Q.1. Suppose a project is falling significantly behind schedule.

A project manager has a

number of options:
(a) Allocate more resources - more people, more equipment etc.
(b) Extend the project timelines.
(c) Change the requirements - 'product' has less 'features' or a lower quality level.
Which is the option you will select under which circumstances and why? Justify your
answer with example from real life projects. [5]

 Extend the deadline. If the delay isn't minor and/or overtime is not an option, you could
try to extend the deadline. In many cases this is possible, especially when the delay is the
result of a force major nobody could have predicted. No client or boss likes when the
deadline is extended but if this is the least painful option, they will accept it.
 Change the scope. Even with best planning, it is not possible to identify in advance the
scope to the last detail. But even if you somehow manage to get such a detailed breakout
before you start, things can always change while the project is in progress. For instance,
if it turns out that a particular task requires much more effort than what you have initially
estimated, or if the task is not as vital as it was originally deemed to be, then you can
exclude this task and the deliverables associated with it from the project scope and still
make it on time. However, don't forget to get the approval of the client for the scope
change before you make the rescheduling.
 Include more resources. Another alternative is to put more resources in the project. For
instance, if the project permits it, you can ask other departments for help. You can also
assign more people to the project but always bear in mind that when new people come
into the project, they need to be trained first and get acquainted with the project – you
can't use them right away. Moreover, the risk to make "the mess thicker" increases when
you put new, untrained people and put them under time constraints, so carefully weigh
your choices before including more resources in the project.
Very often it is acceptable for a project to be behind schedule because some delay can be
built into project schedules. In most cases you can adjust the schedule to accommodate
the delay.

Q.2. Your school has decided to celebrate 50th year completion foundation day by organising
multiple cultural and sports activities in Noida Stadium on 25th Jan 2019. Function will be
attended by families of existing students, teacher and staff. School is also planning to
invite ex-students for functions. Chief Minister of UP has agreed to inaugurate function in
morning and Prize distribution is planned to be done by Governor of UP in evening.
Principal has nominated multiple Project Mangers for conduct of functions. You have
been nominated as Project Manager for undertaking and supervising administrative
arrangements (Decoration, seating arrangement, sound and music, security, fire & safety,
cleanliness, personal amenities, food etc) in stadium for various functions.
(a) You are required to prepare Project Management Plan (PMP) for approval by
principal. What the major components of PMP of this project allocated to you as PM.
Explain requirement of disaster management plan for successful execution of this
project (celebrations).

1. Identify Critical Business Processes
What business processes are imperative to your company’s continued business, and how long can
you survive without them?
2. Label Dependencies
Outline the applications your business processes depend upon the most and diagnose each
application’s maximum downtime accordingly.
3. Define Vital Applications
Make a list of the applications with the most urgent restoration time.
4. Assess Your Current Data Recovery Strategy
Understand and consider high availability vs. failover vs. restore vs. backups, and closely
investigate your current weaknesses or risks within each of those areas.
Next, you should have gathered enough information to determine your recovery time
requirements.
5. Perform a Business Impact Analysis (BIA)
6. Define Recovery Point Objectives (RPO)
7. Distinguish Recovery Time Objectives (RTO)
RTO the amount of time after data corruption or hardware failure has occurred in which full
restoration is desired.
8. Designate Maximum Tolerable Downtime (MTD)
9. Assess Risks
It’s crucial to your DRP’s success to be aware of the possible risks faced by single points of
failure, such as data loss. Create a risk/impact chart to record risks and rank their priority.
10. Test Your Theory
Walk through a DRP scenario and perform a technology gap analysis of your current vs. desired
RPOs, RTOs and MTD.
11. Redesign Accordingly
Is your DRP handicapped by old solutions, inadequate data recovery vehicles or poor archiving
systems? Maybe it’s time to visit more innovative technology. Prioritize necessary investments to
close gaps and address risk areas.
12. Implement New Solutions
Create an implementation timeline that outlines your plan to incorporate those new solutions into
an effective DRP.
13. Develop an Emergency Response Procedure
Create step-by-step instructions that define the criteria and procedures for responding, achieving
full recovery and restoring normal operations.
14. Align Procedures
Define severity definitions and assign escalation rules for procedures that may be needed in order
to meet DRP timeline requirements and MTD according to various disaster scenarios.
15. Form a Team
Designate roles and train the chosen to respond accordingly. Oversee the success of procedures
put in place to ensure your DRP is followed to avoid recovery failure.

(b) Draw a stakeholder map identifying the major groups of people that are likely to
affect the success of this project.

Families of existing students, teacher and staff

Ex-students
Chief Minister of UP
Governor of UP

(c) Chairman Noida has authority to approve allotment of stadium for corporate and
education Institutions functions. He has personal issues with Principal of your school
because his grandson was refused admission by school in recent past because of
Central Government policies on school admissions. He is a temperamental person in
nature. What are your recommendations to handle Noida Chairman who is assessed as
the least cooperative stakeholder?
(d) Create a high level Work Break Done Structure for project. You can take
assumption but clearly state assumptions while creating WBS
(e) You have planned to outsource decoration of stadium to a vendor. How will you
select an outsourcing partner for decoration of stadium? [2x5=10]

Step 1: Clearly define what you want to achieve out of the outsourced relationship
Step 2: Check experience.
Step 3: Ask for references and work samples.
Step 4: Technical/Project competence
Step 5: Ensure good communication and client management practices.
Step 6: Assess financial stability
