A)Formal communication:
- it refers to official communication taking place in org.
whenever there is an exchange of views , or messages, or
information related to official matter, assignment of task ,
fixing of responsibility, granting authority , or setting up of
target, objective etc. that is known as formal
communication. It is defined by the organization and follows
the proper chain of command

►Advantages:-
1) It follows scalar chain. It maintains unity of command.
Thus, subordinates are compelled to act within the purview
of their responsibilities.
2) It tends to be authentic.

3) Effective control can be exercised on subordinates.


4) It is a systematic, timely and orderly flow of
information.
5) It maintains discipline in the organization.
6) It helps in fixing responsibility for results.
►Disadvantages:-
1) It tends to be slow and in flexible as it has to flow
through the formal scalar chain.
2) It goes through the filtering of information at
various points. Hence, it may impede smooth and accurate
circulation of information in an organization.
3) It may be resisted and distorted. It creates a
bottleneck in the speedy flow of information.
4) It is mechanistic. It does satisfy human and personal
needs.
5) It delays the message due to formal procedures.

B) Informal
communication: - The formal
system is not the only communication network in an
organization. There is also an informal one which is called as
the grapevine. It is not the creation of an organization; it is
the result of the relation of human interaction at work
place. It is not shown in the organization chart. Each
informal group/organization has its own social system
It is perceived by most of employees as being more
believable and reliable then formal communication. Largely
used to serve the self interest of those who use it.

►Advantages:-
1) It provides mangers much feedback about employees
and their work experiences.
2) Managers can seek support of the employees through
grapevine.
3) The grapevine may also serve as advance warning
signals for management of an emerging crisis or intended
action by workmen.
4) It is good means to know the reaction of people on
contemplated policies and action.
5) Whenever a message is to be used very quickly,
mangers may get it processed on grapevine, which may
spread it like a jungle-fire.

► Disadvantages:-
1) The one important feature of the grapevine is its fast
speed. Due to this characteristic, sometimes information
are misheard or misinterpreted which help in spreading
rumors and because the management is unable to stop
undesirable rumors due to its fast speed, it may lead to
confrontation.
2) The leakage of some important confidential message
may prove fatal to the organization.
