Lecția 1 din 8
Să vorbești pare a fi cel mai simplu lucru din lume. Oricine poate să o facă. Și asta e una
dintre cele mai mari probleme cu care se confruntă astăzi echipele de oameni.
Pe vremuri, vocea oamenilor era auzită rar și doar în cercuri restrânse. Îți programai, de
regulă, o slujbă ca pe o potențială activitate din care poți ieși la pensie, iar dacă te supăra
cineva, o spuneai unui grup relativ restrâns de oameni.
Apoi, odată cu schimbările dramatice de pe piața muncii din ultimii ani, puțini oameni își
mai proiectează o slujbă ca pe locul de unde se văd ieșind la pensie. Iar supărările, ei bine,
atunci când sunt spuse în social media, sunt auzite de un cerc extrem de larg de oameni,
cu efecte majore pentru comunitatea în privința căreia sunt spuse.
Așa cum v-am obișnuit deja, cursurile pe care le scriu nu sunt o reluare teoretică a unor
concepte pe care le-aș fi învățat undeva, la o facultate ori un curs intensiv. Nu. Ele sunt
expresia experiențelor prin care am trecut în anii în care am organizat afaceri, ani în care
am lucrat cu sute de oameni și am intrat în legătură cu multe milioane de cititori prin
intermediul avocatnet.ro. Și, dacă e să fi învățat ceva în toți acești ani, atunci am învățat
cum să comunic. Nu puține au fost situațiile în care o comunicare bună m-a salvat din
momente neplăcute. Și invers, nu puține au fost situațiile în care am înțeles că, dacă aș fi
comunicat mai bine, probabil că aș fi reușit să preîntâmpin probleme ori să le diminuez
efectele. Dar, despre toate astea, îți voi povesti pe parcursul acestui curs.
Până atunci, să îți arăt de ce ai nevoie să comunici, pentru binele organizației tale, al
familiei tale și al persoanei tale. Nu contează ce poziție ai în organizația din care faci parte
și nici care e modul în care se raportează ceilalți oameni la tine. Dacă urmezi niște reguli
minimale de comunicare, ai putea ajunge, în timp, să schimbi atât poziția ta din organizație,
cât și modul cum te privesc oamenii din jur.
→ Primul lucru pe care l-am descoperit eu e că, prin comunicare, poți crea într-o
companie o cultură specială, a transparenței și încrederii reciproce. Noi nu ascundem
situații financiare în companie, definim ținte palpabile pe care oamenii le pot înțelege și
urmări ușor etc. Nu există birouri speciale pentru manageri, dar există săli în care poți
merge oricând, oricine ai fi, dacă vrei să dai telefon cuiva și vrei să ai intimitate.
Comunicarea internă devine, astfel, un flux continuu, în care oamenii interacționează pe
măsură ce apar probleme și le rezolvă ușor, integrându-le în programul lor obișnuit de
lucru.
Ai putea spune că o astfel de abordare e posibilă doar în companii mici, cu puțini oameni.
Eu cred că, dimpotrivă, e o abordare utilă în orice formă de companie, indiferent de
mărimea ei. De multe ori, șeful se izolează într-un birou nu pentru că ar avea nevoie tot
timpul de intimitate, ci pentru că își urmărește orgoliul, care îi spune că ar fi util să se
distanțeze de ceilalți oameni, doar e special. Și cred că, la nivel de comunicare, asta e o
greșeală. Poate că oamenii cred în Dumnezeu sau alți zei, dar nu vor crede niciodată într-
un șef. Pe șef, trebuie să îl respecte. Și diferența dintre un șef respectat și un șef căruia
oamenii doar i se supun e dată tocmai de comunicare.
→ Apoi, prin comunicare oamenii pot primi acel ceva care să îi facă să trăiască totul
la capacitate maximă: sentimentul de apartenență la un scop mai mare decât
persoana lor. Cu toții avem nevoie de un astfel de scop în viață. Și, atunci când vorbim
despre viața unor companii, scopul e mai important decât banii. Noi am testat asta, de mai
multe ori, cu mai multe echipe de oameni de la avocatnet.ro, și întotdeauna sentimentul că
lucrează la ceva mare, mai mare decât propria lor pesoană, a fost primul în rândul
mulțumirilor care motivează oamenii. Salariul a fost abia pe locul 3. Pe doi se află tot un
aspect legat de comunicare, și anume respectul.
→ Atunci când comunici cu oamenii, le arăți că îi respecți. Eu, cel puțin, cred că asta
e ideea principală într-o relație, fie ea personală ori de afaceri. Comunicarea continuă ține
oamenii în priză și îi ajută să înțeleagă încotro mergi. Chiar și atunci când critici pe cineva,
dacă reușești să o faci constructiv, lucrul în cauză e tot o formă de respect.

Asemeni planului de afaceri, mai întâi trebuie să identifici problemele existente în piață,
probleme la care ai putea oferi o soluție.
Probabil că multe dintre descoperiri nu pot fi abordate prin intermediul unui plan de
comunicare, dar simplul fapt că ele sunt centralizate, strânse și comunicate cuiva, în ideea
că rezolvarea lor poate fi urmărită în mod transparent, ar putea constitui o comunicare
internă genială.
Cred că, în definitiv, scopul unui plan de comunicare e să elimine presiuni din echipă, să
construiască o punte de legătură între membrii, contribuind în mod vital la creșterea
productivității muncii.
Conținutul pe care vrei să îl comunici are legătură directă cu fiecare dintre problemele pe
care vrei să le abordezi. Unele probleme sunt constante, altele țin de noutățile din
companie și deciziile de ultim moment care trebuie aduse la cunoștință echipei. În toate
aceste cazuri, mesajele alese trebuie să fie unele adaptate la situația în cauză, dar și
adaptate la cultura companiei. Obișnuiește membrii echipei să spună ”Mulțumesc!”, poate,
la finalul solicitărilor pe care le fac. Obișnuiește-i să dea ”Bună ziua!” și să descrie
problema într-un anumit fel.
Una dintre regulile pe care noi am impus-o în companie, spre exemplu, ține de
comunicarea criticilor și problemelor. Am decis la un moment dat că, din acel moment,
oricine vine să comunice cuiva despre existența unei probleme, să vină și cu o soluție
atașată acelei probleme. Altfel, e demoralizant pentru oameni să-ți spună cineva doar ”nu e
bine” și atât. Și impactul a fost unul interesant, pentru că oamenii au început să se
gândească, atunci când observă probleme, nu doar la problemele în cauză, ci și la soluții.
Bineînțeles, cum motivezi oamenii să spună despre probleme, în acest context, fără să
încerce să le ignore pentru a scapă de identificarea soluțiilor e o altă idee, dar ea nu ține
de comunicare, ci de motivarea echipei în general.
Eu aș spune că discuția directă e cel mai bun instrument de comunicare. În primul rând,
pentru că e o formă de respect să vorbeșți cu cineva față în față și să-ti asumi puterea de
a-l / a o privi în ochi atunci când vorbiți. Vorbitul prin intermediul mijloacelor moderne de
comunicare e o formă de evitare a unei discuții, de fapt. Și nu, nu cred că o astfel de
abordare (discuția față în față) e posibilă doar în organizațiile mici. Dimpotrivă, cred că în
organizațiile mari de succes, legăturile personale pe care oamenii încă le mai păstrează
între ei fac diferența între organizații de succes și altele fără un viitor viabil.
Cum se poate face comunicarea față în față? Cum spuneam la început, faptul că
managerul stă în același birou cu oamenii cu care lucrează e o formă de invitație la
comunicare directă. Apoi, ședințele au și ele același rol, de punctare directă a unor
probleme reale din organizație. La fel și discuțiile cu toți membrii echipei, care ar trebuie să
fie unele directe, față în față (da, și discuțiile pe skype se includ aici). Și da, bineînțeles că
ideea nu e ca oricine să întrerupă pe oricine atunci când apare o problemă. Cu toate astea,
munca într-un birou comun implică o formă constantă de comunicare între oameni.
Echipele găsesc, natural, un ritm de comunicare de natură să evite distragerea membrilor,
dar care să ajute, în același timp, la rezolvarea constantă a problemelor apărute.
Apoi, dincolo de toate aceste lucruri, eu unul mă declar adeptul ideii de comunicare
asincronă. Adică, dacă discutăm, atunci hai să găsim amândoi o perioada din zi în care ne
putem face timp pentru asta, ne vom fixă o anumită limită de timp pentru discuție (poate fi
chiar și 5 minute, dacă e cazul). Apoi, discuțiile pe mail sunt și ele utile, mai ales că emailul
implică faptul că poți răspunde atunci când consideri că ești pregătit.
Monitorizarea comunicării e cea mai bună mâna de ajutor pe care o dai planului de
comunicare. În lumea afacerilor se spune, de multe ori, că lucrurile care sunt măsurate se
duc la bun sfârșit și e foarte adevărată ideea. Atunci când monitorizezi aplicarea unei
activități, înseamnă că te preocupă binele ei, că încerci să găsești metode prin care să o
faci și mai productivă și că, per ansamblu, îți pasă de ceea ce faci.

There have been published many articles and researches related to our senses and nowadays,
with this beautiful yet challenging experiential economy we're in, all innovative event
designers want to create a holistic event that appeals to all our senses.
I want to focus today only on the sense of smell. Why is having a scent associated with you
event, or product is so important?
It smells like... home
Our smell is exceptional at evoking the sense of home. For instance, whenever I smell the
powdered scent of violets I instantly remember the tiny, colorful bonbons my mother used to
decorate the cake she'd bake for us. I remember how I felt staying next to her and cooking
with her and I feel at home in a heartbeat.
Now, for you, it might be anything else from an apple pie to your baby blanket, from car oil
to freshly cut grass. The point is, it triggers the memories from your childhood or any other
memories, for that matter, that are associated with a specific scent.
So, the emotional connections between the memories and the smell are highly personal.
That's why some odors will trigger a powerful memory for someone and will do absolutely
nothing for somebody else.
We have around 450 different types of olfactory receptors and each of them can be activated
by various odor molecules. The connection between the receptors and odor molecules vary
greatly in strength and that's why some of these interactions are better than others. So what
we believe it's a single smell is actually a combination of several odor molecules acting on a
variety of receptors, creating a code that we identify as a backed muffin or a baby powder.
Here's a more plastic explanation from Leslie Vosshall, a scientist who studies olfaction at
Rockefeller University:
"Think of a lock that can be opened by 10 different keys. Two of the keys are a perfect fit and
open the door easily. The other eight don’t fit as well, and it takes more jiggling to get the
door open".
So why does this happen? And how does it work so fast and accurate? Well, our sense of
smell is actually the only one that is directly connected to the brain because it is our chemical
alert system. As soon as you smell smoke, unless you're next to a barbecue you're in alert
mode. All the other senses are filtered out. As the Georgia State University marketing
professor Pam Scholder Ellen says “With all of the other senses, you think before you
respond, but with scent, your brain responds before you think”.
Plus, "our sense of smell is 10,000 times more sensitive than any other of our senses and
recognition of smell is immediate.”, according to the researchers.
And here's another interesting fact for you 75% of our emotions are triggered by smell.
Also, it affects the perception of time. As this research showed the perceived elapsed time
was reduced in the minds of consumers in scented stores than in unscented stores, from 11
mins to 9.6 mins although the physical time was the same. Keep this in mind next time you're
planning an event.
The art of scents used by brands
Most of the brands which appeal to our sense of smell are either in the food and beverage
industry or in the body care industry.
Most of the caterers at an event understand that the smell of a warm dish or hamburger
attracts the attendees. Also, supermarkets use our sense of smell. Take LIDL for instance,
they have placed the baked goods close to the entrance so as soon as you step in, your nose is
instantly swept away by these enticing aromas.
Cinnabon also has its ovens placed strategically near the entrance so the smell of the
cinnamon rolls will appeal to people who are inside as well as to passersby.
Another brand that is great at using the art of scents is The Body Shop. Even if you just walk
by it your sense of smell will instantly be engaged by various aromas.
Some products are superior to others. Or so we think. The American Smell & Taste Research
Treatment Foundation did an experiment with two identical pairs of Nike shoes. One pair was
placed in an unscented room while the other was placed in a floral scented room. The result,
84% of the subjects rated the pair from the room that smelt nice as superior to the one in the
other room, plus they were willing to pay more for the scented-room shoes.
Another great thing about smells is that they can help people not only trigger memories, but
also remember information. A lemon fragrance will make us more alert so this is a great scent
to use when launching a new product, for instance, while the smell of oranges helps us feel
more energised and positive.
Now, there are also bad scents or overwhelming scents so be sure to keep them under control
or even in a lower key. The point is to make your guests and attendees feel good not
anxiously looking for the closest EXIT sign.
1. it can trigger specific emotions according to your event's specification: power, energy,
relaxation, etc.
2. it triggers pleasant memories your guests can associate with your event; sweet
memories = sweet event.
3. it enhances your theme; for instance, if you go for library-related theme the smell of
old books will make it feel more real, if you're going for a forest/outdoor-related
theme pine would be a great choice, you got the point.
4. it helps your attendees perceive your event in a more positive way.
5. your event will be more easily and vividly remembered than an unscented one.
Have you ever seen the movie Perfume? The one from 2006? Leaving aside the murders
committed by the young olfactory genius in his quest for the perfect perfume, it illustrates the
potency of a scent and its effect on people.
Also, if you're from the US check out MOFAD museum which literally exhibits things that
we eat. Through taste, touch, and smell they seek to educate the public in regard to culinary
history, culture, production and commerce. An interesting idea and experience.

Every experience designer, or experiential marketeer lives by these words "people will never
forget how you made them feel" even if they don't know Maya's quote.
Just think about the last event you attended. How did it made you feel? What's the first thing
that pops into your mind? "It was ok", "It was good", "Boring", "Exciting", "Amusing", etc,
etc.
Last time I talked about the events as transformative experiences and now I'd like to focus on
one of the event's aspects. The WOW factor.
Usually, every single event - whether is a conference, a launch, a networking event - has a
main theme. However, experience designers know that it is more than that. You need to tap
into your attendees emotions. One of them is Surprise and you can access it through, as you
guessed, the WOW factor.
What is this? It can be a huge technology set-up, or a small activity. It can be a cooking
station pop-up (and this is a great idea as you can you can make a video of how people
interact with it, plus great photos which then you can use in your marketing activity such as
newsletter, social media, presentations, etc).
OR
You might have a LED tunnel, such as the one LG created for CES 2019. What to do with it?
Physically you create a WOW entrance. Psychologically speaking, you divide the outside
world from your event and you create the premises for what attendees are about to experience
during your event.
OR
You could have a 3D corner for photos. A place that could simulate anything you'd like from
a shop corner to your meeting room, from an activity to a solution you can provide. Here's a
photo to be clearer.
OR
If you're providing an educational activity such as a training, a workshop, then you will want
to provide enriching experiences. You can do this by incorporating sensorial activities that
will help your students remember much easier what you just taught them. This is because the
human brain makes discoveries and experiments with the sensory part first.
So you see? It doesn't have to be something big or extremely expensive to set up, but it has to
be something that amazes your audience. That sets you apart. That surprises them. Something
their minds will chew on long after your event. This is important because it's the feeling
they'll connect with your event.
Meyers, Rudolph, Niepel and Schützwohl uncovered in their 1991 research "An experimental
analysis of surprise" that we tend to disproportionately notice and focus on surprising events.
This is why we remember easier unusual events. Also, according to another research, we
learn more from surprising information, so try to remember this next time you plan an event
where you are providing valuable information e.g. conference, summit, workshop, seminar,
etc.
Well, not only will you have something that sets you apart from your competitors, but you
will also provide your guests with a great ice-breaker.
This WOW factor can be very useful for you in terms of marketing, engagement, and even
lead generation if you use it wisely for more than just a stunt. Also, it is a great conversation
starter as it gives guests something to talk about and get to know each other better.
Of course, surprise is only one of the emotions you can tap in and there are lots of other ways
to engage with your audience and help them immerse into the experience you provide. One of
the best ways to make sure your guests are truly immersed is to appeal to all of their 5 senses.
Sum up:
You need to tap into your attendees emotions. And you can do this by using a WOW
factor.
Your WOW factor doesn't have to be something big or extremely expensive, but it has to be
something that surprises them. As the researches show we tend to remember unusual
events.
Also, the WOW factor is very useful for you in terms of marketing, engagement, and even
lead generation. More than that, it is a great conversation starter and something your
guests' minds will chew on long after the event.
I want to reiterate the quote at the beginning of the article because it is so current and is what
I'd really like to leave you with “I've learned that people will forget what you said, people
will forget what you did, but people will never forget how you made them feel.”
