This document describes the admission process and operation of “PhD Aspirant” programme of BITS Pilani.
Every candidate admitted under scheme will be governed by the Rules and Regulation of BITS Pilani as stated in
Academic Regulation of the Institute.
1. Candidate should be working in an organization that collaborate with BITS Pilani for Practice school/
Research/WILP activities.
2. Candidate should hold ME/ MS degree of BITS Pilani or its equivalent with minimum of 60% marks.
3. Should be able to choose one of the BITS faculty as supervisor. However, co-supervisor may be chosen
from his organization.
4. Should obtain no objection certificate from his/her organization.
Admission Process
1. Admission notification will remain open on admission office website, throughout the year.
2. A candidate aspiring for admission will download the form and submit to the admission office.
3. Application forms will be processed four times in a year by ARD
4. Preliminary short-listing will be done by the concerned department and AGC.
5. Based on the recommendations, Dean ARD will communicate the result to all candidate.
6. Short listed candidate, will communicate with respective DRC for choosing sub area and date of PhD
qualifying examination.
7. Separate communication is send to candidates who are placed in “pending” category. They need to contact
Dean PS/Dean WILP, for establishing collaboration within a stipulated time of six months. After getting
confirmation from respective dean, they will receive communication as stated in # 6 and will be allowed to
appear in PhD qualifying examination.
8. After passing the qualifying examination, the candidate will be formally admitted to PhD programme.
Semester Work
The DRC will recommend the courses to be done by each student, to Associate Dean, ARD. In the first semester
(after clearing the qualifying examination), a PhD Aspirant will register in (i) Practice Lecture Series-1 and (ii)
Independent Study course, in his first semester followed by (i) Research Methodology and (ii) Independent Study, in
the second semester. The supervisor(s) and DAC will monitor progress of the research scholar on a regular basis.
Each semester, the DRC will conduct seminar using technology to which members of the DAC (as also members of
relevant departments) will be invited. At the end of each semester, campus based supervisor/ co-supervisor will
submit the grades to Associate Dean, ARD through DRC.
After the research proposal is approved, following semester onward student will register for „PhD Thesis‟ and
„Independent study‟ courses till final thesis submission.
Thesis submission
The candidate will check the thesis for plagiarism and submit to the DRC: (i) 4 copies of the thesis, (ii) 5 copies of
the synopsis, (iii) the reports of the DAC members, (iv) Soft copies of thesis (as single pdf file and synopsis in CD
and (v) other related documents as mentioned in check-list. PhD supervisor will submit the list and detail of 6-8
potential examiners in the required format (in sealed envelope) who have proven research record in the area in
which thesis is submitted, (v) The DRC will check the suitability of potential examiner submitted by the supervisor
and forward to Dean, ARD. The evaluation of the thesis may begin after submission of examination fee by the
candidate.
Minimum academic requirements for continuation: A student will not be permitted to continue in the Institute
under any one of the following situations:
i. He/ she fails to take or pass the Qualifying Examination within the prescribed time of two semesters
(excluding summer term) after getting intimation by Dean ARD.
ii. his/her CGPA, where applicable, falls below 5.50 and he fails to bring it up to 5.50 within two
subsequent semesters;
iii. he/ she accumulates two consecutive interim 'unsatisfactory' grades in the Thesis course;
iv. he/ she fails to submit his/her thesis/revised thesis within the time prescribed for him, for such
submission (refer 2.16);
v. his/her thesis is rejected by the examiners;
vi. his/her thesis does not receive unanimous final verdict from the examiners as required in clauses 8.30
or 8.32 of academic regulation.
vii. he/ she receives final grade as „unacceptable‟ in Thesis.
Of the above seven stipulations, the first four, specify the intermediate steps necessitating monitoring for a student
before submission of his/her thesis. This monitoring is to be done by the DRC. The last three stipulations specify the
events after the submission of the thesis and its examination by the appointed examiners. In these cases, the student
will be discontinued from the programme. However, he may appeal to the Dean ARD for reinstatement giving full
exposition and justification for the appeal. If the Dean ARD, decides to reinstate such a student, it will give clear
instructions and conditions, consistent with overall spirit of the academic regulations that the student must fulfil after
reinstatement. The verdict of the Dean ARD shall be final
Duration of PhD
A student must submit his thesis within ten semesters (excluding summer terms) to be counted from the semester
next to passing the qualifying examination. If the student fails to submit his thesis within stipulated period he may
request the respective DRC for extension of time. Such extension for submission of thesis are limited to a maximum
of four semesters. Thus, the duration for submitting final thesis (including all extensions and semester withdrawals)
are limited to 14 semesters. If a candidate fails to submit his/her final thesis during this period, he/she will be
discontinued from the programme. The female candidates who have availed maternity leave during this period may
be given one extra semester for thesis submission.
