performance if it satisfies

the respondents. Third, is to determine the processes of the manual system and

the problems encountered by asking their idea and experiences.

The researcher analyzed all the gathered information and idea about the

current system. After analyzing all the gathered ideas and information of the

manual system, the researcher conceptualized a proposed system entitled “Multi-

purpose, Yeasty & Boundless Automated Storage Information System”.

Those are the ideas that used by the researchers and served as guide in the

planning, designing, determining the functions, in developing and implementing

the proposed system entitled Multi-purpose, Yeasty & Boundless Automated

Storage Information System of Bannawag Integrated School.

VIII. TARGETS:

All Faculty & Staff and Students of Bannawag Integrated School.

IX. STRATEGIES:

1. Consultation with the school head, all Teachers/Advisers.

2. Seeking approval and permission to conduct the project.

3. Networking with shareholders particularly the parents and students

for support.

4. Provision of needed materials in the implementation of the project.

5. Conduct orientation to target clients and shareholders about the

project through a Forum.

6. Implementation of the program.

7. Monitoring and Evaluation.

8. Submission of results of the project in the District Office
