Scheduling a Flex Assignment
Your company may provide you with the opportunity to schedule yourself for a Flex Assign-
ment - an assignment where you have control over the decision to complete the assignment or
not. If you do decide to complete the Flex Assignment, you also have control over the location
(where) plus the date and time (when) of the assignment.
For example, let’s suppose you are a traveling worker who visits many locations to restock a

line of products in a specialized display. If, at one of your locations, you notice a broken display
that needs repair or replacement and would require an additional 30 minutes of time to spend
on this task, you could schedule an additional maintenance Flex Assignment to record this
repair or replacement task.

Your company’s home office will have needed to set up the framework for such a Flex Assign-
ment ahead of time and then make it available for you to schedule on the fly when needed.
NATURAL INSIGHT HELP GUIDE: SCHEDULING
Flex Assignments can be used to record assignments completed:
In the past (an already completed assignment)
At the present time (a right now/on the fly assignment)
In advance (future assignment)
If a Flex Assignment, such as the maintenance task described above, has been made available
to you by your company, you will be able to schedule it for yourself in 2 ways:
1. From the Home page for recording and reporting back on past and on the fly Flex
Assignments
2. From your Calendar for scheduling Flex Assignments in advance.

From the Home Page - Recording an Already Completed or On the
Fly Flex Assignment
If you would like to record an already completed Flex Assignment (or an on the fly Flex
Assignment), you will submit the Flex Assignment ’s corresponding survey by clicking on the
Flex Assignment’s link in the Available Flex Assignments pod on your Home page.

In the screeshot above, clicking on the Maintenance link in the Available Flex Assignments pod
will begin the process for recording a Maintenance Flex Assignment.

Clicking theFlex Assignment link will open the Flex Assignment – Record an Assignment
page that allows you to select a location for the Flex Assignment you are recording and
reporting on.

Once you select a location and click the Continue button, the assignment is created and you
are brought to the first page of the survey for that Flex Assignment.

Once you fill out and submit the survey, this assignment is recorded as complete within the Nat-
ural Insight platform. You will now see the assignment in two places:
1. listed in the Completed section of the Assignments pod of the Home page if the assign-
ment was recorded as having been completed in the last 3 days. (The Completed section
displays completed assignments for the past 3 days only.)
2. in your Calendar as a Completed calenar entry (marked by a green dot with a checkmark
) on the day when the assignment was completed.
ASSIGNMENT
From the Calendar – Scheduling a Flex Assignment for a Future

Date
Flex Assignments can also be scheduled on your Calendar in advance so you can complete
them on a future date and/or time – if the date range allows it.
A FLEX
Any Flex Assignment available for you to schedule will be viewable within your Available Flex
Assignments on your Home page. Each Flex Assignment available will show the date range of
the Flex Assignment in this pod so you can see this info at first glance to determine how far
into the future you can schedule the Flex Assignment.

To schedule a Flex Assignment in the future, click on the Calendar icon button in your Pro-
file pod on the Home page.
ASSIGNMENT
You are brought to the Calendar page. From there, click the Flex Assignment button, which
is within the Personal Calendar Menu .

Once the Flex Assignment button is clicked, a Flex Assignment popup window will display all
of the Flex Assignments available to schedule either now or in the future. The date range of

each Flex Assignment will appear to the right of the name of the Flex Assignment so you can
easily check the timeline before choosing an appropriate start date and time.
ASSIGNMENT
Click on the hyperlink of the name of the Flex Assignment to schedule it.
This click brings up a Flex Assignment popup window (with the name of the Flex Assign-

ment in the blue header) where the staff member selects:
1. The date and time of the Flex Assignment

2. The location of the Flex Assignment
and then clicks the Schedule button.

Once the Schedule button is clicked, a “Saved successfully” message will appear and the Flex
Assignment will be scheduled – either in the past, at the present time or in the future – depend-
ing on the date and time chosen. You are returned to the Calendar page where you can see the
Flex Assignment scheduled on your Calendar. (If needed, browse to the scheduled date.)
The following screenshot is an example showing a Flex Assignment that has been scheduled
for a future time and date - one day in the future. On the monthly view Calendar page, hov-
ering over the newly scheduled Flex Assignment will display information about that assign-
ment.

This Flex Assignment is now treated like any other assignment within Natural Insight. If
Check In and Check Out are enabled for this assignment, you can check in and out. You can
access the assignment’s survey to answer questions about the work you conducted during the
assignment.

To perform these operations and more, click on the assignment either in the daily, weekly or
monthly view of your Calendar to bring up the Assignment Info popup window for the assign-
ment allowing you to:
1. Check in or check out of the assignment via the Check In/Out button (if Check In
and/or Check Out is enabled)
2. Fill out the answers to the questions of the assignment survey via the Enter Survey
Data button

3. Unassign the assignment from yourself via the Unassign option accessible via the
Actions button
4. Reschedule the assignment for yourself via the Reschedule option accessible via the
Actions button

Alternatively, you can access this assignment from your Home page in your Assignments pod if
the assignment is scheduled to occur within the next 7 days. (The Assignments pod on the
Home page displays the assignment schedule 7 days in the future starting today.) You can
check in and out of the assignment via the stopwatch icon button while also accessing the sur-
vey via the notebook icon button.
