5.0 DEFINITION:

6.0 METHOD:
6.1 MR shall arrange seminars / interactive sessions, at all locations to increase
awareness of the requirements of the ISO 9001 : 2000 and its advantages and
necessity. The difference between approach and requirements of the earlier
standard and the ISO 9001 : 2000 shall be highlighted along with importance
and use of “8 Quality Management Principles:
6.2 SWSL shall also organize training session / seminar for preparation of
establishment of the QMS per ISO 9001: 2000 for maximum possible
personnel of the organization. All the requirements of the clauses in brief and
methodology of preparation of the QMS shall be explained. A brief action plan /
road map shall also be prepared for re-certification as per ISO 9001: 2000.
6.3 MR / SWSL Chief shall convene a three / four days discussion session with
maximum possible participation from the heads of functionalities / site-in-
charges and personnel actually carrying out various processes / activities.
6.3.1 Initially SWSL Chief shall explain Top Management’s approach, and its
advantages and necessity. The difference between approach and
requirements of the earlier standard and ISO 9001 : 2000 strategy and the

vision. With basic direction decided, Quality Policy draft shall be discussed
and prepared.
6.3.2 In accordance with the Quality Policy, the basic heads of the draft Quality
Objectives shall be discussed and prepared.
6.3.3 With help from MR, the processes / activities shall be discussed and identified
with its inputs / outputs (internal customer / supplier) & interrelationships;
control methods, resource requirements, monitoring & measurement methods,
acceptance criteria and the data gathering for analysis over a period.
Relevance and importance to ISO clauses and fulfillment of the ISO
requirement shall also be considered.
6.3.4 It shall be discussed and decided as to which required actions are to be taken
with priority and which actions can be taken in phases. For this informal impact
Analysis (effect; if not done) and feasibility and possibility of carrying out an
activity shall also be considered.
6.3.5 Respective functional heads / site-in-charges shall be requested to prepare the
“Monitoring / Measuring and Analysis” sheet and send the same to MR.
6.4 On receipt of these ‘MMA’ sheet, MR shall collate & consolidate these, to arrive
at ‘MMA” for important processes / activities. Based on these and in
consultation with SWSL Chief and Steering Committee, MR shall finalize first
draft of the Quality Manual.
6.5 This QM shall be circulated to all functional heads / site-in-charges. Based on
the QM and the MMA, functional heads / Site-in-Charges shall prepare draft
documentation in consultation with MR. It shall comprise of Quality Procedures,
Quality Work Instructions and Formats.
6.6 SWSL Chief and MR shall convene a two / three day session, similar to one in
6.3 above, where in the preparations done till then shall be reviewed,
discussed and finalized.
6.7 Based on the above, MR shall collate and complete the documentation. The
Quality Objectives shall be restudied and based on available data, shall be
redefined in quantitative terms. The completed QMS documentation shall
comprise of:
a) Quality Apex Manual with Quality Policy and Quality Objectives
b) Quality Procedures
c) Quality Work Instructions
d) Records, formats, registers, specifications and documents.

6.8 MR shall circulate the QMS documentation as per procedure for Document
Control P: MR: 04. Functional heads / Site-in-Charge shall actually start
implementing the same.
6.9 All functional heads / site-in-charges shall conduct QMS awareness sessions
for minimum of 2 hours a week preferably in vernacular language to facilitate
implementation of the QMS. It shall be recorded in “Report of QMS awareness
sessions”, format no. F: MR: 23.
