Student Activity Council Election Process (excerpt from the Constitution)

SECTION III – Election Process for Students interested in Executive Positions

– includes President, Promotions Officer, Social Convenor, VP Finance, VP Community/Communications, Grade


Level Representatives, ESL Representatives and Spirit Squad Directors

Selection Process

i. Interested parties will submit an application indicating their interest in an executive position.
ii. A screening process will take place involving the staff advisor(s), an administrator and if necessary, the current
President(s). The screening process will involve the evaluation all submitted applications, teacher references and
if necessary, the academic records of the candidate.
iii. A maximum of three candidates per executive position will be selected from the screening process. Successful
candidates will be contacted by the staff advisor and instructed further regarding the campaign process.

Election Process

Officers will be elected in the following manner:

A. The elections for executive members for the forthcoming year will take place in the
Fall semester no later than September 27th of the 2013-2014 school year. Campaigning will begin at the start of the new
school year (2013-2014) and will involve an assembly/rally offering the opportunity for students to deliver a speech.

B. Any student member may campaign or be nominated for any position on the Student Activity Council. A screening
process will take place to determine the candidates running for each position. (Refer to part iii above regarding the
selection process)

C. The candidate for each position receiving a majority vote by democratic, secret ballot will be considered the victor. If no
candidate receives a majority vote, then there will be a run-off between the two candidates with the most votes. The
candidate who receives the most votes will be the victor. If there is still a tie, the staff advisor and administration may
intervene to make the final decision. No member can be elected to more than one position on the Student Activity
Council.

D. The successful candidates will form the Student Activity Council and take office immediately.

E. Students running for President that are unsuccessful will be offered the opportunity to be the Vice President of the
Student Activity Council. The selection will be based on the candidate receiving the second highest number of votes. If
there is a tie, the staff advisor and/or administration will intervene to make a selection. Staff advisor may also consider
offering any other unsuccessful President candidate a position if such position has not received any interest. See part F.
below.

F. If a position does not receive any applications or there are no successful candidates from the screening process, the staff
advisor may assign a student to a position via acclimation. Acclimation refers to the assigning of a student member to a
position without a need for a campaign and election process.
Instructions for Application Student Council 2013-2014

Thank you for taking the time to apply for Student Council class for the 2013-2014 School Year. Please follow the
steps below in filling out your application packet so the selection process for the council can take place.
Selections will be made as per the conditions outlined in the SAC Constitution. Successful candidates will be
notified at the end of the school year and will be asked to develop their campaign over the summer and be
ready to proceed with the election process when the 2013-2014 school year begins.

1. Read and sign the “Personal Commitment Statement” and please have your parent/guardian read and
sign it as well. This tells us that you are willing to take the time required to be a part of student council.

2. Fill out the “Application for Student Council” forms and questionnaire. This sheet carries the most weight
for your acceptance, so be sure to put some thought into your answers.

3. Fill the “student name,” and “teacher name,” lines of both of your
“Recommendation for Student Council” forms.

4. Give a copy of the “Recommendation for Student Council” form to 2 different teachers. Then have each
teacher initial and date the area on your “Application for Student Council” form. This is to help you out in
case one of your forms does not end up getting turned in. DO NOT COLLECT THE FORM FROM YOUR
TEACHER – THEY WILL SUBMIT THEM DIRECTLY TO THE STUDENT COUNCIL STAFF ADVISORS.

5. Make sure both sides of the “Application for Student Council” form are filled in, and then return that
form and the “Personal Commitment Statement” (on the back of this sheet) to Mr. Wells.

Your application needs to be completed and turned in by: Friday June 14th 2013
Student Council Personal Commitment Statement

Student Council is just like a team sport in that, at certain times during the school year, our activities MUST take
precedence over other activities such as work, watching TV, going out with your friends, spending time with
relatives, and/or any other of a number of activities that may come into conflict with Student Council scheduled
activities. You will be aware of all dates for major events a minimum of two weeks prior to the event allowing for
your personal planning. By signing this commitment statement, you are agreeing that if you are elected as an
executive member of SAC, you will participate in activities planned by Student Council all year, attend all
executive and general meetings, and carry out the duties your elected position entails to the fullest of your
ability.

In the case that you violate Port Credit Secondary School’s Code of Conduct or do not adhere to the Student
Activity Council commitment statement, at the staff advisors’ discretion, you may be removed from the Student
Activity Council.

Description of Roles

1. President – This individual is responsible for the organization, planning and execution of regular
meetings and overseeing all events. The president communicates directly with staff advisors on a regular
basis. The president must possess excellent time management and communication skills; but most
importantly they must possess the ability to motivate and the desire to enhance spirit at PCSS!

2. VP (Communications) – This individual’s main responsibilities is to act as a PCSS community liaison with
all other clubs and councils at the school. They will be responsible for organizing regular meetings with
other council representatives to ensure that effective communication of all events is made available to
the student population. The individual who takes on this role must be strong at planning, be patient,
adaptable and very organized.

3. Promotions Officer – This role has a primary focus of identifying ways to promote the Student Council
and to ensure that all events are well advertised in a timely and effective manner. This individual will be
the primary source of media for creative promotional material and will work closely with the social
convenor to enhance the awareness of the council and its events. If considering this role YOU MUST have
confidence and/or skills in art and design.

4. Social Convenor - This individual will be responsible for ensuring that the Student Council is present at all
major events as a means to enhance visibility of the council and support our initiatives to enhance school
spirit. This individual will also handle correspondence between SAC and external service providers for
events. You must also be extremely outgoing and creative!

5. VP (Finance) – This individual works closely with the staff advisors and is responsible for ordering general
supplies, promotional materials, event rentals, food for events and anything else dealing with a cost.
Although you do not need previous experience in business or finance for this role, it is important to note
that you must be able to adapt quickly and handle new financial scenarios in an effective manner.

6. Spirit Squad Director – Directors of the Spirit Squad will be responsible for coordinating groups of
students to attend school functions. They will hold meetings regularly. Members of the newly
appointed Spirit Squad have one main goal and that is to BLEED the BLUE AND GOLD in true WARRIOR
SPIRIT!
7. Grade Representatives – These individuals are the voice of the student council within their respective
grades. They will be responsible for “getting the information out there” confidently and effectively to
ensure maximum involvement and maximum awareness of Student Council events. If considering this
role YOU MUST be extremely outgoing and creative. Two representatives are chosen for each grade.

To give us more insight into your general knowledge of the school and your ideas for student council please
