and validation systems
Role of MIS

The role of MIS is an organization which can be compared with heart role in the body.

 This helps the administrative staff in the processing of transactions and responds to queries
on the data relating to the operation, the state of a particular album and references in a
variety of documents.
 This helps junior management staff by providing operational data for planning, scheduling
and control, and help in making decisions at the operational level to correct a situation out
of control.
 It helps mid-level management in the short-term planning, goal setting and control
functions of the company.
 Support senior management in setting goals, strategic planning and development of
business plans and their implementation.
 It plays an important role in the generation, communication, information identifying the
problem and helps in the decision making process

Therefore, MIS plays a pivotal role in the management, administration and operations of an
organization.

Impact of MIS

Management Functions

MIS facilitates effective management of marketing, finance, production and personnel. It

facilitates the tracking and monitoring of functional objectives. Functional management was
informed about the progress, achievements and shortcomings in the activity and objectives. It helps
in forward planning and long-term forecast. He called the manager's attention to a situation that is
an exception in nature, he / she induces to take an action or decision.

Business Understanding

MIS uses the data dictionary, entity and attributes. Respectively, designed to generate information
on the organization. Since all information systems used the dictionary, there are terms common
understanding and terminology in the organization of the delivery of clear communication and a
similar understanding of an event in the organization.
Systematization of business operations

MIS leads to streamlining operations, which complicates the system design. Improving Business
Administration to bring a discipline in its operations, as it requires everyone to follow and use the
systems and procedures. This class brings great professionalism in the business operation.

Address to the goals

Indirectly helps to pull the organization in a direction towards the corporate goals and objectives
by providing relevant information to the people in the organization.

Management Efficiency

The background information motivates an enlightened administrator use a variety of management

tools. It helps to turn to this type of exercise as experimentation and modeling.

Reducing overhead labor

From MY works in basic systems such as transaction processing and databases, the monotony of
office work is transferred to the computer system, relieving the human mind to a better job.

MIS users

Each person in the organization is a user of the MIS. The people in the organization operate at all
levels of the hierarchy. A typical user is an employee, an assistant, an officer, an executive or a
manager. Each of them has a specific task and a role to play in managing business. The GIS can
meet the needs of all people.

The main task of a salesperson is to find the data, make a statement and present it to the highest
level. An employee may use GIS to a quick search and reporting it to a higher level. An assistant
is responsible for collecting and organizing data, and performing a rudimentary analysis of the
integration of data from different disciplines and to analyze and make critical comment if you find
anything adverse.

The MIS provides the methods and mechanisms to integrate the data and report it in a suitable
format. An executive plays the role of a decision maker. He is in the responsibility and
accountability of a position of a planner and a decision maker. He is responsible for achieving the
objective and goals of the organization. The GIS provides facilities to analyze the data and provides
the decision support systems to carry out the execution task. The GIS provides a set of action-
oriented information.

The principal has a position of responsibility and accountability for business results. Its
management function expands beyond its management function. He is a strategist and long-term
planner. A person with a vision, analytical skills and are expected to use these skills in senior
management roles. GIS provides information in a structured or unstructured to react. The MIS
caters to their constant changing information needs. It is expected that the user of the MIS to be a
rational and MIS design is based on this assumption.

However, in reality, the impact generated by MIS people is difficult to explain. The nature of the
effects in some cases is negative. However, this negative impact can be managed with proper
training and guidance.

It is observed that in the lowest level, is a feeling of insecurity. As the MIS removes the monotony
of the search, collection, writing and transmission of data, working vacuum so created is not easy
to fill, creating a sense of insecurity. To some extent, the importance of the individual is also lost,
leading to a fear of non-recognition of the organization.

At the level of an officer and an executive, GIS does the job of handling and data integration. We
analyzed data from a default. This means that business knowledge is transferred from one person
to the GIS and is available to everyone in the organization. This change arises from the MIS creates
a feeling of having been abandoned by the knowledge, information and advice. The psychological
impact is greater if the person is not able to cope with this change by expanding or job enrichment
and the position held by him.

The manager holding a senior management position or middle suffers from fear of challenge and
exposure. The GIS makes these more effective competitors as they will have access to information
and be able to interpret. This leads to a situation where you are afraid that your position, the
decision and the defense will be challenged and may be wrong at some point. The risk of adverse
exposure to higher management increases. The effects so far identified are all negative and are
only a few cases.

The positive effects on people of all levels have become more efficient operators. The time and
energy spent earlier in productive work apply now for productive work. Some are able to use their
knowledge and analytical skills, with the support of information for the improvement of their
position in the organization. Managers, having improved his decision. Making capacity, are able
to handle complex situations with relative ease. Some benefited by improving their performance
and is held in high esteem by senior management.

Entrepreneurial managers are able to use the systems and models to test a number of alternatives
in a given problem. The impact of GIS on the people in the organization is phenomenal as it has
done the same collective body of people more efficient and productive.

The last great technological advances in communication, such as multimedia, image. Web Etc the
ability to access data stored in different places of the wide variety of hardware platforms graphical
user interfaces (GUI), Internet and MIS proposal would more attractive and effective. A smart user
of the information may demonstrate the ability of decision-making, as its handling capacity is
greatly reduced, with the information already available on your desktop.

Through GIS, the information can be used as a strategic weapon to counter threats to the company,
make businesses more competitive and achieve organizational transformation through integration.
A good MIS also makes a transparent, removing all barriers to communication.

MIS used in Maruti Suzuki

It is the integration and rationalization of business processes involving process compliance,

structuring, storage and retrieval of data. This involves the generation business analytics instant
control and monitoring reports of the relief of man and machine, and decision-making.

1. Oracle

"The open interfaces of Oracle E-Business Suite provides better integration with our legacy
systems. Standardization of technology and Oracle applications also reduce support costs and
ensure an easy upgrade in the future."

Oracle Consulting was contracted to install a series of Oracle E-Business Suite modules and
integrate with existing systems Maruti. The eight-month project, including up to 50 people,
including staff Maruti, Oracle consultants, and employees of third-party organizations. Maruti
Oracle also helped with the management of change, a fundamental part of the process to ensure
rapid user acceptance.
By standardizing on a single platform of Oracle, the company achieved better control of their
finances, procurement and human resources functions. Also won a more manageable and scalable
platform to support its rapidly expanding business.

Before using Oracle, Maruti uses various homegrown systems to manage its various lines of
business. Many of these disparate systems could not talk to each other, requiring the staff.

Reasons for selecting Oracle

Maruti has a history of successful implementations of Oracle, from the implementation of Oracle
Database and Oracle Real Application Clusters as a stable base for dealer management system
nationwide. Himself dealer management system was developed using the Oracle Fusion
Middleware products. When it came to choosing a solution for the ERP system, Maruti turned
back to Oracle.

"We evaluated several packages, but we found the open interfaces of Oracle E-Business Suite
provides better integration with our legacy systems," said Uppal. "The standardization of
technology and Oracle applications also reduce support costs and ensure an easy upgrade in the
future."

Maruti had used external agents to develop and implement Oracle solutions. This time, the
company decided to work directly with the vendor to implement the ERP system.

"We found that many systems integrators do not have enough knowledge of Oracle E-Business
Suite to ensure smooth implementation," said Uppal. "By participating Oracle Consulting, we
would have easy access to technicians with a thorough knowledge of the product and consultants
with extensive experience in project management and business knowledge.

"Oracle Consulting was exemplary in his conduct throughout the project."

Implementation Process

In addition to designing the system and providing advice on business process reengineering, Oracle
Consulting was responsible for the management of the different parties involved in the application.
These include Oracle Certified Advantage Partner IBM, who completed some of the work function
(write custom code extensions and installation of Oracle Financials and Oracle Procurement).
Consulting Oracle modules implemented Oracle Human Resources.
Oracle Consulting provided three months post-implementation support, and also helped Maruti for
one month in the period before the close of business.

Key Benefits

 Strengthening management by consolidating into a single financial platform

 Gained a thorough understanding of the financial results by using Hyperion to analyze
budgets and consolidated accounts
 Reduced procurement costs by streamlining purchasing processes
 Always human resources staff with greater control over hiring, payroll, compensation
management, leave management, competency assessments, and personal development
 User acceptance Promoted by developing comprehensive training programs to help staff
transition to the new system

Maruti serves within India. To support this growth and improve efficiency, the company decided
to renew their systems information technology to provide end-to-end visibility in the organization.
To minimize the impact of system change in your business, Maruti decided a gradual migration to
Oracle E-Business Suite. As a first step, the company decided to replace its financial, procurement
and human resources systems with Oracle Financials, Oracle Procurement, and a range of
applications from Oracle Human Resources.

Oracle Consulting was selected to oversee the implementation, including determining

Maruti requirements and develop a project plan, system design, software implementation, the
management of the various parties involved, and post-implementation support.

Standardization Improves Financial penetration

The problem with using multiple systems to manage finances was the lack of control over the
processes and quality of information. Each office followed different workflows, which often meant
a division lagged behind the other in the delivery of information. Different data formats requires
tedious consolidation, preventing real-time access to critical stats.

With Oracle Financials, Maruti was able to standardize on a single financial management platform.
According Uppal, the company achieved tight control over accounts payable and accounts
receivable, and general ledger won an approach, which helps in managing all financial
information.

Deepening details with Hyperion

Maruti has used software Hyperion Enterprise Performance Management for the past two years to
analyze budgets, consolidation of accounts through nine subsidiaries, and conduct financial
reporting according to generally accepted accounting principles (GAAP) India. The system is
integrated with Oracle Financials and is currently used by about 10 staff members in the
department budget Maruti Finance.

Reduces costs simplified acquisition

Oracle buys Maruti implemented to manage the acquisition of capital goods, services and indirect
inputs. Before implementing Oracle Purchasing, certain subsidiaries had a rudimentary system,
while others were based on basic spreadsheets to manage the process. This makes it difficult for
the organization as a whole to have control over the capital and purchasing services, leading to
increased costs and excess inventory.

With Oracle, Maruti is now a standardized platform to monitor procurement. The company has
established a list of preferred suppliers to reduce the number of suppliers and ensure that it is in
control of the costs. An automated workflow sends purchase orders along the chain of approvals
and maintains staff in the accounts payable department aware of all procurement activities.

Human Resources Integrated Workforce Management smartens

A growth spurt saw Maruti workforce expanded to 5,000 people across India, and the company
soon found that use disparate systems to manage human resources was insufficient. What the
company needed was a single, integrated system for managing their employees.

After application of a wide range of applications Oracle Human Resources, Maruti reported better
control over human resources functions such as recruitment, payroll, compensation management,
leave management, competency assessments and development staff. The details of each employee
is stored in a single database, where human resources personnel can access a full staff and work
history. If you need a new position to be filled, you can search the database and run reports to
determine the best candidate for the job. The staff can also generate reports to determine the skill
level of the individual employee and ensure that appropriate training programs are in place to
advance your knowledge.

Maruti deployed Oracle Self-Service HR with HR staff free of basic rights, such as the change of
personnel data and answer questions about the details of payment and license fees. It encourages
staffs to update your data and request the holiday using the system.

Tight Project Management Ensures Rapid Deployment

As with all implementations of Oracle Consulting addressed, the consultants met with executives
of Maruti and key business users to the extent of their needs. A committee was formed to guide
implementation and ensure consultants resorted to counseling senior executives. The project plan
outlines the responsibilities of each party and incorporated monthly milestones and timelines test.

Oracle Consulting guarantees rapid installation without problems through the use of accelerators-
the Oracle business flow implementation approach that leverages templates predefined business
workflow to reduce time and costs associated with application deployment.

A key challenge of the project was to interface with Oracle modules Maruti legacy systems,
including direct recruitment element, dispatch systems, the time card system for assistance, and
business intelligence platform for Hyperion. Integration must be completed without any impact on
business of the company, often dealing in large volumes. For example, Maruti generates more than
2,000 bills every day and long interruptions could have disastrous effects on cash flow at the end
of the line.

The open and modular structure of the Oracle E-Business Suite ensures the integration technique
is relatively painless. Otherwise Process, Oracle Consulting helped ensure close integration of real-
time performance, allowing budget and credit checks to be completed online in the previous
system.

Ensuring a smooth transition

Oracle Consulting While not actively participate in the management of change, the team
contributed indirectly Maruti efforts to transition users to the new modules. Oracle recommends
equipment Maruti in changes in the process and contributed to training programs.
Plans for the future

Following the success of finance, procurement, and deployment of human resources, Maruti is
considering expanding its footprint Oracle. The company is evaluating Oracle Advanced Supply
Chain Management and Oracle Enterprise Asset Management. "We would like to further automate
the management of supply chain processes and further integrate with Oracle ERP system," said
Uppal. "We are also looking to integrate more systems with Oracle, so we can have access to real-
time information across all our businesses. Hopefully Oracle Consulting to play a role in future
projects."

2. Distributors Management System

All data collected by the various distributors and showrooms in various parts of the country are
processed DMS The flow chart showing the flow of information is as follows:

Merchant

 Process connection D.M.S Image Data

 Showroom
 Process Flow
 Pre - Sales

The pre-sales process is very important because if a client has a satisfying experience during this
process, that greatly increases the chances of buying the car from their showroom. At this stage,
the customer is undecided as to which car to buy and where to buy. The customer acquires
knowledge

Range MUL 's car

 Related services such as finance, insurance, pre-owned cars, extended warranty etc.

Sales Post

Complaints received by customers through distributor are:

 E-mail
 Internet survey forms
 Charter Phone
 Forum / Consumer Legal Notices

These data are compiled in the software database.

3. DMS (DATA MANAGEMENT SOFTWARE)

According to market Maruti "today is a customer oriented one, where the customer is king. If a
person wants to buy something, you would like to query all accessible sources. Now up to the
seller that the efficiency with which he handles these questions and makes efforts to convert the
same in the production’s very important to keep track of each and every visit until and unless it is
not converted or closet’s also important to keep an eye on the marketing team, so you know what
they are doing in the market and what is the answer, you are doing in the market. "

DMS does the following:

 You can keep track of all investigations and can generate timely reports as required.
 At feeding time consultation, you are asked for all necessary details.
 After collecting all the information, you can generate an invoice / Performa Offer Letter
for the customer.
DMS not only generates Performa invoice or assign the questions to the sales executives, but will
keep records of the investigation until and unless the investigation is not converted or closed.

DMS generates several reports that help management and the sales team.

Generates reports as query log, log book, test the recording unit, visitor registration, pending
registration consultation, consultation went insane for inquiry list days, closed research record,
conversion rate , research expenses, target v / s achievements report (executive wise / total) and
many more that will surely help Maruti, which believes in customer service and 100% conversion
of research

Executive Details

This form is used to create an executive profile. You can make a new entry, and change an existing
entry. A photograph of the executive can also be scanned into the system and can be saved with
the profile. A user name and password must be provided if you are making a new entry. This is
because DMS considers each executive as a user with operator-level rights. He has to feed her and
change inputs on your own. In some companies, executives cannot be directly using the software.
For them, we have provided User Manager with the help of which you can create a new user with
administrator-level rights.

Funding Details

In the main form financier, all information is kept regarding the financial institution. Only the

help of these training data we are generating various MIS reports. The details provided here can
help management to find an efficient person for a special task. Search facility is also available, so
you can find all information special training with a single click there.

4. System Architecture

The Maruti project began in 1988. The first version of the system was designed as an object-
oriented system with appropriate extensions for objects supporting real-time operation.

The trial version of this design concept was carried out to run in the top of the UNIX operating
system and supported applications and hard real-time, running on a distributed, heterogeneous.

Design goals

The design of a real-time system must take into account the main characteristics of the applications
that must be supported. Maruti's design was guided by the following characteristics and application
requirements.

Real-time requirements

The most important requirement for real-time systems is the ability to support the timely
implementation of the applications.
Fault Tolerance

Many mission-critical systems are safety critical, and therefore the requirements of fault tolerance.
In this context, the fault tolerance is the ability of a system to support continuous operation in the
presence of faults.

Distributives

The inherent characteristics of many systems require that several independent equipment,
connected via a local area network, cooperating in a distributed manner. Computers and other
resources in the system may be homogeneous or heterogeneous. Due to the operational autonomy
of the components that cooperate, control and coordination of the system becomes much more
difficult task if the system is implemented in a centralized manner. The techniques learned in the
design and implementations of centralized systems do not always extend to distributed systems in
a straightforward manner.

Scenarios

Many real-time applications undergo different modes of operation during its life cycle. A scenario
defines the set of jobs running on the system at any given time. A real-time system must be able
to change from one setting to another, keeping the system in a safe and stable at all times, without
violating the timing constraints.

Integrating multiple requirements

The biggest challenge in building operating systems for mission-critical computing is the
integration of multiple requirements. Due to the contradictory nature of some of the requirements
and solutions developed to date, the integration of all the requirements in one system is a
formidable task. For example, real time requirements prevent the use of many of the techniques
used in handling other fault tolerant systems.

Design Approach and Principles

Maruti is a time-based system in which resources are reserved before execution. The resource
reservation is done in the timeline, allowing reasoning about real-time properties in a natural way.
The architecture provides time-predictable execution of real-time systems, a prerequisite for
critical applications that require real-time performance.
5. Basic Design Approach

Resource reservation for hard real-time work

Real-time applications have strict resource reservation Maruti resulting in an advance priori
guarantees timely execution of jobs in hard real time. This is achieved through a data structure
calendar keeps track of all reserves and resources allocated time slots. The resource requirements
are specified as soon as possible in the development stage of an application and manipulated,
analyzed and refined through all phases of application development.

Predictability by reducing resource conflicts

Jobs in hard real time are programmed using a programming paradigm for time when competition
for resources between jobs are eliminated through programming. This results in reducing overhead
in execution time and results in a high degree of predictability. However, not all jobs can be pre-
programmed. Since resources can be shared among the jobs in the schedule and other jobs in the
system, such as activities that are not real-time, there may be resource contention leading to a lack
of predictability. This is offset by the elimination of as many resource contention as possible and
that the reduction in cases where it is not possible to completely eliminate. The lack of
predictability is compensated by leave enough slack in the schedule.

Integrated support for fault tolerance

Objectives of fault tolerance are achieved by integrating support for fault tolerance at all levels in
the system design. Fault tolerance relies on early detection of errors and structures, elastic
applications through redundancy, and the ability to change modes of operation. Fault detection
capabilities are integrated with the application during its development, allowing the use of
application-specific fault detection and error handling. As error handling may result in the
violation of time constraints, replication is used to make elastic application. The lack of a replica
can not affect the timely execution of other replicas and thus the operation of the system can be
controlled. In load conditions and expected failure, it may be necessary for the system to revoke
the guarantees given to real-time applications and change its mode of operation dynamically so
that an acceptable degraded mode of operation can continue.
Separating Mechanism and Policy

In the design of Maruti, the emphasis has been on the policy mechanism separation. For example,
the system provides basic mechanisms office of a time-controlled system, keeping the design of
specific planning policies apart. The same approach is followed in other respects the system. By
separating the policy mechanism, the system can be adapted and optimized for different
environments.

Portability and Extensibility

Unlike many other real-time systems, the Maruti project objective was to develop a system that
can be adapted for use in a wide variety of situations, from small embedded systems to complex
mission critical systems. With the rapid change in hardware technology, it is imperative that the
design is such that it is portable to different platforms and makes minimal assumptions about the
underlying hardware platform. Portability and Extensibility also enhanced by the use of modular
design with well-defined interfaces. This allows the integration of new techniques in the design
with relative ease.

Support for multiple runtime environments

Maruti offers support for multiple execution environments to facilitate program development and
execution. Real-time applications can run on the Maruti / Mach or Maruti / autonomous
environments and maintain a high degree of temporal determination. The environment Maruti /
Standalone is best suited for embedded applications while Maruti / Mach allows concurrent
execution of real-time applications and non-real time strict UNIX. In addition, the environment
Maruti / virtual is designed to help the development of real-time applications. In this environment,
the same code running in the other two environments can run while access to all UNIX debugging
tools available. Temporal accuracy in this environment is maintained with respect to a virtual real
time.

Debugging Support for Temporary

When an application is running in the environment Maruti / virtual interactions take place
regarding virtual real-time under the control of the user? The user can accelerate with respect to
real time or slow down. The virtual time can be paused at any time and debugging tools used to
examine the state of execution. This way we can debug an application while maintaining all
temporal relations, a process we call temporary debugging.

Conclusion

Of all the information and data collected above, we can conclude that the Maruti Suzuki has finally
developed its IT infrastructure based not on mere computerization of its internal database and track
employee's work and then to the creation networks throughout the organization through local area
networks WAN MANS.

When IT industry prospered and attracted worldwide functionality, Maruti Suzuki also realized its
importance and began to adapt to different levels from the apex level, executive level operational
level.

First of all systems used were CAD / CAM at the operational level and TELNET (Black and white
based on UNIX) at all levels. Finally, the organization has implemented Oracle ERP for all its
operations as:

 DMS (Data Management System)

 CRM (Customer Relationship Management)
 MOS (Maruti on road services)
 SFA (Sales Force Automation)
 SMS (Sales Management System)
 SCM (Supply Chain Management)
 DN (distribution network)
 CIM (Computer Integrated Manufacturing)
 Management (PLM product lifecycle)
 ESS (Executive Support System)
 CCS (Customer Care System)

Currently Maruti Suzuki is reaping the benefits of successful MIS. The total investment of Rs. 100
corers a year is not an expense but an advantage because ROI increased by 34% in the first years
of implementation of the IT infrastructure. For the future SAP ERM is recommended so that the
company has a competitive advantage in the sector.

Recommendations

Selecting SAP as ERP package due to the following reasons:

 Manages the complete vehicle order for the delivery process.

 Manufacture and deliver the components
 Manage warranty claims efficiently and accurately
 Improve management of the dealership
 Improving the relationship with customers and partners
 Improve logistics, resource planning, etc.

The developers of information systems must meet the requirements of ILM policy. System,
applications, infrastructure, and other information technology components must be created or
acquired by a development methodology that ensures they are created, maintained and disposed of
in accordance with Records Maruti ILM Policy.
