6. stand rental poliCy
a) rental of stand:
Renting a stand shall debut by filling the registration form, clearly ticking the option
“exhibitor”. The submission of a filled and duly signed form shall be the act binding the
exhibitor and the Organizer.
Under this contract, the company accepts the terms provided therein, as well as the stan-
dards spelled out in the document. Kindly take note of the information relative to the cost
of services contained in the form.
b) payment of stand rental costs:
The exhibitor will settle the rental cost as follows: Once the registration form is filled and
submitted to the Organizer, the exhibitor shall have 15 days to make the payment (USD
1400 for a standard size stand).
Kindly note that the payment of the rental cost will constitute the final validation of the
exhibitor’s registration and allocation of a stand.
This clause is a necessary requirement for the Organizer to allocate the stand reserved.
7. stand oCCupation and enjoyment poliCy
a) it is outrightly forbidden to give out, sublet or exchange, free of charge or for a fee, all
or part of the area allocated by the Organizer.
Unless otherwise authorized by the Organizer, the exhibitor may only exhibit in their stand
materials, products or services listed in their application for registration.
b) the exhibitor may not, under any manner whatsoever, exhibit the products or services,
or advertise for companies or entrepreneurs not registered for the exhibition, unless oth-
erwise authorized by the Organizer in writing.
c) the stands must always be kept impeccably neat throughout the fair; the stands must
be kept tidy, at the charge of the exhibitor, every day and must be finished before the Fair
grounds are open to the public.
d) the stand must be occupied permanently, both during hours open to the exhibitors
(including during mounting, deliveries and dismantling) and hours open to visitors. Non-
compliance with this clause may lead to the temporary or definitive exclusion by the Or-
ganizer.
e) exhibitors will neither empty their stands nor remove any product from their stand
thereof before the end of the Trade Fair.
8. CanCellation poliCy
a) Cancellation of trade Fair by organizer:
The Organizer reserves the right to cancel the Trade Fair at any moment for exceptional
reasons and reasons beyond its control.
In this case, the contract will be cancelled and the payments made by exhibitors entirely
refunded at their request.
However, the exhibitor may not claim any form of compensation whatsoever for this
reason.
b) participation cancellation:
Should the exhibitor wish to cancel its participation at the Trade Fair, it shall immediately
and officially inform the Organizer.
If the formal cancellation is done before 1st November 2018, the exhibitor may claim the
refund of all the payments made.
If the request for cancellation is received between the 1st to 15 November 2018, the
Organizer will refund 50% of the amount paid by the exhibitor to rent the stand.
Over this period, the exhibitor may not claim any refund of the amounts paid.
9. installation and conformity of stands
a) the exhibitor must comply with the Organizer’s instructions relative to the control of
the entry and exit of goods within the Fair grounds.
Exhibitors or their representatives must complete the installations at the closing date and
time set by the Organizer.
b) stand installation must in no manner whatsoever damage or change the permanent
structures of the exhibition spaces, and must not jeopardize the comfort or security of
other exhibitors and visitors.
c) the specific decoration of the stands will be done by the exhibitors, which shall be re-
sponsible for it. This decoration must, whatever the case, tally with the general decoration
of the Fair grounds and must not be prejudicial to the visibility of neighboring stands.
Furthermore, the Organizer reserves the right to cancel or modify installations that may
not tally with the general aspect of the Fair grounds, affect the other exhibitors or the vis-
itors, or that will not comply with the specific plans or drafts submitted earlier.
10. dismantling oF stands at end oF trade Fair
a) the exhibitor or their duly authorized representative must be present at their stand at
the start of the dismantling process and until the stand is completely emptied.
b) the removal from the stands of goods, products and decorations, as well as any mate-
rial wastes used for the decoration of the stand, must be completed by the exhibitors
within the time and date set by the Organizer. After this deadline, the Organizer may trans-
fer these materials to any furniture storage warehouse it will choose at the charge and
risks of the exhibitor, and without the Organizer being held responsible for the total or
partial damage or loss of such materials thereof.
